What is Creative Generation – State Schools Onstage?In 2018, Creative Generation – State Schools Onstage (CGEN) will celebrate its 14th year as Queensland’s largest youth performing arts event with performances on Friday 13 and Saturday 14 July at the Brisbane Convention and Exhibition Centre (BCEC).

CGEN continues to give students, teachers and school communities the opportunity to be involved in a professionally produced, award-winning arena spectacle. Since its inception in 2005, the large-scale event has grown from a cast of 550 students to more than 1800 and is nationally renowned for its outstanding and vibrant display of state school talent.

The experience gives students the chance to acquire new skills by working with many of Australia’s leading performers in a world-class event. For many students taking part, it is their first time performing on an arena stage, while for others it is a valuable stepping stone in their career as young artists in the performing arts industry.

CGEN rehearsals provide an opportunity for students to display their talents and extend their networks with professional artists beyond those ordinarily available in schools. Auditions, workshops and rehearsals give students a taste of the wider performing arts industry that has seen many Queenslanders achieve great success on the international stage.

CGEN is a rewarding and enriching program for both students and teachers as it offers participants an unrivalled opportunity to develop their creative potential, meet new friends and take part in a professional arena production. The confidence and experience gained from being involved helps students in their lives beyond the school gate. Additionally, CGEN is a quality professional development opportunity for teachers, allowing new skills, knowledge and practices to be brought back to the classroom.

Step 1 – Nomination

An online nomination, including submission of audition footage and support material (if applicable) is entered by the school’s coordinating teacher on behalf of the student/s.

Coordinating teachers are required to complete all school contact information and all participant nomination information.

Step 2 – Invitation

Selected students are sent an invitation letter via their CGEN coordinating teacher. The invitation will outline the next step in the process, which may include a call-back audition, a casting day, a workshop or a series of rehearsals.

Step 3 – Acceptance

Acceptance notices are signed by the required person/s noted on the form to acknowledge the student’s or group’s acceptance into the program and returned to the relevant CGEN category manager by the school’s coordinating teacher.

Nomination process

The nomination processThere are three steps to the nomination process:

N.B: All students nominations must be endorsed by the school’s principal and students must have completed and returned to the school an unamended CGEN 2018 project consent form and Network Ten release form. If forms are not returned, students will not be able to participate in the program.

KEY DATES• Friday 8 December 2017 – nominations close for all

categories except instrumental. Audition footage/support material is also required on this date.

• Friday 9 February 2018 – nominations close for students entering Year 7 or students at a new school in 2018 except instrumental categories. Audition footage/support material is also required on this date.

• Friday 23 February 2018 – nominations close for instrumental categories. Audition footage is also required on this date.

Step 1 – NominationThe CGEN nomination website is https://www.eawards.com.au/cgenonstage

Only one teacher per school can register as the coordinating teacher during the nomination process. The coordinating teacher must register the school using the nomination website.

Additional teacher contact information can be entered during the nomination process and other teachers at the school may access the nomination website using the login details created by the coordinating teacher. It is suggested that the coordinating teacher use their departmental email address and create a generic password that can be shared with other teachers at the school who require access to the nomination website.

Please refer to fact sheet 3 on page 28 of this document for step-by-step instructions of how to submit your nominations. To assist teachers in collecting student information, students should complete a CGEN expression of interest form. This form is available in this document, on the CGEN nomination website and CGEN website.

When submitting nominations, the coordinating teacher will be asked to check a box acknowledging:

• the school principal where the student is enrolled has endorsed the nomination

• all students nominating for a place in the program have completed and returned to the school an unamended CGEN 2018 project consent form and Network Ten release form. If unamended forms are not returned, students are not able to participate in the program

• nomination and participation fact sheets 1 and 2 have been distributed and understood by all related personnel supporting the students’ participation in the program

• parents/guardians and students understand the entire program, and the expectations and level of commitment required

• all school team members supporting the students’ participation in the program understand the expectations and level of commitment required

• all students (and parents/guardians of those students) understand the Department of Education and Training is collecting personal information, and will handle this material in accordance with the Information Privacy Act 2009 and the Education (General Provisions) Act 2006

• they have read, understood and agree to the terms and conditions of the program.

Audition footage • It is a requirement that audition footage be submitted

for the following categories: featured vocalist, backing vocalist, core choir, regional massed dancers, symphony orchestra, big band, drumline, solo instrumentalist, variety and media crew.

• It is preferred that student auditions be performed to accompaniment or backing track.

• Student auditions should be introduced with the following information:

– individual student or group name

– name of category

– school

– style or title of piece performed.

• One file is to be submitted per nomination. Where a category requests two or more pieces of footage, please combine two pieces of footage into one file. (Please note the only exception is for symphony orchestra and big band students nominating for more than one instrument. Separate video files are required per instrument for distribution to specialists on the audition panel.)

• Total file length per nomination must be 2–4 minutes and should not exceed 50MB (except for symphony orchestra, big band and media crew. See the relevant pages in this guideline for these requirements).

• Please include current footage. Only media crew audition footage should be submitted in high resolution. Low resolution files are sufficient for all other categories provided that sound and image quality is adequate for panel members to make a reasonable evaluation.

Supporting materialIt is a requirement that nominations for the following categories are supported by written documentation:

• student stage crew

• student media crew

• teacher crew

Written documentation may include a current résumé, letters of support, photos or newspaper clippings. Support material must not exceed four single A4 pages (two pages double-sided).

Step 2 – InvitationStudents who are selected to be a part of CGEN will be sent an invitation letter via their CGEN coordinating teacher. The invitation will outline the next step in the process, which may include a call-back audition, a casting day, a workshop or a series of rehearsals.

Coordinating teachers will be sent the official invitations via email by:

• Wednesday 7 February 2018 for featured and backing vocalists, solo instrumentalists and variety item performers

• Tuesday 13 February 2018 for featured dance auditions and massed dance

• Tuesday 20 February 2018 for choir

• Monday 26 February 2018 for massed string orchestra

• Thursday 1 March 2018 for drumline

• Monday 5 March 2018 for media crew

• Monday 19 March 2018 for symphony orchestra and big band

• Monday 26 March 2018 for drama auditions, student and teacher stage crew

Some students may not be invited to be a part of the original nomination category they applied for, but may be offered a place in an alternative category. For example, an individual student nominating for the variety item category may instead be invited to attend the featured vocalist first call-back audition.

Step 3 – AcceptanceAfter being signed by the required person/s noted on the form to acknowledge the student’s or group’s acceptance into the program, the acceptance notice must be returned by the coordinating teacher on behalf of the students to the CGEN team member managing the category.

1. VOCALStudents can be nominated in any of the following categories:

VOCAL

• featured and backing vocalist

• CGEN voices• core choir• central choir• massed choir

Featured and backing vocalists Featured vocalist, junior featured vocalist and featured vocal ensemble categories

All featured vocalists (FVs) categories may perform as soloists in the show, or may perform as part of small or large vocal ensembles. Featured vocalist and featured vocal ensemble categories are open to students in Year 7 to 12. Students in years Prep to 7 will be allocated into the junior featured vocal category if successful upon audition.

Featured vocalists will be selected for their vocal and performance skills; the suitability of the repertoire presented; their ability to understand and convey the intent of the song; the effort put into preparing the presentation; and their posture and deportment as displayed in the audition footage.

Backing vocalist category

Backing vocalists (BVs) will provide backing vocals for a variety of items in the show. It is critical students have experience in choral or vocal ensembles and possess the ability to read music and perform harmonies. BVs are predominantly upper secondary students.

