What is DataCapture? DataCapture is an optional ImageNow component that automates form processing, allowing you to identify a form, extract data from it, and verify the extracted data. During verification, you review and repair unknown characters first as a group and then in the context of the form as it was captured.

After verification, your form is automatically indexed with document key values and becomes available for searching or further processing in the document and workflow grids of ImageNow or WebNow. The line item data from a form is available to share with your business application in numerous formats, including XML, TXT, CSV, XLS and DBF.

ImageNow DataCapture in action The following sections show how ImageNow DataCapture can speed performance and reduce the tedium of processing hard-copy or file-based information.

EOB processing ImageNow DataCapture allows you to update your existing business application, streamlining the capture and data extraction process for health insurance explanation of benefit forms, as illustrated in the following example.

1. Jeff in the billing office receives a new batch of EOB documents.

2. He electronically imports the EOBs into ImageNow.

3. ImageNow DataCapture recognizes the EOB form type and extracts key information, including remittance date, provider number, patient number and name, and amount charged for care services.

4. ImageNow DataCapture lets Jeff verify the recognized data.

5. ImageNow provides validated data that can be easily shared with the business billing application.

6. Within the ImageNow or WebNow Client, Jeff and other authorized billing personnel can access any of the EOB documents.

Healthcare form processing In addition to EOB forms, ImageNow DataCapture automatically identifies and extracts data from claims-related documents such as HCFA, UB-92, and dental. It electronically stores all documents and extracted data and automatically links to each patient record for easy retrieval.

ImageNow DataCapture supports compliance with HIPAA regulations, significantly reduces manual data entry, and eliminates risk for process errors. It ensures validity and increases accuracy of data during form processing (97% read accuracy). ImageNow DataCapture accelerates processing, cash posting, and secondary billing, and it allows data sharing with billing-related and other business systems for streamlined processing.

Transcript processing ImageNow DataCapture automates manual data entry and transcript data collection, as shown in the following example.

1. Lisa, a member of a university admissions team, receives a batch of new student transcripts.

2. She scans the batch of transcripts into ImageNow.

3. ImageNow DataCapture recognizes the transcript type and captures key information, including transferring institution, student social security number, name, birth date, major, and GPA.

4. ImageNow DataCapture allows Lisa to verify the recognized data.

5. ImageNow provides validated data that can be shared with the school’s student information system application.

6. In ImageNow or WebNow Client, Lisa and other authorized university staff can access a transcript.

From either paper or electronic documents, ImageNow DataCapture quickly converts the transcript image to text and exports that text into a format recognized by your degree audit system. As a result, the tedium and error risk of manual data entry is eliminated. Important data elements, including course number and name, course description, units, and grade are electronically extracted and shared with the degree audit system. All captured documents and extracted data are stored electronically and automatically linked to the appropriate applicant records and student records for fast retrieval.

Invoice processing ImageNow DataCapture speeds invoice processing by automating the most tedious manual copying tasks, as shown in the following example.

1. Betty, an accounts payable clerk, receives a new batch of invoices.

2. She scans the batch of invoices into ImageNow.

3. ImageNow DataCapture recognizes the invoice type and captures vendor name, invoice number, date, total amount, line item data, and other required data from the document.

4. ImageNow DataCapture lets Betty verify the recognized data.

5. ImageNow provides validated, extracted data that can be shared with the business AP application. The corresponding invoice document image is indexed for instant retrieval.

6. In ImageNow or WebNow Client, the AP supervisor can access the invoices.

DataCapture roles ImageNow users take one or more of the following roles when processing documents with DataCapture:

• Owner or manager – Can set up and configure DataCapture and ImageNow as described in the “DataCapture for managers” section of this guide. To create capture profiles, you must have at least the Global Manage Capture Profiles privilege. To create workflow queues for documents processed by DataCapture, you must have the Global Manage Workflow Processes privilege.

• Batch scanner – Can scan forms into DataCapture in either paper or electronic format. To be a document scanner, you must have at least the Global Capture Batch Mode privilege.

