We know we print a lot, but we do not know how much or by whom. What level of detailed information can we expect from YSoft SafeQ? What kinds of reports will we be able to generate?The YSoft SafeQ print solution makes it possible to monitor the exact quantity of printed, copied, and scanned pages on each MFP and desktop printer. You can use the YSoft SafeQ Web Interface to view reports for each and every printer, and you can choose for reports to include as many as 30 different types of data. YSoft SafeQ includes predefined reports that can be modified to suit your needs through a simple spreadsheet such as MS Excel. Typically, companies choose to include data about the number of pages, paper size and type, ink (color or black/white), single or double-sided printing, information about the user and their cost center or project, and information about the printer.

How can we track details such as density of page coverage that affect costs we would like to bill to users? YSoft SafeQ includes an “Exact Accounting” function that differentiates between simplex and duplex prints, color or black ink, density of print on the page, and partial or full page coverage. Can YSoft SafeQ help us learn which of our employees are printing what?YSoft SafeQ tracks every print, copy, and scan and links it to the associated user. YSoft SafeQ records this information in a database where it is instantly available to managers and IT staff. Reports can include a view of the first page of the document (with a standard resolution of 32 dpi, which provides enough information about the document while reducing required storage space and speeding display time.)

YSoft SafeQ can store print job data for a length of time configured by the YSoft SafeQ administrator. YSoft SafeQ lists jobs according to those still in queues and those that have already been printed. To conserve disk space, YSoft SafeQ can be configured to delete detailed information after one month so that only statistical data is then available.

Our large enterprise has many branch offices. Is it possible to centrally collect and monitor information from many locations?For organizations with a large number of branch offices, YSoft SafeQ makes it possible to interconnect printer servers from all locations and centralize the collection and monitoring of data.

Each branch server sends data to the central YSoft SafeQ server at specified intervals. The YSoft SafeQ administrator can use the YSoft SafeQ Web Interface to view reports that include information specific to users, cost centers, printers, or locations. We use common office tools and SAP. Is it possible to secure and account prints made using these applications?YSoft SafeQ can handle print jobs sent from with any common office application, as well as SAP. YSoft SafeQ can use Windows remote printing function and can also print via LPR RAW, which is commonly used in UNIX, Linux, SAP, and AS400.

Common office tools and SAP are compatible with YSoft SafeQ at the printing language level. Every printing task on the server is parsed (printed into memory), which makes it possible to track and account the number of pages, ink (color or B/W), etc. YSoft SafeQ is equipped with an integrated parser for most printing languages, including PCL, PostScript, and many others.

Users must log in at the printer or MFP with their ID card or PIN, enabling YSoft SafeQ to ensure the security and accounting of all documents, regardless of the application from which the print jobs are sent.

All print jobs are sent via the network, using TCP/IP layers or RAW.

Can we track and allocate print costs for individual projects?The ability to track and account jobs by project is especially important for project-based companies such as copy centers, engineering companies, and desktop publishing companies. YSoft SafeQ is ideal for improving workflow for teams working on projects, and for tracking and accounting project costs.

With YSoft SafeQ shared queues, team members can easily access common documents, such as charts, images, and boilerplate text.

Project billing codes enable prints and copies for each project to be tracked and billed accordingly. And YSoft SafeQ enables quotas to be set and automatically enforced, so projects stay within budget. YSoft SafeQ can automatically notifiy project managers via email when quotas are about to be reached.

How can we reduce the use of expensive and wasteful types of printing and copying such as color and simplex printing? Is it possible to prevent employees who do not need this type of printing from using it?Absolutely. For example, YSoft SafeQ Instant Edition enables automatic forced B/W printing and/or duplex only printing. These rules can apply to everyone in your company, or only to selected users or groups.

Users can make prints or copies based on the amount of available credit they have. YSoft SafeQ can debit a user’s account on a per page basis. When the user logs in to the YSoft SafeQ terminal (or uses the YSoft SafeQ automatic recharge station), his or her available balance is displayed. (The YSoft SafeQ automatic recharge station accepts coins and paper currency.)

The print system administrator uses the YSoft SafeQ Web Interface to manage the credit system (adding funds to accounts, refunding unused credit, etc.). An MS Windows credit management application can also be used, however the YSoft SafeQ Web-based credit system with ID card scanner provides much faster log in and automatic identification of the user.

The credit system supports the use of multiple cash registers, cashiers, specific statements, etc. And for different groups of users (such as employees and students), you can set up different prices and methods for charging, such as by percent toward costs or by fixed price for the type of output regardless of the specific printer used.

Cash operations are always tied to a particular cash register, where once a day or once a month the register is closed out and credit is assigned.

The charging of services can be connected to external credit systems, such as those of a library or dining and food services.

We want our employees to be able to choose among a variety of MFPs and networked printers. Is it possible to ensure that the print job will be printed and collected only by the job’s owner?Secure printing (postponed printing) blocks jobs sent for printing until the person who sent the job uses their ID card or PIN to identify themselves at the printer. Secure printing gives the user full control over his or her documents.
