If you’re considering a dental office remodel or new buildout, you might feel deluged with choices, from big (how many operatories?) to small (how many waiting room chairs?). It’s easy to feel overwhelmed about designing your new space, particularly if you’ve never done it before: how can you anticipate the answers to questions you don’t even know to ask?

reating an office is a huge commitment,

so we’re here to guide you as you envision

your dream space. Here’s what you need to consid-

er before your first consultation about your office

buildout:

Your future goals, both for your practice and your office space. Fresh out of school and

just starting your business? Many of our clients in

this situation start with just a couple of operato-

ries, then add more once they become busy. On the

other end of the spectrum, if you’re just a few

years from retirement and want to maximize the

value of your practice, you’ll want to build big in

order to make your space more attractive to poten-

tial buyers.

S P E C I F I C Q U E S T I O N ST O A S K :

How many operatories would you like to grow into? Can you plan for more and plumb them for future use?

What style of office—modern, traditional, open-plan—fits your design aesthetic? What style will age well?

What type of operatories do you like? Open concept with cabinets, all closed rooms, or a combination of the two?

Will the mechanical room be in the space or will it be located elsewhere? Will the building utilities need to be included in this room?

The status of your current equipment. What stays, what goes,

and what needs to be purchased?

Now’s the time to take inventory of your

technology, furniture, and tools and

critically examine what’s outdated,

broken, or inefficient.

S P E C I F I C Q U E S T I O N S T O A S K :

Will you be using a panoramic x-ray? With a ceph? 3D?

Are there any specific pieces of equipment you'll want to incorporate into the office space?

If you use nitrous oxide, will you plumb it or use a portable solution?

Who you’d like on your build team. Some clients already have

relationships with local contractors,

architects, and interior designers,

while others ask us for recommenda-

tions. Whomever you choose, we’ll

helm the team, keeping everyone on

task and on budget.

S P E C I F I C Q U E S T I O N S T O A S K :

What is your experience designing a dental practice?

Things To Think AboutB E F O R E Y O U B E G I N

C

The logistics of your workflow. The ergonomics of your operatory

setups directly impact your long-term

health (as well as the health of your

hygienists and assistants). One of your

most important considerations is

where you’d like your handpieces to be:

would you prefer rear, side, or

chair-mounted delivery? The ideal

situation is to comfortably adapt the

dental equipment to you, versus adapt-

ing you to the dental equipment.

S P E C I F I C Q U E S T I O N S T O A S K :

Do multiple hygienists use each room, or do they each have their own space that’s set up precisely to their specifications?

Are you left-handed, and using equipment that’s designed for a right-handed situation?

Is your tubing getting coiled or draped on patients?

Are you concerned that some patients are intimidated by the presence of your instruments?

Your practice’s particular needs. Some practices need a large waiting

area, while other dentists feel like

that’s wasted space. Some doctors

want their personal office space tucked

in the back of their practice, while

others like to be front and center. Think

about what you love about your current

space and what you can’t stand; now’s

your chance to get exactly what

you want!

S P E C I F I C Q U E S T I O N S T O A S K :

Are all the rooms you currently have of adequate size? If not, make a note of the rooms and spaces that need to be adjusted. For example, your sterilization in your current office is too small and we need to double its size in your new space.

Will you want or need a consultation room?

Would you like file storage in your business office? Will you need storage in your business office?

How many workstations are needed in the business office? Will you need a separate financial area?

Will you need a large lab or is a small lab adequate?

Before you dive into the exciting process of building out or remodeling your office, there are financial options and considerations to attend to. Here, we provide you with the detailed information straight from the source. We interviewed three financial experts who specialize in working with dentists, and found that different lenders offer a variety of solutions.

How should a dentist prepare before pursuing financing for new equipment and/or an office remodel?

