Ethernet Switch Setup 1. Decide where to mount your Ethernet switch.

Considerations when mounting the Ethernet switch.

a. Close to a 120vac wall plug

b. Dry location

c. Visibility (communication indicator lights)

d. Easy access to the conduits that run to the coin boxes

e. Wire from Ethernet switch to computer can be routed safely

2. Follow Ethernet switch manufacturer’s instructions.

There is no need to install software from the switch manufacturer for

the switch to work.

(Note:) Don’t use the uplink port on the Ethernet switch. It is intended

for connecting 2 Ethernet switches together.

New Compaq, HP or Dell Desktop PC running Windows7 Home Basic

Pentium 4 or AMD Athlon processor

2 GB Ram or more

40 GB Available Space

Compact Disc writer

2 Ethernet Cards (Cannot be the same one used for internet connection.)

1. If a UAC window appears at any time to ask your permission to continue

running software published by WashGear or Microsoft, click Continue.

2. Insert the CardWorks disk.

3. Click Start then click Computer

4. Double click the drive the Install disk is in.

5. Double Click the file that fits your PC’s operating system

a. If you don’t know, Right click the Computer icon on your start

menu>Click properties.

6. Double Click the Setup file.

5. If this window appears it means that your PC needs to install the Microsoft

.NET Framework. Click Accept.

6. If this window appears it means that your PC needs to install SQL Server

13. If Windows Firewall alerts you of WashServerNET, Check both public and

private network, then click Allow access.

a. Your CardMate terminals will remain out of service if you don’t click

Unblock.

14. You may see a window similar to the one below instead. If you do, Click

Allow always.

11. You have installed CardWorks successfully.

11. Type card

12. Click CardWorks at the top of the Start menu.

13. CardWorks will check for any necessary updates then open.

Networking settings

Networking settings must be correct in order for CardWorks to communicate with the

CardMate terminals on the network.

1. Click Start then Control Panel.

2. Click Category>Click Small icons.

3. Click the Network and sharing icon.

3. Click Manage network connections

4. Right Click the Local area connection icon and click properties.

5. Uncheck file and printer sharing.

2. Click the Properties button.

3. Click the “Use the following IP address” radio button.

4. Set the IP address to 10.0.0.1 and the Subnet mask to 255.0.0.0

5. Click OK

6. Click Close

Power Management Setup

For the program to function correctly, Power Management must be configured correctly.

6. Click the plus sign beside hard disk

7. Click the plus sign beside Turn off hard disk after.

8. Click Settings

9. Type 720 into the (Minutes) field.

10. Click Apply.

11. Click OK.

Security settings

2. Double Click Windows Update

3. Click Change settings

4. Select Download updates but let me choose whether to install them.

5. Click OK.

6. Click All Control Panel Items.

7. Click Windows Firewall.

8. Click Change Settings

9. Check all three checkboxes associated with every instance of washservernet.exe

10. Click OK.

11. Close the window.

Extra instructions for Windows7

1. Click the start button and type “card” into the search bar.

2. Right click CardWorks>Click Pin to Start Menu.

3. Click the arrow in the system tray.

4. Click customize.

5. Scroll down until you find WashServeNet

6. Select Show icon and notifications.

7. Click OK.

Backing up your CardWorks data in Windows Vista

1. Click Day End Credit Cards

2. Login to the program. See: Logging in (Page 119)

3. Click Settle Batch

4. Once batch has been settled wait 60 seconds.

5. Click File>Back up

6. Choose the drive you desire to save the Back up on from the “Save in” dropdown list.

7. Type a name that will be meaningful to you like April 1 2008 in the File name field.

6. Click Save

Restoring your CardWorks data in Windows Vista

1. Login to the program. See: Logging in (Page 119)

2. Click File>Restore

4. Read this message very carefully. If you understand the consequences click Yes.

5. Choose the drive you desire to retrieve the Back up from on the “Look in” dropdown

list.

1. Click Start then Control Panel.

Security settings

For the program to function correctly, security settings must be correct.

1. Click start, then Click Control panel

2. From control panel, Double click the security center icon.

3. Click Windows Update

4. Click Change settings

5. Click the following.

6. Click OK.

7. Close the window.

8. Click Windows Firewall.

9. Click Change Settings

10. Turn windows firewall on.

11. Click the Exceptions tab.

12. Check every instance of washservernet.exe

13. Click the Advanced tab.

13. Make sure both local area connections are checked.

14. Click Apply.

15. Click OK

16. Close the window.

17. Click Change the way security center alerts me.

20. Close the Control Panel.

Networking settings

Networking settings must be correct in order for CardWorks to communicate with the

CardMate terminals on the network.

1. Select Control Panel from the Start Menu

2. Make sure that you are in Classic View mode by Clicking “Switch to Classic View” in

the top left hand corner of the screen.

3. Click on the Network Connections icon

4. Find the Ethernet card that you want to use for the CardMate network, and click on

this icon with the Right mouse button. After this, click on properties with the left mouse

button.

