Congratulations to the following Clubs that have met at least five goals as of Feb. 28, 2003. To maintain DCP status,Clubs must ensure their membership at June 30, 2003, is 20+ or a net gain of 5 members from July 1, 2002:

IIIIIn starting a new Toastmasters Club, as in real estate,location is the single most important consideration,though certainly not the only one. A good location doesnot, by itself, guarantee a great or even good Club.However, a bad location will defeat most efforts to start asuccessful Club. So what criteria should you use to selectyour meeting location?

Consider the success of newly chartered Lake Mary Toastmasters. One April 8,2002, the Club started meeting with just four people and by the end of June had 20members, enough to submit charter paperwork to become Club 6440. Six months intoour first Toastmasters year we had attracted 14 more members and earned seven ofthe 10 DCP goals we plan to achieve. If we can create a new and still growing Club inthree months so can you. Your first task is to find a good meeting location that meetsthree basic characteristics.

First: A good location has capacity.

Your Club should serve an area that either has no Toastmasters Club or is under-served. For the most part, the opportunities lie in the suburbs rather than in traditionaldowntown locations. Lake Mary had a very high concentration of office space andcould support another Club.

Second: A good location must provide a welcoming atmosphere.

A Division C analysis showed that restaurant-based community Clubs usually had 50percent greater membership than office-based and more than double that of libraryor church-based Clubs. Panera Bread of Lake Mary was combination coffee shop,bakery and café that offered inexpensive breakfast fare. The building featured acommunity room and ample parking. It was a professional atmosphere where social-izing and friendships develop naturally. We booked the space Tuesday’s at 7:30 a.m.to ensure our meeting did not conflict with Omni Toastmasters that met Thursdayevenings at AAA in Lake Mary. This enabled us to attract several dual members andconduct joint marketing, giving prospects a choice of Clubs.

Third: A good location is reliable.

You must be able to meet in the same spot at the same time every week. PaneraBread welcomed the Club. It benefited financially by our members meeting there andspending money on food and beverage. It was a win-win from the outset, unlike officeconference rooms that can be preempted and libraries unable to guarantee a roomon a set schedule to one organization.

Location is only part of the equation. My initial team of Dorothy Day Fogel, JimOcque and Terry Ingram quickly expanded as new members joined us. We worked

hard from day one to hold full-blown meetings evenwith four people present. But every time we met, thepublicity and word-of-mouth promotion found visitorsat our door and within no time, we were at charterstrength.

Nothing is more satisfying than helping create a newClub in the right location. It thrives. At your charter-

ing party, you can reflect on your hard work and look forward to the progress ...knowing the dividends were worth the investment.

PPPPPart of the Toastmasters appeal is thewellspring of FREE resources that wecan use to build better skills. If yourgoals include being a Vice PresidentPublic Relations, professional speaker,published author or leader, then thepromotional and publicity handbook foryou is, “Let the World Know.”

Every Club should have a copy, but ifyou don’t, you can download it fromwww.toastmasters.org/pdfs/1140.pdf.Some helpful insights include:

1. People can’t join if they don’tknow we exist. So, TELL and SELL!PR is a great tool to use to publicizemeetings and contests to members andto promote the Toastmasters reputationand educational programs to the public.It can “legitimize” the group, helprecruit members and influence howpeople value good communication.

2. Research the media channels. Buycopies of your target newspapers;review format of news, feature andcalendar items; and research mediacontacts, publication schedules andsubmission deadlines.

3. Being newsworthy, timely andunique are important keys to suc-cess. Stimulate interest and excitementwith creative special events, includingopen houses, awards, seminars,workshops and speakers bureaus.

4. In the news release, write with theFive W’s. The headline and leadsentence must grab the editor’s atten-tion and the topic must be newsworthyand relevant to the community. Alwaysinclude the Who, What, When, Whereand Why, plus How elements. Includethe “gee-whiz factor” that will make the

YYYYYou just won a big competition and havethe trophy to prove it. You feel like a“STAR” for at least a few shining moments.But, let me share with you what feels evenbetter than those incredible, but fleeting,moments of glory. Giving back.

Giving back feels so much better thanwinning because it allows you to say thankyou to those who helped you along theway: Your Club, mentors, people you don’tremember or know and your loved ones.

Giving back also feels great, because youcan help your fellow Toastmasters usingyour expertise, time, skills and credibility.So say yes to the requests for help thatyou receive as a result of the contest. Sayyes to the requests for informal mentoringthat may occur. Say yes when you areasked to be a spokesperson or contestmaster.

As a result, you may see a mentee winhis or her first contest. You may inspireothers to work on their skills by watchingyou persevere. You may reenergize aClub or Area with your enthusiasm aboutToastmasters. The list is endless.

In whatever way you choose to give back,you will feel better when you do. Winningis only one brief, but shining moment.

Applying these tips produced freepublicity for South Florida Toastmas-ters in the Miami Herald, BusinessMonday, Neighbors magazines,StreetMiami and Community Newspa-pers. If knowledge is power, then thishandbook is a sledgehammer!

EEEEEffective Club meetingsare critical to the successof a Club. Effectivenesshas many components,such as good prepara-tion on the part of all par-ticipants. Eventually, if a Club is to serve theeducational needs of its members and at-tract and retain members, everyone at themeeting must have fun.

