1. EXECUTIVE SUMMARY

Dissemination and communication activities are an integral part of the IES Cities project [4], and are considered a core activity in order to achieve the desired project impact. This is why the project is dedicating a whole transversal WP to the dissemination and communication activities.

This current deliverable presents the dissemination material created during the second year of IES Cities project. This material complements the project Website [2] (described in D6.5 – IES Cities Website), social network profiles [3] (described in D6.6 – Social Networks Profiles), and the material produced during the first year of the project (project poster; project leaflet; project newsletter; project logo; project factsheet; project presentation) [1].

In the second and third years, the dissemination material produced focused on the individual pilot site. The main goal of the dissemination carried out during the second phase of the project was in fact to engage citizens and users in the four pilot cities before during and after the first phase of the experimentation.

We also produced material for project-wide dissemination, such as Project Newsletter and Project Video.

This deliverable will present the dissemination material in the four pilot sites, and the dissemination material at the project level.

2. INTRODUCTION

To support the dissemination of content from the IES Cities project, numerous initiatives have already been carried on, principally concerning the branding of the project, the presence and visibility of the project in the Internet, the project distribution channels, the generation of media and the activities supporting relevant events.

Among these Dissemination Elements, we can identify as dissemination material the physical media containing information and news about the project, such as project brochures, posters, presentations, newsletters etc.

D6.4.1 belongs to Task 6.2 – Creation of dissemination material. The main purpose of this task is to create all the needed materials for the dissemination of the project within the relevant stakeholders at local and European level, like policy makers, public organisations, private sector and technological experts. The results of this task will be used as materials in different events that IES Cities could participate.

To help create a strong IES Cities identity and brand all the materials include the project logo and share a common template and colours.

In addition, to properly engage citizens in each pilot sites, the material produced in is that country language (Italian, Spanish or English).

3. BRISTOL ENGAGEMENT MATERIAL

The Bristol Pilot team created the following material.

• MyBristol booklet is a small colourful, easy to understand, getting started with using the app booklet. It is available as a printed version and also as an on-line pdf.

• Flyer for the ‘Make It Your Neighbourhood’ event.

• Poster for the ‘Make It Your Neighbourhood’ event. This includes the agreed use of two European funding logos on the same material.

• IES Cities banner. Floor standing promotional display piece for conferences and exhibitions.

• IES Cities Animated Info Graphic Video. This introduces the concept of the project in an attractive and easy to understand way. It is available on YouTube and Vimeo.

• My Knowle West / My Bristol video: this ‘case study’ video functions as a promotional tool to share information about the apps, as well as an in-depth evaluation interview with three users about their experience of using My Knowle West:

The Bristol Pilot team secured coverage for the project apps in:

• The Knowledge community newsletter (distributed to 5,500 homes in the Knowle West area of Bristol), May 2014, July 2014, October 2014, December 2014, February 2015

• Knowle West Media Centre’s monthly e-mail bulletin

• Knowle West Media Centre’s Annual Report 2013-2014, published in November 2014 with a full-page case study focusing on the My Knowle West app and IES Cities project

The Bristol Pilot team also contributed content to the IES Cities Facebook profile, as well as sharing information about the project and apps via the Knowle West Media Centre Facebook and @knowlewestmedia Twitter account.

4. MAJADAHONDA ENGAGEMENT MATERIAL

The Majadahonda Pilot team created the following material. The material was created in Spanish and English.

• Roll ups of the Vive Majadahonda (Majadahonda Leisure and Events) and Majadahonda Saludable (Majadahonda Healthy city).

• Majadahonda city council in collaboration with Majadahonda Traders Association created a booklet explaining the apps and IES Cities Project.

Majadahonda also distributed 500 IES Cities Folder to attend to meetings with IES Cities Logo, 200 auxiliary battery with IES Cities logos for Dissemination events and Engagement activities and 50 Bluetooth Speakers with IES Cities logo, with blinking lighting, and micro sd slot, for local dissemination events and engagement activities.

4.1. Additional engagement material for majadahonda 2nd pilot phase

• Promotional video of the second phase apps, similar to the one prepared for the first phase.

• Merchandising material and gadgets with the IES Cities logo for prize draws and quizzes in engagement activities:

o Approximately 100 pen drives.

o Approximately 100 usb key.

o 5 Tablets.

5. ROVERETO ENGAGEMENT MATERIAL

The Rovereto Pilot team created the following material. All the material was created in Italian and all reported the QR code to download the apps from the market.

• Banner of the Rovereto Explorer and ViaggiaRovereto apps. This was printed on three roll up banners for easy transportation.

• Leaflet describing the Rovereto Explorer and ViaggiaRovereto apps, Dimension: A4 (297mm x 210mm).