BVs will be selected for their vocal and performance skills, including the inherent timbre/tone of their voice, pitch and rhythmic accuracy; the suitability of the repertoire presented; their ability to understand and convey the intent of the song; the effort put into preparing the presentation; and their posture and deportment as displayed in the audition footage. BVs will also be required to perform a sight reading test from a written score at the second call-back audition.

Audition process

All FV and BVs successful in the nomination process will required to attend an individual audition in Brisbane on either 21, 22 or 23 of February 2018. Teachers will be sent a selection of 2018 show repertoire before call-back auditions for students to learn and perform as well as a song of their choice during their individual audition.

If students are successful in the first call-back audition, they will be invited to attend casting auditions in Brisbane on 17, 18 and 19 of March. Students who are successful at the casting auditions will be advised of their confirmed invitation into the FV and BV categories.

Audition footage requirements • Please ensure students showcase their most suited

genres. Auditions pieces should be two contrasting styles (for example: different genre, era and/or tempo).

• Students are required to perform their selected audition repertoire from memory

• Live audition footage is preferred. Please do not submit produced audition videos or studio recordings.

• Students are required to audition with a backing track or accompaniment, with the exception of acapella repertoire.

Category requirements• FVs and BVs who performed in CGEN 2017 will

automatically be invited to the first call-back audition on receipt of their 2018 nomination.

• FVs and BVs (including those from regional areas) are required to attend all rehearsals unless otherwise negotiated with the vocalist coordinator.

Creative Generation Voices – vocal divisionDuring the online nomination process, coordinating teachers will be requested to indicate whether students are nominating for Featured and Backing Vocalist (only), Creative Generation (CGEN) Voices – vocal division 2018 (only) or both programs.

CGEN Voices is a new program that celebrates students who excel musically as solo or group vocalists. All students nominating for the featured and backing vocalist category are encouraged to also nominate for the CGEN Voices. In 2018 vocal ensembles (up to 20 students) will be accepted in the vocal division. In 2017, the CGEN Voices students participated in a three-day workshop at The Judith Wright Centre of Contemporary Arts, where they learnt from, and worked with, Australian music luminaries Kate Miller-Heidke, Natalie Bassingthwaighte and Simon Gallaher as well as multiple local artists to challenge, encourage and prepare them as the next generation of performing artists. CGEN Voices Choral division will continue biennially and will return in 2019.

Category requirements• Students who performed in CGEN Voices 2017 vocal

division will automatically be invited to the first call-back audition on receipt of their 2018 nomination.

• All other students nominating for the CGEN Voices 2018 vocal division must submit audition footage. Please ensure the audition footage satisfies the general requirements as outlined on page 4 in this document.

• Successful students are required to attend a three day workshop and a live performance, held in April and May 2018. Confirmation of dates will be released in early 2018.

ChoirThe core, central and massed choirs will incorporate approximately 500 students from both primary and secondary schools. From March to July, students will work with the choir director and assistant choir conductors to rehearse and perform up to 25 items in the show, and provide a spectacular aural and visual backdrop for the other performers on stage.

Coordinating teachers will receive music scores, MP3 teaching material and rehearsal videos for each choir piece.

Teachers are encouraged to rehearse the repertoire from the sheet music provided between scheduled rehearsals.

Category requirements • Students must nominate as soprano, alto, tenor or bass

voice type.

• Students and teacher/supervisors performing with the choir are required to wear a CGEN white performance shirt. Shirts will be available to purchase for $25.00 each including GST. If students have their choir shirts from previous years they may be re-used if they are still in a presentable condition.

Core choirThe core choir will incorporate 32 secondary students from Years 10 – 12 who will be selected via a live audition process. The core choir will sit within the central choir and will act as chorale leaders.

Students will be selected based on the timbre/tone/balance of their voices; pitch and rhythmic accuracy of repertoire performed; the accuracy of memory in performing the repertoire; the demonstrated effort put into preparing the presentation; their posture and deportment during the presentation; and the ability to understand and convey the intent of the song.

Additional category requirements specific to core choir• Core choir students must be in Years 10 – 12 to

participate.

• Core choir students and teacher/supervisors (including those from regional areas) are expected to attend the live audition and all scheduled rehearsals unless otherwise negotiated with the choir manager.

• Audition footage must be submitted for each individual student (not as a group). Please ensure the audition footage meets the requirements outlined on page 4 in this document.

Central choirThe central choir will incorporate approximately 100 secondary students from Years 7–12.

School groups and students will be selected based on the timbre/tone/balance of their voices; pitch and rhythmic accuracy of repertoire performed; the accuracy of memory in performing the repertoire; the demonstrated effort put into preparing the presentation; their posture and deportment during the presentation; and the ability to understand and convey the intent of the song.

Additional category requirements specific to central choir• Central choir students must be in Years 7–12 to

participate.

• Central choir students and teacher/supervisors (including those from regional areas) are expected to attend all scheduled rehearsals unless otherwise negotiated with the choir manager.

• Audition footage may be submitted individually or as part of a group.

Massed choirThe massed choir will include approximately 500 students. The massed choir will be divided into four cells for rehearsal purposes — north, south, west and regional (dependant on nominations received). After the individual cell rehearsals, the massed choir rehearses as massed A or B, which is how the students perform during the show. Schools will be allocated to a cell and either massed A or B when they are invited into the program.

At least one teacher/supervisor must perform alongside their students for performances and act as a supervisor during show week.

Additional category requirements specific to massed choir• Massed choir students must be in Years 4 – 12 to

participate.

• Massed choir students and teacher/supervisors are expected to attend rehearsals between March and July (except regional schools, who are encouraged to participate from the June rehearsal). All rehearsals are in Brisbane and run by either the choir director or assistant choir conductors.

• Audition footage is not required.

DanceThe featured and massed dance cast includes more than 700 students from both primary and secondary schools. From April to July, students have the opportunity to work with professional choreographers and artists in rehearsals and workshops leading up to performances.

Students are selected for placement in dance items covering genres such as:

• contemporary• musical theatre• jazz• hip hop• tap• ballet• traditional

All dancers who nominate and accept their invitation are cast in the massed dance component, dependent on numbers. This includes, but may not be limited to, one massed dance item and the finale item.

A select group of students are invited to participate in featured dance. Featured dance is a considerable commitment and involves rehearsals most weekends in the lead up to the performances. Students selected into featured dance are cast into smaller group items including solos, pas de deux and company items.

Casting of students will depend on a number of factors including the requirement for particular dance genres in the show; technical capabilities; creative concept; and the number of dancers required, as dictated by the final production concept.

It is not a requirement that students nominating undertake dance lessons at school or are enrolled in dance training after school hours.

Category requirements • All featured dancers and metropolitan massed dancers

are expected to attend all rehearsals and performance commitments.

• All featured dancers and massed dance schools will have access to music for all dance items to enable students to rehearse in their own time.

• Footage for each massed item will be available to regional schools in late May.

• Footage of rehearsals will be uploaded via an online platform, which will allow students to view the routines between weekend rehearsals, assisting in keeping them up to date with choreography.

• Costume sizes will be collected during nominations. Costume fees vary in accordance with performer and show requirements and any student who withdraws after Friday 20 April 2018 will be charged for the entire cost of their costumes.

• Metropolitan secondary students are required to attend the casting audition day on Saturday 10 March 2018. This audition is compulsory, as not all students nominated are guaranteed a position in the dance cast.

• Only regional massed dance students are required to submit footage as part of the nomination process to assist in casting. Regional dance footage should only feature students who are nominating for CGEN 2018. Please ensure the audition footage meets the general requirements as outlined on page 4 in this document.