Dynamic meetings are the key. The bestmeeting format gets into a rut if the sameformat is used week after week, year afteryear. Adding spice to your meetings renewsenthusiasm and creates interest. Considerthe following options::

Grab Bag Meeting - Pick a meeting daywhen no meeting roles are assigned. Allmembers are informed well in advance thatthey should be prepared to take on any meet-ing role, including having a manual speechready to be delivered -- remind them to bringtheir manuals. At the meeting, participantswill draw the positions out of a bag.

Speakathon - Set this up independently oras a follow-up to the grab bag meeting. Holda special meeting for manual speeches andevaluations only (no Table Topics). Memberswho did not deliver their prepared speechesnow have the chance to do so.

Backwards Meeting - Reverse the orderof the normal agenda. In other words, startfrom adjourning the meeting, conduct evalu-ations before the speeches, and so on. Thismay appear awkward; however, many mem-bers will enjoy this type of meeting.

Debate - Select a controversial topic. As-sign participants randomly to speak for oragainst the issue. Doing this, instead of al-lowing them to choose their stance, forcesthem to “put themselves in the otherperson’s shoes” - a good exercise to stretchthe mind. Toastmasters International pub-lishes a “Debate Handbook” (catalog #104)with detailed information on the debateformat.

These are the most popular program for-mats. More ideas are available in the Toast-masters International publication “Patternsin Programming,” Catalog # 1314.

Spice things up ... try them out!

Dedicated members of the Toast of Jax Toastmasters Club meet brightand early on Saturday mornings. When reading the Mission Statement, thegroup has added their own twist ...“and have fun doing it!”

In 2002, Club members decided to get involved in community service. Theyfelt this was a great opportunity to use the speaking and leadership skillsthey had been developing. The Club chose to sponsor a Youth LeadershipProgram. The purpose was to help young adults from age 15 to age 17 en-hance their leadership and communication skills by giving them the oppor-tunity to run their own meetings, prepare and deliver speeches.After a few planning meetings, and with the help of the Toastmaster Inter-national’s Youth Leadership program materials, the Club launched an eight-week program at the Beauclerc Mandarin Public Library and at the HaskellCompany attended by 18 students from various schools. The program coor-dinator was Vice President Public Relations Beverly Farnell. The executivecommittee members were Past President George Ohel, Dr. Millie Tannen,Nandu Shah, Yurania Causey, David J. Rafanowicz and Milo Holt.The program was quite a success and an inspiration to all involved. To sharethe success and excitement of the program, Youth Leadership Programmember Mayuri Shah delivered a powerful speech at the Toast of JaxSaturday morning meeting entitled “The Generation Gap.” Mayuri did anoutstanding job and received a standing ovation and ribbon for Best Speech.The Toast of Jax Club is sponsoring another eight-week program at theEugene Butler Middle School to help young adults age 12 to age15 take theirfirst step in expressing ideas through public speaking. Toastmaster SteveLazar is the program coordinator and is being assisted by President JimAkers, Vice President Public Relations Beverly Farnell, Betty Gamble,David J. Rafanowicz and Jim Domenico.For more information about these successful programs, check out theClub’s Web site at www.toastofjax.org or join them at one of their Saturdaymorning meetings! They are confident you will “have fun doing it!”

What is the purpose of a proxy? Theproxy allows the Club to vote in thebusiness meetings. There are actuallyTHREE different proxies for Toastmas-ters.

District 47 Proxy: This proxy to beused at the District Council meeting onMay 17, 2003 during the SpringDistrict Conference at the HiltonAltamonte Springs/Orlando. Each Clubis entitled to two votes at the DistrictCouncil meeting. The President andVice President Education are automati-cally considered to be the votingdelegates. If the President or VicePresident Education cannot attend theconference, the District proxy shouldbe completed and given to a memberof the Club to vote on behalf of theClub.

Regional Proxy and Annual Proxy:Each Club is entitled to two votes at theRegional and Annual business meet-ings. Any Toastmaster can hold aClub’s proxy for the Regional andAnnual business meetings. TI will mail

THE CONTEST: Toastmasters International has a membership drive during February andMarch called “Talk Up Toastmasters!”. This is the first year District 47 will augment thiscontest with the BR awards. It is limited to existing Clubs. Sponsored by the District Market-ing Office, this contest will involve membership increases only. The Club, Area and Divisionwith the highest scores will be declared the winners. The goal is to have fun as we increaseour membership in District 47.

RULES: The Club, Area and Division with the highest percentage increase in membershipfrom Feb. 1 to Mar. 31 will be determined to be the winner. The percentage will be calcu-lated as follows: Membership at March 31 minus Membership at Feb. 1 divided by Member-ship at Feb. 1.

EXAMPLE: A Club has 20 members at Feb. 1 and 27 members at Mar. 31 based on theDistinguished Club Program reports for Jan. 31 and Mar. 31. The percentage increase is 27– 20 divided by 20 = 35 percent. Ties will be broken by lot.

Members in a newly chartered Club and Clubs that had not paid October dues by Feb. 1 willnot be included. Winners will be announced at the Division contests and recognized at theDistrict 47 Spring Conference.

Delsa Diehl-Banks was one of several Central Florida Toastmasters who lastsummer, at the request of the Legacy Foundation, conducted a Youth Leadershipprogram in Apopka, Fla. for dozens of gifted students. The children receivedworkbooks and formed leadership teams. They also fulfilled assignments,presented speeches and earned certificates of completion.
