Bare Space Package will only include floor space without carpet and any furniture or fixtures. Exhibitors will have to construct their own designed stalls. The MINIMUM size of Bare space stall will be 36 Sqm only.

SERVICES

Construction of Stands & Date of Stand Completion:

The interior design of the stand will have to be within the architectural controls laid down by organizer and design of the stand will have to be got approved from organizer before 31-08-2016 . Work regarding construction of stands will be permitted within the stand area only or outside the pavilion and in no case in the walk ways in the pavilion. Exhibitor who do not comply with these guidelines and regulations will have to pay a penalty of Rs. 5000/- and will run the risk of closure of the stand by Organizer. All Stall construction and decoration will need to be completed on or before 8 PM of 4th October 2016. All construction material, waste and empties etc. will be removed by 8pm on 4th October 2016.

5th October 2016 will be observed as a Blackout day during which Government authorities and State Security team will inspect the entire Venue. Stall construction activities will NOT be permitted on 5th October. Exhibitors or Service providers will NOT be allowed within venue premises on 5th October 2016.

Entry & Exit in the Exhibition Hall: Entry into the Exhibition Hall will be on basis of exhibitor passes issued by Organizer. Each Exhibitor will be entitled to 3 passes for 9 sq. mtrs space. Entry in the Exhibition Hall will not be permitted during exhibition hours and other hours specified separately. Exit passes will be necessary for exhibits / material to be taken out of the Exhibition Hall.

RULES AND REGULATIONS

Exhibitors are requested to read the Application form and abide by the Rules and Regulations of the EXHIBITION as specified below:

1. The application form for participation will only be termed complete once all details are received alongwith the requisite payment. Allotment of the stalls will be on “first-come-first-serve” basis.

2. The ORGANIZER reserves the right to reallocate space, change the layout, add or delete corridors in space plans - which may affect the orientation of some EXHIBITORS. The decision of the organizer shall be final and binding. All the payments are to be cleared by 30th August 2016. The booking of the stall/s is liable to be cancelled if full payment is not received by the above date. The Exhibitors shall not organize concurrent show during SWITCH - 2016 Exhibition.

3. The organizers will do their level best to ensure proper supply by the Authorized Contractors.

4. The EXHIBITOR enters into a contract with the Organizer on submission of the Application Form. The Company (Proposed Exhibitor) agrees to participate at the Exhibition SWITCH - 2016 and abide by the regulations and by-laws of the Exhibition. Upon any breach of contract by the Proposed Exhibitor, the Exhibitor is liable to pay the Participation Expenses in full to the Organizer.

5. ELECTRICITY: Available at 230 V Single Phase and 400 V. Three phase A.C. 50 Cycles. Charges as additional requirement per HP on chargeable basis. The Organizer will provide Electricity at a suitable point in the Stall. Internal distributions to the Machinery/Equipment will have to be arranged by the Exhibitor’s Electrical Contractor at their own cost.

6. SALE OF EXHIBITS: Sales are not allowed during the Exhibition. However negotiations for sale may be conducted. Removal of any Exhibits during the Exhibition period is strictly prohibited. For any sales at the Exhibition, exhibitors have to ensure that the VAT Department is informed in advance and all payable taxes are deposited by the exhibitors. The organizers will not be responsible for the same.

7. HANDLING OF EXHIBITS, CUSTOMS AND IMPORT: Services for Handling, Clearing and forwarding will be available at the Exhibition Grounds at Extra Cost. The Organizer will appoint Clearing and Forwarding Agents for SWITCH - 2016 who would assist in handling and completing Customs formalities, if required. The Exhibitor may contact them directly for any such assistance. Movement of Exhibits in the Exhibition Ground by agencies other than the Official Clearing and Forwarding Agents is strictly prohibited.

8. STALL POSSESSION : Bare Space : 2nd October 2016 after 10.00 am Shell Type : 5th October 2016 after 10.00 am

9. The Exhibitor is not allowed to encroach on aisles or open space outside his stall.

10. REMOVAL OF EXHIBITS: Exhibitors will remove all their materials on 10th October 2016 after 4 pm onwards and positively before 10th October 2016 Mid night. Organizer will not be responsible if Exhibitor fails to comply with conditions enumerated in the Exhibitor's Manual.

11. STAND MAINTENANCE: Painting or use of nails/screws on the laminated panels is not allowed. Drawing pins or adhesive tapes could be used.

12. DAMAGES TO THE EXHIBITION VENUE: Exhibitor must not make any damage to the floor or structure. In case of damage the cost specified by the Organizer will

have to be paid by the Exhibitor. The Organizer reserves the right to seize and/or retain the exhibitor's property in case of non-fulfillment of their contractual obligations. The Organizer shall not be responsible for any damage caused to exhibits, which are seized.

13. CANCELLATION For cancellations or withdrawals from participation, the following schedule will be applicable:By end April 2016 - 50% of the participation expenses received will be refunded.By 15th June 2016 - 25% of the participation expenses received will be refunded.

14. INSURANCE: Against all ascertainable risks from transportation to display and removal should be done by the Exhibitors at their own cost. Organizer will in no way be responsible in any way for this. Exhibitors will Insure their Exhibits against loss, damage, theft, fire etc., They will also ensure third party insurance for the total duration of the Exhibition.

15. SECURITY: The Organizer will be providing GENERAL SECURITY in the Exhibition Hall from 6th October -10th October 2016 only. However, it may be noted that security at individual stalls can't be arranged. The Exhibition Hall will be closed every day from 6th October -10th October 2016 at 7 pm and opened every morning at 10.00 am in the presence of 10 Exhibitors daily.

16. SECURITY DEPOSIT: The amount is refundable, for more details please visit our website.

17. PHOTOGRAPHY / VIDEOGRAPHY: The Organizer reserves the right to photograph any exhibit for their use.

18. FORCE MAJEURE: If the Exhibition is abandoned, cancelled or suspended in whole or in part by reason of war, fire, natural calamity, national emergency, labor dispute, the non-availability of exhibition premises or any other cause not within the control of the Organizer, the Organizer may, at their entire discretion, repay the Participation Expenses paid by the Exhibitor or part thereof but shall be under no liability in respect of any actions, claims or losses.

19. ALTERATIONS OF SPACE ALLOTED: In special cases the Organizers reserves the right to modify stall dimensions, and/or allot a stall of plus or minus 1 sqm area. Allotment of stall locations will be made by the Space Allocation Committee of the Organizer’s. No change of location will be allowed. No special preference will be considered. The Space Allocation Committee's decision will be final and binding.

20. AGREEMENTS, PERMISSIONS: All verbal Agreements, Permissions, Individual approvals shall be deemed to be valid only if confirmed in writing by the Organizers.

21. Disputes, if any, arising out of the unresolved matters between exhibitor and Organizer shall be settled by arbitration in accordance with the Arbitration and Conciliation Act 1996. The arbitration proceedings will be conducted in English and at Vadodara, India only.

22. All decision will be subject to Vadodara Jurisdiction only.

23. PAYMENT SCHEDULE: Advance payment at the time of Booking 30%Second Instalment before May 30, 2016 30%Final payment before August 30, 2016 40%