R O S S A . N I E K A M P , Regional Manager, Bank of America Practice Solutions: If you’re working with Bank of America, begin by checking your credit profile to make sure you’re up to speed on all your credit lines. You shouldn’t have any late payments on your credit report. Also, the more cash reserves you have on your personal financial statement, the better the deal looks in the eyes of the underwriter. They like to see that there is a fall-back plan in the event that your practice goes through any difficult times financially. From the perspective of the under-writer, cash in savings is more important than low debt and planned retirement.

H E L E N G I O T O P O U L O S K A M I N S K I , Busi-ness Development Manager, Group Financial Services: The more familiar you are with your credit profile, the better. That way, any challenges can be addressed up front. Since we’re a specialty finance company, we have avenues for working with you that are different than a local bank. Also, know your budget and clearly define what you can afford. It’s easy for a project of this nature to end up costing twice as much as planned, so we encourage borrow-ers to think in terms of return on investment. Budget

to spend the money where it counts. If your remodel or expansion involves a new location, research the area. Know your demographics, population and competition before you decide to make a move.

S C O T T B E R B E R I C H , Small Business Bank-ing - Regional Sales Manager, Commerce Bank: Great question. We like to say that the best time to apply for a loan is before you need the money. It’s a good idea to get your financial information in order before you talk to a banker. It’s easy to lose sight of the financial health of the practice when you are busy helping patients on a daily basis. Think of financial management as preven-tative maintenance, much like flossing – it might hurt a bit at first, but after a while, the routine sets in and the activity helps build a solid founda-tion. We see more and more small business owners, including dentists, moving to cloud accounting software or even dental-focused CPAs.

What are the concerns dentists may have when they pursue financing?

N I E K A M P : The main concern I see among doctors looking to pursue financing is the nervousness around how they can afford the new investment and what are the risks to the process that may affect their business. This is where a consultative approach is very important, because each practice and each situation is different. As a cash flow based lender, we focus on walking the doctor through the affordability of the process and how they can utilize loan structure to lower the risk involved with the investment. This could include little to no money down, extended terms for more manageable payments, and limited collateral requirements.

F I N A N C I N G Y O U R P R A C T I C E ’ S T R A N S F O R M A T I O N

K A M I N S K I : Dentists wonder if they’ll qualify for the loan; how long the process will take; if there will be a down payment; and if shopping around for a loan will affect their credit score.

B E R B E R I C H : Most dentists are concerned about ease of application, price, speed of decision and making payments. We work with each dentist to design a customized financial solution that best fits his or her practice. We’ve also developed products and processes for dentists that address their concerns. For instance, we recently developed our Fast Track Dental Loan for streamlined pre-approval of financing before they need to replace or buy new equipment.

What is the typical process for a dentist pursuing financing?

N I E K A M P : We walk through most of the informa-tion on the application, and discuss your credit line. We can work directly with your CPA to gather more complex financial information, which is easier on dentists. This way, you only have to fill out a 2-page application and leave the rest to the CPA. We’ll speak on the phone after the underwriter comes back with a decision. All told, the process takes between 48 hours and 2 weeks. I keep up with dentists throughout the design process to make sure we’re doing all we can to manage payments as they move through the project.

K A M I N S K I : There’s an initial consult, followed by the collection of the full financial package. This includes 2 to 3 years of tax returns; year-to-date P&L; a signed application; and other items. Once we’ve reviewed the financial package and proposed terms upon approval, the financing commences upon your approval. The timeframe for this process varies. We do need a first lien position on a dental office to offer a large project loan, and we have options for managing this. Something that distinguishes us is that we offer 100% financing, and no personal assets are taken.

B E R B E R I C H : We strive for a quality conversation with each dentist to identify your needs for the practice. With our specialized focus on the Dental industry, we’re able to build solutions for you.

It really comes down to business stage, challenges and goals of each practice. Once you identify a piece of equipment you need, or a remodeling project, you will gather relevant information on equipment and features, building plans and estimated budget. We’ll discuss financing options. The last steps are to apply for financing, gain approval and purchase or start the remodeling project. To simplify that process, we introduced our new Fast Track Dental Loan to help accelerate cash flow by offering a hassle-free, faster and easier pre-approval status for equipment loans.

