1 What's new in this release

The following new features have been added. Instructions on how to use each feature are available in the SAP Jam Collaboration documentation located on the SAP Help Portal.

NoteAll features in this SAP Jam Collaboration release will be available to customers working with the preview release starting on Friday, May 5, 2017. The release will be available in production starting on Friday, June 2, 2017. This document is subject to minor daily updates until Friday, May 5, 2017. Further updates may occur after that date on an as-needed basis. The final and complete version will be published on or before Friday, June 2, 2017. Please check the SAP Help Portal for your latest version of this document.

The work patterns/use cases in the following table benefit especially from the enhancements listed alongside them:

Table 1: Work patterns and use cases

Work pattern / use case

Used by... This work pattern / use case enables...

Features to note as an example especially for this work pattern / use case

Account management

Sales customer account management through account activities, sales opportunities, and service requests.

Member lists and private folders: When creating private folders within a subgroup for a main group's sales opportunity, the group administrator can now use the main group's assigned member list to invite people to the subgroup and private folder.

Design registration collaboration

Sales channel partners and brand owners to review, discuss, and approve a design registration in high-tech or semi-conductor industries.

External group creation and user invitations: Your area administrator can allow users in your area to create external groups and invite external users, simplifying the ability to connect and collaborate with channel partners.

Help and support Human Resources support for a Q&A community designed for members and experts to help each other on a particular topic of interest.

Tasks for forum discussions: Members may have common issues that are discussed about a section of the health care package offered by their workplace. The HR partner assigned to participate in the discussions may decide that more documentation is warranted, and then add a task for themselves to update the confusing sections or follow up with the health care provider for clarification.

Work pattern / use case

Used by... This work pattern / use case enables...

Features to note as an example especially for this work pattern / use case

Knowledge sharing Human Resources support for a knowledge base-style community where experts can connect and share information on a particular topic of interest.

Employee Support Knowledge Base: HR specialists can use knowledge base templates to create and publish content on various issues (e.g., FAQs, Benefits, Travel Policies, Expenses, etc.) to provide employees access to a knowledge base of HR related topics, so they can find answers to common questions from such knowledge base articles. They can receive immediate answers, save time and improve productivity. It helps to reduce service tickets sent to the HR service centre and provides service agents with easy access to a knowledge base that improves resolution rates.

Social learning Human Resources instructors and participants share, collaborate, and learn in a dedicated space.

Upload images by pasting: To simplify collaboration in feed updates, students can paste images from their local drives or elsewhere into a feed post. Upon pasting, they will be prompted to upload the image into a group folder.

Opportunity deal room

Sales the sales team in gathering requirements, planning, and strategizing around a sales opportunity.

Wiki page merges: When two members of a sales team are adding requirements to the same wiki page, they can choose to merge their changes together, and then review the results of the merged wiki page before publishing it.

Social onboarding Human Resources onboarding of new employees into an organization via recommendations, knowledge sharing, and networking.

@@notify for group administrators only: HR partners can restrict the use of @@notify in their group to be used by other group administrators only. As new employees are getting used to the rules for when to use @@notify, the group notifications to everyone can be minimized and used to demonstrate, by practical examples, when it is ideal to use @@notify.

1.1 Area administration

Area administration enables administrators for a designated area with a small but significant subset of company administrator capabilities. This relieves some responsibility from overloaded company administrators typically working in a single department (e.g., IT) while allowing groups of users (e.g., various departments) more control over their deployment and configuration of SAP Jam.

1.2 @@notify

@@notify is similar in function to "reply to all"; it either alerts all members of a group when mentioned on a group feed, or all colleagues who are following you within an organization when used on a company home page feed. Your group administrator may choose to turn this feature off to prevent any potential "reply to all" misuse.

Table 3: @@notify

Feature Description

Disable @@notify for non-group administrators only

● As a group administrator, you can now disable the @@notify feature for all group members

while keeping it enabled for group administrator use only. To do this, go to Group Admin

Edit Group Participation and then clear the checkbox beside Enable @@notify. Please see the SAP Jam Collaboration Group Administration Guide for updates to the help topic, "Participation".

1.3 Branding and text replacement

When company administrators customize SAP Jam to suit their company's branding, it allows company employees and external users to easily identify the SAP Jam application as an approved and necessary tool to help them accomplish their work.

