Meet the Auctioneer

We can’t have an auction without an auctioneer, and we have the area’s best auctioneer to help us. Bear Stephenson has been doing auctions in this area for many years through Stephenson Realty and Auction Company in Clinton. In addition to his commercial endeavors, Bear also donates his services to more than 60 charity auctions each year for organizations such as March of Dimes, United Way, Oak Ridge Arts Council, Oak Ridge Christian Women’s Club, Appalachian Ballet Company, business and professional clubs, Cystic Fibrosis Foundation, and many others. We are fortunate to have him donate his time for our auction. Expect a wild time—Bear always makes it fun.

I LUUV ORUUC Auction We have planned an evening of fun, good food, good company and, best of all, a wonderful list of bid items. Whether or not you have donated anything, we think you will enjoy bidding on services and items donated by members and friends of ORUUC. There is no obligation to purchase anything. This is not only a fundraising event; we want it to be a FUN event as well. Our goals are to raise money for ORUUC and to have a great time in the process. Hors d’oeuvres and beverages will be served beginning at 5:30. At registration you will receive a coupon for a complimentary glass of wine or beer. More are available for a donation; all other refreshments are complimentary. PLEASE BRING THIS BOOKLET WITH YOU TO THE AUCTION, AS THERE ARE VERY FEW EXTRA COPIES AVAILABLE.

GENERAL INFORMATION You must register to obtain a bidding number. Registration will take place the evening of the auction, Saturday, February 5, 2011. There are three types of auction: a Live Auction, a Silent Auction and a Fixed Price Auction. How each of these works is described in this booklet. Take time to read this booklet. Examine the wide array of services and items listed. It is a good idea to mark the items of interest to you ahead of time, prior to the fast pace and excitement of the auction.

BIDDER NUMBERS

For a $5 registration fee you will receive a bidder number. Use your bidder number on all Live Auction bids that you make. Bidder numbers help us keep track of your purchases.

LIVE AUCTION—HOW IT WORKS

Each Live Auction item is listed in this booklet. Each item has a number, a short description and a quantity or number of spaces. The auctioneer will auction each item in turn, beginning with the first item listed. To bid, hold your bidding number in the air so the auctioneer can see it, and make an offer higher than the present offer. Each bid must be recognized by the auctioneer. When the auctioneer declares the item sold, the bidding is over for that item and the auctioneer will announce the winning bidder’s number and the final price. If you just can’t make it to the auction but really want to bid on something, have someone else bid for you.

SILENT AUCTION—HOW IT WORKS A form for each of the Silent Auction items listed in this booklet will be available for perusal starting Sunday, January 23. The form will list the item number and have a short description, including whether a minimum bid is required. The form will also indicate how many of that particular item are offered, if more than one. Some of the actual items, or at least photographs of them, will also be available. To make a bid on a particular item, write your name, phone number, and the amount of your bid on the blank line immediately below the last bid. If there is more than one item available, be sure to indicate how many of the item you want at that price. Check the bid forms in the days before and during the auction to see if someone has made a higher bid than yours. You can continue to bid on an item as many times as you wish. The silent auction will close at precisely 7:00 PM the evening of the auction. At that time, someone will be responsible for indicating the bids already made, and bids will not be accepted afterwards. There will be announcements several times during the evening about how long it is until the auction closes.

FIXED PRICE AUCTION—HOW IT WORKS

A form for each of the Fixed Price Auction items listed in this booklet will be available for perusal starting Sunday, January 23. The form will list the item number and a have short description, including the fixed price of that item. The form will also indicate how many of that particular item—or how many spaces--are offered, if more than one. Some of the actual items, or at least photographs of them, will also be available. Because the price for each item is fixed, you do not have to bid on these items. Signing up on the form will get you the item at the indicated price. Be sure to indicate how many of the item you are purchasing. IF THERE ARE A LIMITED NUMBER OF OFFERINGS OF AN ITEM, THEY WILL BE AWARDED IN THE ORDER THAT YOU SIGNED UP. Check the forms in the days before and during the auction to see if someone has taken their name off the list, thus opening up another spot. The fixed price auction will close at precisely 7:00 PM the evening of the auction. At that time, someone will be responsible for indicating the bids already made, and bids will not be accepted afterwards. There will be announcements several times during the evening about how long it is until the auction closes.

DOOR PRIZES We will be awarding a number of door prizes. At various times throughout the Live Auction we will draw bidding numbers at random for the door prizes. We do not offer a choice among door prizes, but in keeping with the positive spirit of the auction we encourage negotiations with other winners of prizes you wish you had won.

KIDS AT THE AUCTION

Children’s activities will be provided during the auction, starting at 5:30 pm and lasting until the closing of the auction activities. If you plan to bring children on auction night, please RSVP to the church no later than Tuesday, February 1, and leave the names and ages of the children.

CLAIMING YOUR PURCHASES

If you purchase an item that is on hand the night of the auction, please take it with you after the silent auction winners have been announced, which will happen immediately after the live auction. All services, lessons, dinners, items, etc., purchased this year should be delivered within one year unless otherwise arranged. Each donor has the obligation to make arrangements to provide the service to the winning bidder(s). Each donor will receive a list of the winning bidder(s) as well as the purchase price to be used as a tax receipt (see below for more information) by February 12. Winning bidders will be billed by mail for their purchase no later than February 12. PLEASE NOTE: ALL ACCOUNTS MUST BE PAID IN FULL BY March 12, 2011.

TAX DEDUCTION To the extent provided by law, there may be certain tax deductions available to you. If you can show the fair market value of services you purchase at the auction, you may be allowed a charitable contribution for the amount paid over market value. Providers of services may not take the contribution as a deduction. Those who donate items may be able to count the value of the items as a charitable contribution. Expenses for supplies and materials used to perform a service may be deducted by the contributor.
