Board of Directors’M E E T I N G

March 6, 2017

Present: John Palmarchuk, Monica Decker, Charlie McNutt, Carl Presley, Richard Jablon, Mac Ledbetter, Kevin Ailara, Cheryl Erickson, Zina Lawrence, Tom Ware, Rufus Johnson, Brian Ballow

The meeting was called to order at 7:00pm. Cheryl Erickson, President-Elect, ran the meeting. Richard Jablon moved to accept minutes as published in the April Newsletter. It was seconded by Carl Presley and the motion passed unanimously. Cheryl read the Membership report. She stated that the OI dues are up to date. Cheryl moved to accept 19 people as new members. The motion was seconded by Monica Decker and it passed.

Kevin Ailara read the Youth Report to the board. John Palmarchuk had a question about field maintenance fee. Kevin clarified the what the fees were for. Mac Ledbetter requested that the news articles be turned in no later than the 10th of April. It would be greatly appreciated if they came in earlier if possible. It would be nice to have some photos to include in the newsletter.

John Palmarchuk gave the Concession report. They have had 3 tournaments at Senter Park and they have been doing okay on sales. The Building Maintenance report was given by Richard Jablon stated that there are issues with our phones services. Right now we do not have a building maintenance chairperson at this time. Carl Presley suggested that each Board Member take the responsibility for cleaning the hut once a month.

The Zone Oratorical contest was in Frisco this last weekend. The girl we sponsored won at Zone and will continue to the District Contest in Lubbock, TX. She is real excited about going to the District Contest. Scholarship report was given by Kevin Ailara. We are waiting for the applications to come in at this time. Sponsorship report was also given by Kevin and we currently have two sponsors, Dick’s Sporting Goods and Southwest Bank. Richard Jablon will check and see if the Scout Troup we sponsor can come out to Baseball Opening Day.

The YAC report was read by Kevin Ailara. He moved to accept the YAC’s proposal for Rules and Regulations for 2017 Cheerleading Program. It was voted on and passed. Kevin them moved to accept the YAC’s accepted proposal for Registration Fees for 2017 Cheerleading Program. This motion also passed. Then he moved to accept the YAC’s proposal for Uniform Fees for 2017 Cheerleading Program. The motion passed after a brief discussion. Kevin moved that Cheerleading Sponsors would follow the same process as our current coaches. The motion passed. The YAC suggested that Cheerleading Coaches would need to be a part of a JOI Club that we could form. There would be one JOI at the High School Level and one JOI at the Junior High Level if we had enough to participation. This is something we would have to look into. Kevin moved to buy 4000 eggs for the Easter Egg Hunt. The motion was seconded by Richard Jablon. There will be flyer printed out and passed out to the community. After a brief discussion, the motion passed.

Old business was brought up by Cheryl Erickson. She read an email from ACA Optimist Club in response to our meeting with them last week. At last week’s meeting, both clubs had agreed to merge together and work on the details of this proposal during the rest of that week. The ACA Optimist Club has now decided to rescind this proposal. Although, this is not the outcome we wanted, we will respect their decision. Richard moved to waive our registration fee for girls/boys who had already paid the non-refundable fee to

BASEBALLThe O CA 2017 basebal l season is of f and running! ! ! We have seen a 42% increase f rom our 2016 season and have a combined 38 teams playing this year. New this year is our modif ied coach pitch as wel l as the star t of our 13-14u div is ion. We wi l l a lso be having a two day Opt imist tournament for our 9u-12u div is ions at two di f ferent ba l lparks on Apri l 28-29 with 16 tota l teams par t ic ipat ing .

Whi le we have exper ienced this growth in our program there is a lways room for improvement . In an ef for t to cont inue improving the program, wi l l be holding Basebal l Projec t C ommittee meet ings in the of f season. Anyone having interest in helping to fur ther improve the O CA Basebal l program or get involved feel f ree to contact me.

the ACA on/or before April 15th, have proof of payment and acknowledgement that they will not receive a refund from ACA. This motion was seconded by Cheryl Erickson and the motion passed. Cheryl read a letter from the Downtown Library Committee thanking us for our contribution. Richard is waiting on the written proposal from the contractor about updating the hut. The plumbers and electrician came out with the general contractor to look the building this past week. Richard said that there was a plethora of help during the tournament. Carl has gotten three proposal for tree trimming services. Richard moved to accept the bid from Tree Hugger Tree Service. The motion was seconded by Monica Decker. The motion was withdrawn by Richard. Kevin moved to let Carl Presley pick between Tree Hugger Tree Service and Ballard Tree Service. John Palmarchuk seconded the motion and it passed.

Under new business, Kevin moved to pay for David Bayless’s expenses for the mileage equaling 2 tanks of gas, registration, and hotel, which equals normal and customary Optimist expenses. Monica seconded the motion and it passed.

The following committees had no report to give at this time: Land Acquisition, New Clubs, Orientation, Respect for Law, Teacher of the Year, Youth Appreciation, 4th of July Parade, and Scouts.
