1. Introduction

1.1 About Cisco Jabber Cisco Jabber is Seneca College's simplified softphone that is a secure easy-to-use app. The applications in the Cisco Jabber family of products are:

Cisco Jabber for iPhone Cisco Jabber for Android Cisco Jabber for Windows Cisco Jabber for Mac

1.2 Purpose of this User Guide

The purpose of this user guide is to describe some of the features of Cisco Jabber and to teach users how to navigate the app and perform some basic functions.

1.3 Request Cisco Jabber Access

To request Cisco Jabber access, send email to [email protected].

1.4 Minimum Device Requirements Device requirement for Cisco Jabber app for Android. The below software and hardware requirements are the suggested minimum requirements for running Cisco Jabber for Android. This guide assumes the latest software versions are in use. Please note that some versions may have slight variations. Android Operating System CPU Display 4.4 or later. Important Minimum operating system version will be 5.0 in the next major Cisco Jabber release.

1.5 GHz dual-core Recommended: 1.2-GHz quad-core or higher

For two-way video: 480p x 800p or higher For IM only: 320p x 480p or higher

2. Getting started with the Cisco Jabber app for Android

2.1 How to set up your phone

1. Make sure that you have your sign-in method and account information from your

system administrator.

2. Stop other Voice-over-IP (VoIP) applications.

3. Connect to your corporate network, any other wireless network or use your mobile

data.

2.2 How to Download Cisco Jabber for Android

1. Go to Google Play App Store.

2. Search for Cisco Jabber.

3. Tap Install to install.

5. Once Jabber application has been launched, next, read the end user license

agreement and terms of service and tap Accept.

6. Review the In-Cisco Jabber screens, swipe to the left and tap Get Started Now.

7. Tap Accept to permit Jabber to access your contacts, use Jabber with Siri, and send

you notifications.

8. Tap Ok when you’re prompted that Jabber would like to access the microphone.

2.3 How to sign in to Cisco Jabber app for Android

1. Tap the Jabber icon from your Android Home screen. Doing so will launch the Cisco

Jabber app for Android.

2. When you’re prompted to enter your username and domain, enter it in the following

format: [email protected]. (i.e. your Seneca College

username and password).

3. Tap Continue.

4. On the final screen, enter your password in the space provided and tap Sign In.

Note: You may be prompted to validate server certificates. If you are unsure about this, contact [email protected] to verify that you should accept the certificates.

2.4 Contacts

After you have successfully signed in to Cisco Jabber for Android, the app opens by default to the Contacts screen as shown in Figure 2-6 below.

What You Can Do on the Contacts Window:

1. Profile: Access Profile Status and Settings. 2. Contacts: View / Edit Contacts or Favorites. 3. Search or Call: Search for Contacts and Make Calls. 4. Navigation Pane: Access Contacts/Favorites, Chats, Calls, Meetings or Voicemail. 5. Contact List: View Contact/Favorites List and Group Contact List. 6. Plus (+): Add contacts, group or favorites.

2.4.1 How to add people to your contacts on Cisco Jabber app for Android

You can add people to your contact list by searching for them in Cisco Jabber. Once they are part of your contact list, you can easily click on their names to start a phone call.

1. Tap the Jabber icon from your Android screen.

2. Next, tap Contacts in the top-left corner of the screen.

3. Tap the Plus (+) icon in the bottom-right corner of the screen.

4. Choose Add Contacts in the bottom-right corner

5. Enter the contact name to search the directory, or enter the username directly if you know it.

6. Tap the name of the contact you want to add.

7. In the Assign to group drop down menu, choose a group, assign the contact to that group.

8. You have the option to add contact to favorites.

9. Tap Done in the upper-right corner of the screen.

Note: You can also create a new group and assign the new contact to that group. To

create a new group, tap the Plus (+) icon and choose Add Group and enter the new

group name in the Add new group field and tap Save.

2.4.2 How to view your contact information

1. Tap the Jabber icon on your Android Home screen.

2. Tap Contacts in the top-left corner of the screen.

3. On the Contact screen, tap and hold the contact you want to view.

The contact’s information appears.

2.4.3 How to call or email someone from your contact list

1. Tap the Jabber icon on your Android Home screen

2. Tap Contacts in the top-left corner of the screen.

3. Tap and hold on the contact you want to call.

The contact’s information appears.

4. Tap the call button or email address to initiate a call or compose an email.

2.4.4 How to remove contacts on your Cisco Jabber app for Android

Cisco Jabber for Android lets you remove an existing contact from the application.

1. Tap the Jabber icon on your Android Home screen.

2. Tap Contacts in the top-left corner of the screen.

3. On the Contact screen, tap and hold the contact you want to remove.

When presented with the contact’s profile screen, tap the three vertical dots in the top-right corner of the screen and tap Delete Contact.

4. Tap OK when Delete confirmation prompt appears.

2.4.5 How to assign a Favorite Contact

You can add people to your favorite contact by searching for them in Cisco Jabber once they are part of your contact list.

