1 About this Guide

This guide is about the procedures that you as an administrator need to perform in order to allow users to access SAP Jam from SAP Integrated Business Planning,

2 Prerequisites

You can perform the integration of SAP Integrated Business Planning and SAP Jam if the following apply:

● Your organization has licensed and provisioned SAP Integrated Business Planning 4.0

● Your organization has licensed and provisioned SAP Jam

● Users have the required authorization to use SAP Integrated Business Planning

● The tenants for SAP Jam and SAP Integrated Business Planning have been integrated by SAP Cloud Operations

Occasionally it may happen that SAP Cloud Operations does not integrate the tenants. Please contact SAP if this is the case.

3 Process Overview

Once the prerequisites are fulfilled, you must do the following in order to connect SAP Jam accounts with accounts in SAP Integrated Business Planning:

1. Request your administrator credentials for SAP Jam

2. Create user accounts in SAP Jam

3. Map the user account in SAP Integrated Business Planning to the corresponding SAP JAM user accounts

If users are already authorized to use SAP Jam before starting to use SAP Integrated Business Planning, you only have to perform step 3.

4 Requesting Administrator Credentials for SAP Jam

Once the tenant integration is completed, SAP Cloud Operations sends the SAP Jam administrator credentials and the tenant ID to the IT contact at your organization, as specified in the SAP Jam contract. If you want to have the IT contact changed, please ask your SAP contact to create an incident for this purpose.

When the change is done, you receive an email with the following information:

● Tenant ID

● Company ID

● SFADMIN Credentials

● Your customized URL for SAP Jam

5 Creating User Accounts in SAP Jam

If you want to allow the users to access SAP Jam from SAP Integrated Business Planning, you must create user accounts for them in SAP Jam. You can do so as follows:

1. Create a csv file containing the users’ credentials. To do so, use the purpose-made csv template that you can download from SAP Jam as follows:

1. Using a Web browser, go to the URL sent by the SAP Jam team.

2. In JAMADMIN, select Admin Tools Manage Users Import Employee Data Data Import File Template (csv) .

NoteWe recommend that you download the template every time you request the integration of new users. This way you can avoid using an outdated version of the template.

2. For each user, enter the following:

○ First name

○ Last name

○ User ID

○ Username (possibly the same as the user ID)

○ Email address

NoteThe email address must be unique for each user

All other information is optional.

Note that you can always check the list of users who are already registered for your company after selecting Admin Tools Company Directory in JAMADMIN.

3. Save the csv file using the following format for naming it: UserDirectory_<jamcompanyid>.csv . For example, UserDirectory_jam0088.csv .

4. Upload the csv file to SAP Jam the following way:

1. In JAMADMIN, select Admin Tools Manage Users Import Employee Data

2. Choose the following in the window that opens:

○ Type: Basic

○ Import File Encoding: Unicode (UTF-8)

3. Choose your file

4. Check the list before you upload it by clicking Validate Import File

5. Click Import

5. After the csv file is loaded, you have to grant the users access to SAP Jam. You can grant access to all SAP Jam users that you created for your organization by doing the following:

1. On the Home screen in SAP Jam, click SF Admin and select Admin Tools from the dropdown menu.

2. Under Manage Security , select Permission to Access JAM .

3. Click Grant Permission .

SAP Jam needs to be synced with SuccessFactors Business Execution (SuccessFactors BizX), where the users are created. If the SAP Jam users are updated with the help of a csv file, it takes approximately 24 hours for them to be available in SAP Jam.

After the user accounts are generated, the system automatically sends an email to each address in the csv file. The email contains the user’s credentials for logging in to SAP Jam (not required when they open SAP Jam from SAP Integrated Business Planning.

6 Mapping the User Accounts

Once you have created the user accounts in SAP Jam, you must map the corresponding user account to them in SAP Integrated Business Planning. To do so, proceed as follows:

1. Log in to SAP Integrated Business Planning with your admin user and open the User Management app. The system displays the list of user in the system.

2. Select a user you want to connect to SAP Jam.

3. On the Address tab page, fill the Alternate E-Mail field with the email address you entered in the scv file for the user.

4. Click Save & Close .

5. Repeat as needed until all user accounts are mapped.

7 Accessing SAP Jam

You can connect to SAP JAM account through any of the following screens:

● Collaboration

● Tasks

● Process Modelling

● SAP IBP add-in for Microsoft Excel

As an administrator, you can also use the Collaboration screen to maintain the existing SAP Jam users and upload further users. However, you need to log in to SAP Jam directly if you want to obtain the latest csv template for the upload.
