Then, click an option.For example, we can click Bold to make this text bold. Then, select this text, and click Bullets to add bullets.And click the Font Size arrow to select a different font size.You can also select Font to change the font style, and justify or indent paragraphs.If you dont know what a button does, hold the mouse pointer over an option and read the screen tip.If youre into speed, you can right-click a selection and use the mini toolbar that pops up.To see what an option looks like, select some text and start clicking.If you dont like the way something looks, press Ctrl+Z to undo the change.Or click Undo on the Quick Access Toolbar.If you want to quickly remove all formatting, select the text, and click Clear All Formatting.Now if you cant find the formatting option you want, click the Format Text tab.This tab has all the formatting options found on the Message tab and more. Lets select some text and try a few. With Change Case, you can make all the letters upper case, or capitalize each word.You also have more Paragraph options.These lines of text look kind of squished together now,but we can change that by selecting the text and using a line spacing option.Lets try adding a space after each paragraph. Much better.And lets select this bulleted text. Then, click the arrow next to Shading and pick a shading color.You can also add a border around paragraphs or sort a list.See the course summary at the end of this course to get more details on all the formatting options.If you use Microsoft Word, you may know about these options, called Styles.Click the More button in the Styles group to open the Style gallery.You can use the built-in styles or create your own. They combine several formatting options in one click.Currently, the Normal style is selected for the heading.But you can hold the mouse pointer over other styles to get a preview of what they look like.Since this is a heading, we can use a Heading style to make the text stand out with a larger font and color.To do even more with Styles, click Change Styles.Here you can quickly change the overall look of your email, including font and paragraph styles, and colors.So thats the basics of formatting email in Outlook. But theres one more thing you should be aware of.At some point you may go to add formatting, and notice that none of the buttons work.Heres what to do. Go to the Format Text tab, and check the Format group.Chances are youre replying to an email sent to you using plain text.This format is great for sending basic email, but if you want to use formatting,you need to change to either Rich Text or HTML.HTML is best because its compatible with most email apps, including most smartphones.As soon as you select HTML, you can start formatting.So check the course summary at the end of this course for more details about formatting options,or click an option and see what it does.Remember, you can always press Ctrl+Z to undo a change.Up next, well format fonts for all messages. 3. 5 761 2 3 4 Course summary 8 HelpFonts, hyperlinks, and spell check Closed captions Press F5 to start, Esc to stop Summary Feedback Help 2/5 videos In this movie, were going to cover how to change the default font for all messages.Click the File tab, and Options.Click Mail, and on the right click Stationery and Fonts.In this dialog box, you can change the default font for all new mail messages,and for messages that you reply to or forward.You can also choose the font that youll see when you compose or read plain text messages.Under New mail messages, click Font.By default, Body is selected. This isnt actually a font. This is what you select if you want to use Outlooks default font. Scroll through the font list until you find the font you want and then click it. You can see a preview down here. In addition to the font type, you can choose a font style, such as bold or italic, and a font size.Click Font color and select a color if you want. You can even add an underline or any of the options below.Again, if you dont know what an option does, click it and see.You also have options on the Advanced tab.For more information about the advanced options, see the course summary at the end of this course.When youre done, click OK.Now do the same thing to choose a font that Outlook will use when you reply to or forward a message.Under Replying or forwarding messages, click Font, choose the options, and click OK.Click the third Font button to change the font you see when youre composing and reading plain text messages. Keep in mind your recipients wont see the font because plain text messages contain only text information and no formatting. When youre done, click OK and OK.Now when you click New Email or press Ctrl+N to start a new email message,the font you chose for new email is selected in the Font list by default. And you can start typing using the new font. The same thing happens when you reply to an email or view a plain text message.The fonts you choose for replying and viewing plain text messages are selected by default.In the next movie, well format text in a message as a hyperlink. And your browser opens to the web address.When recipients