Colombia’s Member Committee?

  What does AIESEC means for me? Well, this

is the question with more answers that I ever

had, however, all of them, has a common

point: the opportunity to challenge and

prove yourself that the change is possible,

and do something for the society never was

so easy as now. And that statement is what

motivates me to keep doing what I love, and

working day by day in our organization:

share my knowledge and help the people

surround me in every level possible. AIESEC

provides me this opportunity, not only to

share at a local level, but global, and now,

being part of a National Team, I could reach

more people that I’ve done before, and that’s

will be the chance to put my contribution to

all the global network effort to reach our

organizational vision.  

Additional, I know that to

belong to the Member

Committee and to take this

leadership experience it is

the best way to carry out my

career plan and to continue

with the projects that from the

bottom of my AIESEC XP

want to implement and

propose, in this case, a big

scale.

Which should be the behaviors for AIESEC in Colombia in 2015 to achieve the goals and approach more young people? Nowadays, the society, and specially the young people have a dynamic behavior, which means that they are always ready to change at the pace of technology, global issues and changes at a socio-economical level. This situation leads to every organization to establish solid ways and strategies to engage their target and resources in one common objective. However, many other factors influence the accomplishment of those goals; motivation, knowledge, awareness, organizational climate, etc. With the purpose of achieve the goals and approach more young people, AIESEC in Colombia should align their strategies to: •  Innovation: giving freedom to use their creativity within the work, fomenting

entrepreneurship. •  Virality: using in a most effective way the actual network that we have, being

more collaborative and spreading the experience to unexplored targets. •  Association: reuniting all the agents to create a big scale impact in each

society, leading them to be more independent to act and enforcing their believes and convictions.

Please list your top 3 strengths and top 3 weaknesses with brief explanation   Strengths: Effective communication - I know how to express what I feel, consider or thinking, giving the right argument in the right situation.

Commitment with results - I always keep in mind which is our goal, and does what it takes with to accomplish what was planned and reach the results within.

Personal effectiveness – Based on deadlines, priorities and objectives, I manage my time effectively to finish my duties and responsibilities.   Weaknesses: Personal awareness – I am not totally aware about whom I am and What I have to give, I underestimate myself.   Work balance – Sometimes my load of work is too heavy, and that leads me to lose the control over the situation.   Fear to failure - When I do not feel secure with something, I take my time to make decisions, is all because I do not like to lose or fail in any new project, task or role that I want to assume.

S: How will they help you in your work as MC

Team member? How will they help you in your

MC work?   When you have to work with people from

different backgrounds and personalities you

need to know how to work with them, that's why

these strengthens will help me to avoid and

minimize any kind of conflict or discussion due

to those stressful peaks, also, could contribute

with the work and others goals. When you're a

leader of a national team, is very important to

know how to manage your time and tasks, due to

your responsibilities as a national team leader,

you will always have time for do your stuff, and

contribute with the others development as well,

and if you do not have under control your own

duties, is probably that you can fail with your

VPs tracking.  

W: How can they challenge you in

your work as MC Team Member?

  The challenge is to get out of my

comfort zone and start to do more

stuff fearless, that will help me to

improve my self awareness,

balance my work load, which will

lead me to accomplish so many

things, as the time passes by, that

fear to failure will be less and will

allow me to do different things

and take challenges putting

myself in situations out of my safe

zone.

Please check the AIESEC in Colombia path for get AIESEC 2015 and define what should be the role of your functional area in each year until 2015.   AIESEC in Colombia should have 3 stages, which lead the whole organizational framework to accomplish it. Those will be focus on the different audiences (youth people, potential partners, enablers), that’s why we should set solid strategies to each of them. The path must be:   •  Brand virality through young people, not only in virtually, but physically. •  Youth leadership development based in partnerships and projects, which

engage private and public sector. •  Consolidation of a new collaborative network, allowing cooperation between

partners, young people and stakeholders to impact positively the society.  