• Batch QA inspector – Can QA each image scanned in a batch. To perform batch QA, you must have at least the Global Batch QA privilege. The same person often has both the scanner and QA roles. This role is not needed if you bypass the QA step, an option that is configured in the capture profile.

• Data verifier – Can process unverified characters through group verification and, when necessary, context verification mode before DataCapture exports the data. To be a data verifier, you must have at least the Global Batch QA privilege. This role is not needed if you bypass the verification step, an option that is configurable in the inserverDC.ini file.

A closer look ImageNow DataCapture consists of the following components:

• A Processing Server performs recognition and transformation of scanned images into digital text. It performs form processing tasks such as form ID, in which it matches the scanned form to the template specified in the capture profile, as well as auto-indexing and line item data extraction. To maintain fast performance, the Processing Server does not typically share the same computer with ImageNow Server or a verification station.

• A Verification Station performs character repair and validation of data with three verification modes: group digit verification, context verification of text field contents, and validation rule checking. If you want to perform verification while reading additional batches through DataCapture, the verification station should not share the same computer with the processing server.

• A Forms Designer Station creates templates for structured forms and layouts for dynamic, semi-structured documents.

• Jumpstart Packs are templates shipped with ImageNow DataCapture and are customized for your processing needs. Your ImageNow team works with you to create templates for EOBs, invoices, applications, tax forms, personnel forms, and other documents. You use these custom templates to automatically identify and extract patient account information, line item-level data, and headers and footers.

DataCapture for everyday users After DataCapture is installed and configured, you use the following high-level procedure to work with DataCapture in ImageNow.

1. Begin DataCapture at the point of capture.

On the ImageNow toolbar, you select a DataCapture capture profile to scan or import documents into ImageNow batches.

2. You open the Batches grid and QA the documents.

3. When the QA step is complete, DataCapture performs identification, data extraction, and line-item extraction.

Note If bypass verification is enabled for the forms you are scanning using DataCapture, the following step is bypassed and can be performed later.

4. When DataCapture finishes reading the set of pages or files, you open the batch. ImageNow DataCapture Verifier then opens in Group verification mode.

You use shortcut keys to accept, reject, or hold until later to view in context. If you place any character groups on hold, Context verification follows Group verification. The resulting documents are then indexed, and saved in a workflow queue or in a form.

5. To view the output, you can either open a DataCapture document in the workflow grid, or, in ImageNow Viewer, inspect DataCapture Results.

6. Optional. Using an iScript, your system can copy the data from the DataCapture output file stored in ImageNow into your business application.

The following table summarizes the DataCapture steps and states displayed in the Batch grid.

Note You can identify a DataCapture batch in any step because the Type column of the grid contains DC.

QA In Process Double-click the batch to start. Approve, rotate, or delete images. This step is skipped if the capture profile is set to bypass QA.

Note Rotated images are not read by DataCapture unless you correct them in the QA step. To avoid this situation, don’t run mixed batches of landscape and portrait forms.

Completed Incorporate QA changes made by the user.

DC Read In Process No action. The step begins automatically after the QA step is completed.

Completed Submit images to the DataCapture software in preparation for verification.

DC Verify In Process Make corrections and verifications as necessary in ImageNow Verifier window. The user cannot leave this step until all characters are verified. This step is skipped if Bypass Verification is set in the INServerDC.ini file.

Completed Incorporate any verification changes made by the user.

DC Export In Process No action. The step begins automatically after the DC Verify step is completed.

The following sections explain how to view DataCapture results, process a DataCapture form with and without bypassing verification.

Process a form with verification enabled This procedure assumes all required configuration, as described in the “DataCapture for managers” section of this document, has been performed. It also assumes that the verification feature is enabled for the template you are using with DataCapture.

1. On the ImageNow toolbar, click the Capture arrow, select the DataCapture profile you want to use, and then click Set as Default Action.

2. Click the Capture button, and then, depending on your DataCapture source, do one of the following options:

• Scan the documents with a scanner.

• Import the documents from the File Capture dialog box.

3. On the ImageNow toolbar, click the Batches button.

4. In the Batches grid, if the QA step is enabled, QA the documents.

5. Click the Refresh button and then verify the following status columns:

• The Step column displays DC Read.

