The Scope of the ContractAfter a mini competition amongst framework members, the Office of Government Procurement (OGP), has awarded the next contract to Antalis Ltd., for the supply of Photocopying and Multi-Purpose Office Paper. The contract is valid from 31st of July 2016 to the 30th of April 2017.

Who can use this contract?Central Government Depar tments, Offices and non-commercial Agencies and Organisations, which have a formal reporting and legal relationship with these Departments including:

Local Authorities in Ireland including Regional Assemblies, County Enterprise Boards and Libraries.

The Irish Health Sector including the Health Service Executive (HSE) and the Health Information and Quality Authority (HIQA).

Third level institutions (Universities, Institutes of Technology), ETB schools, primary, post-primary, special and secondary schools, ETBs acting on behalf of schools, groups and clusters of schools and youth centres.

An Garda Siochana; The Defence Forces; The Irish Prison Service.

DiscountsSignificant discounts have been secured by the OGP for ordering paper online, ordering by email and also for payments by Purchasing Card and for Electronic Fund Transfer.

How the contract works? Under the conditions of contract entered into between the OGP and Antalis Ltd, the OGP may grant power to clients, such as yourselves, to exercise any of the rights, powers and duties given to it under the contract. This includes permitting clients to order directly from Antalis Ltd. Furthermore, clients will be responsible for paying Antalis for goods properly delivered.This means:

1. You will place orders directly with Antalis Ltd.2. You will manage your own orders, delivery and

payments. For further details on how to order please contact the Antalis OGP accounts management team on 01-8763100 or email [email protected]

3. Problems relating to overpayments, delivery, faulty goods, goods ordered in error etc., should be addressed by you directly with Antalis Ltd by emailing [email protected]

4. You should maintain proper records of all transactions entered into with Antalis Ltd., including information about the cost, quantity and types of papers purchased from Antalis Ltd.

5. You should manage issues arising under this contract. If you fail to resolve these issues to your satisfaction please advise the OGP Customer Services Team who will take up the matter on your behalf.

6. The Office of Government Procurement – OGP will closely monitor the workings of this contract. To help measure the performance of Antalis the contract will be evaluated under the following headings: Delivery, Quality, Customer Service, Invoicing, Reporting requirements and Environmental and Sustainability.

Minimum order amountIn order to ensure viability of this nationwide contract, the minimum order to any location shall be four(4) boxes of any paper on the contract.

DeliveryThe cost of delivery is included in the prices in this catalogue. Delivery is to central stores/goods inward/reception area/office registry, unless otherwise agreed between client and contractor. Delivery is required within 2 working days from receipt of the order and will be during normal working hours.

Invoicing and PaymentsConsolidated invoicing is another cost saving feature of this contract. One invoice will be issued per month to each client for completed orders. Antalis can currently offer electronic invoicing in the following ways: PDF & CSV formats. Clients can further discuss their invoicing requirements directly with Antalis Ltd.

ReportingYou will be able to obtain online data on the products and volumes ordered under this contract at any time. Please talk to your Antalis Account Management Team for further information.

Confidentiality and Freedom of InformationIn the context of prices quoted for the respective products in this guide (including discounts), the provisions of the Freedom of Information Act 2014 should be considered for any FOI request where this guide is a record. The information contained herein is confidential and not for distribution.

Environmental and SustainabilityAll paper listed on this contract is produced in accordance with strict environmental standards and best practice. Two of the products listed are made from recycled material. The remaining products are ALL produced from pulp from accredited sustainably-managed forests certified by the Forest Stewardship Council (FSC) or the Programme for the Endorsement of Forest Certification (PEFC).

In this context sustainable management means the stewardship and use of forests in a way that maintains their bio-diversity, productivity, regeneration capacity, vitality and potential to fulfil ecological, economic and social functions and does not cause damage to other ecosystems.
