What is ECM?

• Enterprise Content Management (ECM) is the technologies used to capture, manage, store, preserve, and deliver content and documents related to organizational processes. ECM tools and strategies allow the management of an organization's unstructured information, wherever that information exists.

History

• In 2003 EMC acquires Documentum, Inc., further advancing its Information Lifecycle Management strategy—to enable customers to get the maximum value from their information, from creation and collaborative use to archiving and disposal.

• In 2005 continuing its focus on the content management opportunity, EMC acquires Captiva Software, a leading provider of input management solutions. Captiva's market leading products provide capabilities critical to implementing advanced information lifecycle management initiatives.

• AnalyzeDocumentum Business Process Analyzer

A business process modeling and analysis tool, supporting full bidirectional model exchange with Documentum Business Process Manager. Business Process Analyzer creates process models as data, not just visual diagrams, allowing for models to be viewed in multiple dimensions, compared with other models for definition discrepancies, and validated against a wide variety of criteria.

Documentum Business Process Simulator An add-on simulation analysis tool for Business Process Analyzer, allowing process models to be tested against operational scenarios. This simulation analysis allows bottlenecks and constraints to be understood in advance of putting processes into a production environment.

• DeployDocumentum Business Process Manager

A graphical process design tool suitable for non-technical users. It includes out-of-the-box palettes of business processes and prebuilt activity templates supporting common user tasks, content operations, team collaboration, and integration actions.

• ExecuteDocumentum Process Engine

The runtime environment for process automation and workflow management. The process engine also includes queue management and activity tracking/alert capabilities for both human and system-based activities.

Documentum Business Process Services Provides the integration framework connecting processes to external systems and middleware.

• MonitorDocumentum Business Activity Monitor

Provides real-time monitoring of process execution data and generation of alerts and graphical metrics displayed in management dashboards. Business Activity Monitor can also export process data back to Business Process Analyzer/Simulator, providing for round-trip process optimization.

Workflow vs. BPM

• Workflow• There are different types of Workflow, for example:

"Production Workflow" which uses predefined sequences to guide and control processes "Ad-Hoc Workflow" in which the user determines the process sequence on the fly.

• Workflow solutions can be implemented as: "Workflow solutions" with autonomous clients which users mostly work with, or as "Workflow Engines" which act as a background service controlling the information and data

flow, without requiring an own client for this. • Workflow Management includes the following functions, among others:

Visualization of process and organization structures Capture, administration, visualization, and delivery of grouped information with its associated

documents or data Incorporation of data processing tools (such as specific applications) and documents (such as

office products) Parallel and sequential processing of procedures including simultaneous saving Reminders, deadlines, delegation and other administration functionalities Monitoring and documentation of process status, routing, and outcomes Tools for designing and displaying process

Workflow vs. BPM

• BPM• BPM or Business Process Management goes a step further than Workflow. Although the words are

often used interchangeably. BPM aims at the complete integration of all affected applications within an enterprise, with monitoring of processes and assembling of all required information.

• Among BPM's functions are: Complete workflow functionality Process and data monitoring at the server level EAI or Enterprise Application Integration, to link different applications BI or Business Intelligence, with rule structures, integration of information warehouses, and

utilities that assist users in their work.

• Documentum Web Content ManagementEMC Documentum Web Content Management Edition provides an enterprise approach to effectively deliver the content that supports relationships with customers, partners, and employees. It’s the right solution for organizations that are struggling with content creation, management, and publishing challenges across a myriad of disparate systems, including traditional document management repositories, legacy systems, digital asset management systems, XML repositories, internal and external websites, and other knowledge management systems. Documentum WCM Edition is a key part of a single, strategic, and unified content architecture, providing a fully integrated environment for managing, sharing, and reusing all types of digitized content throughout an enterprise.

Captiva Family - InputAccel

• Captiva’s InputAccel is an electronic data capture system that enables users to capture information from virtually any paper or electronic source and transform it into usable, business ready content and deliver it into a variety of back end systems.

• At the core of InputAccel is the InputAccel server that governs all modules, client workloads and workflow processes. The InputAccel Server drives the highest levels of productivity by identifying and bypassing bottlenecks in the workflow process. InputAccel is also completely scalable at the server level and can be expanded to include multiple servers working in unison to scale to meet any volume requirement. This server configuration also ensures that if one server goes offline, others will continue to operate, eliminating down time.

Captiva Family - InputAccel for Invoices

• InputAccel for Invoices is a fully customizable invoice capture accounts payable system that transforms paper invoices into digital images from which invoice data is automatically extracted, validated and exported into ERP, accounts payable or other back end systems.

Captiva Family - eInput

• eInput is a front-end distributed image capture software system that enables users to capture and submit scanned document images and electronic files from remote locations via a simple Internet connection.

eInput provides a Web-based, thin-client environment for document scanning, importing and indexing. This enterprise-level image capture software solution is based upon InputAccel, Captiva’s award winning document capture solution, and enables remote users to send images and index information without installing scan client applications, thereby minimizing deployment, support and maintenance costs.

Within a browser, eInput allows users to: • Control the scanner and acquire images from it or from the file system • View any page in the document and insert new pages or delete current pages • Manage multiple documents by maintaining a list of unsent documents and a log of sent documents • Add index information to documents for later retrieval • Perform ODBC lookups to external data repositories for index validation
