CCNI VGM WEB PORTAL - USER GUIDE June 2016

OverviewThe CCNI VGM-Portal is an application which enables to submit VGM information directly to CCNI via our e-Portal web page. You can choose to insert VGM information directly, or download a excel .csv file to enter VGM information for multiple bookings in one step.

Additionally, the “Tare” feature enhances to retrieve container tare information for a specific container. The container tare is needed in case you are using weighing method 2 as per SOLAS regulation.

Option 1: Submit VGM per booking

To submit VGM information for one or more container belonging to one bookingn please type the booking number into the foreseen fieldn Press enter or click on the magnifying glass

All related container numbers will appear on the screen.To submit VGM, at least the required (mandatory) information must be inserted. Mandatory fields are marked with an asterisk.

Please note: You will not see if VGM information has already been inserted. Therefore a new input will overwrite previously provided VGM.

The container numbers are marked as per status:Green: VGM data completely insertedRed: In processGrey: No VGM data inserted

Copy ContainerIf you want to insert the same VGM information for all containers on this booking, you can easily use the “Copy Container” function.

n Click on “Copy Container” and mark all containers, for which the information shall be copied. All data except the Verified Weight will be copied.

Add ContainerIn case a container number is not shown on the screen after the booking number was inserted, con-tainer can be added manually to a booking in order to transmit VGM information.

n Click on “Add Container” n Key in the container numbern Click on “okay” and proceed as usual.

Transmit VGMVGM data can be send for all green flagged container.

It`s not necessary to send VGM for all container on a booking at once.n Click on “Save” if you want to send your VGM

You will get an overview of all containers, where you can double check your entries. You have the following options to proceed

n Export/save/print the overview as a .csv documentn Export/save/print the overview as a .pdf documentn Go back and correct your inputn Send VGM data as per overview

Summary of entries

Update VGMOnce the VGM information was send to CCNI, it is not possible to change it anymore. In case a cor-rection is needed, the VGM information must be filled out completely and send again.

Option 2: Submit VGM per .csv file

To submit VGM information for more than 1 booking, the use of our .csv template is recommended.

You can enter VGM for as many bookings as desired and send it in one step. In order to avoid tech-nical errors and to secure a correct VGM transmission process, please use the CCNI .csv template which is available directly on our VGM-Portal:

n Download the templaten Enter your information as shown:

n Save the file on your computern Go back to the VGM-Portal and click on “select file” and choose the .csv file you want to upload from your computer.n Click on “Upload”

Please note that an empty row in the file ends the reading process of the system. Therefore the entries below the empty row will not be submitted.

You will get an overview of all containers, where you can double check your entries.

n Click on “send” to send your file. If the system detects an error due to wrong information the system will state the error and the whole file needs to be uploaded again.