open the message they follow the link by just clicking the text. They dont have to press the Ctrl key. The other way to add a hyperlink is to format some text manually.Use this method if you have a long,complicated URL like the one shown here and want to keep the look of your message body clean.Select the text you want to add the hyperlink to. Make sure to select just the text.Right-click the selection. Then, click Hyperlink.Type or paste the URL in Address, and click OK. And the link is added.Now what if you type a URL, but you dont want it formatted as a hyperlink? You can remove the formatting.Right-click the formatted text and click Remove Hyperlink.Notice that you can also edit, open or copy the hyperlink from here, too.Up next, youll learn about another way that Outlook can help you compose the perfect message the spelling checker. When you press the Spacebar, Outlook automatically corrects the spelling.Type two initial capital letters, and AutoCorrect makes the second letter lower case.AutoCorrect can be very useful for quickly correcting common typing mistakes, but it doesnt catch everything. When you misspell a word that isnt in the AutoCorrect list, then the spelling checker kicks in.By default, the spelling checker indicates a misspelled word with a red, squiggly underline.To fix the mistake, you can retype the word manually.But an easier way is to let the spelling checker suggest a correct spelling.And you have two ways to do that: correct the spelling immediately, or wait until youre finished typing.To correct spelling immediately, right-click the misspelled word.Then you can choose one of the suggested words;click Ignore All if you want the spelling checker to recognize the word as correctly spelled in the message;or you can add the word to the dictionary, so the spelling checker will always recognize it as a correctly- spelled word. By the way, a blue squiggly line under a word points to a potential usage error.The word may be spelled correctly, but its not used the right way.Now if youre the type of writer who doesnt want to deal with misspelled words while youre typing,you can spell-check your message when youre finished.First, click in the message to make sure nothing is selected.Click the Review tab and Spelling & Grammar.The spelling checker scans the message starting from the beginning and looks for misspellings.When it finds one, this dialog box shows the word in red and offers suggestions in this list below.Click the one you want, and then choose one of the buttons on the lower right.Click Change to change the word to the one you selected; click Change All to change all words that are similarly misspelled, or if you make the same spelling error often, you can click AutoCorrect to add it to the AutoCorrect list.So in the future it will automatically correct as you type.If you dont find a suggestion you like, you can retype the word manually up here.You can also ignore this particular misspelling, ignore all similar misspellings,or add the misspelled word to the dictionary.By the way, you can also check grammar as you type by selecting the Check grammar box.So thats how AutoCorrect and the spelling checker work by default.But you can change how they work and what they check for if you want.Click the File tab, and Options.Click Mail, and Spelling and AutoCorrect. Down here you have options for the spelling checker.For example, you can uncheck Check spelling as you typeif you dont want to see the red squiggly lines under misspelled words.Click AutoCorrect Options to change what Outlook corrects automatically.For example, if you dont want Outlook to correct two initial capital letters,you can uncheck the Correct Two Initial CApitals option.Down here you can view and change the words Outlook looks for and corrects.For example, if you type accidant with an a, Outlook changes it to an e.You can change or add a word to replace, or delete an item in the list.Or you can uncheck Replace text as you type to turn it off.Now you have the basics of the spelling checker and AutoCorrect.If you want to do more with these features, check out the links in the course summary at the end of this course. Heres how to set that up. First, select the text you want to check. Then, click the Review tab, Language, and Set Proofing Language.Lets check Spanish. And click OK. And the text is checked for Spanish.When you right-click a misspelled word, you get Spanish suggestions.If your message includes text in another language,select the text, click Language, and Set Proofing Language, and change the language.If you dont see the language you want at the top, scroll down in the list to find it. Then, click OK.If the language you choose doesnt have this ABC checkmark icon, it means it isnt set up on your computer.See the course summary at the end of this course for links to information about setting up multiple languages in Windows. Finally, if youre starting a new message, you can select the language before you start typing.Click Language, and Set Proofing Language. Then choose the language you want to use, and click OK.Now as you type, Outlook checks your spelling in that language.
