Chapter 1Product Description

EMC Documentum eRoom software is a highly flexible, web-based collaborative environmentthat enables distributed teams to work together to accelerate and improve the development anddelivery of products and services, optimize collaborative business processes and improve innovation,problem-solving and decision-making. eRoom is flexible, configurable and can be adapted to supporta wide range of business processes. eRoom may also access files that reside in a DocumentumContent Server.

Note:• For detailed information about installing or upgrading to eRoom 7.4.4, refer to the eRoom

Installation Upgrade and Configuration Guide.

• For a comprehensive list of the system requirements for eRoom 7.4.4, see System Requirements inthe eRoom Installation Upgrade and Configuration Guide.

• The eRoom 7.4.4 client plugin is strongly recommended for use with eRoom 7.4.4 server.

New features and changes for version 7.4.4

Certification with Windows Server 2008

eRoom 7.4.4 is certified to work with Service Pack2 of Windows Server 2008 32-bit Standard andEnterprise editions and IIS 7.

Certification with Microsoft SQL Server 2008

eRoom 7.4.4 is certified to work with Service Pack2 of Microsoft SQL Server 2008 Standard andEnterprise editions.

Certification with Microsoft Office 2010

eRoom 7.4.4 is certified to work with (all service packs of) Microsoft Office 2010.

Support for Mozilla Firefox 7.0

eRoom 7.4.4 introduces support for the Mozilla Firefox 7.0 browser.

To use eRoom Client plug-in with Firefox 7.0, you must configure Firefox on the client machine.To configure Firefox, add a new preference string in the preference file (prefs.js or user.js) byusing a script or by using the configuration editor. The configuration editor can be accessedby specifying about:config in the address bar of the Firefox browser. Create a Boolean entry:dom.ipc.plugins.enabled.nperoom7.dll and specify the value as false.

eRoom 7.4.3h introduces support for the Microsoft Internet Explorer 9.0 browser. The eRoom plug-inclient will also need to be updated for use with Internet Explorer 9.0.

New features and changes for version 7.4.3a

Support for Mozilla Firefox 3.6 and later

eRoom 7.4.3a introduces plug-in support for Mozilla Firefox 3.6 and later, enabling rich text editing,desktop drag and drop, and MS Outlook synchronization for the most recent Firefox releases.Download and install the plug-in manually, since the plug-in will not be installed automatically onFirefox. Restart the Firefox session once the manual installation of the plug-in is complete. Once theplug-in is installed, login into eRoom. In the My member info tab, enable the “Use eRoom plug-insoftware” option to be able to use the plug-in.

Updated script for eRoom client plug-in

Customers with previously supported versions of eRoom who want to deploy the eRoom7.4.3a plug-in need to replace the ClientScript.js file in their current eRoom deployment tosupport the Mozilla Firefox 3.6 browser. Refer to Support Note esg116892 in the following link:http://solutions.emc.com/emcsolutionview.asp?id=esg116892.

Note: The Internet Explorer plug-in will work even without this change.

New features and changes for version 7.4.3

Certification with Windows 7

eRoom 7.4.3 is certified to work with 32-bit and 64-bit versions of Windows 7. To use the eRoomplug-in on the 64-bit version of Windows 7, you must utilize the 32-bit version of Internet Explorer 8.

Note: The 32-bit version of Internet Explorer 8 is provided by Microsoft as the default browserfor the 64-bit version of Windows 7.

The unread marker in My eRooms page is removed

eRoom 7.4.3 introduces a change in behavior on theMy eRooms page. The unread marker displayedfor each room listed in the Active eRooms list in theMy eRooms page has been removed to avoidhigh memory consumption in the eRoom server. You can configure the unread marker to appear on

theMy eRooms page for backward compatibility. However, this configuration is not recommendedas it may result in server instability due to the increased memory consumption required to displaythe unread markers.