Massed dance and regional massed danceMassed dance includes primary and secondary students with an interest in dance, who have musicality, enthusiasm and are capable of performing a variety of simple movements. The level of choreography will be beginner to intermediate and teachers must ensure that all students nominated are able to manage the requirements of rehearsals and performances.

Massed dancers are invited to perform in at least two items, including the finale item, but certain students, based on casting auditions or footage, may be invited to participate in additional items dependant on production requirements.

In 2018, there will be four massed dance groups:

• Senior massed A (up to 6 items)

• Senior massed B (up to 4 items)

• Regional massed (up to 4 items)

• Junior massed (up to 3 items)

Metropolitan massed dancers will be required to attend all rehearsals. A supervisor from each school is required at every massed dance rehearsal.

Regional massed dancers are not required to travel to Brisbane for rehearsals until show week in July. Teaching

material will be supplied to schools in regional areas no later than the week beginning 7 May 2018. Regional footage will be available via the CGEN Participant Gateway and a regional dance rehearsal will be held on Tuesday 10 July 2018 to allow students to work directly with choreographers before the massed dance blocking day at the BCEC.

Featured and solo danceFeatured and soloist dancers are primary and secondary students who are dedicated to dance who display competence across a range of dance genres.

Rehearsal and performance commitments for featured dance are much greater than that of massed dance. All featured students are required to attend all assigned rehearsals, with limited allowance made for absent students. Featured dance rehearsals are held most weekends from April to July.

Teachers are required to consider these factors and to use professional judgment when nominating students for the featured dance category. Students nominating for featured dance from regional schools have the same commitment expectations as that of students at metropolitan schools.

In 2018, there will be five featured dance groups:

• CGEN Company: up to 25 secondary students who display outstanding performance and technical capabilities

• Senior ensemble: Years 9–12 students who display a high level of performance and technical capabilities

• Middle ensemble: Years 7–9 students who display a high level of performance and technical capabilities

• Junior A ensemble: Years 4–6 students who display strong performance and technical capabilities

• Junior B ensemble: Prep – Year 3 students who display strong performance capabilities.

Secondary students nominating for featured dance are required to attend up to three auditions across two weekends in March. All students wishing to audition must be available for all specified dates, including specialty auditions. These dancers may be expected to purchase, make and/or hire up to 12 different costumes.

Primary students are required to attend an audition. These auditions are similar to a dance rehearsal and are a fun and positive environment for all participating.

Solo dancers may be students in Years 9 – 12 who display outstanding performance and technical capabilities, are dedicated and committed to dance and competent in a range of dance genres. Commitment as a solo dancer is high as the selected students are required to attend every assigned rehearsal for their item/s. Rehearsals will be decided in consultation with the soloists and choreographer, and will be on selected weekends/weekdays from April to July.

Teachers are required to consider these factors and to use professional judgment when nominating students for the solo dancer role. Students nominating from regional schools have the same commitment expectations as that of students at metropolitan schools.

Students nominating for this category are required to attend the featured auditions across two weekends in March. All students wishing to audition must be available for all specified dates, including specialty auditions.

DramaOpportunities for drama students may include physical theatre, roaming performance, film opportunity and backstage reporting. Only Years 8–12 students may apply.

Selected students will demonstrate:

• discernment in the selection and application of the dramatic elements, particularly: focus, tension, timing, rhythm, space, mood, contrast and sound

• ability to use expressive skills; voice, movement, facial expression and gesture

• outstanding stage presence and energy

Invitation and casting will depend on a number of factors, including the requirement for the particular style of performance in the show, the technical capabilities of each performer and the final production concept as directed by the executive producer/creative director.

Category requirements• All nominated students will be invited to a live audition,

where they will be required to present a solo monologue and partake in group activities, including improvisation work.

• Students interested in content writing and interviewer/presenter opportunities should also consider nominating for the CGEN media crew. Information is available on page 19.

Symphony orchestra and solo instrumentalThe CGEN symphony orchestra features secondary school students (Years 7–12) and provides musical accompaniment to the majority of vocal, dance and feature items in the show. Metropolitan students will be required to attend all scheduled rehearsals. A rehearsal schedule for regional students will be developed through negotiation with the symphony orchestra manager on a case-by-case basis once invitation letters have been issued.

or excerpts in different styles, lasting no more than five minutes in total, and one chromatic scale of the student’s choice that demonstrates their full range.

• Students nominating for percussion should prepare pieces or excerpts on timpani, snare drum and mallet.

• Students nominating for flute are encouraged to include one piccolo solo in addition to their two prepared pieces or excerpts.

Massed string orchestraMore than 100 massed string orchestra students will be joined by the symphony orchestra to perform a spectacular feature item in the show.

Massed string students will also participate in the finale item but will not be required to play their instrument.

Category requirements • Massed string orchestra students and teacher/

supervisors are expected to attend three rehearsals in May and June and show week (regional schools do not need to attend the May/June rehearsals). All rehearsals and performances will be held in Brisbane with the massed string orchestra conductor.

Big band The big band comprises of students in secondary school (Year 7 to 12) only. The big band features throughout CGEN as a stand-alone and integrated component of the show’s musical accompaniment and students have the opportunity to workshop and rehearse with professional musicians and performers from across the state in the lead up to CGEN performances.

Big band students may also be invited to perform as featured instrumentalists (solo or ensemble) in other items in the show.

Drumline The drumline will consist of 60 – 75 student drummers from Years 5–12.

The drumline will use the American Marching drumline technique and will be made up of:

• Marching snare

• Tenors – quads and quints (trios not included)

• Multiple bass drums (pitched bass drumlines)

• Djembes

All students are required to submit video audition footage for consideration. Regional students will be judged on their video footage only, whilst metropolitan students will be invited to a live audition. Students who are successful will be invited to join drumline.

Featured drumlineOf these successful students, up to 16 outstanding student drummers from Years 9-12 will be asked to join the featured drumline and participate in a featured solo in the drumline item.

Rehearsals will be held between April and July and will be facilitated by a specialist percussion tutor. Featured drumline are required to attend additional rehearsals to learn a more complex repertoire. Regional schools are not required to travel to Brisbane until show week commencing Tuesday 10 July 2018.

Coordinating teachers will be provided with music scores and MP3 teaching material. Students are required to play their music from memory by the June rehearsal. Style and performance elements will be taught during the rehearsals.

Category requirements • Students must nominate their drum type as either snare,

tenor, bass or djembe.

– Preference is given to high tension drums, with high tension drum heads for their cleanliness and sound.

– It is expected that all performers have the correct sticks and mallets. For example, marching snare sticks, marching tenor sticks, marching bass drum mallets.

• Audition footage must be submitted for each individual student (not as a group). Footage should be no longer than 90 seconds and include:

– a 30-second piece that includes accented and non-accented notes (to be played with a metronome)

– a single stroke roll, double stroke open roll, and paradiddle from slow to fast (not to be played with a metronome)

• Student and drum are to be visible in the footage (not hidden by music stand).

• To achieve a good quality video, students may wish to play using a practice pad or record audio via an external microphone. Please also ensure audition footage meets the requirements outlined on page 4.

• All performers must supply their own or their school’s marching drums, with a harness, except for djembe drums which will be supplied. Instrument stands are recommend for rehearsals (keyboard, glockenspiel and snare drum stands).

• All students and teacher/supervisors are expected to attend rehearsals between April and July in Brisbane with the drumline director (except for regional schools who are only required to attend the July rehearsals).

• Featured drumline may be required to purchase a costume pending their performance item.

4. VARIETYStudents can be nominated in any of the following categories:

VARIETY

• stand-alone item• specialty act or skill

A variety item is a stand-alone item, specialty act or skill and may be either a student-devised or school-based item.

