1.0 INTRODUCTION TO FINAL YEAR PROJECT 1 (FYP)

The Final Year Project (FYP) is a requirement for the Degree in Mechanical

Engineering program and it is classified as Complex Engineering Problem. The project is

carried out during the final year. Figure 1 shows the process flow of FYP 1. In this course,

students are integrating their knowledge and skills obtained throughout their study. Students

are strongly encouraged to utilize modern technology and information system in some aspects

of their works such as computers, software and advance machineries. The continuation of

FYP 1 is FYP 2 (MEM602).

Students will work individually under the supervision of a lecturer. More than one

lecturer may be involved during the supervision process for multi-disciplinary projects. The

main job of the supervisor is to monitor the work of the student and to guide the student

throughout the project at regular intervals. All the activities will be recorded in a log book.

The faculty has also received invitation to work on industrial projects with some

proposal of final project titles to be carried out by students within the industries. The faculty

encourages this arrangement as this will help students to be further exposed to industrial

environment while conducting their final year project. A joint supervision may be arranged

between the faculty and the industries.

The general course outcomes of FYP 1 are as follows:

Formulate the problem statement and research literature review for solving

engineering problem in a systematic manner.

Propose an effective research method and describe the expected solution to the

problem.

Demonstrate project progress and propose solutions through logbook, project proposal

and presentation.

Construct a proper project planning and time frame.

The general course outcomes of FYP 2 are as follows:

Investigate independently the previously derived outcomes within a time constraint.

Apply the acquired knowledge and skills to solution of related complex engineering

problems Execute the appropriate techniques creatively with good judgment the solution

method for problems as defined in MEM601.

Evaluate critically the results from various analysis performed on the subject of

investigation.

Defend the findings from the study or investigation of the project

Explain effectively the results or outcomes in both written and oral forms

2.0 MANAGEMENT

The final year project is generally managed by the Final Year Project Coordinators, Project

Supervisor and Technical Paper Assessment Panel. However, students also play an important

role in ensuring the smooth operation of the final year project.

2.1 FYP Coordinators

FYP Coordinators are represented by appointed academicians from various centers of studies

at the faculty. They are accountable for the following duties:

a) FYP1 Coordinator

Gathered all Project Titles from lecturers.

Facilitate and Organize panels among lecturers to validate the suitability and

scope of all the FYP projects for the degree level.

Allocate Project Supervisors and Project Titles for students.

Announce and Distribute the Schedule Plan on the FYP activities every

semester to the lecturers and students.

Compile and submit the final marks to the Academic Unit, Faculty of

Mechanical Engineering.

b) FYP2 Coordinator

Coordinate project registration.

Organize poster presentations for students.

Compile and submit the final marks to the Academic Unit, Faculty of

Mechanical Engineering.

Facilitate claim process of students allowances provided (if any) by the

faculty.

2.2 Project Supervisor

The Project Supervisor (PS) consists of lecturers at the Faculty of Mechanical Engineering.

They are given trust and responsibilities to guide their students in implementing their final

year project. It is expected that PS would closely monitor the work done for FYP1 and FYP2.

The followings are among the roles of a PS towards FYP Coordinators and students of his/her

supervision:-

Prepare suitable project title that should not duplicate any previous students work.

Explain the main objectives, project activities and project schedules.

Supervise, encourage and give motivation in performing the project work

successfully.

Monitor progress through giving validation, suggestions/comments and endorsing

the logbook after each meeting.

Continuously evaluate the work progress during FYP1 and FYP2.

Proofread and manage the screening of plagiarism for proposal, poster

presentation and final year project report before final submission.

Evaluate proposal and final year project report.

Submit all completed forms (with signature & date) to FYP Coordinator in the

required given time-frame.

PS must notify students and coordinator of non-availability at the faculty due to

other work commitment.

2.3 Examiner Panel

Selected faculty members with wide knowledge and experience in the area of specialization

will be appointed as examiner panel to evaluate Project Proposal and Presentation for FYP1

and Technical Paper and Presentation for FYP2. The roles of the each member are outlined as

follows:

Evaluate the Project Proposal and Presentation

Evaluate the Technical Paper and Presentation.

