Getting Started

Page 18: STUDY ABROAD

The PlanIngredients for a successful program launch

• Introduce opportunity at open house in Sept or at study abroad meetings and fairs in the fall

• Set a date for information meeting and advertise it

• Meet with student (and parents if applicable) to discuss the benefits of study abroad and details—SET A DATE for program and FOR DEPOSITS

• Collect applications and deposits by the deadline

THIS IS WHERE T&E TAKES OVER

Page 19: STUDY ABROAD

Applications• Students submit applications via an online

application process. http://www.travelandeducation.org/ . T&E can also generate group profiles so that students can apply directly to your school’s specific program.

• Once they have submitted the application they will get “Welcome Email” from T&E (or you will get a group roster) and it will provide a link to access their application in order to make changes and additions: http://travelandeducation.org/student/modify.php?id=862&p=2147483647

• Students will receive official T&E Orientation Packets in the mail within two weeks of applying with information booklet and gifts.

• Group chaperones submit their own applications via the same online process where they will be able to specify their preferred procedure for communications and billing and also be able to request onsite orientations and other items.

Page 20: STUDY ABROAD

• Once applications have been submitted, an invoice

will be generated. • There are two types of

invoicing:• Single invoice groups: for this

type of group the chaperone will provide T&E with a roster of individuals who will be contacted to apply to the program. Once all student apps are in the invoice is generated to the school.

• Individually invoiced groups: for this type of group, student apply and are billed individually with little or no involvement from the school administration.

• Due dates are specified on the invoice –Summer invoices due first week of April.

Payments

Page 21: STUDY ABROAD

programming• Any special requests from

chaperones• Assistance is provided for pre-

departure orientation and preparation of the group in person or via Skype on a predetermined date about one-month prior.