This may include but is certainly not limited to:

• solo artists (for example, singer/songwriters, beat boxers, rappers)

• vocal ensembles (for example, gospel choirs, acapella groups)

• music groups (for example, rock bands, string quartets, Fanfare ensembles)

• dance or gymnastics teams (for example, cheerleading squad, hip hop crew)

• cirque (for example, aerialists, jugglers, acrobats)

• tricksters (for example, skateboarders, BMX skills)

Before nominating any variety items, appropriate permissions must be sought by the coordinating teacher if an external consultant has assisted the students or school in any way to create the work.

Students may be from primary or secondary schools, and may be selected for items in the show.

Variety items will be required to rehearse their items at their own locations at a time that suits all parties involved. Students may also be called for extra rehearsals with the category manager or executive producer/creative director, and these extra commitments will be outlined throughout the process.

Invitation and casting will depend on a number of factors, including the requirement for the particular style of performance in the show, the technical capabilities of each performer, the creative concept of each item and its relationship to the whole show, and the final production concept as directed by the executive producer/creative director.

It is possible the final works accepted for performance (for example, music selection) may be negotiated on a case-by-case basis by the category manager or executive producer/creative director with the students and the coordinating teacher.

If a variety item is not accepted into the show, or the performers are not comfortable performing an alternative selection as an outcome of the negotiations with the executive producer/ creative director, students may be invited to participate in another category.

Student stage crewStudents interested in being part of the behind-the-scenes action will get an even closer insight into CGEN and will work closely with teachers and professionals as members of the production set and props team.

Only year 10, 11 and 12 state school students should nominate.

Students will be required at the BCEC for the first time on Tuesday 10 July 2018 through until Saturday 14 July 2018.

All members of the crew work long hours consistent with the technical professionals involved. The environment is highly supportive and team responsibilities are determined by action through performance tunnels, on the arena and backstage. At times, the pace can be very fast and requires great focus and problem-solving abilities. It is critical all members take direction well and can work as part of a cohesive team.

Category requirements• Support material is to be submitted for each nomination

(except 2017 crew members who are reapplying) and must not exceed four single A4 pages.

• Support material must include any information that clearly outlines all previous production or stage crew experience and training associated with the role.

• Crew who participated in CGEN 2017 are not required to submit support material as their nomination will be considered based on their participation in the 2017 production.

Student media crewSecondary ICT, media arts and film, television and new media students are encouraged to nominate to be a part of a media crew that will promote CGEN 2018. Students will work in teams to produce a range of content including short videos clips, articles and photographic records of rehearsals and show week.

Content produced may be used for media and marketing purposes on the CGEN website, Facebook and YouTube pages and will focus on show week, including behind the scenes, as well as rehearsals and performances.

Nominating students must demonstrate technical and artistic proficiency in a variety of media formats (such as content writing/development, editing, photography, social media) and have the ability to express and communicate ideas to an audience.

Individual students or school groups can nominate to participate in the following roles (students may nominate for multiple roles):

• journalist/content writer

• interviewer/presenter

• camera crew

• data wrangler (this role will categorise footage filmed by the camera crew, ready for the editing process)

• film editor

• photographer

• social media assistant (this role work with the student media crew and a DET staff member to create social media content that will be posted during show week).

Category requirements• A one-day planning workshop will be held on Saturday

31 March 2018 in Brisbane. It is expected that all students, including those from regional areas, will attend the workshop.

• Students in the media crew must be onsite at BCEC from Sunday 8 July – Saturday 14 July.

• There may also be opportunities for students to attend rehearsals and workshops in the lead up to the show from April – July to develop additional content for use to inform audiences and promote the program. These dates and opportunities will be planned in consultation with the media crew manager.

• Audition footage and supporting material must be submitted for each student.

• Audition footage and materials must support the role the student is nominating for. It may have been completed individually or as a member of a small group. The student’s role in the completion of a group production must be clearly identified in the credits.

• Audition footage and materials should be no more than five minutes and/or five pages in length. Please ensure audition footage meets the requirements as outlined on page 4 of this document.

There are a number of professional development opportunities with CGEN and a number of teachers take part every year to produce the spectacular event.

Frequently asked questions

1. Who should nominate a student?Nominations must be made by a registered DET state school teacher. One teacher from each school should be allocated as the coordinating teacher during the nomination process. This coordinating teacher must register the school using the nomination website. Refer to fact sheet 3 for further information.

Part of the role of the coordinating teacher is to receive and distribute all information pertaining to the school, parents/guardians and students throughout the audition period, rehearsals and show week. The coordinating teacher may also be required at rehearsals and backstage during show week.

TRS is not paid to coordinating teachers; however, each school will be offered two complimentary teacher tickets to the matinee show on Friday 13 July 2018 at the BCEC. More information regarding the role of the coordinating teacher may be found in fact sheet 1 which outlines all expectations of those teachers wishing to support the students participating in CGEN.

2. When do nominations close?Coordinating teachers must visit the CGEN nomination website and enter all information requested by:

• Friday 8 December 2017 – nominations close for all categories except symphony orchestra and big band. Audition footage/supporting material is also required on this date.

• Friday 9 February 2018 – nominations close for students entering Year 7 or students at a new school in 2018 (except symphony orchestra and big band). Audition footage/supporting material is also required on this date for Year 7 students and students at a new school.

• Friday 23 February 2018 – nominations close for symphony orchestra and big band. Audition footage is also required on this date.

3. What involvement do the staff at the student’s school need to have?

The nomination process ensures that key staff are aware of their students’ participation in the program.

The coordinating teacher is responsible for entering the nomination information and for being the point of contact for the CGEN team, but, the principal of the school where the student is enrolled must endorse and approve each nomination.

The relevant principal may be contacted if the CGEN team has any concerns regarding students, teachers or principal-approved supervisors at any time throughout the program.

The coordinating teacher is required to assign supervisors to assist at auditions, rehearsals and performances (if required) and seek principal approval for each supervisor’s level of commitment. The coordinating teacher may also choose to take on the role of supervisor.

4. When is the school not required to send supervisors for their students?

Officers of DET or CGEN contractors employed by the department may supervise students during all rehearsals for featured and backing vocalists, symphony orchestra, big band, drama and featured dance. All other categories require a teacher or a supervisor to attend all rehearsals.

Explicit information about category-specific supervision arrangements will be communicated in invitation letters.

5. Is every student nominated individually?

The coordinating teacher may nominate students individually or in groups via a bulk upload feature.

Depending on which category the student has been nominated for, students may be auditioned as individuals or as part of a group by experienced and respected artists, tutors and mentors.

Where a formal audition has taken place, feedback is not always given to each student individually.

The panel’s decision is final, and is always in the best interest of the student in line with the creative vision of the show, developed by the executive producer/creative director.

7. How are the student stage crew, teacher crew and media crews selected?

The manager of the crews considers each nomination based on numbers required, skills level, past experience in similar arts activities, and suitability for the role.

TRS may be funded for members of the teacher crew only.

8. How are the students cast and positioned in each item of the show?

Each year, the show is coordinated by the executive producer/creative director in collaboration with the CGEN team.

Students are allocated to their item based on a number of criteria, including technique, age, height, best-fit, skill level, ‘look’ of the item, and appropriateness of that student for the item as decided by the executive producer/creative director.

Choir students are seated according to voice type and total numbers of students in a school group, in addition to requests specifically made by the choir director in terms of performance skills and understanding of the intent of each song.

9. Are there any items participants are automatically required to perform in?

Every performer is automatically cast in the finale and must perform as part of the whole cast (excluding student, teacher and media crew).

