BACHELOR STUDENTS APPLYING FOR EXCHANGE AS MASTER STUDENTS
When choosing study programme in the online application, you should choose the programme in which you will be enrolled during your exchange. If you wish to go abroad during your Master's degree, you must choose the relevant Master programme, even if you are currently a Bachelor student (relevant for GMM and BDE students)

You may choose as many universities as you want. 5-8 universities is recommended.
BUT remember; if you cancel your exchange, the position cannot be offered to other students and will be lost. Show consideration for your fellow students!

QUALIFYING FOR AN EXCHANGE POSITION
Allocation by Aarhus BSS
You must be a full time and active student at AU
You must be able to transfer 20 ECTS to 30 ECTS from your study abroad
Be aware! Previously passed courses, summer university courses and credit transfer
If you received more than 10 ECTS of obligatory credit transfer from a former uncompleted study programme, when you where admitted to your current study programme, contact your AU coordinator
You must fulfil specific requirements for the partner universities you apply for - check AU GO

QUALIFYING FOR AN EXCHANGE POSITION
You must fulfil specific requirements for you BTECH study programme – check your academic regulations:
Choose courses at the right level (e.g. no 1st year courses, no overlap to previously taught courses, master courses or possibly 4th year bachelor courses for master students)
GMM students: mandatory courses must be substituted
MSc in Engineering students: only 10 ECTS within traditional areas of social sciences, predominantly business administration is allowed

ATTACHMENTS TO AU GO APPLICATION
ALL attachments must be uploaded in one single PDF file:
A complete course selection form (available from your study portal) for each of your priorities
Master’s degree students holding a Bachelor’s degree from another university must submit their Bachelor’s diploma. If the diploma is from a foreign university, an explanation of the grading scale used in the country in questions must be enclosed
Joint Application form – if 2 or more students are applying together
Language test, if one or more of your priorities have a requirement for this, but only if you have already taken a language test

Purpose: “Course Selection Form” ensures that you only apply for universities that offer courses which are relevant to your study programme
You are welcome to list previously pre-approved courses from AU GO in the form
The course selection from is not binding
This is NOT an application for pre-approval of courses!
Do not submit course descriptions
No guarantee that previously approved courses will be offered/approved again!
You may not be able to see any courses in AU GO, This is not a bad sign – the agreement may be new!

You and your fellow applicant must both submit the individual online application, and tick box for joint application
Submit the exact same list of priorities in your individual online application
Complete, sign and upload the document Joint Allocation in each of your individual online applications
Be aware that you will be allocated positions according to the applicant with the lowest GPA!

ALLOCATION CRITERIA
Criteria of allocation for exchange positions:
GPA (all your grades awarded by AU around 1 December 2019)
Bachelor – GPA from bachelor grades at the time of allocation (weighted average)
Master students with an AU bachelor diploma
– GPA from bachelor diploma (weighted average) + possible grades already obtained at the AU master programmes
Master students with a non-AU bachelor diploma
- GPA from non-AU bachelor diploma (weighted average) except if the student has already obtained grade(s) at the AU master programme. In this case, the GPA is based on grade(s) already obtained at the AU master programme

Application confirmation:
You will receive an electronically generated confirmation by email when submitting your online application. This confirmation contains a copy of your application
Position offer:
You will receive an offer of exchange position in mid-January, by email to your AU email account!

2ND ALLOCATION
2nd allocation round with remaining positions: Late January or early February 2019 for students who applied in the 1st application round but were not allocated a study abroad position and for students who did not apply in the 1st application round
Find time and date on your BTECH study portal
Available positions in 2nd allocation are allocated on a first-come-first-serve basis. You must show up in person

AFTER ALLOCATION
After Allocation
You cannot be allocated a new exchange position
You cannot swap your exchange position with your friend
Let us know immediately, if for some reason you do not want the position after all
Your AU coordinator will nominate you to your host university
Take language test if required by host university. Check http://www.ets.org/toefl for test dates

You will be invited to an after allocation meeting in February!

You will be informed about the application procedure to the host university by email from Aarhus BSS or directly from your host university. Read it carefully and observe deadlines!

Please note that AU cannot guarantee your acceptance at the host university. The host university is entitled to singlehandedly decide which students to admit

FREE MOVER
You may choose to go abroad as a free mover if you prefer a non-AU partner institution
You will need to apply on your own directly to the host institution – start early!
You will in most cases have to pay tuition fee
You are welcome to inform international coordinator, Lena Tarpgaard Møller, [email protected] your free mover destination
You will need a pre-approval of courses from your study board (apply through https://mit.au.dk/)
It is a condition that the study period abroad is fully credited in your AU study programme
You must send a copy of the preapproval from your study board to the SU office at AU

You must provide documentation that you have paid tuition fee, how much you have paid and what the tuition fee covers

INTERNATIONAL STUDENTS ON EXCHANGE
International students with a residence and work permit to study in Denmark, must contact the authorities, if they have any questions regarding upholding their residence and work permit if they go abroad on exchange
The same applies to scholarship students

OVERVIEW
1. You apply from November 1 to midnight December 1
2. You receive an answer in mid-January
3. You are nominated to the host institution by Aarhus BSS
4. You receive information about the application procedure to the host university
5. You apply for admission to host university (including visa/residence permit if relevant and housing)
6. You are admitted by the host university
7. You apply for a pre-approval of courses from the AU Study Board
8. Off you go on your study abroad adventure
9. When you return: complete evaluation + apply for credit transfer