1. Tap the Jabber icon on your Android Home screen.

2. Tap Contacts in the top-left corner of the screen.

3. Tap the All tab and then tap hold the contact you’d like to assign favorite status.

4. Tap the greyed out Star button in the top-right corner of the screen to assign the contact favorite status.

2.4.6 How to unassign a Favorite Contact

1. From the Contacts tab, tap All, then tap and hold the contact you’d like to unassign favorite status.

2. Tap the Star button to toggle again in order to unassign the favorite status.

2.6 Calls

What You Can Do on the Calls Screen:

1. Profile: Access Profile Status and Settings. 2. Calls: Access Recents (all or missed) call logs. 3. All: Review all recent call history. 4. Missed: Review missed call history. 5. Call List: Review call list by selecting either (all or missed). 6. Keypad Icon: Dial a phone number using the built-in Jabber keypad and search your

local Android Contacts to call any saved contacts.

2.6.1 How to review Recents calls (all or missed) on your Cisco Jabber app for Android

1. Tap the Jabber icon on your Android Home screen.

2. Tap Calls in the top-centre of the screen. Here you will see a list of all your recent call history both incoming outgoing and missed calls. Missed calls are highlighted in red.

3. Tap either All or Missed to view respective call history.

4. Tap and hold the contact you want to view.

2.6.2 How to delete call history on your Cisco Jabber app for Android

1. From the Calls tab, tap either “All” or “Missed” to review calls.

2. Tap and hold the name or number you’d like to delete. You'll see that each call record now has a check box option to the left of the caller's name or number. The drop down arrow above allows you to select all or unselect all.

3. Select the call logs you’d like to delete.

4. Tap the Delete icon in the top-right of the screen. Doing so will remove the call log.

2.6.3 How to call someone using the Keypad on Cisco Jabber app for Android

The Cisco Jabber keypad option allows you to dial any telephone number using your Desk Phone caller ID rather than your mobile device caller ID and search your local Android Contacts to call any saved contact.

1. Tap the Jabber icon on your Android Home screen.

2. Tap Calls in the bottom left corner of the screen.

3. Tap the Keypad tab in the upper-right corner of the screen.

4. When presented with the Jabber Keypad, tap the complete phone number of the person you’d like to call on the keypad.

5. Tap the green Phone icon to place the call.

6. Speak clearly into the microphone when the other person answers the call.

7. When the call is finished, tap the red End button to hang up.

2.6.4 How to answer Incoming call on Cisco Jabber app for Android

Incoming Cisco Jabber calls use a unique Cisco ring tone, allowing you to distinguish them from other incoming calls. Cisco Jabber must be running on your device, in either the background or the foreground.

1. Tap Answer to accept the call.

2. Tap Decline to end the call.

Note: If you are already on a Cisco Jabber VoIP call and you answer a second Cisco Jabber VoIP call, the app places your first call on hold. Press the Resume button to continue with the call.

2.8 Voicemails

2.8.1 How to listen to Cisco Jabber voicemail message

When someone leaves a voice message, you will see a badge with a number next to Voicemail tab in the Jabber Phone app. The number represents all unheard voicemail messages.

1. Tap the Jabber icon on your Android Home screen.

2. Tap Voicemail in the top-right corner of the screen.

3. Tap Inbox to review all voicemail messages.

4. Tap a voicemail message to open the playback options.

5. Press the Play icon to listen to the message.

6. Press the Pause icon to pause the message.

7. Drag the slider bar to the left or right to rewind or fast forward the message.

8. You have the option to tap Call Voicemail to retrieve voicemail messages and following the prompts to listen to your voicemail messages. You will be required to enter your Seneca’s Voicemail password.

2.8.2 How to mark a voicemail as heard / unheard

You don’t have to actually listen to a voicemail in order to mark it as already heard. Sometimes, you already know what a message says and you don’t need to hear it.

1. From the Voicemail screen, tap the voice message to view the details.

2. On the voicemail message Details screen, tap Mark as Read for unheard voicemail or Mark as Unread for heard voicemail.

2.8.3 How to call back someone that left a Jabber voicemail message

1. From the Voicemail screen, tap Inbox and locate the voicemail contact you wish to call back.

2. Tap and hold the voice message username or number to view the details.

3. On the voicemail message Details screen, tap the phone icon in the top-right corner of the screen.

2.8.4 How to delete a Jabber voicemail message

If you don’t want to save a voicemail for prosperity, you can move it into the Trash folder where you later have the option to “Restore” it.

1. From the Voicemail screen, tap Inbox and locate the voicemail message you wish to delete.

2. Tap and hold the voicemail message name or number you’d like to delete to view the details. You'll see that each voicemail message name or number now has a check box option to the left of the caller's name or number. The drop down arrow in the top left of the screen allows you to select all or unselect all.

