STEP-BY-STEP INSTRUCTIONS

Online Payroll

May 2013

Activating Your Account �  LOG ONTO �  https://sourceselfservice2.ceridian.com/mktginc �  Enter in the following information:

¡  Example: John Smith - Date of Birth 01/05/1987 ¡  User Name: First Initial, Last Name, Month of Birth(MM) Date of

Birth(DD): (example: jsmith0105) ¡  Password: MktgYYYY (example: Mktg1987  - M is uppercase followed

by YOUR four digit birth year) ¡  Click Log-In ¡  Next screen says: Password ¡  Enter Old Password: MktgYYYY ¡  Enter new password: Your choice (Please write down for future use) ¡  Verify new password: Your choice   ¡  Reminder Phrase: used for password reset (example: mktg) ¡  Choose “Continue” to open authorized service link

Entering Your Time �  Log into your account using the information

from the previous screen ¡  Click on Timesheets & Vacation Requests

Entering Your Time �  Click on the “Home”

drop down in the upper left corner and change to “My Timecard”

�  Click on “Current Timecard” directly underneath the drop down menu

Entering Your Time

�  Check the pay period column. Click on “View Other Periods” and select the proper date for your submission

Entering Your Time �  Select the date of your event �  Leave the Time Code as “1RG- Regular Hours” �  Enter Time In & Time Out

¡  Time should be entered as the following ÷ 04:00P ÷ 07:30A ÷  10:45P

�  Calculating Time In & Time Out ¡  For every shift you work you are paid 15 minutes prior (arrival time)-

this arrival time is called out on the schedule. For example, if you are scheduled to work a 5:00-8:00pm shift your arrival time is 4:45 and you work until 8:00pm.

¡  You would enter ÷ Time In- 04:45P ÷ Time Out- 08:00P

Entering Your Time �  Your rate of pay is as follows

¡  On Premise ÷ $25 per hour (input as “25” not “$25”)

¡  Off Premise ÷ $25 per hour (input as “25” not “$25”) Guinness On-Premise: $30 per hour (“30” not “$30”) Guinness Off-Premise: $25 per hour (“25” not “$25”)

*LPM fees will be entered on a separate line item and are detailed out later in this deck.

Entering Your Time �  You will then enter the same codes found on the

schedule for the following blanks ¡  Job Code- will always be 7 digits ¡  CNDCC- will always be 1530 ¡  Market Code- will always be 14 ¡  Cost Code- will be 135 for working

÷  - training is cost code 190

**Every event must be entered separately**

�  In the comments section, you must always enter in 3 items: ¡  LPM Name, Program Name, Account Name ¡  i.e. Roxy Bustos, Smirnoff Confections, Binny’s (Oak Lawn)

÷ For Quarterly Trainings input: Current Quarter ÷  i.e. AMJ Quarterly Training

�  These 3 things need to be entered into the comments section of your LPM line as well. ¡  LPM Name, Program Name, Account Name

÷  It’s easy to copy/paste from “1RG-Regular Hours” comments section into “LPM Hour” comments section.

Entering Your Time

Entering LPM Fees �  If you’re an LPM for the event, you must enter in your LPM

fee. Remember, if you work an off premise event solo (you pick up the kit, you do the reporting) you are the LPM. ¡  Choose a new line item under your “1RG-Regular” line, select the date ¡  Change the time code drop down menu to LPM- Lead Promotional

Model ¡  Enter your time in and time out for 1 hour total.

÷ This cannot overlap with your event shift time already entered. If your shift is from 4:45-8:00, please enter your LPM hour from 8:00-9:00 (8:00P & 9:00P)

¡  If you have back to back on premise LPM shifts you may need to enter your LPM hours at the end of your last shift- for example ÷  Shift times 6:00-7:00 and 7:30-8:30 would be entered in the system as

5:45P-7:15P, 7:15P-8:45P and the LPM hours would be added as 8:45P-9:45P and 9:45P-10:45P

What is my LPM Fee? �  LPM fees are detailed out below

¡  On Premise & Special Events ÷ $25

¡  Off Premise ÷ $25

¡  Johnnie Walker Engraving ÷ $50

Submitting Late Payroll Hours into Ceridian

�  Follow the same steps as indicated in the previous slides for entering your hours / LPM Fees.

�  For date, please use a date that does not overlap with your current shifts. You may also just input the last payroll date. ¡  i.e. Payroll 04/1/13 to 04/15/13 input 04/15 as your event date ¡  If this date overlaps with a current event, use another date

�  Once you reach the “Comments” section, you will enter the following: ¡  “LATE, Event Date, LPM Name, Program Name, Account Name”

÷ LATE, 03/12/13, Roxy Bustos, Crown Royal Maple, Ay Chiwowa

Submitting & Signing �  After you enter your hours click “submit”

¡  If you’re anticipating a lot of rows to enter, I would suggest to click “submit” after the 2nd row so the page doesn’t time out; you may lose your info entered if the page times out.

�  Once you click “submit” click “sign” located at the top of the page.

�  If you see any errors, FIX IT. I cannot see your time card when there are errors.

Policies for Submitting �  All shifts should be entered and submitted within 24

hours of completing the shift- failure to do so may result in an MKTG Strike or loss of shifts

�  If timecards are due before the end of the pay period (15th or 31st), you have to enter future hours up to the end of the period (15th or 31st)

�  Staff expenses are still submitted via excel documents to [email protected]

�  DO NOT email the Gmail account to indicate your timecard is ready for approval.