To enable the unread marker on the My eRooms page:

1. Open the eRoom MMC snap-in.

2. Right-click the eRoom node and select Server Tuning.The eRoom Server Tuning Master Settings dialog box is displayed.

3. In the General tab, select Limits in the Category list.

4. Double-click Display unread on My eRooms page in the list that is displayed.The Edit Settings dialog box is displayed.

5. Enable the Value option.

6. Click OK to save the changes.

7. Restart the eRoom server.

Note:If a site comprises multiple eRoom servers, ensure that you restart each server to reflect the changes.

Room Object Count Limit Notification

The site administrator can enable the Alert administrators and coordinators when rooms approachthe object limit in the Options section of the Site Settings page and select the required percentage inthe Start alerting when a room reaches <%> of the limit field to receive notifications when the objectlimit for an eRoom is about to be reached. If this setting is enabled, the site administrator, communityadministrators, and room coordinators receive alerts in the form of warning banners in eRoom andemail messages when the object limit set for an eRoom is reached.

eRoom Server Memory Management

eRoom 7.4.3 incorporates important changes to the way eRoom manages its in-memory caches.eRoom uses several in-memory caches to provide an optimal level of performance and responsivenessfor end-user requests. eRoom Administrators can manage these caches using performance countersand server tuning settings to ensure maximum stability and uptime for eRoom servers.

Refer to Appendix D: eRoom Server Memory Management in the EMC® Documentum eRoom Version7.4.3 Installation, Upgrade, and Configuration Guide for more information.

Chapter 4Upgrade Notes

This section provides information about upgrading to the latest version of eRoom from an earlierversion of the eRoom application.

Upgrading to eRoom 7.4.3, 7.4.3a, 7.4.3b,7.4.3c, 7.4.3d, 7.4.3e, 7.4.3f, 7.4.3g, 7.4.3h, or7.4.3iIn addition to any specific issues related to upgrading from a particular version, note the following.

The IsRMEnabled property and the OwnRMProtectionLevel property have been introduced inthe IERURoom interface of the eRoom SAAPI.

Note: Before using the IsRMEnabled and OwnRMProtectionLevel APIs, Site Coordinators mustmanually verify whether EMC Information Rights Management (IRM) is enabled for all communitieswithin the eRoom site.

Upgrading eRoomIn addition to any specific issues related to upgrading from a particular version, note the following.

eRoom stop file

eRoom ships with a “stop file” containing common English words that are not indexed for full-textsearch (words like “to”, “and”, “the”, and so on). If you have customized this file, you mustpropagate your customizations in all eRoom upgrades.

eRoom SMB customer upgrades

If you are an eRoom SMB customer upgrading to full eRoom, you must download and install thenecessary language pack(s) as part of the upgrade process. SMB installs all language packs by

default. When you upgrade, the SMB language packs will remain in place, but will be out of syncwith the full eRoom version.

Note: Upgrading the plug-in client might force a reboot on the client machine.

A large .pdf file can cause the indexingserver to stop responding while attemptingto incorporate their large amount of datainto the index.

eRoom 7.4.3 incorporates a Hummingbirdpatch that sets a timeout period to indexa single document. When a large fileis encountered, the index server workson indexing the file for the configuredtimeout period, aborts the task of indexingthe file after the timeout is reached, andmoves on to index the next file in queue.

The result of the indexing effort on this fileis that the document is partially indexed.

This section provides configuration and usability notes for current product features.

Using rights management in eRoomThis section describes issues or limitations when using rights management in eRoom.

Cannot search for content in protected files

eRoom users cannot search for content in rights-managed files. These files are stored in an encryptedformat so the eRoom indexing server is unable to index the file content.

IRM client versions

eRoom works best with the IRM Client for Microsoft Office 4.5 and/or the IRM Client for AdobeAcrobat 4.5 or higher. There is a known issue when using earlier (although supported) IRM clients— opening a version-tracked file that is protected with rights management in eRoom 7.4 creates anew version of the file, even if you make no changes to it. Therefore, the IRM 4.5 clients are stronglyrecommended.