Table 4: String customization

Feature Description

Branding of labels, menus and messages - service request for SAP Jam support

● As a site administrator, you can now brand your company's instance of SAP Jam by changing various text, labels, menus, and messages that display on the standard or mobile web browser. These customizations must be entered in a file and then submitted to the SAP Jam Support team for processing. For example, you can change all instances of the term "Kudo" that appear on profile pages, feed upates, action buttons, and other places in the user interface to "Recognition", which is more suitable for and understood by your users.

Figure 3: Example of string customization - "Kudos" changed to "Recognition"● Replacement text can include translations. For example, you can change "Send a Kudo" to

"Send a Recognition", and manually translate the new text into multiple languages for your users. Please submit a service ticket to SAP Support and provide details on which text and in what languages you would like to change.

● Please see the SAP Jam Collaboration Administrator Guide to learn more about Branding.

1.4 Employee support knowledge base articles

Knowledge base authors can now create knowledge base articles as part of Employee Support for their groups. This allows group members to receive immediate answers, save time and improve productivity. It can help to reduce service tickets sent to support staff and provides service agents with easy access to a knowledge base that improves resolution rates.

1.11 Member lists

When working with sizeable groups in medium to large sized organizations, it may become difficult to recognize who to invite. Published member lists can offer a means to save time in inviting users one by one. They can be created by manually adding existing SAP Jam users, importing another member list, pasting a list of comma-separated e-mail addresses or importing a CSV file with comma separated e-mail addresses.

Table 12: Member lists

Feature Description

Dynamic member lists and invitations

● On the Send Invites tab of a group or subgroup's Invite page, you can now enter the name of a dynamic member list in the Add People to the Group Invitation List field.

Private folder access and assigned member lists for subgroups

● As a group administrator, when you assign a member list to a main group, its subgroups can also use the same member list. When you add private folders to the main group or subgroup, you can also share access to those folders with the member lists that are already assigned to the main group and subgroups.

Figure 36: Example of shared access to a private folder in a subgroup● In the main content section listing or the content view of the selected private folder, a group

administrator can click the Edit icon on the right corner to view the list of who has access to the folder, remove access from a member list or member, and give access to a member list or member.

● A group member can view a list of member lists and other members who also have access to the private folder.

Subgroups ● Group administrators can now add any member list belonging to a main group also to a subgroup by clicking the Required Member Lists tab on the subgroup's Invite page, and then typing the name of the member list. The members of the member list are automatically added to the subgroup and have the same ability to interact with the subgroup as other non-member list added group members (e.g., selecting specific members from a member list and adding them to private folders).

1.16 Social onboarding

To improve employee engagement when initially hired, the onboarding process for employees using SAP Jam has been enhanced to ensure account provisioning and access to groups before and after day one of employment.

Table 17: Social onboarding

Feature Description

New hires and SuccessFactors prehire users

● For newly hired employees who have not yet started with the organization, prehire accounts can be provisioned for them so that they do not have full access to the company until day one of their employment. This means that they won't be able to view names of other employees, create groups, post to the feeds, and various other actions reserved only for employees who have already started working for the organization. Prehires participation is limited to external groups.

● In the SAP Jam Admin console under Users Extranet SuccessFactors tab the new hire's user account is listed.

● Please see the SAP Jam Collaboration Administrator Guide to learn more about extranet user management.

NoteIn SAP Jam, SuccessFactors prehire accounts display under the Users > Extranet > SuccessFactors tab in the SAP Jam Admin console.

Account conversion to SAP Jam

● On day one of a new hire's employment, their prehire account can be converted to a full access SAP Jam user account. This allows the new hire to keep their existing content and group memberships intact even though those developments were prior to day one of their employment.

● To enable this feature, as a company administrator, you must submit an incident to the SAP Jam Support team to designate a specific custom property (CUSTOM01 through CUSTOM15) from the SuccessFactors employeedataset that determines whether someone is a prehire in your company. This step must be done prior to creating the prehire user account in SuccessFactors. You can then set the custom property value, on a user basis, to determine their current role, and convert them to a full access SAP Jam user account when necessary. A value of “YES” means prehire, all other values mean full access.
