Data breach detection and escalation can be costly

To protect your data from i n t e n t i o n a l a n d unintentional deletion, the solution is simple: back up data so that you can restore it when needed. As for any security issue, a formal process should be defined to set up disaster recovery of any lost critical business data.

You need to define and implement your own disaster recovery plan in the event of data loss. -  Export Salesforce data to create an external backup. -  Manage recovery of lost data when needed.

This means addressing all issues associated with a complete failover strategy:

Correct a data breach: better back up than be sorry

Frequency of data export: Salesforce supports weekly exports – what if you lose important data between weekly backups? Granularity of data export: Salesforce supports a standard database export – what if you lose very special data and you need to recover it without affecting the rest of your data? Volume of data export: When your database becomes very large, the time to process your export may takes several hours or even days… not easy to manage when the volume keeps growing.

Security of data export: Your data is secured within Salesforce , its backup needs to be secured also. It is your responsibility to implement secured/encrypted infrastructure, network, server, storage, access, etc.

Salesforce Weekly Export and Data Recovery Service are NOT automated recovery processes

In case of a failure, you have two options: Lost data is included in the weekly export you stored on your computer: you will have to recover data from the csv files, making sure to maintain all relationships between records as well as ensure that the data matches metadata, which can be complex. The lost data is not available to you: You have to ask salesforce.com for their data recovery service, the details of which include the following:

-  Because it is performed manually, it has a cost. The price for this service is a minimum of $10K.

-  Your data is not “recovered”: The deliverable of the recovery service is a csv file that places you in the previous position for recovery.

-  It takes time: “Usually a minimum of 3 calendar weeks” is required to receive the csv files. This timeframe is not necessarily compatible with your business continuity requirements.

Recovery process requires prepared & exhaustive backups

To ensure that you can recover your data in case of a data breach, you need exhaustive backups:

Retention: Should you find out after several months that there is a data loss in your system, it is important to have good retention of your backups.

Metadata: A backup needs both Metadata & Data to ensure integrity between your data and your application.

Files: Do not forget to backup Chatter files, documents and attachments!

Data: Weekly export backup approximately 40% of all Salesforce data; history tables, sharing tables, formula fields and managed package tables should also be part of your backup.
