Updating detailsYour HR department can also updateemployee details (for example, names,addresses, bank details and salarychanges) from within SelectHR.

For security, new employee data andupdate requests are automaticallyplaced into a ‘holding pen’ forauthorisation by your payroll team.If these changes are rejected for anyreason, then your HR team will receiveautomatic notification so that theycan make the required amendments.

WorkflowSelectHR’s workflow tools allow you tobuild processes into the system tocater for activities such as adding newemployees, booking and approvingholiday etc. Many of these workflowsare provided as standard, however, youhave the flexibility to tailor them toreflect your own processes and tocreate additional workflows whererequired.

Based upon the new WWF (WindowsWorkflow Foundation) standard,workflows are quick to visualise andutilise ‘drag and drop’ technology formaximum ease of use. Workflow is anexcellent way of streamlining many ofthe HR-related processes in yourorganisation, reducing paper flow andinforming staff across theorganisation of events relevant tothem. Business intelligenceOne of the key drivers in the design ofour HR software has been t0 delivertimely, relevant information directly tothose who need it.

In addition to the extensive suite ofstandard reports, such as turnover,headcount, absence analysis, trainingneeds and recruitment analysis, weprovide the ability to create dashboardsand for these to be made available torelevant users. Dashboards caninclude charts, gauges, listings andslideshows, as well as informationfrom external sources on the web(for example, RSS feeds).

Ad-hoc reportsIntegration with Crystal Reports alsoprovides you with a user-friendlyreport writer, enabling you to createad-hoc reports on any area of thesystem as you need them. This ensuresfurther flexibility in case you needinformation that is not provided inone of the many standard reports.

System configurabilitySelectHR is fully configurable,allowing you to choose howinformation is presented to specificgroups of users and whichinformation they have access to.You can control the content of menus,screens etc, using the tools available inthe Administrator module.

Even the Administrator itself can beconfigured for individual users. Forexample, HR users may be able toproduce graphs and reports andpublish these for other staff to use,while system administrators mayalso be allowed to create and modifyworkflows or menus.

Many highly configurable systems areeffectively just ‘tool kits’ with whichclients have to effectively build theirown system. However, we include ahuge array of standard functionalitywhich means you can be up andrunning very quickly, yet still have theability to expand the system as yourneeds change and evolve.

Business intelligence: configurable web-based dashboards provide decision-makers withimmediate views on information held anywhere in the system.

Paytypes & deductionsSelectPay provides a comprehensiveselection of the most commonly usedpaytypes and frequencies, as standard.You can create and amend these asrequired, making it easy to handlefluctuations in staffing levels, forexample.

Multiple payments and allowances,such as bonuses, can be easilyaccounted for, and expressed as aweekly or monthly value. Salaryincreases and deductions arecalculated automatically and youcan preview the effect any calculationhas on net pay at any time.

Non-payable paytypes, such as holiday,can be linked to any deductions, quicklyshowing you the outstanding value ofdeductions against time accrued.

DeductionsMultiple deductions, such as seasonticket loans, can be activated forspecific periods, shut down when thebalance is paid and easily reactivated.Payments such as benefits in kind (forexample, gift vouchers) can be appliedcompany-wide.

Statutory requirementsAs you’d expect, SelectPay covers allyour statutory requirements and tomake your job more straightforward,calculations, such as Directors’ Pay,National Insurance (NI) and StudentLoans, are handled automatically.

PensionsPensions can be entered as a fixedsum or as a percentage of salary, andAVCs made at any time. COMP andCOSR pensions can also be specifiedand PAYE, NIC and SSP tables areformatted in line with HMRCconventions.

A monthly report shows all paymentsdue for PAYE and NI, so you never fallbehind on your commitments.

P11D processingSelectPay handles all the calculationsand reports connected with taxablebenefits. For flexibility and ease ofuse, P11D submissions can be madevia the internet as well as traditionalprinted reports.

Reporting & analysisSelectPay provides a comprehensiverange of reports as standard.Exception reports help you validateyour payroll before it’s finalised,giving you confidence in your payrollprocessing.

The system retains full details of allpayments made, enabling thepreparation of comprehensivemanagement reports. Monthlyreports, statutory declarations andYear End requirements can all beoutput to print, screen, spreadsheetor fax for ease of distribution.

Update to nominal ledgerWeekly and monthly payrollinformation can be updated to thenominal ledger in full detail or atsummary level. This data is easilyanalysed by department, division andemployee, with a full breakdown ofpay types and deducti ons if required.

Employee recordsSetting up and maintainingemployee records is easy. If notintegrating with SelectHR, user-friendly wizards guide you throughthe process of adding new starters,while tab-style record cards allow youto quickly build up comprehensiveemployee information. Just some ofthe data you can add includes:employment history andqualifications, holiday tracking andindividual pay components. You canalso add a photograph for quickidentification of employees.

Link to HRIntegration with SelectHR enablesyou and your HR team to stay in syncwhen maintaining employeeinformation. For example, HR canprovide details of new starters, orrequest changes to employeerecords. On submission by HR, data isautomatically sent to SelectPay foryou to review. You can then choose toeither approve or reject thisinformation, ensuring you have fullcontrol at all times. HR receiveinstant notification of any rejections,while approved submissions updateSelectPay automatically.

All in sync: ...having received and authorised the new employee details from SelectHR, SelectPayis automatically updated. This process eliminates errors and the need to enter employeeinformation twice.