If a student is selected as a featured performer and they are from a school that has been accepted as part of a regional item (e.g. ‘dancers representing the Darling Downs’), then that student must also perform as part of the regional item as a representative of their school.

11. Will the student always be cast into an item, or can they perform something they already have prepared?

Coordinating teachers are encouraged to nominate items that are ready for performance. Items could include primary and secondary dance crews, stage bands or rock bands, beat boxers, solo musicians, percussion ensembles, string quartets, chamber ensembles and even those variety acts not usually expected in performing arts activities (for example, skateboarders, aerialists, jugglers and BMX tricksters).

12. What commitment do parents/guardians need to make to the program?

Before nominating any student, coordinating teachers are advised to discuss with parents/guardians factors relating to costs, rehearsal and show week attendance, communication pathways, costume requirements, participant responsibilities, school responsibilities and travel arrangements.

13. What is the definition of regional?Schools are considered regional if they are more than a two-hour drive from Brisbane. Students from the Sunshine Coast, Moreton Bay, Gold Coast, Logan, Redlands, Ipswich, Somerset (south of Toogoolawah only) and Scenic Rim council regions are considered metropolitan, and therefore should attend all scheduled rehearsals.

Teaching material is made available for regional students to enable rehearsals to run at a time and place suitable for students and teachers.

14. How will news and information be shared by the CGEN team?

Parents/guardians should be reminded to contact their CGEN coordinating teacher at their school in the first instance. The CGEN team will not be aware of individual circumstances for each student, or organisational details for each school, and therefore may not be able to give appropriate advice.

Information about CGEN is made freely available in the following formats:

• a newsletter-style email will be sent to coordinating teachers on a fortnightly basis (this may include amendments or updates)

• the Participant Gateway

• the CGEN website (www.creativegeneration.dete.qld.gov.au) is updated as news and information comes to hand

• show week books, including all details for the BCEC, are forwarded to coordinating teachers closer to the show.

Coordinating teachers are encouraged to collect and forward (with permission) student and parent/guardian contact emails to the CGEN operations manager, who will add these to any CGEN mailing lists.

All information in this guideline is correct at the time of printing. Amendments to key information will be communicated in a timely manner to the coordinating teacher.

15. Will the key timelines change?The dates listed in this nomination guideline are correct at the time of printing. There may be changes to the schedules, but where possible, all disruptions or cancellations will be kept to a minimum. All amendments to schedules will be communicated to coordinating teachers.

16. Who organises and pays for travel, accommodation and associated costs to participate?

The Department of Education and Training is unable to provide funds to support any student’s involvement in CGEN.

It is the responsibility of each school at the discretion of the principal to assist invited students with, but not necessarily pay for, appropriate travel, accommodation and associated arrangements related to their participation in the program.

Where travel, accommodation and associated bookings have been made for students and support personnel to attend auditions, castings, workshops and performances (for example, flights and hotel stays), it is highly recommended insurance be purchased.

17. What are the likely costs to be involved?

There is no cost to nominate for CGEN.

Wherever applicable, costs for factors including, but not limited to, costumes, associated travel and accommodation bookings, the provision of props/gear and general involvement in the program are to be met by participants. All effort is made to keep costs to a minimum.

The Department of Education and Training cannot be held liable for any costs associated with any disruption to, amendment or cancellation of any element of the program or a student’s planned participation in the program.

20. What costumes will be required to participate in CGEN 2018?

Students will be required to purchase, borrow, hire and or make their costumes for CGEN however every effort is made to keep hire or purchase costs to a minimum.

Fact sheet 1 — Role of the coordinating teacher and supervisorWho is the coordinating teacher? The teacher entering the nomination for individual students or student groups to participate in CGEN 2018 should consider themselves the coordinating teacher.

The role and responsibilities of the coordinating teacher are to:

• ensure students and their parents/guardians read and understand the participants’ responsibilities (fact sheet 2), the level of commitment required to participate in CGEN, and all ongoing requirements of the program to ensure all participants are fully prepared at all times

• ensure the principal is aware and approves the nomination/s from the school and understands the level of commitment required by all participants (students and coordinating teachers)

• obtain and hold signed CGEN 2018 project consent forms and Network Ten release forms for each nominating student and hold (or distribute to principal-approved supervisors) medical and emergency contact information for each participating student

• submit all student nominations and the audition footage (if required) via the CGEN nomination website

• assign supervisors to assist at auditions, rehearsals and performances (if required) and seek principal approval for each supervisor’s level of commitment. The coordinating teacher may also choose to take on the role of supervisor (see Who is the supervisor? below)

• adhere to the Student Protection Policy in conjunction with the state government’s Code of Conduct and each school’s individual Code of Behaviour which will detail particular strategies to promote appropriate behaviour as well as consequences for unacceptable behaviour during all CGEN commitments

• liaise with the CGEN team and relay all information regarding auditions, rehearsals and performances to participating students, parents/guardians and supervisors

• ensure participating students meet all audition, rehearsal and performance commitments for CGEN

• rehearse in schools the set items taught at rehearsals (choir, dance, massed strings and drumline)

• notify the CGEN team if staff or students have any allergies or require any of the following special arrangements:

– sign-language interpreters

– alternative formats for printed material (for example, large print, disk, Braille)

– physical access requirements including accessible car parking

Please note that students requiring additional support are required to have a supervisor provided by the school at all massed rehearsals to meet the needs of the student and support their involvement.

• ensure all participants understand that if they contravene any element of the program or its requirements they risk exclusion from the show.

Who is the supervisor?A supervisor is a responsible adult (parent or guardian), teacher aide or teacher, who has been assigned by the coordinating teacher and approved by the principal to assist at auditions, rehearsals and performances.

The role and responsibilities of the supervisor are to:

• adhere to the Student Protection Policy in conjunction with the state government’s Code of Conduct and each school’s individual Code of Behaviour which will detail particular strategies to promote appropriate behaviour as well as consequences for unacceptable behaviour during all CGEN commitments

• liaise with the coordinating teacher on a regular basis to ensure each person has the most current information, including medical and emergency contact details for all students in their care plus venue and timetable schedules

• take responsibility for the care of students to and from, and at times during, all scheduled auditions, rehearsals and performances, including breaks

• ensure all participants are cooperative, self-disciplined and willing to follow direction from all coordinating teachers and members of the CGEN team, including directors, category managers, tutors, choreographers and stage crew.

In some situations, officers of the Department of Education and Training or CGEN contractors employed by the department may supervise students. Further information about this will be communicated in category-specific invitations issued by each category manager.

Behaviour The Department of Education and Training has a zero tolerance for inappropriate action or behaviour.

If behaviour of this nature is observed or reported throughout during the CGEN program, CGEN staff must be informed immediately. The department will take any allegations seriously, and reports of illegal conduct will be referred directly to the Queensland Police Service.

Any complaint related to bullying of others, harassment of any nature, or vilification/discrimination for any reason will be responded to and managed immediately. If an individual is found to be associated with or involved in any behaviour of this nature, they will be excluded from the program.

Teachers, contractors or anyone who works in any other capacity for the department should be aware that the Code of Conduct for the Queensland Public Service and the department’s Standard of Practice apply at all times when they are perforaming official duties, including working outside their standard hours. In addition, they should be aware that while the Code does not cover misconduct in a private capacity, under the Public Service Act 2008, inappropriate or improper conduct in a private capacity that reflects seriously and adversely on the public service may be subject to disciplinary action.