IRM administrative account

Carefully select the IRM administrative account when enabling rights management in Site Settings.Changing the account name after files have been protected, will lead to difficulties in interacting withthose protected files. For example, suppose an eRoom site is configured to use ’IRMAdminAccount1’as the IRM administrative account. Over the next few days, eRoom users create a number of

protected files. If the IRM administrative account is changed to ’IRMAdminAccount2’, the followingproblems will occur:• Attempts to cut/copy and paste a file that was protected while the IRM administrative accountwas ’IRMAdminAccount1’ will fail.

• Attempts to create a new version of a versioned file that was protected while the IRMadministrative account was ’IRMAdminAccount1’ will fail.

• Attempts to import a protected file via an eRoom or facility import file that was created while theIRM administrative account was ’IRMAdminAccount1’ will fail.

IRM client single-sign-on (SSO) with eRoom

The first time the IRM client attempts to enable offline access on a particular workstation, the useris prompted to enter their eRoom password. This is because the IRM client uses that password toencrypt the offline content. Since an SSO user authenticates through eRoom, the IRM server andclient cannot detect their password because it was never entered. Therefore, in order to enable offlineaccess, the user must enter it once per machine.

The first time a user opens a protected document that allows offline access, they will be promptedfor their eRoom password if they have manually enabled automatic offline access, or if they use alaptop. If they do not have offline access automatically enabled, then they will be prompted for theirpassword the first time they select Rights > Offline Access > Enable. eRoom users who do not use theeRoom plug-in and do not use SSO must log in anyway, so they will not see any additional loginprompts. If a user tries to access a protected document while offline, they must enter their eRoompassword in order to decrypt the offline content.

Using eRoom with Microsoft Windows 2003SP2The Microsoft Distributed Transaction Coordinator (MSDTC) network access is turned off after youinstall the Microsoft Windows 2003 SP2. To enable MSDTC network access, follow the instructions intech note # 40624 (http://solutions.emc.com/emcsolutionview.asp?id=esg40624).

Using eRoom with Microsoft Windows 7 andWindows VistaMicrosoft has introduced new levels of security in Microsoft Windows 7 and Windows Vista,including User Account Control and Microsoft Internet Explorer Protected Mode. This sectionprovides EMC-recommended procedures that facilitate use of eRoom With Microsoft Windows 7and Windows Vista.

Installing eRoom plug-in on Microsoft Windows 7 andWindows Vista

Due to the new levels of security in Microsoft Windows 7 and Vista, it is mandatory that only theAdministrator installs the plug-ins on the client.

Using Web Folders in eRoom on a new install ofWindows 7 and Windows Vista

In order to avoid problems using WebDav (Web Folders) in eRoom on a fresh (not upgraded) installof Microsoft Windows, perform the following procedures:

To prepare eRoom Server to use WebDav:

1. IIS must be configured to allow WebDAV in the Web service extensions.

2. If your WebDAVWeb site is set up as both a DAV and FrontPage site, IIS defaults to the FrontPagecustom header and blocks DAV command-line connections. In this case you may need to removecustom headers; however, this is not required.

a. In IIS Manager, expand the local computer, right-click your WebDAV Web site (the site thatcontains the virtual directory mapped to your WebDAV publishing directory) and clickProperties.

b. Click the HTTP Headers tab.

c. Remove any headers listed in the Custom HTTP headers list box.

d. Click Apply.

e. Click OK.

To Prepare Windows Client to use WebDav:

1. Make sure you can connect to another Web Folder besides eRoom (for example,http://www.msnusers.com).

2. Make sure the WebClient Service is running.

3. Make sure (via the Network and Sharing Center) that Network Discovery and file sharing areturned on. This is for general network functionality and is not specific to Web Folders.

4. Install webfldrs.msi from a machine running Windows XP SP1.

a. Start the installation by double-clicking or right-clicking webfldrs.msi.

b. Click Select reinstall mode and• Clear the Repair all detected reinstall problems check box.

