    Effectiveness of the project management:

    During the creation of the product several documents were used to manage the overall project from the beginning. This would be because in the

    development stages a suggested time was given to when each stage would be completed. This first began in the creation of the project proposal and the

    project scope as in these two documents you would be able to locate a milestone. This milestone was a fundamental part to act as a guide to when each

    stage needs to be completed. However to be able to access how effective the overall project management was this cannot be focused on the project

    milestone as this was only one part of the management process. When in fact the stakeholders need to be taken into consideration to see what they thoughtof the management. The management first began with the email communication between myself (project manager) and the client. This is because he was

    initially sent the project proposal and scope which contained the mile stone therefore the deadlines. Not only has this, but the replies from the client showing

    his confirmation that he received the documents. The management of the project then continued to be strong with the very first meetings.

    This began with the first meeting which was held on Friday the 12 thOctober 2012. This was a crucial meeting to ensure that the agreement to proceed

    document was signed by the client but also by a stakeholder as a witness. This part of the project was managed as each stakeholder was sent emails

    beforehand about this upcoming meeting. This was then shortly followed by the second meeting in which the main topic for this meeting was based on the

    product design update and the monitoring of it. At this stage, it became very difficult to manage precisely because of the different designs which were

    needed, this would include the hand drawn designs to then lead into the prototype. As all of these documents needed to be communicated with the

    stakeholders with feedback and then sent back with the improvements. This was when the use of the project diary came to be seen as very vital. This was

    started at the beginning of the creation of the product but become more useful as more information and communication was required. Therefore the dates of

    each meeting could be placed at suitable times to ensure that there is a considerable amount of space in between each meeting to allow further progress to

    occur. The project diary allowed myself (project manager) to email the stakeholders at particular times to ensure that communication is kept strong. This

    ensured that by the time the next meeting came around the stakeholders could see the further development and that the deadlines regarding their

    communication has been met. The use of the diary also led to try and create the correct number of meetings to ensure that they were kept informed to what

    was occurring. Evidence for this can be shown below in the graph.

    This is able to show all of the stakeholders feedback on if they felt that the correct

    number of meetings was arranged. As shown in the graph that they all thought there was

    enough meetings arranged.

    Not only was the project diary a key part of the project management but the use of the project management document which is a documented version of the

    project management using Microsoft Project. The purpose of this would be to have a backup of when each stage was started and to therefore show to prove

    to the stakeholders that with the use of the scale at the side of the documentation as to when each stage was completed and if it was on time on not. A key

    part of the project in which the use of the diary and the project management was more needed would have been in the design stage. By managing the

    processes successfully I was able to ensure that during this time the product was never held up on the wait of a response by a stakeholder as a specific

    amount of time was set aside to allow for a response from the stakeholders which is also why a quick response was asked for on all occasions. Furthermorethe development and input of each stakeholder could be added to the diary and the project management which was regularly updated.

    To enable the stakeholders input I as the (project manager) I needed to be able to show to the stakeholders that I was incorporating their feedback into for

    example for final product. However at times this proved difficult to manage as the original deadlines which was sent could not be changed but I needed to

    show the improvements to the stakeholders via email and to make the improvement with the need to adjust the dates which was originally discussed. The

    stakeholders view on this stage can be shown below in the graph.

    about the use of feedback and the implementation onto flash. As you

    can see the majority of the stakeholders thought of it as a highstandard.

    This is able to show all of the stakeholders feedback of how they felt

    on the ability to finish the stages on time. As you can see the

    stakeholders were split into excellent and good.

    Evaluation of own performance:

    1. Over the course of the several tasks which were completed my overall performance become better. This is due to the fact that as time progressed myskills have developed and I have learnt more than what I originally knew. The first improvement would be my ability to use Adobe Flash. This is the

    software which was used to create the final product. At the beginning I had basic skills as to how to use flash however as more time was used in product

    I was able to incorporate more items into the product and have a better understanding. This would include to be able to import images and use key tools

    on the page which helped to enhance the overall product. As of course time managementwas also a key part of this section as I had to ensure thatthe making of the product did not over run but most importantly that each page required the same amount of detail using the same time period.