Do you offer any special services or programs for Goetze clients?

N I E K A M P : We offer special dental specific programs and products for all of our clients, but it’s the familiarity between us and Goetze that creates a proficiency to the entire process for the doctor that can make a huge difference. We have been providing these products for nearly 20 years, and because of this, we have a unique perspective on what works and how to structure the loans effectively. In addition, our Practice Heartbeat program is designed specifically to help new practice owners navigate the process of business ownership and we are also periodically running rate promotions and specials throughout the year.

K A M I N S K I : In our business there is a direct correlation between the quality of the customer and the quality of the performance of our portfolio. In other words, good vendors have good customers, who are more likely to keep up with their payments. Goetze falls into this category. We’ve had a long and good relationship with Goetze and Goetze’s customers, who get our best rates, terms and also have the easiest path through our credit department. That can’t be said for all vendors that we work with in the dental industry.

B E R B E R I C H : Yes, we offer a specialized lending program for Goetze clients to purchase equipment. Our custom program for Goetze clients features premium pricing, a streamlined loan application process and quick turnaround. Beyond financing, we work with dentists, including Goetze clients, with the objective of accelerating the practice cash flow and saving time.

Once the equipment was selected, father and son collaborated with contractors and the Goetze team. “We started in September of 2015, and by December we were ready to have the equipment installed. All told, we only had to close the office for ten days over the holidays,” says Dr. Nelson.

The expansion has been wonderful for our patients. They come in the door and there’s that ‘wow factor’ there,” notes office coordinator Jamie McClard.

“Throughout the years,” says Dr. Larry, “the relationship with Goetze has been great. The service has been super, and Mike and Gary have always thought one step ahead of our needs. When I call, I get action very quickly.” As McKim states, “We have one reason for being here, and that’s our customers.”

Goetze helped us figure out how to plan everything so sterilization could be put in the middle to make it easy for everyone to access. Now we have all new sterilizers, which are pretty awesome. We also got a lot of other upgrades and new equipment,” said Dr. Molly. “Goetze got all of this done in basically three months. I was really impressed.”

Dr. Molly’s office manager, Sue Jones, had

more to add. “This whole process was really

smooth. We’ve moved twice in the 14 years

that I’ve worked in this practice. The first

time was with a different vendor and it did not

go well, so we were all a little apprehensive

about this second move. But we couldn’t be

any happier about how this one went. We have

nothing but good things to say about Goetze.”

Getting StartedYou’ve made an important decision: it’s time to redesign your dental office or design a new space for the first time. At Goetze, our goal is to empower you by sharing information that will help you each step of the way through-out the process. Read on to learn about our suggestions, proven tips that

are a solid foundation for the dentists we’ve worked with for decades.

Your Goetze Dental team consists of you, your sales representative, an equipment specialist and a designer. The equipment special-ist has extensive knowledge of all the products available for your project and helps you navigate and refine the decision-making process. As a team, you’ll be considering dental chairs, stools, cabinetry, lighting, panoramic x-rays, digital scanners, operatory computers and other items. If you are updating an existing office, your equipment specialist will advise you on all of your equip-ment options and help you deter-mine which pieces to keep and which to purchase to meet the vision you have for your practice. The equipment specialist identi-fies these pieces and advises you about additional items to make your office the best it can be.

The designer will plan/layout your office and also plays a supportive role in specifying your dental equipment.

The rest of your design team usually includes a general contractor, architect and interior designer of your choice. However you choose to construct your team, we're here to coordinate a smooth design process.

The first Goetze design team meeting will be a review of your needs and wants, helping us to get acquainted with each other and your needs and wants. We’ll ask some questions to learn what your goals are, and give you the opportunity to ask all of your questions, too.

B E G I N T H E D E S I G N P R O C E S S

You and the designer will meet to develop the design you have envisioned. A first draft of the layout will be created, followed by a series of updated designs that ultimately reach your goal. You won’t be confined to a single draft; instead, you’ll have the opportunity to comment on each version so that it becomes refined and perfected. In the end, you’ll be confident that the layout on paper matches the dream you have for your office.

