ePortfolios on EduLINC – Moodle Folder To set up Folders as digital portfolios for your students, you need to use the Restrict access setting in the Folder settings to make the Folder visible only to the teacher and the student who the Folder is for. 1. 3. From the Activity chooser, select Folder and click Add.

4. On the Adding a new folder page in the General section, give the folder a Name that includes the student's name, e.g. Rong Xin - Digital Portfolio, and a Description to guide learners on what they will find there, what they should do with it and when. Add an image to give the page some colour and context if you like.

5. Select Display…if you like. This will display the Description on the main course page.

6. In the Content settings, click on the Create folder button.

7. Give the folder a name and click Create folder.

8. Repeat step #7 as many times as is necessary to create the sub-folders you want in the student’s digital Portfolio. Note: You will only have to create this set of sub-folders once. This sub-folder structure will be the same for all students when you duplicate the Portfolio folder. This will be explained in a step that follows.

9. Select On a separate page in the Display folder contents setting. Select both the Show subfolders expanded and the Show download folder button check boxes.

10. Under the Common module settings, make sure that Show is selected from the Visible drop-down menu. Note that Show is the default setting.

11. Under the Restrict access settings heading, click on the Add restriction button.

12. In the pop-up that opens, select User Profile.

13. Select Student must match the following. Then for the User profile fields, select Email address, is equal to, and then enter the student’s email address. This will hide the Folder from everyone except the teacher and the student with that email address.

14. Click on the small ‘eye’ icon to completely hide this Folder from everyone but the teacher and the individual student.

15. When the ‘eye’ icon is crossed out, click on the Save and display button.

16. This step involves changing permissions for this activity, so that each student can add files to their folder.

In the Folder administration section of the Administration block, click Permissions.

17. Under Advanced role override, click on the drop-down menu and choose Student.

18. Change the setting to Manage files in folder module to Allow. This will allow the student to add and remove files to the folder.

19. Scroll down and click the Save changes button.

When the student enters the Portfolio activity, they now see an Edit button, which will allow them to make changes to the contents, such as uploading files or creating sub folders. Here is the student view for the example above:

20. Return to the main course page and locate the folder you created, e.g. Rong Xin - Digital Portfolio.

21. You can save yourself some time by duplicating the folder you just created. Select Duplicate from the editing drop-down menu on the main course page beside the folder. Repeat this, so there is one folder for each student.

22. After duplicating the folder, click on Edit settings in the editing drop-down menu for the new folder.

23. Edit the Name in the General settings.

24. Change the email address in the Restrict access settings, then click on the Save and return to course button.

25. As the instructor, you will see a list of folders on your course page, while each student only sees, and only has access to their own folder.

Note: It is important to remember not to hide the Folder on the course page as this will hide it from everyone's view, including the student who needs to see the portfolio. See step 10 above to review this point again.

When the Restrict access settings are in place in the Folder settings, only the one student and the teacher can see the folder. Note: When a student moves out of your class, you should remind them to download the contents of their PBLA folder, folders can also be backed-up/restored and imported between EduLINC course, if you would like to move a folder from one teacher’s course to your own, contact your mentor for assistance.