Submit all marks to FYP Coordinator.

2.4 Students

All students are required to complete both FYP1 and FYP2, as a partial fulfilment for the

award of the degree. Students are expected to be independent and able to work under

consistent supervision. Students are expected to plan their work and adhere to the project

schedules that have been prepared to ensure the project can be completed within 2 semesters.

The roles of students are as follows:

Identify PS during the semester 6 of his/her study plan.

Register for FYP1 or FYP2 as required.

Discuss the project title (FYP1) and scope of work with PS.

Record all project activities in a logbook.

Meet PS regularly as scheduled.

Submit drafts of proposal (FYP1), technical poster (FYP2) and final year project

report (FYP2) to PS (for proof reading and evaluation).

Write the proposal (FYP1), technical poster (FYP2) and final year project report

(FYP2) in an ethical manner by avoiding plagiarism.

Defence and present the technical poster (FYP2) to the panels.

Safeguard assets when using any equipment or facilities of UiTM.

Maintain good image and discipline when getting project related information from

industries.

Fulfilling datelines regarding final year project activities.

Consult PS when making any changes to the initially proposed project work.

Protect individual safety while carrying out the project work.

Students are not encouraged to change PS. However for exceptional reason, he/she

can submit a special request letter with reasonable justifications to the FYP

Coordinator and later, endorsed/approved by the Head of Faculty.

3.0 IMPLEMENTATION

Students are expected to discuss project topics and scope of work with their PS before

starting their work. PS are assigned by FYP Coordinator using his/her discretion. However,

PS can also nominate his/her students whom they deem capable to work with.

3.1 Final Year Project 1 (FYP1)

3.1.1 Introduction

Students are expected to inform the FYP1 Coordinator of their chosen PS during

semester 6. Once the project title and scope of work have been established in the following

semester, students are advised to start immediately their project work. Only after achieving a

satisfactory progress in FYP1, students are allowed to continue their work in FYP2.

3.1.2 Assessment Final Year Project 1 (FYP1)

FYP1 provides students with the early proposal of research project. It emphasizes in

writing research proposal which involves the preliminary studies and planning the project. It

also covers problem statement, objective, research scopes, literature reviews and

methodology. FYP 1 is evaluated by supervisor based on 60% of reports and performance

consisting of 15% from log book, 15% from project achievement and student performance,

and 30% from preliminary report while the 40% evaluated by panels for the preliminary

project presentation and summary of the proposal. The 40% for the preliminary project

presentation and summary of the proposal are moderated by two panels which are appointed

by faculty. The percentage of mark distribution for FYP 1 can be summarized in Table 1.

Students are required to meet their respective PS in order to get a clear picture on the

project overall, objectives, methodology, expected results, outcomes and project planning.

After completing the project proposals, students are required to submit their project proposals

together with the completed LM.UiTMPP.FKM(O).09/FYP07-FYP Project Proposal form

(Appendix G) to their PS. The overall assessment criteria are outlined in

LM.UiTMPP.FKM(O).09/FYP08-FYP1 Panel Evaluation (Appendix H) and

LM.UiTMPP.FKM(O).09/FYP09-FYP1 Supervisor Evaluation (Appendix I). The grade for

FYP1 is either Pass (≥50 marks) or Fail (<50 marks). Students who failed must repeat the

whole process described above. However INCOMPLETE (‘TL’) will only be given under the

following conditions:

Medical reason (example: accident, critical illness) with recognised medical

certificate/letter approved by UiTM.

Deceased of parents and close relatives (example brothers and sisters). Student should

submit the death certificate as evidence.

Students required working outstation (valid for PLK students only). Proof letter from

the employer is required.

Other conditions that are approved by Academic Board Committee (JAF).

4.0 CONCLUSION

The final year project is a core course designed for the final year degree students to

acquire new knowledge and experience in project works not only related to Mechanical

Engineering but also to other related technical areas. This course is expected to provide the

students with an informal training on the key elements of project management such as time

management, research planning and scheduling, communication skills, problem solving and

lifelong learning. Apart from that, this course will also help to prepare the students with

necessary skills for pursuing a postgraduate degree in the future.