Fact sheet 2 — Participant responsibilities

Participants are to:• participate in CGEN 2018 on the basis of full

commitment. It is expected that all scheduled auditions, rehearsals and performances will be attended and that students will follow their school’s Code of Behaviour during all of these commitments or risk exclusion from the program

• be cooperative, self-disciplined and willing to follow directions from all coordinating teachers, supervisors and all members of the CGEN team, including directors, category managers, tutors, choreographers and stage crew

• demonstrate respect and support for fellow participants, including respect for their personal belongings and all equipment including venues. Students may be required to pay for any expenses that arise as a result of careless or reckless behaviour

• be punctual for all sessions. All participants should arrive fully prepared for scheduled auditions, rehearsals and performances

• sign-in on arrival for all CGEN commitments

• remain within the perimeter of the venue (including the immediate grounds) for the duration of the commitment. Under no circumstances will students be permitted to leave the perimeter of the venue (and grounds) at any time without permission from the category manager and without a supervisor, coordinating teacher, principal or parent/guardian

• advise a supervisor if unwell or injured when the symptoms first occur. Parents/guardians or coordinating teachers will be required to assess the situation and take appropriate action

• be responsible for their own belongings. Do not bring valuables to auditions, rehearsals and performances

• bring adequate food and water to auditions, rehearsals and performances

• turn off mobile phones during auditions, rehearsals and performances

• hire, borrow, purchase or make costumes. Costume costs are to be met by students and all effort is made to keep these costs to a minimum

• have read and understood all program terms and conditions available on the CGEN website.

One teacher from each school should be allocated as the coordinating teacher during the nomination process. This coordinating teacher must register the school using the nomination website.

If other teachers at the school wish to access the nomination website, they must login using the coordinating teacher’s email address and password. It is suggested that the coordinating teacher use their departmental email address and create a generic password that can be shared with other teachers within their school. Additional teacher contact information can be entered during the nomination process.

There are four steps for each nomination. All information is to be supplied via the https://www.eawards.com.au/cgenonstage website

1. provide school details

4. upload audition footage/supporting material.

1. Can students or parents complete the online nomination form themselves?

No, only registered teachers of the Department of Education and Training are permitted to nominate students.

2. What will I be asked to acknowledge when submitting the nomination?

• The school principal where the student is enrolled must endorse the nomination.

• All students nominating for a place in the program have returned to the school a completed (unamended) CGEN 2018 project consent form and a completed (unamended) Network Ten release form. If unamended forms are not returned, students are not able to participate in the program.

• Nomination and participation fact sheets 1 and 2 have been distributed and understood by all relevant personnel supporting the students’ participation in the program.

• Parents/guardians and students understand the entire program, and the expectations and level of commitment required.

• All school team members supporting the students’ participation in the program understand the expectations and level of commitment required.

• All students (and parents/guardians of those students) understand the Department of Education and Training is collecting personal information, and will handle this material in accordance with the Information Privacy Act 2009 and the Education (General Provisions) Act 2006.

• They have read, understood and agree to the terms and conditions of the program.

3. What information will I need to know when submitting the nomination?

• School name

• Is the school part of a cluster? (A cluster is a group of schools combining to form one nomination)

• CGEN coordinating teacher name, email and mobile number

4. Further hints for completing the CGEN nomination process

Compulsory fields:

• Unless a field is labelled optional, it’s a compulsory field. You will not be able to continue submitting the nomination until all compulsory fields are filled with data.

• If there is no data to place in that field (for example, no basses in your choir) then please enter 0 (zero).

If you find an option you require for your nomination isn’t available in a drop down menu, please contact the CGEN team via email as we may be able to add an additional field.

5. Can I view my nominations once I have submitted them?

Yes, you can view your nominations using the following steps:

• Login to the https://www.eawards.com.au/cgenonstage website

• On the left hand side select NOMINATIONS, then MY NOMINATIONS

• If you would like to download an electronic copy of your nominations use these additional steps:

6. Can I edit my nomination once it’s been submitted?

Yes, once your nomination has been submitted you may edit it, if required, until nominations close by using the following steps:

• Click on the nomination you wish to edit or delete

• Edit the data as required and SAVE

7. Tips for maximising your ability to upload audition footage and support material

1. The size of files for audition footage should not exceed 50 MB

2. Do not leave uploading audition footage to the last nomination day as excessive use of the system will incur delays

3. If uploading files from a shared network (for example, school) access the system out-of hours when internet traffic will be reduced

4. Ensure you keep to the time limit set for each nomination category. Excessive footage will not be viewed and will increase the file size

5. You should convert your movie file into a more compressed format (reduced file size).

1 I GIVE CONSENT On behalf of the individual identified in Section 6 of this Consent Form (the Individual), the person or persons

signing this Consent Form (the Signatory)* grant consent to and license the Department of Education and Training (the Department) and any other Department or Agency of the State of Queensland (the State) to use, record and disclose the Individual’s: name, image, recording and any other identifying information specified in the Project Details section of this

Consent Form (personal information); and copyright material, including their written, artistic or musical works or video or sound recordings (Individual

work), created in connection with the Project identified in the Project Details section of this Consent Form. The Signatory also irrevocably and unconditionally consents to the Individual being attributed or not attributed as the author of the Individual work in a form and manner acceptable to the Department or the State. *Note: If the Individual is under 18 years of age, the Signatory must be a parent or guardian of the Individual. The Individual must also sign if he or she is under 18 and able to give and understand the consent. If the Individual is 18 or older, the Signatory and the Individual will be the same person.

2 FOR THE PURPOSE OF This consent only applies to the Department and the State using, including recording or disclosing, the Individual’s

personal information or Individual work, and permitting other persons to do so, for: the purposes identified in the Project Details section of this Consent Form; the purposes of public relations, promotion, advertising, media and commercial activities concerning the

Project. This only includes via the internet, iTunes U and Social Media Websites if the relevant website is identified as a permitted website for the Project in Section 5 of this Consent Form; and

where the material is uploaded to iTunes U, a Social Media Website or other website, - any purposes, commercial or otherwise, required by operators of the websites as a condition of uploading

the personal information or Individual work; and - transfer of the personal information outside of Australia in the course of the operation of the website.

3 FOR THE DURATION OF If the Department, the State or another person permitted by them is using the Individual’s personal information or

Individual work, or has entered into contractual obligations in relation to the Department’s material that incorporates the Individual’s personal information or Individual work, the consent will continue in relation to that material until the use is complete or until the contractual obligations come to an end. It is not possible for the Signatory or the Individual to withdraw the Individual’s personal information or Individual work or revoke this consent in relation to such existing uses of that material.

If you do wish to revoke or modify this consent in relation to any further new uses of the Individual’s personal information or Individual work, the Individual or the Signatory should send a notice in writing to the person nominated in Section 7 of this Consent Form. After that notice is received, the Department and the State will still be able to continue the existing uses, but will not be able to make any further new use of the Individual’s personal information or Individual work.

The Signatory acknowledges that where material is uploaded to a Social Media website or other website:

the use and contractual obligations may be perpetual and irrevocable; and it may not be possible to ensure that all copies of the material are deleted or cease to be used, and the

Department and the State will not be responsible for doing so.

4 I UNDERSTAND THAT ‘Project’ means the project described in the Project Details section of this Consent Form.

‘Use’ includes: - to create, make copies of, reproduce, modify, adapt or retain in any form, including by camera, video, digital

recorder, webcam, mobile phone or any other device; and - to distribute, publish or communicate in any form, including in newsletters and other print media, television

and via the internet, iTunes U and Social Media Websites, in whole or in part, and to permit other persons to do so.

The Signatory or the Individual will not be paid for giving this Consent or the use of the Individual’s personal information or Individual work.

This Consent Form revokes and replaces all previous consent forms in relation to the use of the Individual’s personal information or Individual work in the Project (subject to any limitations on revocation in those consent forms).