When each stage has notable results, AIESEC in Colombia will be supporting strongly the BHAG: Engage and develop every youth person in the world.   IM&C has a special role here, because all the duties are related to find a way (strategies, processes, activities, etc) to fit the pieces (functional areas) with the purpose of have a well performance (synergy) and reach the goals or objectives in an easier and fastest way. Like some AIESEC Leader told us: our organization is like a machine, you have the pieces, and you need to move all together, IM&C are like the oil that allows this dynamic.

The 3 main priorities for your area(s) based on the general SWOT analysis. What strategies would you propose for each one and what results would you like to see in each of those priorities at the end of your term?   1.  IT Cost Management Strategy: Putting in action the good case practice presented for management methodologies such as ITIL or PMBok. Designing action plans which allow us to take more advantage of our current resources and stop wasting them.   Results: Budget reduction and investment in Technology gives the opportunity to invest in other development areas or projects related or not with IM&C.

information   Nowadays, the government sector, thanks to

the initiatives leaded by the ITC Minister, gives

the opportunity to work together with the

purpose of develop different social sectors

trough projects like “Computadores para

Educar” or “EducaDigital” where we can join

them as participants or enablers in case that

they want to join young & international talent.

In the other hand, we can notice the growth of

t h e p r i v a t e s e c t o r i n v e s t m e n t i n

communications and IT fields, every year,

Colombia are hosting many conferences and

business round tables, where the companies

make b ig dec is ions and bu i ld new

partnerships, here AIESEC could take

advantage of this pool, being involved with

this spaces of networking and construction, a

good example is the Social Media Week or

CampusParty.  

With an active participation of those

spaces, we can ensure a positioning

of our brand in those strategic

markets that provide to us so many

opportunit ies to improve our

organizational performance, reach

o u r g o a l s , a n d e x p a n d t h e

partnerships.

2. Information & Knowledge Management Strategy: Management frameworks: systems to processing data, knowledge and databases, standardization of KM. Manage the information as a network, being collaborative and sharing experiences using IT tools.   Results: High control of access, monitoring the sensible data and have a solid database full of knowledge, which could be use in future, projects, tasks or duties. Minimizing responses, actions, consulting times, among others management factors that will improve our daily work.  

3. Project Management Education Strategy: Managers Culture, give to the membership the opportunity to know how to plan projects, taking in mind all the factors involved with the organization, also, how this could take us to a whole new levels of performance.   Results: More successful projects executed across the national network, generating a growth in the number of experiences to young people and companies.

Give a brief description of the current state of the AIESEC Experience (3 stages) for AIESEC in Colombia

Engagement With AIESEC Is the weakest phase in the whole process, and this is because we still having a lack of processes or activities (apart of recruitments) to engage more people into the experience. When recruitment pikes are done, local offices needs to work faster to implement ways to have high retention rates, which allows them to achieve goals and have membership for the whole next phase.

Experimental Leadership Development Nowadays, Colombia has a strong potential and are implementing in the best way different initiatives to guarantee the high quality of the experience towards Team Member/Leader and Exchange Programs. In the other hand, the amount of people involved with this phase has grown, generating more experiences and achieving the Global Network Goals. Keep in mind that Colombia is one of the strongest countries giving development opportunities (TMP/TLP) and is growing with the rate of leaders going on exchange (GCDP/GIP)

AIESEC in Colombia, due his huge amount of

backgrounds involve within, has a diversified

Alumni Network, however, the lack of

corporate strategies avoid to take some

advantage of it, it’s necessary not only wait

for National Events to strengthening

Pre-Recruitment Is like a starting up configuration, where the team in charge of the process need to set the target to approach, but this target depends directly of the organization needs and what we have to offer to them, with the purpose of not waste the pool and take as many advantage of the market as we can. This stage can be represented like a project planning (costs, human resources, scope, risk, strategies, framework, etc)

EP FLOW

Recruitment Put in action all the planning done, having a strong human resources management, due the relevance of the stage, here you have all your assets focus in a single goal, here you need to have a risk management if something change in the curse of the plan, that’s why, a change implementation plan should be create. This is completely an Operation Management process, because is all about execution and tracking.

