• Eligibility– Your organization MUST be a 501c3 public

charity– Public libraries

• Restrictions– Most organizations are eligible, except:

• Schools • Health care organizations• Governmental/Municipal organizations• Religious organizations without a secular, community

Microsoft Program Structure

• Within a 2-year cycle, you can request 6 titles and 50 licenses of each title

• You must wait 12 month between requests

• 5 licenses or “seats” minimum request

1. From TechSoup: Congratulations and what to expect next.

2. From Microsoft VLSC: Indication that agreement is available for NGO to accept with brief log in info to VLSC site.

3. From TechSoup: Details about how to accept and activate your agreement and obtain your license keys. Lists software granted, info about other benefits your donation includes, and legal addendums.

Software Assurance (SA) BenefitsThese benefits are good for 2 years and include:


Free upgrade to any new version of your licensed products that Microsoft releases during the two years your Software Assurance is in effect. Can obtain media for the upgrade/downgrade via download or mail.

The actual upgrade does not have to take place within the two year period.

Licenses remain valid, and the organization can continue to use the product after SA benefits expire.

Client Access Licenses (CALs) are also usable on the upgraded product. No media required.

To obtain the Office Multi-Language Pack, you must have a license for an Office suite, not just an individual Office product.

Office Multi-Language Packs are add-in products that can display the user interface of the Office desktop applications — windows, tabs, help, and so on.

In 37 different languages. Availability of proofing tools makes it possible to

check spelling, grammar, and so on in documents created in these languages.


Any employee who has a Microsoft Office suite on their work computer can get a copy of the current versions of Office Professional or Office for Mac for home/personal use for a small fee.

The Office software can be used only while the user continues to be employed and while the Software Assurance for the Office suite remains active.


Self-paced, interactive training. Designed for maximum skills transfer in minimal

time. A course must start before SA expires and be

completed within one year. Courses are grouped into three categories:

applications (desktop applications), systems (operating systems), and servers.

Availability of courses depends on the number and type of products with active SA benefits.


If your organization has a server product with active Software Assurance, you have the right to use Volume License media to install the same software on a "cold" server (one that is turned off until an emergency situation). In a disaster, this server can be moved into production so that users can continue to access critical data and applications.

You have one disaster recovery license for each server license with active Software Assurance.

After Software Assurance expires, you can continue to use cold backup software already installed, but you cannot install any additional cold backups.


What is a Volume License Key (VLK)?• Volume License Keys are also knows as Product Keys.

• Microsoft includes product activation technology in some Volume Licensing products.

• A product key is required to activate (unlock) and then use the software.

• Used during the installation process.

• Product keys should only be used with Volume License products and are intended for use only by the organization to which they were granted.



Questions and Answers

Are Product Keys required for all Volume Licensing products? No. Some products do not require a product key. To determine if a product requires a volume license product key, look up the product.

Product Key FAQ:


• Licenses are perpetual (they do not expire). It is the software assurance benefits that expires after 2 years.

• Software Assurance cannot be renewed or purchased.• SA benefits start when licenses are issued (granted).

• Email is sent to all Open volume license customers 3 months before SA benefits expire. Wording is tricky, but the meaning is that the SA benefits are about to expire, nothing else expires.

Licenses do NOT expire, SA benefits do.