(a) all printed and electronic promotions, publications and performances related to CGEN by the Department of Education and Training.

(b) all recordings and DVDs produced during the production of the Project and distributed by the Department to all participating schools, students, teachers, professional artists, suppliers, contractors and sponsorship partners including online distribution via dedicated websites at www.creativegeneration.dete.qld.gov.au and http://education.qld.gov.au/community/events/creativegeneration/artsawards/mostawards. This includes recordings and DVDs provided to third parties (such as specialist consultants contracted by the Department) who will need to see such information during the initial process of the Project including nomination, audition and selection.

(c) any broadcasts of, or parts of, CGEN. The Department may copy, alter, adapt, and utilise:

(d) all aspects of the Individual’s Work and the Project including its promotion in any way the Department sees fit, at any time, anywhere in the world, by any means and may licence, authorise or otherwise transfer the rights in the Project to others to do the same. For example, performances may be published or broadcast nationally and/or internationally from time to time.

(e) the Individual’s Work, copyright material, image, recording or name in any way the Department sees fit, at any time. For example, images will be retained on the CGEN website, Facebook, Twitter, YouTube and may be used to promote Creative Generation - State Schools Onstage (CGEN) 2019 and MOST 2019 or other Department of Education and Training and activities

The Department may share videos related to the Department’s programs, activities and initiatives (including the Project) with users through its YouTube channel. The Department does not permit users to download its videos uploaded to its YouTube channel. However third party applications may be used to overcome the Department’s settings.

This Consent Form authorises the Department and the State to use the Individual’s personal information and copyright material, together with information about the Individual’s participation in Departmental and State initiatives, for the purposes specified in the Project Details section of the Consent Form. This consent covers the entire or partial use of the Individual’s personal information and copyright material in conjunction with other words and images. For example, the Individual’s personal information and copyright material may appear in school newsletters, magazines, websites (including iTunes U and Social Media Websites) and other school, departmental or State publications, as well as in television advertising, videos, brochures, forms, public relations displays, annual reports, press advertising, internal documents such as manuals, websites, certificates and strategic plans, and posters and other promotional material. There may also be occasions on which the Department may approve the media, such as local newspapers and television stations, using information and copyright material in relation to the Individual (for example, where the Individual is involved in dramatic or musical performances, sporting activities or award ceremonies). Websites Individuals and Signatories should be aware that publication of an Individual’s personal information and Individual work on websites, including iTunes U and Social Media Websites is similar to publication in newsletters, magazines, brochures, etc; however publication on websites is publication of that material to the world at large. Individuals and Signatories should be aware that the publication of an Individual’s personal information and Individual work,by the Department or the State, on a website typically constitutes a permanent and publicly available record of that material. This means that anyone may be able to copy and use an Individual’s personal information and Individual work that has been published on a website for any purpose and without the consent or knowledge of the Department, the State or the Individual. Individuals or Signatories should not grant their consent to the Department or the State to use an Individual’s personal information or Individual work in connection with a website if the Individual or the Signatory does not agree to the material being permanently available to the public. If an Individual’s personal information or Individual work is published on a website, that material will be governed by the privacy policy and terms of use of the relevant website. The Department or State cannot reasonably control how an Individual’s personal information or Individual work is used by third parties once the material has been published ona website which is not under the direct control of the Department, for example, iTunes U and Social Media Websites. What is copyright material? An Individual’s copyright material may include written work (e.g. stories and poems), paintings, pictures, drawings, designs, photographs, videos, films, music, performance, recordings, computer programs, websites, sculptures, fashion, metal- or wood-works made by them or to which they contributed. In the case of students, it includes, but is not limited to, work that they create in the course of their studies during the time they are enrolled at a State school. These materials may form part of their academic assessment or be part of their studies generally and may attract copyright. The Department understands that students and volunteers generally own the intellectual property rights in the material they create and that this Consent Form is not meant to transfer the Individual’s ownership of the intellectual property in their copyright material. This Consent Form does not provide for copyright consent in relation to copyright works an Individual creates in the course of employment (whether or not the material is created in normal work hours or using departmental facilities or equipment). Where copyright material is created by a State employee while performing their duties under the terms of their employment, the copyright is owned by the State as the employer (section 35 Copyright Act 1968). There are limited exceptions to this including, for example, where the copyright material is created by an employee pursuant to a prior agreement with the employer. Generally, the deciding factor is whether the employee is performing their official duties. In addition, section 176 of the Copyright Act 1968 applies where the work was created by or under the direction or control of the State. However, moral rights may still apply to copyright material created by an employee. The Queensland Public Sector Intellectual Property Principles provide further information on intellectual property. If as an employee you have any further queries about the ownership of the intellectual property in respect of the works you create you should contact the Legal and Administrative Law Branch. What is personal information? Personal information includes information or opinions, whether true or not, about an individual whose identity is apparent or can reasonably be ascertained from the information or opinion. This includes the Individual’s name, image or video or sound recording. It also includes the Individual’s educational information such as the Individual's

assessment and results, and health information and court orders provided to the Department, where such information may enable the Individual to be identified. What happens to the Consent Form once it is completed and signed? The Consent Form is retained by the Department and it will be placed on the Project file. The Individual or Signatory may request a copy of the signed form by contacting the person nominated in Section 7 of this Consent Form. What if I give my consent and later change my mind?

The consent will be in effect from the date the Consent Form is signed. The Department and the State will then start using the Individual’s personal information and Individual work to create material incorporating the Individual’s personal information and Individual work and entering into contractual obligations in relation to that material. If you wish to later modify or revoke this consent, the Individual or the Signatory should send a notice in writing to the person nominated in Section 7 of this Consent Form. After that notice is received, the Department and the State will not make any new additional use of the Individual work, but any existing uses will continue. Where the Department or another person uploads material to iTunes U, a Social Media Website or other website, it may need to accept contractual obligations that are perpetual and irrevocable. It may not be possible to ensure that all copies of the material are deleted or cease to be used, and the Department and the State cannot take responsibility for doing so. Privacy The consent to the recording, use and disclosure of the Individual’s personal information and Individual work is required in accordance with the Copyright Act 1968 (Cth), the Education (General Provisions) Act 2006 and the Information Privacy Act 2009. Personal information will be stored securely. The Department will only disclose the Individual’s personal information in accordance with the consent, except where authorised or required by law. If you wish to access or correct any of the personal information on this form or discuss how it has been dealt with, or if you have a concern or complaint about the way the Individual’s personal information has been collected, used, stored or disclosed, please contact the relevant organisation or school.

CGEN nomination terms and conditionsIn these terms and conditions ‘the department’ means the State of Queensland acting through the Department of Education and Training.

1. Information on how to nominate and participate in Creative Generation – State Schools Onstage, including all program guidelines, information books, forms and fact sheets, form part of these terms and conditions. Participation in the program will be considered acceptance of these terms and conditions.

2. The department (ABN 76 337 613 647) is the owner of the Creative Generation – State Schools Onstage program.

3. Once entered, details are not transferable to any other person or organisation or school.

4. Late or partially completed nominations, or nominations that do not satisfy the nomination requirements or program guidelines at the time of the program entry closing, may be judged as ineligible for participation in the program.

5. All information submitted must be true and correct as at the time of nomination.

6. The decision made by the department to accept a student/school as eligible to proceed to the next stage of the program is final and no correspondence will be entered into.

7. The department accepts no responsibility for inability or failure to submit or nominate by the final date.

8. The nominee grants the department the right to use personal information (including student details, photographs and/or video) in accordance with the project consent form.

9. By providing material (including student details, photographs or video) to the entry portal, the nominee warrants they either own the material or have acquired sufficient right to use the material for the purpose of the program and agree to indemnify the department against any loss or damages caused by breach of this warranty.

