Overview

Purpose

Why is this process in place?

Previously employees with multiple roles received a separate payslip for each

role that had earnings paid in the period.

This work instruction details how the new payslip has consolidated multiple

jobs to all appear on the one payslip. Also providing greater detail resulting in

a payslip that can be reconciled to show the hours worked per job per day.

What does this process produce?

From payday 31 October 2017 the new payslips will be delivered.

New functionality as of 18/10/2017.

Who/where to go for help

Payslips prior to 31/10/2017 can be accessed by selecting the blue link shown on the right of the payslip screen. To view new payslips click anywhere on the line showing the date of the payslip you wish to view.

Active Job Details

Lists all active jobs in the order of Job Record. Department, Location, Pay Rate, Position Title and Project Code are displayed. Note: If more than one Project Code allocation exists, the highest percentage has been displayed. In the event there is a 50/50 project allocation then the first one that entered will be displayed.

Pay Summary

Shows Gross Earnings for the pay, Pre Tax Deductions, Tax, PSTTAX DEDuctions and Net pay. The Net pay being the amount that will be disbursed into the bank account.

Taxable Gross Is the Gross less any Pre Tax Deductions. Currently only showing Gross earnings for the current period. As the new payslip functionality was implemented as of 18/10/2017 any earnings prior to this date will not be picked up in this total. This is a new field not previously captured on payslips and does not affect any other year to date amounts captured on the Payment Summary.

Hours and Earning Summary

Shows the totals of each earning description, academic units and associated hours and the Total Gross.

Hours and Earnings Details

Date, Job Record, Description, Units, Hours, Rate, Gross amount of earnings and the Payment Type are

shown.

Date is the period end date in which the earnings relate to.

Job Record for which the earnings are for.

Description The earnings type. i.e Normal time for Professional casuals or autopaid employees and

the Academic earnings codes for Academic casuals.

Prior Period shows that it is a retrospective earnings or one from a prior period.

Units will show the number of units paid.

Hours will show for professionals the amount of hours paid and for academics the amount of

associated hours per unit paid.

Rate will show for current earnings only, for prior period earnings the amount of units and rate will be

shown in the Payment Type field.

Earnings will be the total Gross amount being paid.

Payment Type will show what type of payment it is or if there are any retrospective calculations

required due to new earnings being paid for a prior period in which earnings have already been paid.

This will show any Current payments and Previous payments, it will also reflect any retrospective rate

or hours changes

Deduction Details, Year to Date Summary, Bank Details and Leave Entitlements

Deduction Details: Shows any Pre Tax Deductions, Post Tax Deductions, Taxes and Employer

Super.

Note: In the event that additional tax is being paid, this will show underneath the Deduction Details

fields and before the Year to Date Summary fields.

Year to Date Summary: Will show year to date information for Gross, Pre Tax Deductions, Tax, Post

Tax deductions and Net. The Taxable Gross will not be populated until next financial year, being the

first pay for July 2018.

Super Fund Recipient: shows super year to date information.

Bank Details: Show bank details

Leave entitlements to Date: Shows total entitlement, which is the balance that has accrued since

conversion to HRPAY on 09 March 2016, Taken is the total taken of leave since conversion on 09

March 2016 and the End Balance is the Entitlement less any Taken leave.

Time Paid in the Current Period

This details timesheet entries paid in this pay in Job Record order and then by Date. This enables a full

reconciliation to be done of what has been paid in the pay period. Paid units and associated hours are

displayed. All of these details are reflected above in the Hours and Earnings Details which shows the total of

each of the earnings by the pay period.