Because Goetze is so established (we’re here to stay!) and has had a consistent custom-er service approach through the years, you can count on us to be there when you need to expand your practice or implement a redesign ten or twenty years later. We’ll also help you with maintain-ing and servicing all of your equipment and educate you about new technologies when it’s time to make equipment updates.

I had never heard of Goetze. But Steve Farni (equipment specialist) had a ton of equipment experience, and we hit it off. He was very responsive to my needs… so I put up a trial balloon and let Goetze help with my digital upgrade in the old office. The building had to be retrofitted for digital. They were good with planning, issues and the whole upgrade. After that, I knew I wanted Goetze working with us on this new office.”

D r. Patten worked with Goetze senior interior

designer Inga Paul to expand his practice

from five operatories in a well-worn space to 10

operatories in a brand new structure full of light

and natural accents like stone and cedar. “We’ve

seen a significant bump in business since opening

the new office. In one month, in our new location,

we had 53 new patients,” said Dr. Patten. “We have

staff who had worked at that old office for 25 years

and had never worked in natural light. It’s been

a huge improvement for both our staff and our

patients. Everyone loves the new space.”

Stepping Into the Light

Sterilization | An A-dec Preference ICC Custom Sterilization Center provides organization and an efficient workflow.

Reception | Clients are greeted in an open space with natural light and vaulted ceilings. Hallway | Natural light flows freely throughout the office.

Operatory | With the construction of the new building, Dr. Patten had a second phase designed that will take the practice from 10 operatories to 16. Nine out of the ten current operatories have plenty of natural light and three have vaulted ceilings.

For several years, patients were flocking to Children’s Dental Professionals, a pediatric dentistry practice in Wichita, Kansas. There was just one problem: they didn’t have enough room for both dentists to see patients in the same building, at the same time. Drs. Walker and Frazier knew there had to be a better way, but they were locked into their lease for four years. After consulting with Goetze Dental and running the numbers, they realized the increase in productivity would offset the losses incurred from breaking the lease.

CHILDREN’S DENTAL PROFESSIONALS

T he new Children’s Dental Professionals

project broke ground soon after. Goetze

was on site for the entire buildout. Equipment

specialist Dennis Thome attended the

weekly Monday night meetings to advise on

construction, and Dr. Frazier commented that

“Dennis was so proactive that he already had

solutions for things we thought would be a

concern.”

The office has a jungle theme and the logo

features a monkey. Dr. Frazier mentions

that kids simply refer to Children’s Dental

Professionals as the “monkey dentist.” In

addition to the indoor tree sculptures, the

new office features IV sedation rooms, so

the practice can now see more special needs

patients, many of whom come into the office

once a year to have all their dental work done

under anesthesia.

Dr. Walker notes that their practice stands out

because “the whole team is dedicated to making

a relationship with the patients.” And now that

they have enough space, the team can cultivate

those connections with even more patients.

IS THRIVING. SHE HAS 14 OPERATORIES, WITH ROOM TO GROW TO

20, AND IS CURRENTLY LOOKING TO ACQUIRE ANOTHER PRACTICE

TO KEEP THE MOMENTUM GOING. HOW DID SHE GET HERE?

W ashington Smiles was originally a six-operatory practice when Dr. Smith learned

that the dental office across her parking lot was for sale. Tapping her business savvy, she negotiated the acquisition and was soon flourishing in both offices, although she had to walk back and forth between the offices. Her original office was already at capacity and was unable to take on more patients. She dreamed of a day when she could combine everything under one roof.

Dr. Smith and her husband, Lance, learned of a former outpatient surgery center that was available, and they envisioned it as a space that would accommodate her current patient load while allowing for the addition of more operatories in the future. Better yet, buying this building would allow them to avoid the costs of building the shell and setting up utilities. Instead, it would be an infill project, offering substantial savings in comparison to new construction.