3. Select the voicemail message name or number you’d like to delete.

4. Tap the Delete icon in the top-right of the screen. Doing so will remove the selected voicemail message(s) and placed into the Trash folder where you later have the option to restore.

2.8.5 How to restore a trashed message

To restore a voicemail messages from your device, you’ll need to perform these steps.

1. From the Voicemail screen, tap Trash tab and locate the voicemail message you

wish to restore.

2. Tap and hold the voicemail message name or number you’d like to restore to view the details. You'll see that each voicemail message name or number now has a check box option to the left of the deleted voicemail message name or number. The drop down arrow in the top-left of the screen allows you to select all or unselect all.

3. Select the voicemail message name or number you’d like to restore.

4. Tap Restore icon in the top-right corner of the screen to restore.

2.8.6 How to empty trashed messages

Once a voicemail is cleared from Trash, it can no longer be retrieved.

1. From the Voicemail screen, tap the Trash tab to view all trashed voicemail messages.

2. Select the voicemail message name or number you’d like to permanently delete.

3. Tap Empty Trash.

4. When you’re prompted, tap Ok to empty trash.

2.9 How to access account profile and settings window

To access account profile and settings:

1. Tap the Jabber icon from your Android Home screen.

2. From the Contacts screen, tap the Profile icon in the top-left corner of the screen to access your Account Profile and Settings.

What you can do in the account profile and Settings screen:

1. Profile: View and edit your avalability 2. Settings: Edit your settings. 3. Sign Out: Sign out of your account. 4. Accounts: View and edit your account information.

2.9.1 How to edit your availability

To change your presence status:

1. Tap the Profile icon in the top-left corner of the screen.

2. Tap your profile name to open My Status screen.

3. Tap a status to enable it. You have the option to set status as Available, Away or Do

Not Disturb.

4. Tap the < link next to My Status in the top-left corner to return to your Account Profile

screen.

2.9.2 How to edit your settings

The Settings tab allows you to review and configure a range of options from sounds that play when a call is received to the quality of the audio or video used in the Cisco Jabber application. You can also view Cisco Knowledgebase and Reset Jabber and Reset Jabber. For advanced help using Settings for Cisco Jabber, contact [email protected].

1. Tap the Jabber icon from your Android Home screen.

2. Tap the Profile icon to access your Account Profile screen.

3. Tap the Settings icon to open your account settings.

4. From the Settings screen, select the name of the feature you’d like to change.

5. Toggle the option to adjust your preferences or follow the instructions to complete the change.

The following information is displayed in the Settings Window:

Silent Turn off vibration when on a call (Enable or Disable)

Privacy Enable Touch ID: Allows you to use your finger print to sign in. You can Enable or Disable Touch ID. Status Automatic Sign-Out: Allows you to set Automatic Sign-Out time or Never Sign-Out.

Automatic Away: Allows you to set a time frame or set to Off. Display Accessibility Icons

Show Contact Photo Show Offline Contacts

Custom Tabs Add Custom Tab: Allows you to Add Custom Tab.

CALL Audio Audio

Low-Bandwidth Mode (Enable or Disable): Optimizes audio quality for calls over low-bandwidth Wi-Fi networks. This setting disables video for calls.

Default Audio Output (Receiver or Speaker): Determines where the audio plays during a call. This setting takes effect only when there is no headset connect to your device. The option allows you to set to:

Disable Speaker for Voicemail (Enable or Disable): Your voice message plays through the earpiece of your device. This setting takes effect only when there is no headset connected to your device.

Video Send Automatically (Enable or Disable): Automatically sends video for calls. During a call,

you can use the call control to stop sending your video. Enable Differentiated service for calls (Enable or Disable): Enabling Differentiated Services

for calls is recommended. Only disable this setting if you are experiencing issues with calls where you can see or hear other parties, but you cannot be heard or seen, you are

experiencing unexpected WiFi disconnection issues, or you are instructed by your administrator. Differentiated Services may degrade voice and video quality.

ACCOUNT Contact Services Allows you to Reset Jabber Phone Services Manage work calls on your mobile device. Yourfirstname.jabber and jabber password required. Voicemail Set up voicemail account. When people call your work number and leave voicemail, you can access them

on your mobile device. Your Seneca phone extension and password required.

2.9.3 How to turn on accessibility icons

By default, Cisco Jabber uses standard icons. You can also set the jabber app to use accessible status icons, which are monochromatic and use symbols to show status.

1. Tap the Jabber icon from your Android Home screen.

2. Tap the Profile icon to access your Account Profile screen.

3. Tap the Settings icon to open your account settings.

4. From the Settings screen, go to Display and then turn on Accessibility Icons.

2.9.4 How to add custom status

1. Tap the Profile icon in the upper-left corner of the screen.

2. Tap your profile name to open My Status screen.

3. From My Status screen, tap the Plus (+) in the top-right corner of My Status screen.

4. Enter your custom status and tap Save.