    2. Furthermore I was able to give a specific amount of time to the testing of the final product. This amount of time had to be set aside to ensure thatthe product could be thoroughly tested by others who would be the users of the product. To ensure this, the project diary was needed to ensure that the

    right amount of time could be arranged. Not only was this, but to ensure that the right amount of tests issued to make sure that all aspects of the

    product would be tested.

    3. I also found that my ability to manage different documents at the same time has also improved. This would be because at the start only certaindocuments were needed at first. However it then became known that I needed to be able to multi taskdifferent documents whilst still remembering

    that each task has its own deadline to be completed. To ensure that I was able to multi task I had to ensure that only a certain amounts of documents

    were started at the same time to ensure that each document still required the same high quality. This then led on to my ability to try to finish stages on

    time and if it was not going to be on time then the stakeholders needed to be informed at once.

    4. A further skill which I have developed would be to be able to use Microsoft Project. This became a key document in the whole project and wasrequired to be able to manage the whole project. The skills which was learnt from this mostly was to how to use the software. This would be because at

    the start I was not aware of this particular software however I was advised that the use of this software would be required. From this I was able to learn

    how to assign resources to particular parts such as when to assign stakeholders. This was required to know who would be needed at each stage and also

    what in terms of material goods.

    5. Another key part would have been the ability to communicate; as mentioned above this was a key part to be able to progress. From this I was able togain skills in how to manage all of the stakeholders. This is because all of the stakeholders had different opinions and needed to be informed of what was

    occurring. To ensure this one email would have been sent containing all of the stakeholders email addresses. By sending out one large email with the

    same information I was able to manage what information had been sent to them and therefore I would know that a response from the stakeholderswould be sent about that particular subject.

    Improvements:

    If I was to redo this task then there would of course by things that I would like to change. For example I would spend less time completing certain tasks and

    then use other time on more important parts. This would include to spend less time on the design of the product. This is because this was quite a extensive

    stage in which there was a lot of decisions to be made and clarification by the stakeholders. When in fact the designs should have been simply but still

    showing how the stakeholders thoughts were taken into consideration. Whereas this time could have been used to actually create the product as more

    features could have been used in the product if more time had been assigned. I believe that the same good results could have been achieved even with less

    time spent on the design stage. This also could have been raised in the final review meeting so that for next time spent on certain stages would have been

    more a priority.

    Another improvement would have been concerning the number of meetings. However by referring to the graphs all of the stakeholders agreed with the

    amount of meeting. I personally feel that the number of meetings could have been less especially because of the amount of email communication which was

    used. After a while the topics of the meetings became quite repetitive and the same topics were discussed. For next time the amount of meetings needs tobe thought of more extensively and planned in detail. Furthermore when attending a meeting in the agenda notes need to be bought to the meetings as at

    times many stakeholders came unprepared. Possibly for the future agendas should also contain what necessary documents to bring to a meeting. A final

    improvement would have been to have used different forms of communication with the stakeholders. This was seen as an essential part but mostly email

    was the only way which was used to communicate. The use of email was an easy way to keep track of communication but it could be slow at times as a

    response was required to progress and there was never a definite time as to when one would be sent. An example would have been by telephone however

    other forms of communication would need to be managed to ensure that the right amount has been used.

    Overall I feel that my performance in the management of the project was at a good standard. As the feedback shown in the graphs from the stakeholders

    are positive and show what possibly could be improved for next time. I think my overall management skills were effective and I have gained new skills which

    I will be able to bring use for in the future.

    This is able to show the stakeholders response to the overall management of the

    project and the project manager performance. The graph is able to show positive

    feedback that the majority of stakeholders were extremely satisfied and quite

    satisfied.