• The State column displays Completed.

Note Depending on the number of images you are processing, it takes time for a DC Read step to change from In Process to Completed. Repeat this step as needed.

6. Double-click the DataCapture batch you want to verify and then, in the ImageNow DataCapture Verifier window, perform group verification. To learn the keys available in the ImageNow Verifier window, refer to Appendix A, “Verification Commands.”

Note When conducting group verification, you verify against all instances of a character in the group. For example, when you accept the letter "A" in group verification, you are accepting the letter "A" for all of the uncertain characters that appear in the Verifier window.

When group verification is complete, if you postponed any characters during group verification, ImageNow DataCapture Verifier automatically displays the held-over characters in context mode.

To learn the keys available in the ImageNow Verifier window, refer to Appendix A, “Verification Commands.”

7. If you defined validation rules and an error occurs against one of those rules, the ImageNow Validation window opens after the character verification phase.

To validate and correct any errors, do the following substeps and then close the window:

1. To correct an error, double-click the area surrounded by a red box, and enter your corrections. 2. If you have more than one page of errors, press the PLUS (+) key on the numeric keypad to

move to the next page.

8. To verify the captured line-item data, in ImageNow, on the View menu, click DataCapture Results. This data is stored in ImageNow and is available for sharing with your business application.

Process a form with bypass verification disabled This procedure assumes all required configuration, as described in the “DataCapture for managers” section of this document, has been performed. It also assumes that bypass verification is disabled for the template you are using with DataCapture.

1. On the ImageNow toolbar, click the Capture arrow, select the DataCapture profile you want to use, and then click Set as Default Action.

2. Click the Capture button and then, depending on your DataCapture source, do one of the following options:

• Scan the documents with a scanner.

• Import the documents from the File Capture dialog box.

3. In the Batches grid, if the QA step is enabled, QA the documents as you would QA any document in ImageNow.

Note When bypass verification is enabled, no further interaction is required during the batch processing stage. The batch automatically moves to the DC Export step. The captured form is exported to an ImageNow document without any verification or validation.

4. After the batch becomes a set of documents, if an electronic form was created for verification, perform any verification or validation manually using an ImageNow form. For more information, refer to the “Perform verification using an electronic form” section.

View DataCapture results in ImageNow The following procedure explains how to view data that is extracted from a form by DataCapture and stored in ImageNow.

1. In the ImageNow document grid or workflow queue grid, open any of the documents created from the DataCapture batch.

2. In ImageNow Viewer, on the View menu, click DataCapture Results.

Perform verification using an electronic form This topic assumes an electronic form is available and configured for data verification. You can use ImageNow Form Designer to create electronic forms. For more information about specifying an electronic form, refer to the worksheet.name setting in Appendix B, “Template settings in inserverDC.ini.”

1. In the documents grid, open the document containing the DataCapture form you want.

2. If the Forms pane is not visible, on the View menu, click Forms.

3. Verify that the form you need is displayed. To select an electronic form that is different from the default selection, in the Forms pane, in the Select an electronic form list, select the form.

4. Perform verification or validation of the data by editing the data in the form.

5. On the File menu, click Save.

DataCapture for managers This section introduces the DataCapture designer tools and explains your options for exporting captured documents to export files, forms, and workflow queues.

Designer tools Perceptive Software offers ready-to-use DataCapture templates for most college and university transcripts, templates for many invoice forms, and templates for other document types. However, if you are not using templates provided by Perceptive Software, you can use one or more the optional designer tools to create or modify the forms to be scanned or create the templates used by DataCapture to recognize forms:

• Form Designer allows you to design custom input forms, such as questionnaires, that you can use instead of standard or commercial forms. DataCapture can process pages generated by Form Designer easily because the field locations and types are already known from the file.

• Template Designer is the primary tool for preparing DataCapture to read a form not created by Form Designer, such as an invoice or transcript. Using Template Designer, you establish reference points on a form and the configuration of other information required by DataCapture to pinpoint the locations of data to be captured.