• Poster of the Rovereto apps, to be put in Rovereto’s public space like libraries, urban center, university and schools. Dimension: A2 (420 x 594 mm).

• A paper bookmark displaying on each side one of the two Rovereto apps. Dimension: 200 mm x 48 mm

• The material was created together with a consistent design to help create a distinct image for the IES Cities project and apps.

In addition, Rovereto Pilot team created material for web dissemination of the Rovereto Explorer app: two picture to be used as Facebook cover photo for the Rovereto municipality Facebook profile, and 2 pictures to be used in the Rovereto municipality web page.

5.1. Additional engagement material for rovereto 2 nd pilot phase

• Color leaflets describing Rovereto Percorsi and Tesori Nascosti (1000 x Italian version, 1000 x English version)

• Picture postcards (dimension 15*10 cm) with Rovereto Percorsi and Tesori Nascosti QR Codes and apps’ logo (1000 x Italian version, 1000 x English version).

• N° 6000 color bookmarks (dimension 20*4.8 cm) --- contents and graphics are in progress and will be ready soon.

• N° 3 banners (dimension 85*200 cm) --- depicting Rovereto Segnala and Viaggia Rovereto.

• N°100 short technical file describing the IES Cities project.

• 40 paper folders containing informative material about Rovereto Percorsi and Tesori Nascosti, plus the leaflet, the postcard and the short technical file about the IES Cities project.

6. ZARAGOZA ENGAGEMENT MATERIAL

The Zaragoza Pilot team created the following material.

• Poster for "Complaints and suggestion" app. 80x60 cm poster for local events and workshops (picture enclosed)

• Poster for "ZGZ maps app". 80x60 poster for events and workshops (picture enclosed)

• Poster IES_Cities 80x110 cm for events and workshops (picture enclosed)

• We are finalizing the details for schools to visit eTOPIA_ during the months of February and March 2015. A total of 800 students will come to visit our facilities and projects that are underway. Framed in the visit, the school will know firsthand the "Open Urban Lab", the physical space where they carry out the activities of interaction with citizens. It is in this area of innovation, where we show children and young people the two "IES Cities

apps" and where we try to capture their opinion on them. To do this, we have prepared two videos and different merchandising materials to give them after the training activity and a survey with which we want to gather their views and cooperation.

• The launch of the applications has been made known to the public through our Open Urban Lab blog:

• To host school visits to our facilities that are taking place from January to March 2015, we have provided a space specially designed to frame the project and provide training to citizens. The "Open Urban Lab" is the physical space of innovation where we carry out the activities of interaction with children and young people and where the two "IES Cities apps" are shown. In a perfect framework is easier to capture their attention and feedback. We have also prepared two different videos and some merchandising material to give them after the training activity and a survey with which we want to gather their views and cooperation.

6.1. Additional engagement material for zaragoza 2 nd pilot phase

During the second stage of IES Cities project, Zaragoza has continued promoting and giving the engagement material created for the first phase and has also produced three new videos since we have realized that kind of material works adequately for promoting of the deployed services.

In addition, Zaragoza printed brochures on the apps that has been delivered in the engagement activities (workshops, open innovation sessions, etc).

7. PROJECT VIDEO

The IES Cities video was realized by KWMC and presented to the first review meeting. The video explains the concept of IES Cities using pictures, words and text.

The video can be found on the homepage of IES Cities (http://www.iescities.eu) [5] and on Vimeo (https://vimeo.com/93621765).

Zaragoza has also prepared 5 videos of 2 minutes (2 for the first phase and 3 for the second one) each with the aim of bringing the project to the public and show the use of apps developed so far in an entertaining way.

8. PROJECT NEWSLETTER

The Second and third issues of the project newsletter were released on June 2014 and February 2015, respectively. The newsletter contained news and information about the IES Cities project and its results. The second issue contains a focus on the pilot site of Bristol (the municipality of Bristol, KWMC and Toshiba), a progress report on the project and an article about the apps produced. The third issue contains a focus on the pilot site of Majadahonda (the municipality of Majadahonda, Tecnalia and Geko), a progress report on the project and am article on the first phase of the experimentation carried out in Pilot cities.Both issues also contained a list of past and future events of interest for the community.

It was decided to have a fourth and final issue of the newsletter at the end of the project.

The fourth issue of the Newsletter, released in February 2014, had the following content:

• Interview with the project Coordinator

• Description and pictures of the whole 16 IES Cities Pilot apps

• Description of the Zaragoza pilot site

• Past events

• Future events

The newsletters issued can all be found on the IES Cities website. The first page of the fourth issue can be found inn Appendix A.
