General Ledger Interface

The Apex General Ledger (G/L) Interfacemodule generates General Ledger entriesfor reporting or importing directly into third-party accounting systems.

When a posting is made in the Apex system, theG/L Interface generates corresponding entries forthe appropriate G/L accounts and stores the data inASCII format. The format of this data file can becustomized through export templates.

G/L posting information is also stored in a local history file at the office. This information can beexported on demand or used to generate G/Lreports for making manual entries into a third-party system.

All postings that affect the G/L can becategorized into three groups: AccountsReceivable, Accounts Payable, and Inventory. The option is provided to post to one or more of these groups.

The G/L chart of accounts can consist ofdefault account codes or can be assembledfrom user-specified components. Componentscan be based on things such as the location ofthe sale, the product, or the customer.

RailThe Apex Rail Module creates Bills of Lading which include customers, products, pricing, and orders for rail cars and trains.

The Rail Tracks program is used to assign anumber and a description to each track in yourplant. This identifies the track when you assignrail cars. Tracks may be renumbered andrenamed within the Rail Track program.

A Rail Equipment Master file is maintained andupdated for each rail car arriving on site or it canbe imported from the Official Railway EquipmentRegister. The Register lists rail car owners andtheir rail cars and other information, including carnumber, car type, capacity, etc.

The Rail Schedule program captures rail ordersby location, load date, and train number. Railschedules include the customer, order, product, number of cars, and delivery date. Rail cars canbe assigned manually without schedules. However, the use of schedules can save timeand reduce errors during the assignmentprocess.

The Rail Car Assignment program allows users to assignrail cars from scheduled items, or manually withoutscheduling. Weights and other details about the car areentered here. Multiple cars can be selected andassigned together. When assigning rail cars individuallythe customer, order, product, purchase order, and bin IDcan be assigned individually. Cars can be unassigned from a train. The module includes a carsearch capability; car status is indicated by grid colors.

Auto IDThe Auto ID module is an add-on toour existing ticketing system thatallows for attended or unattendedticketing, weigh-ins, and check-ins.

Auto ID automates the ticketing process byusing radio frequency (RF) devices for vehicle identification and assignments.Utilizing this technology to identify vehiclesentering or leaving the ticketing site withoutthe intervention of a scale person has greatly reduced the overhead required formost scaling operations. Auto ID facilitatesweekend or after-hours ticketing/loadingwithout plant personnel intervention in theticketing process.

Upon entering and/or exiting the site, thevehicle is identified by either an RFID cardor truck-mounted tag. This unique ID number is associated with a specific vehicle, which is assigned a customer, order, and/orproduct. Through system automation ordriver selection, the correct load information is validated, freeing the weighmaster from routine ticketing requirements. A green traffic light is activated to indicate a successful read ofthe vehicle ID, telling the driver to enter thesite or leave the scale and retrieve the ticket.

A touch screen interface may be added toallow the driver to choose from multiple loadauthorizations. A remote printer inside acustom-designed printer enclosure furtherexpedites ticket delivery. Multiple Auto IDterminals may be used and each terminalcan be configured independently accordingto its function. Scale Watcher

Scale Watcher is an integrated solution forproviding photo verification of the weighingprocess.

When Apex sends a print signal to the ticket printer,a camera is activated to take a still digital photo ofthe vehicle on the scale. The ticket information isthen superimposed on the captured photo andsaved as a PDF file by ticket number. This storedfile provides ironclad proof of vehicle pickup withoutrequiring driver signatures. In addition, you caneasily print or e-mail photos to customers to supportany inquiry.

The system also allows you to record and store rawvideo for complete accounting of any incident. Upto four cameras may be utilized with the base system with no additional PC requirements. Totalsite recording is available with add-on cameras andsoftware. Remote viewing of the video stream isalso available over the Web.

The add-on Gate/Valve Anti-Theft module providesa photo alert whenever the gate/valve is opened andclosed on a loading system and the ticket is notprinted within a specified period of time. This alertcan be in the form of a report with the photo numberdate/time stamp or actual e-mails sent with the PDFphoto file attached to one or more recipients.
