1. Introduction

1.1 About Cisco Jabber Cisco Jabber is Seneca College's simplified softphone that is a secure easy-to-use app. The applications in the Cisco Jabber family of products are:

• Cisco Jabber for iPhone • Cisco Jabber for Android • Cisco Jabber for Windows • Cisco Jabber for Mac

1.2 Purpose of this User Guide

The purpose of this user guide is to describe some of the features of Cisco Jabber and to teach users how to navigate the app and perform some basic functions.

1.3 Request Cisco Jabber Access

To request Cisco Jabber access, send email to [email protected].

1.4 Operating System Requirements

In order to provide the best experience, these minimum requirements are desired:

• Microsoft Windows 10, 32 and 64 bit (Desktop OS x86) • Microsoft Windows 8.x, 32 and 64 bit • Microsoft Windows 7 SP1 or later, 32 and 64 bit.

2. Getting started with the Cisco Jabber app for Windows

2.1 How to set up your phone

1. Make sure that you have your sign-in method and account information from your system administrator.

2. Connect to your corporate network. 2.2 How to download Cisco Jabber for Windows

1. Go to https://inside.senecacollege.ca/its/services/telephone/jabber.html 2. Download the Cisco Jabber Windows Setup file.

2.3 How to Install the Cisco Jabber app for Windows

1. WIRED: Connect to a wired campus network. WIRELESS: Connect to the SenecaNet wireless network.

2. Launch the Jabber install application (CiscoJabberWindowsSetup). The installation wizard appears.

3. Tap Accept and Install on the Cisco Jabber installation wizard.

A progress bar of the installation appears.

Note: A dialog may appear requesting permission to install Cisco Jabber on your

computer, tap “Yes”.

4. Once the installation is complete, select Launch Cisco Jabber and tap “Finish” to exit

the wizard.

2.4 How to sign in to Cisco Jabber app for Windows

1. Tap the Jabber icon from your Computer. Doing so will launch the Cisco Jabber app.

2. Enter your username and password for Phone Services if not populated. Username

format is as follows: [email protected].

3. Tap Sign In.

Note: You may be prompted to validate server certificates. If you are unsure about this,

contact [email protected] to verify that you should accept the certificates.

2.5 Contacts Screen / Docking Window Overview After you have successfully signed in to Cisco Jabber for Windows, the Cisco Jabber app opens by default to the Contacts screen as shown in Figure 4-5 below. What You Can Do on the Contacts Window:

You can optionally show the docked window at the top of your screen to quickly access common features. To show/hide the docked window,

1. Open the main Jabber window.

2. Click the Settings (Gear) icon, then click View > Show docked window.

Note: Deselect this option to hide the docked window, if desired.

2.5.1 How to add people to your contacts on Cisco Jabber app for Windows You can add people to your contact list by searching for them in Cisco Jabber app for Windows. Once they are part of your contact list, you can easily click on their names to start a phone call.

1. From the Contacts tab, enter the name of the person you’d like to add as a contact in the Search or Call bar. As you type, results will appear for your selection.

2. When the person you’d like to add appears, hover over the name and click the plus (+) sign that appears. The Add Contacts window appears.

3. Add additional contacts (if desired) and choose a group assignment from the dropdown.

Note: You can also create a new group and assign the new contact to that group. To

create a new group, tap New Group, enter a Group name in the Group name field and

tap Create. The new group is automatically selected in the Group name dropdown.

4. Tap Add. The contact displays in the specified group.

2.5.2 Create a New Group

1. Click the Settings (Gear) icon, then click File > New > Group. 2. From the Add a New Group dialog box, enter a new group name and click Create.

Note: To delete a group, right-click on the group and select Remove.

2.5.3 Create a Custom Contact

1. Click the Settings (Gear) icon, then click File > New > Contact. 2. From the Add New Contact dialog box, enter a new contact name and click Add.

Note: To delete a group, right-click on the group and select Remove. 2.5.4 How to view your contact information

1. Double-click the Jabber icon on your Windows desktop screen. 2. Tap Contacts in the top-left corner of the screen. 3. Scroll down to the contact’s name or type name of the contact in the search or call

field. 4. Hover over the name, the contact’s information appears.

