Your software for POS has to be highly intuitive to give system users a free hand.
With the acquisition of all the computer hardware components necessary for a fully functional POS, all appears to be set except for the fact that you may not have POS Software as yet. Other than the operating system, your POS application too takes charge of all POS hardware components connected to the system. The Barcode scanner, cash drawer, receipt printer etc are always in constant communication with the software, most of the time taking commands from it.
The computer is also important here as it provides processing functionality and data storage devices. This is also where you install your POS application. The barcode scanner reads product details into the computer through the POS application. Receipt printers and cash drawers also execute their respective POS functionalities through the software.
The range of software use is wide and this necessitates that you identify your own needs before buying one. Here you may need the services of a system analyst to help you study your data processing requirements and make useful recommendations about the kind of software you should get for your POS. Most of the time, POS solutions providers have capacity to evaluate your business’ POS needs.
You need software that may support accounting functionalities or one that can easily integrate with accounting software to ease record keeping. Most importantly, your software should support card payments and if necessary online ordering.
Additionally, your software should be highly intuitive to allow users a free hand as they
interact with the system. The User interface should be friendly with placement of
appropriately labelled commands and text boxes, easy to use search and dialog boxes,
simple data entry forms etc.
The Label Printer: a necessary POS acquisition
A POS system serves many purposes one of which is to minimise human error and
enhance speeds in both data entry and processing. With manual systems, item details
have to be entered manually and this process is highly open to incorrect entry of details
such as prices, sizes etc. A POS employs barcode scanners to read item details into the
computer for processing.
A label printer is the device that produces those labels or tags on particular products or
items. The item details are represented in electronic form only discernible by means of
a computer POS system. The Label printer makes it possible for the computer to
identify uniquely each item in the inventory.
In selecting your label printer, assess your business needs first. The printers are
available in varying capacity especially for industrial and small scale use. For a retail
store, the latter fits the bill.
The aim of your business being to make profit, you have to go for the most cost
effective label printer. For the most part, label printing takes place only once in a while
and as such, you do not want to pump a lot of money into an acquisition you will not use
a lot. Thus, consider pricing of a label printer that guarantees to return value for your
money.
You also need a durable printer for your store. It is essential to check if you supplier or
manufacturer gives any warranty in case the printer breaks down for no fault of your
own. Some manufactures give printer warranties of up to four years depending on make
and model.