• Select the Force all files to be reinstalled, regardless of checksum or version check box.

• Select the Verify that required user registry entries are present check box.

• Select the Verify that required machine registry entries are present check box.

• Select the Validate shortcuts check box.

5. You will need to install it once, reboot, and then install it a second time using the instructionsabove. Reboot a second time.

6. Sometimes it is necessary to installWebfldrs-KB892211-ENU.exe, but it is not required. However,if you are rolling out instructions to users, everyone should use the same configuration.

The Web client does not have to be in the same subnet as the server. It works across subnets. Ifyou still cannot create a Web Folder from a Windows client (on a different subnet) it might be thatthe router is causing some problems.

Often the first attempt to create a Web Folder fails with the error “Folder you entered does not appearto be valid”, but the second attempt will succeed.

Adding eRoom as a Trusted Site

Security issues between eRoom and web browsers on Windows 7 and Windows Vista can beminimized by adding the eRoom server URL as a Trusted Site, as described in the followingprocedures.

To add the eRoom server URL as a Trusted Site in Internet Explorer:

1. Select Tools > Internet Options.

The Internet Options dialog box is displayed.

2. Select Trusted sites icon and click Sites.

The Trusted sites dialog box is displayed.

3. In the Add this Web site to the zone field, specify the eRoom server URL (for example,http://eroomservername.domain.com).

4. Click Add.

The eRoom server URL is displayed in theWebsites list.

5. Click Close to close the Trusted sites dialog box.

6. Click OK to close the Internet Options dialog box.

7. Restart Internet Explorer.

Approving the rich text editor control

On a Windows workstation, using eRoom in Internet Explorer with the eRoom plug-in installed, thefirst time you perform an action that launches the rich text editor, a yellow bar appears at the top ofthe browser window. In the bar, a message asks if you want to run the ‘eRoom Client 7.40’ add-on(the rich text editor control). Click the yellow bar to display a menu, and then pick Run ActiveXcontrol. In the security dialog box, click Run. The rich text editor opens normally. Once you do this,the yellow bar and warning will no longer appear when you use the rich text editor.

Running eRoom indexing server on a VMwareimageWhen running eRoom indexing server on a VMware image, incremental full-text indexing may fail.There are two workarounds to this problem:

To set the ’Disable acceleration’ option:

1. Power off the virtual machine.

2. From the main menu, go to Inventory > Virtual Machine > Edit Settings.

3. On the Options tab, select General (under Advanced).

4. Select the Disable acceleration checkbox.

5. To save the setting, click OK.

To set ’virtual processors’ to 2:

1. Power off the virtual machine.

2. From the main menu, go to Inventory > Virtual Machine > Edit Settings.

3. On the Hardware tab, select CPUs.

4. From the Number of virtual processors drop-down menu, pick 2.

5. To save the setting, click OK.

Installing the eRoom plug-in as Power User onWindows 2003Installing the eRoom plugin as a Power User on Windows 2003 fails with the following error: "Thesystem administrator has set policies to prevent this installation." This occurs due to default securityrestrictions imposed on Windows 2003.

To work around this issue, the administrator must allow per-user installs on a Windows 2003 client.You can do this by configuring the machine policy or by applying the registry setting that controls theREG_DWORD policy.

To configure the machine policy:

1. Select start > run, and then type gpedit.msc.

2. Navigate to Local Computer Policy > Computer Configuration > Administrative Templates >Windows Components > Windows Installer.

3. Double-click Disable Windows Installer.

4. Select Enabled and pick Never from the drop-down list.

5. Click Apply, and then OK.

To apply the registry setting that controls the REG_DWORD policy:

1. In the Registry Editor, navigate to HKEY_LOCAL_MACHINE > SOFTWARE > Policies >Microsoft > Windows > Installer.

2. Create a new DWORD Value called DisableMsi and set its value to 0.