• Layout Designer includes features, such as flexible positioning of data fields, that are not available in Template Designer. Only more complex templates require the use of Layout Designer.

If you create your own templates, save them in the \inserver6\DataCapture\Templates folder on the ImageNow Server computer.

Getting started with installing and configuring DataCapture The following procedures get you started with installing and configuring ImageNow DataCapture. Your Perceptive Software Consultant will assist you in the installation and configuration phases of deploying DataCapture. Detailed installation and configuration steps are described in the DataCapture Installation and Setup Guide.

Templates and key mapping groups The inserverDC.ini file contains groups of settings called key mappings. Each key mapping group you create in the file corresponds to a template or subtemplate. The template name is also the name of a folder in the inserver6\DataCapture\Templates folder. Subtemplates in a template folder are optional. To learn how to use subtemplates, refer to the “Specify a key mapping for a subtemplate” section of this guide.

When you create a DataCapture capture profile, you must specify a template name. As DataCapture processes a batch of scanned images, it attempts to match each image to the template you specified in the capture profile. If it detects a match, DataCapture uses the settings in the key mapping group for that template to generate an ImageNow document.

Each key mapping group in the inserverDC.ini file, except the default group, corresponds to a template that is named in the group heading. In the group name format that follows, the caret (^) is a required separator character.

[Key Mapping^Template_Name]

Template_Name is a placeholder for the name of the folder that contains the component files and any subtemplates for the template.

The first key mapping group in the INServerDC.ini file is called [Key Mapping] and is a default set of document key values. DataCapture uses this default key mapping group only when it cannot read a

scanned image. Such documents are typically routed to a separate workflow queue where they can be inspected and further processed.

Specify a key mapping for a subtemplate As previously explained, you designate which template batch DataCapture uses by naming it in the capture profile. If a template contains multiple subtemplates, when DataCapture reads a document, it compares the image to all subtemplates to find the best match. If DataCapture finds a matching subtemplate, it uses the corresponding key mapping group. For example, suppose you have a template called Invoices that contains five subtemplates: Invoices (a folder that contains subtemplates and other files) • InvoiceA (a subtemplate) • InvoiceB (a subtemplate) • InvoiceC (a subtemplate) • InvoiceD (a subtemplate) • CheckA (a subtemplate) At this point, your options depend on how many categories of documents you expect DataCapture to return:

• For the single category option, you can create a general purpose key mapping group (a set of document key values) that DataCapture assigns to any document that is created when it matches a captured image to one of the subtemplates.

• For the multiple category option, you can create an individual key mapping group for DataCapture to

use when it matches a captured image to a specific subtemplate. For example, to create a separate key mapping for the CheckA subtemplate, you would add the following group to INserverDC.ini:

[Key Mapping^Invoices^CheckA] Drawer = Default Folder = Check Tab = {CheckNumber}

Any captured images matching InvoiceA through InvoiceD subtemplates are still assigned the drawer, folder, and tab values in the Key Mapping^Invoices group, but any images matching CheckA are assigned the drawer, folder, and tab values in the Key Mapping^Invoices^CheckA group. You can use as many key mapping groups as you have subtemplates.

Manually install the templates folder If you install the DataCapture Processing Server on a different computer than ImageNow Server, you must manually create a templates folder on the ImageNow Server computer that is in addition to the templates folder created automatically on the remote computer.

• Navigate to the [drive:]\inserver6\DataCapture folder on the server computer and, in a Command Prompt window, enter md templates to create a new folder. DataCapture does not use the templates folder on the remote server computer.

Perform the Verification and Validation steps You can configure DataCapture capture profiles on any workstation. However, users can only perform DataCapture Verification and Validation steps on workstations with the Verification Station installed. This allows users in one location to capture documents and users in another location to perform the Verification and Validation steps. You do not have to include the DataCapture Verification and Validation steps as part of your business process. If you configure DataCapture to bypass the Verification and Validation steps, users can verify or update DataCapture results outside of the DataCapture interface, for example, by using an ImageNow form.

Export captured data During the final (DC Export) step of the DataCapture cycle, the values extracted are saved in an XML file and sent to one or more locations. You specify these locations in the capture profile and in the inserverDC.ini file.