She worked closely with Goetze Dental to outfit 14 operatories, and now Dr. Smith, her associates, her staff, and her patients are delighted with the results. The Washington community has flocked to her practice, so much so that Dr. Smith is on the lookout for her next acquisition.

Goetze was a good fit for me, and I like how they work, what they sell and how they sell it. They are transparent… they put their cards on the table and they’re honest.”

H ickerson chose to outfit two operatories

and carve out space for three more.

Planning for expansion is a smart strategy, as

it’s far more expensive to plumb an operatory

after the fact. Hickerson also decided to install

serialized dental equipment, as opposed to

locally-built cabinets, so that the landlord

can’t keep the cabinetry if Hickerson’s office

moves to another location. If you break a

hinge or a door glide, Goetze equipment

specialist Dennis Thome says “you can just

call A-dec for the exact replacement, and

they can make what you need, even 15 years

down the road.” Installing a Nomad portable

x-ray instead of a fixed system meant more

cost savings for Hickerson, as he can just

carry the machine between operatories.

Dr. Hickerson advises other dentists to

think ahead, since so much of the planning

was “considering what the practice’s

needs would be going forward.” The

resulting space seems much grander than

its size and location, while still retaining

the intimacy of a small-town dentist.

PARKCREST DENTAL GROUP

Keep Calm and Carry OnWhen a dental practice expands from 28 operatories to 38—and manages to stay open throughout the remodel without any hiccups in patient care—you know they’re doing something right. That was the case with Parkcrest Dental Group in Springfield, Missouri, a practice with eight doctors and a total of 63 staff members.

W hile it may have been easier for Parkcrest to close for a couple of months during the

remodel, they did not want to leave their patients hanging, so they coordinated beautifully as a team to make it all work. Ultimately, Parkcrest Dental Group added 6,000 square feet of space in addition to the complete remodel of the facilities. The expansion was years in the making, as there had been internal conversations about the future and growth of the practice brewing for a long time.

Parkcrest’s Dr. Jason Hall and Dr. Stuart Scott were drawn to Midmark’s versatile Artizan cabinetry, and they also liked the seating and dental units. After visiting Midmark headquarters, they chose the line for their office.

There have been so many positive responses about the design, décor, and environment of the office. Sometimes when patients walk in, all they can say is ‘Wow.’” The new additions have helped Parkcrest stay true to its business philosophy of total care, total caring.

Orthodontic Area | The open bay orthodontic area has a unique feature that suits board certified orthodontist Dr. Steven Harrison and his team very well: Algier flush-mounted LED ceiling lights which are designed to shine directly into patients’ mouths.

Pediatric Wing | The new pediatric wing boasting of vibrant colors is a dream come true for board certified pediatric dentist Dr. Stuart Scott, not to mention his young patients.

The Midmark UltraTrim chairs on the open bay are upholstered in blue, and fun, geometric shapes brighten up the walls.

Center Unit | General dentist Dr. Jason Hall, son of one of the founders Dr. Stanley Hall, loves the convenience of a center unit, which allows him to wash his hands and quickly move to the next patient just on the other side. Dr. Hall chose A-Dec 500 Series chairs and stools, Midmark Artizan Cabinetry and a Midmark ProCenter Dental Units.

Sterilization | Every part of the practice has its own sterilization room. Here, the pediatric sterilization room features Midmark M11 Sterilizers and SciCan Statim Fast Sterilizers. There are also sterilization rooms in the orthodontics area and in the north and south side operatory halls.

Exterior | Located on a busy, six-lane thoroughfare lined with several offices and near one of the largest Bass Pro Shops’ retail stores, the front of the Parkcrest Dental practice was designed to boost visibility.

Lobby | This crisp, modern, yet welcoming lobby allows for seating of up to 92 people. Extremely comfortable Acadia serpentine seating was chosen for the way it weaves around the lobby. The lobby’s most popular feature is the Wifi bar, complete with charging stations.