10. Where a nominee is a part of a group or cluster, the person completing the nomination must be an authorised representative of the group and all organisations/schools affiliated with each person.

11. Where there is more than one category or stage, each category or stage may have individual eligibility criteria as well as judging criteria.

12. Although every effort will be made to ensure project materials (including certificates, prizes and awards) are sent to the address stated on the nomination, the department takes no responsibility for lost or misdirected items not received by students/schools.

13. The department will not be responsible for any problems or technical malfunction of any network or lines, servers, providers, computer equipment, software, traffic congestion on the internet, etc., including, but not limited to, any injury or damage to participants or any other person’s computer related to or resulting from participation in or downloading any materials in this program.

14. The department will not be responsible for any failure by sponsors and partners to fulfil their contractual obligations made between the department and the sponsor.

15. If for any reason the program is unable to run as planned, including causes beyond the control of the department, the department may at its sole discretion cancel, suspend or modify the program.

16. The program may be withdrawn at any time without notice.

17. The participant agrees to indemnify the department against any loss or damages caused by a cancellation, suspension, modification or withdrawal of the program.

18. These terms and conditions may be altered where necessary, and any changes will be notified on the program’s website.

19. The department reserves the right, at any time, to verify the validity of a nomination, reject a nomination or disqualify a nomination that is not in accordance with these terms and conditions.

TERMS AND CONDITIONS OF THE CHILD TALENT RELEASE

1. AGREEMENTS AND ACKNOWLEDGMENTS The Parent agrees and acknowledges that: (a) Ten may record the Child’s image and voice for use in the Program;

(b) Ten may incorporate any recorded image or sound made by Ten of the Child in the Program;

(c) Ten may use the Parent’s and the Child’s name or any other personal reference in the Program;

(d) Ten may copy, alter, adapt, utilise and exploit the Program in any way it sees fit, at any time, anywhere in the world, by any means and may licence, authorise or otherwise transfer the rights in the Program to others to do the same;

(e) Ten may use the Child’s recorded images and/or sounds in the promotion of the Program; and

(f) the Child and the Parent will not have any interest in the Program, in the copyright or any other right in the Program and, to the extent permissible by law, the Parent on behalf of himself or herself and as the parent and guardian of the Child waives and/or assigns to Ten all such rights which might, but for this release, arise.

2. RELEASE The Parent agrees and acknowledges that the Child participates in the Program at the Child’s own risk and the Parent on behalf of himself or herself and as the parent and guardian of the Child releases Ten and, each station in its network and its and their employees, agents, officers and contractors (“the Released Persons”) from any action, proceeding, suit, claim or demand which the Parent or the Child has, or may have, which are connected with, or incidental to:

(a) the Child’s participation in the Program;

(b) the provision by Ten or any other person of any goods and/or services; and/or

(c) any matter or thing referred to in this Release.

3. COVENANTS AND WARRANTIES

The Parent covenants with and warrants to Ten that: (a) the Parent is the parent and guardian of the Child;

(b) the Parent is fully authorised to enter into this agreement on his or her own behalf and for and on behalf of the Child;

(c) this agreement is a valid agreement and is binding upon the Parent and the Child;

(d) the Child is under the age of 18; and

(e) no other person is required to authorise or consent to the execution of this agreement on behalf of the Child.

4. INDEMNITY In consideration of Ten considering the Child for inclusion in the Program, the Parent on behalf of himself or herself and as the parent and guardian of the Child indemnifies and holds Ten, and each station in its network and their employees, agents, officers and contractors (“the Indemnified Persons”) harmless and keeps each of them indemnified from and against any action, proceeding, suit, claim or demand made against any of the Indemnified Persons arising from or in consequence of:

(a) the Child’s participation in the Program;

(b) any claim by the Parent or the Child or any other person against any of the Released Persons which relates to the release given by the Parent and the Child in clause 2;

(c) any breach of the covenants and warranties contained in clause 3; or

(d) any of the covenants or warranties in clause 3 not being complete, true and correct,

and from and against any direct, indirect, consequential or special damage, loss, cost or expense (including legal expenses as between solicitor and client) suffered or incurred by any of the Indemnified Persons as a consequence thereof.

5. MORAL RIGHTS The Parent as the legal administrator of the Child’s affairs: (a) consents to any work created by the Child in the course of participating in the Program being changed, copied, edited, added to, taken from, adapted and/or translated, in any

manner or context by Ten, and any person authorised by Ten to do so, for any purpose, notwithstanding that such conduct may amount to derogatory treatment of the work within the meaning of the Copyright Act, 1968; and

(b) acknowledges that the consent in paragraph (a) is genuinely given and is not given because any person:

(i) applied duress to the Parent or the Child (or any representative of the Parent or the Child) to give that consent; or

(ii) made a false and misleading statement to the Parent or the Child in relation to the giving of that consent.

6. GENERAL (a) Waiver:

Any failure or delay on the part of Ten in insisting upon strict performance by the Parent or the Child of any provision of this agreement will not be taken to be a waiver of such provision or of any rights of Ten and shall not be taken to be a waiver of the same provision on any subsequent occasion.

(b) Assignment:

Ten may assign any or all of the rights or obligations of the agreement to any other person without the Parent’s or the Child’s consent. The Parent and the Child may not assign any of the rights or obligations of this agreement to any other person in any circumstance.

(c) Governing Law:

This agreement will be governed by and construed in accordance with the laws of New South Wales and Ten and the Parent and the Child unreservedly submits to the jurisdiction of the Courts of that State and all Courts competent to hear appeals from those Courts.

(d) Assigns:

Any reference to any party in this agreement includes a reference to that party’s successors and assigns.

7. DEFINITIONS

In this agreement “Child”, “Ten”, “Parent” and “Program” have the meaning ascribed to them in the attached cover sheet.

(b) the provision by Ten or any other person of any goods and/or services; and/or

(c) any matter or thing referred to in this Release.

In consideration of Ten considering the Participant for inclusion in the Program, the Participant indemnifies and holds Ten, and each station in its network and their

employees, agents, officers and contractors (“the Indemnified Persons”) harmless and keeps each of them indemnified from and against any action, proceeding, suit, claim

or demand made against any of the Indemnified Persons arising from or in consequence of:

(a) the Participant’s participation in the Program; or

(b) any claim by the Participant or any other person against any of the Released Persons which relates to the Release given by the Participant in clause 2,

and from and against any direct, indirect, consequential or special damage, loss, cost or expense (including legal expenses as between solicitor and client) suffered or

incurred by any of the Indemnified Persons as a consequence thereof.

4. MORAL RIGHTS

The Participant:

(a) consents to any work created by the Participant in the course of participating in the Program being changed, copied, edited, added to, taken from, adapted

and/or translated, in any manner or context by Ten, and any person authorised by Ten to do so, for any purpose, notwithstanding that such conduct may

amount to derogatory treatment of the work within the meaning of the Copyright Act, 1968; and

(b) acknowledges that the consent in paragraph (a) is genuinely given by the Participant and is not given because any person:

any of the rights or obligations of this Agreement to any other person in any circumstance.

(c) Governing Law:

This Agreement will be governed by and construed in accordance with the Laws of New South Wales and Ten and the Participant unreservedly submits to the

jurisdiction of the Courts of that State and all Courts competent to hear appeals from those Courts.

(d) Assigns:

Any reference to any party in this Agreement includes a reference to that party’s successors and assigns.

6. DEFINITIONS

In this Agreement “Ten”, “Participant” and “Program” have the meaning ascribed to them in the attached cover sheet.