Pre-Exchange Once the talent pool has already joined, we need to set a framework focused on legality, policies and a relevant operative part, this will include time, cost and quality management, due the high load of documentation, interviews and legal procedures that the people need to take. This can be related into a specific Integration Management plan.

Exchange + Re-Integration Here is where we can see the results of all the previous process, once the person leaves the country to take his internship, the teams need to work into a transition plan, where includes communication management, quality levels and monitoring the whole experience. This can be condensed into a continual improvement management.

Selling The selling process is focus on the operation of approach to the market or sector, and show the proposal that is been created for them, this is a customized process, and is part of a strategic planning to take into account all the factors that are involved with the selling, for this stage the management of cost, communication and a risk prevention plan are important, due the possible changes that can occur along the negotiation. This framework is related with a strategic communication management.

Delivery Once we could enable new spots, we need to focus on a research and a transition process, where we have to analyze our legal status and policies, also the time, cost and other assets that we will use during the delivery process. This will demand us to have Integration Management plan to guarantee the quality of the delivery from the research to the arrival of the intern.

Re-Raising Just right before the current partnership is over, is very important to negotiate and wrap up all the positive and negative facts of the experience, this should be done with the purpose of improve the experience quality and enable once again the same or more spots. This is part of a Continual Improvement Plan, that not only takes part in the last stage, but from the very first one.

everybody, different kind of tools, that are able

to be customized according to the business

needing, in the case of AIESEC, and taking in

mind the Global Platform, results more useful

for the procedures at a National Level,

with the organization, I know aiesec.org and the

space that have AIESEC in Colombia in these

domain, however, if we build our own, we can

show part of the potential, projects, talent, and

partnerships to generate more engagement

and positioning in the web and our targets. Drupal® offers the possibility of

create a CMS which enables every

characteristic that we want, in this

case, the idea is create one of this sites

focused on the Exchange Programs

(incoming and outgoing), these can

provides first hand information to

make easier the understanding of the

programs and the way to join or

engage with AIESEC Global Network

and National Office.

Please provide professional advices in order to improve those processes

We can integrate the processes of EP and TN Flow into a 3 stages, that work together as a system, here we can plan, execute and control all the activities and procedures, thanks to the presence of specialized teams in each area, we can standardize the activities and the framework, improving quality of service, improving the way of tracking and storing the information, we can use all the good case practices to diversify the product and be more smart at the moment to approach the audiences. If we base all the professionalism of process with management methodologies such PMBoK or ITIL Service Lifecycle Management, we can improve the functionality of our processes and have better results at the end of the cycle.

TMP+TLP: Internal communication strategy

  Making an Investment to enhance a workspace in

Podio® with the purpose of have a virtual

environment to work together across the country,

with EBs, NST or Team Leaders. This platform,

allows the membership to control their tools.

Giving them autonomy to structure projects,

teams and workflows, creating content and

sharing them with the group, deciding how to

structure, create and present content and

information. This platform will help the

management strategy and consolidate an internal

communication channel. At the same time, local

entities could use this strategy for their own work.

What is the best way to gain relevance and importance for IM&COMM both for national and local level?   Taking advantage of the technological revolution, and the relevance of IT and IM trends nowadays, we can propose new ways to share the knowledge, broadcast the message and make simple processes, with the purpose of improve organizational performance. All type of organizations has a strong IM plan, because it’s relevance, which lays in the following

ü  Prioritization of activities, assets and factors according the needs

ü  Make it simpler the robust systems and procedures

If we focus our work, and take these principles as the framework for 2012, we can gain all the relevance and show us as a strong area, which offers solutions for the focus areas, mitigating those bottlenecks and facilitating the way to do the things to reach the goals.

The best way to gain relevance is solving issues, proposing innovative systems and tools to facilitate the AIESEC procedures, giving constant support and counseling on project management, execution of IT strategies, standardization the way to make KM’s, sharing knowledge, and presenting an alternative (centralized and distributed) storage tools to facilitate the research and use of data.