You can generate a file in additional formats such as TXT or XLS. This option is useful if you intend to forward the data to your business application using an iScript. You can also send the values to an electronic form (formerly called a worksheet), which can then be accessed by either ImageNow Client or WebNow Client users.

You can also send captured values to workflow either manually or automatically.

• If you specify no destination queues in the capture profile or in the inserverDC.ini file, the generated documents are not sent to workflow. You can, however, locate the documents in the Explorer grid of ImageNow or WebNow Client and add them to queues manually.

• DataCapture can automatically route the generated documents to a workflow queue that is associated with the template that matches the scanned forms, as shown in a segment of the inserverDC.ini file.

• DataCapture can automatically route the generated documents to the queue specified in the capture profile you used to scan the original forms.

• DataCapture can dynamically choose one of three queues specified in the [Queue] section of the inservDC.ini file. It sends documents that were successfully extracted to one queue, documents containing images that could not be read to a second queue, and documents that did not satisfy a

validation rule to a third queue. The names of these queues must be identical to the corresponding queue name settings in the inserverDC.ini file.

If you specify some or all of the queues in the workflow options described above, ImageNow DataCapture gives first priority to the queue named in the appropriate [Key Mapping^Template_Name] group, then to the queue named in the [Queue] group of the inservDC.ini file. However, if no queue is specified in the inservDC.ini file, DataCapture looks for a queue in the capture profile and sends all documents to that queue.

Append supplementary pages with captured data You may want to scan supplementary pages or files to accompany each form that DataCapture reads. Although the supplementary information is not extracted into separate values, ImageNow can append it to a successfully read document as additional pages. Appending this pages keeps related information in the same document. To learn how to modify a capture profile to append failed pages to the last successfully read pages, refer to the DataCapture Installation and Setup Guide.

Troubleshoot DataCapture DataCapture is at Suspended state, and I don’t know what to do next.

• If you are scanning over 200 pages in a single batch, in the [drive]:\inserver6\etc folder, open the inserverJob.ini file and increase the [Timers] settings. For example, if you are scanning 500 pages on a 1 GB RAM computer with 3.40 GHz, it takes about one hour to complete. Another factor is the size of the template file that collects data from each scanned document. Restart the DataCapture Agent service.

• Open Windows Task Manager and verify that the formreader.exe is not running. If it is running, end the process and then restart the ImageNow Server DC service. When you return to the Batches grid, delete the suspended records and then resume DataCapture at the point of capture.

• Verify that you have three workflow queues for DataCapture and that each queue name is identical to the names stored in the inserverDC.ini file stored in the [drive]:\inserver6\etc folder. Restart the DataCapture Agent service.

• Verify that you have the correct template in your DataCapture profile and that it is stored in a folder one level subordinate to the [drive]:\inserver6\DataCapture\Templates folder.

How do I move through each page or screen in validation and exit the program?

• Press the PLUS (+) key on the numeric keypad. If you don’t have a numeric keypad, hold down the FN key and press the PLUS (+) key to move to the next group or character in a context. When you complete Group and Context verification, the status message displays End of text. To exit ImageNow DataCapture Verifier, press ENTER, save changes when prompted, and then go to the next step in the DataCapture process. To exit this stage of verification and close the active ImageNow DataCapture Verifier window, click the red x.

Where are my forms? I don’t see them after completing verification.

• Following verification, your results are available for viewing in the workflow queue designated to receive documents created by DataCapture.

How do I see the data output using DataCapture?

• In a workflow queue, open the document in ImageNow Viewer and then, on the View menu, click DataCapture results. You can also inspect the OSM file (output data file), located in the OSM_02 folder. An example path is C:\inserver6\osm_02.00001\00000000\00000000, where the 00000001.osm file resides.

In ImageNow DataCapture Verifier, do I lose my changes if I click the red x to close it?

• The Verifier prompts you to save any changes when you close the window. At any time, you can return to the Verifier and resume verification. If, however, you defined validation rules and choose not to correct errors and export, forms that fail rules validation go directly to the DC Error queue.