2.5.5 How to remove contacts on your Cisco Jabber app for Windows

1. From the Contacts tab, right-click on a contact name. An options menu appears for the contact selected.

2. Select Remove.

2.7 Calls 2.7.1 How to start a call from the contact list

1. From the Contacts tab, right-click on a contact. 2. Tap Call from the drop down menu.

2.7.2 How to start a call from the search bar

1. Enter the name of the person you want to call in the Search or Call bar. 2. Hover over the contact, click the phone icon.

2.7.3 Review Calls on your Cisco Jabber app for Windows

1. From the Recents tab, select the All or Missed option in the View or Type fields to

view either all or missed calls. 2. Hover over a call and tap the phone icon to return the call. 3. Right-click and select the Delete option to clear the list of recent calls. Doing so will

remove the call in the recent call history.

1. Right-click on any individual call or number. 2. Tap Delete from the drop down menu.

2.7.5 How to answer Incoming call on Cisco Jabber app for Windows Incoming Cisco Jabber calls use a unique Cisco ring tone, allowing you to distinguish them from other incoming calls. Cisco Jabber must be running on your device, in either the background or the foreground.

1. Tap the Answer icon to accept a call. 2. Tap the Decline icon to end a call.

2.9 Voicemail 2.9.1 How to review Cisco Jabber voicemail messages When someone leaves a voice message, you will see a badge with a number next to Voicemail tab in the Jabber Phone app. The number represents all unheard voicemail messages.

1. From the Voicemail tab, tap the play button next to any individual or number’s voicemail message to listen to the message.

2. Tap the Pause icon to pause the message. 3. Tap to the left or right to rewind or fast forward the message.

4. Right-click on any message for the option to: a. Call back b. Add contact c. View profile d. Mark as Unread e. Delete.

2.9.2 How to Delete Jabber voicemail message

1. From the Voicemail tab, Right-click on any message you want to delete, and tap Delete.

2. If you want to select multiple messages, hold down the Ctrl key from the Keyboard and select messages.

3. Right click and tap Delete from the drop down menu.

2.9.3 How to restore Cisco Jabber voicemail messages

1. From the Voicemail tab, select desired time frame from the View field drop down menu and Deleted from the Type field drop down menu.

2. Right-click on any message you want to restore, and tap Restore. 3. If you want to select multiple messages, hold down the Ctrl key from the Keyboard

and select messages. 4. Right click and tap Restore from the drop down menu.

2.9.4 How to Permanently Delete Voicemail messages Once a voicemail message is permanently deleted, it can no longer be retrieved.

1. From the Voicemail tab, select desired time frame from the View field drop down menu and Deleted from the Type field drop down menu.

2. Right-click on any message you want to restore, and tap Delete Permanently. 3. If you want to select multiple messages, hold down the Ctrl key from the Keyboard

and select messages. 4. Right click and tap Delete Permanently from the drop down menu.

5. When prompted to confirm, tap “Yes”.

2.10 Phone and Call Forwarding Preferences You can use the phone controls to switch where you want to receive calls (computer or phone). You can also disable phone services. To forward calls:

1. Tap the Phone and Call Forwarding Preferences icon. 2. From the Forward Calls To option, select Voicemail or Add a New number.

2.11 General Settings 2.11.1 Change Your Status

1. From the Status Message area. 2. Tap the dropdown arrow. 3. Select the status you want to display.

2.11.2 How to Create a Custom Status

1. From the Status Message area. 2. Place your cursor in the status message field and enter your new status message.

Note: You can create up to three custom status messages for each availability state.

2.11.3 How to Adjust Preferences You can adjust options for general preferences, chats, audio, video, status, sounds/alerts, privacy, and calendar integration.

1. Open the main Jabber window. 2. Tap the Settings (Gear) icon, then click Options. 3. Select the tab for the feature you’d like to change and follow the instructions. 4. Tap Apply, then OK to save the new options selected or tap Cancel to discard

changes.

2.11.4 How to sign out of Cisco Jabber To log out:

1. Open the main Jabber window. 2. Click the Settings (Gear) icon, then tap Sign Out.