Appendix A: About Verification Station The following sections describe the group mode and context mode of the ImageNow Verifier window, and the process to modify the appearance of text in Verification Station.

Verification commands The following information covers the two modes of verification that you use in ImageNow: Group and Context. A user must complete the Verification step on a computer with the DataCapture Verification Station installed.

Group verification In group verification mode, characters are submitted for verification in groups. For example, you can easily spot a character that stands out in the group of similar characters and correct it. In a group of 1s, you can spot a 7 that was incorrectly recognized as 1. Up to 300 characters can appear at one time, all of which can be confirmed with a single click. If there are no uncertain characters, group verification is skipped.

This mode is useful for verifying check marks, groups of check marks, and text fields that contain only digits. It is less convenient for text fields containing both letters and digits or only letters. If you are unable to reliably distinguish between a "0" and an "O" or a "6" and a "G", you can postpone the characters and verify or correct them in context verification mode instead.

Symbols in group verification mode

The following table explains the color coding of characters when you are in group verification mode.

In this mode, the program submits the blocks containing uncertain characters for verification in context. Context mode is useful for fields containing words: each character is displayed in its context. By default, context verification is used for text blocks.

Working in context verification mode

Rules validation commands In the validation process, you review and correct data that is collected against a set of predefined rules. Errors are outlined in red.

Change the scale in the Zoom window

Right-click in the Zoom window and, in the Scale item, select a scale.

Change the scale in the Image window

Right-click in the Image window and, in the Scale item, select a scale.

Correct an error detected by a validation rule

Double-click a line with an error. The corresponding blocks are enclosed in red frames. Move from one field to the next by pressing F2 or SHIFT+F2 and correct the data.

Note When the highlight moves from one field to the next, the rule is automatically applied. If, after editing the field, the rule can be executed successfully, the respective line in the rule error list disappears.

Next or Previous block containing errors

Press the PLUS (+) key or MINUS (-) key on the numeric keypad.

Next or Previous block in the Page window

Press TAB or SHIFT+TAB to move the cursor to the next or previous block in the Page window.

Next or Previous rule error Press F8 or SHIFT+F8. The highlight appears in the first field of the next or previous rule respectively, and the fields to be checked are enclosed in red frames.

Modify text appearance In Verification Station, you can configure the appearance of text attributes such as font, color, and size. Perform the following steps to configure the appearance of text in Verification Station.

1. On the client workstation, navigate to the \Program Files\ImageNow6\DataCapture directory and then select the FormReader.exe file to open it.

2. In ImageNow FormReader, in the Batch of Forms dialog box, click Cancel. Note Changes to text appearance apply to all template batches.

3. On the ImageNow FormReader toolbar, on the Tools menu, select Options.

4. In the Options dialog box, on the View tab, select options to change the appearance of text in Verification Station.

5. Click OK.

Appendix B: Template settings in inserverDC.ini The [Key Mapping] group in the inserverDC.ini file contains default values used by DataCapture when a scanned form cannot be read using the template specified in the capture profile. In the [Key Mapping] group, you must include all values not marked optional in the following table.

template.to.queue Optional. The destination queue for all documents generated by this template. This value overrides the complete.to.queue setting in the [Queue] group.

worksheet.name Optional. The name of an electronic form you created, such as a form created with ImageNow Form Designer, to receive the values generated by DataCapture. The form name must match a name shown in the Resource Manager Forms list, and the form data definition must contain matching nodes and elements to the XML instance saved in the DataCapture Results.

all.pages.overwrite.doc.data Used only when you set worksheet.name. When this setting is FALSE, DataCapture only updates blank elements for header values in the XML instance of the form data. When this setting is TRUE, DataCapture updates the header values whether or not they are blank.

multipage.separator Optional. Any value defined in the template that is extracted from the scanned form. When DataCapture detects a separator value, it begins a new document.

pages.to.read The number of pages to scan. The value must be 1 or all.

bypass.verification If TRUE, DataCapture skips the verification step. If FALSE, DataCapture displays the ImageNow Verifier window for any characters that can’t be