5. Uncheck all boxes except for Internet Protocol (TCP/IP) and QoS Packet Scheduler

6. Select Internet Protocol (TCP/IP) from the list. Click Properties.

7. Enter 10.0.0.1 as the IP address, and 255.0.0.0 as the Subnet mask.

Security settings

For the program to function correctly, security settings must be correct.

Terminal Installation

RJ-45 Connectors

RJ-45 modular connectors are wired in the following order from left to right with

locking tab away from you and the insertion slot facing down as illustrated below.

Cable should be tested using a network cable tester. RJ-45 modular connectors,

RJ-45 crimping tool, and network cable testers can be purchased at Home Depot

or any electrical supply.

2. Plug your lowest bay# CAT-5 cable into port 1 on the Ethernet switch next port 2

etc.

3. Plug the CAT-5 cable for the computer into the highest port# on the switch and

the other end into and the computer.

a. Don’t use the uplink port on the Ethernet switch. It is intended for

connecting 2 Ethernet switches together.

b. Make sure you also test the CAT-5 cable between the Ethernet switch ant

the PC.

4. Lock all CardMate doors.

5. Add the wand bay in CardWorks. See: Adding Terminals in CardWorks (Page

123)

6. Set prices in CardWorks. See: (Page 127)

7. Terminal will not activate the wash until CardWorks software is running and

configured with the terminals addresses.

Wand Bays (CardMateII Terminal)

1. Run CAT-5 from the Ethernet switch to the computer and each terminal location,

including ACW leaving 3ft of extra cable at the coin boxes and 4’ at ACW.

Hint: (Mark the cable in the equipment room with the bay that it is running to)

2. Fasten the provided template to the wall using appropriate anchors (Size 3/8-

7/16”) for the material the terminal will be fastened to.

3. Using a ¾- 1” masonry bit, drill a hole from (Hole D) in the template to the coin

box at a 45 angle sloping slightly away from the CardMate terminal toward the

coin box so any water that may get in through the coin box will flow toward the

coin box.

4. Repeat these steps 1-3 on each self-service bay.

5. Turn off all power to the first coin box.

6. Using the template as a shield to protect the wiring and components in the coin

box, have a qualified welder place a hole in the side of the coin box corresponding

to the hole you just drilled using either 5P welding rod or a plasma cutter.

(Hint: Use a spray bottle of water to chill the coin box once cut) so you can

place the coin box back in service as soon as possible.

7. Turn power back on to the coin box you just cut.

8. Repeat steps 5-7 in the other bays.

9. Turn the power off to the first bay you would like to mount a terminal in.

10. Attach four of the small donut gaskets (4 included with the terminal) on the

outside of the terminal centered on each bolt-hole.

11. Attach both large donut gaskets to the outside of the terminal centered on the 1’

cable hole.

12. Mount CardMate terminal to the studs the template was mounted with.

13. Route the CAT-5 cable from the coin box to the CardMate terminal routing the

cable against the inside corners of the coin box where possible. This will insure

available cable if the cable fails testing and new ends are required. Once in the

CardMate, route CAT-5 through the cable management tabs as illustrated below.

14. Cut CAT-5 to appropriate length to route as illustrated.

15. Route the power/control cable through the back of the CardMate to the coin box.

16. Terminate power & control wires LISTED IN BOLD PRINT in coin box as

explained next leaving enough length on the other wires for future terminations.

17. Once cables have been tested plug the RJ-45 connector in each bay into the

SILVER communication port.

18. Zip tie and tape power/control wires in the coin box out of the way of components

mounted on the door to insure coin box can be closed once wires are terminated.

19. Seal all holes in the enclosure including the in the 1” diameter

cable hole (Hole-D) in the rear of the CardMate terminal using the

BLACK RUBBER material (Rubber neck) included with your

terminal to prevent water vapor from entering the CardMate

enclosure. Water vapor in the enclosure will result in condensation at

the top of the CardMate, which will drip on the components. Water damage is not

covered by warranty.

19. Close coin box and CardMate terminal.

20. Replace power to the bay

21. If bay equipment does not power on, the fuse amperage for the bay may be too

low.

a. Unplug main power/control cable in CardMate terminal

b. Replace fuse in the equipment room.

c. Activate bay using either test switch or coins

d. Use properly rated fuse

Optional CardMateII Heater installation

The optional heater is programmed to turn itself on when the temperature of the heater

falls below 48deg F +/- 5deg. The heater will continue to run until it reaches 134deg F +/-

5deg. The heater will keep the CardMateII enclosure warm enough to prevent freezing in

temperatures as low as -15deg F.

Heater is designed to be mounted to the of the aluminum card reader shroud using 4 studs

that are furthest away from the door in the position illustrated below. Heater wires need

to be threaded through the nylon cable clamp then to the coin box where they can be

connected to power as follows.

Wand Bays (CardMateSE Terminal)

1. Run CAT-5e from the Ethernet switch to the computer and each terminal location,

including ACW leaving 3ft of extra cable at the coin boxes and 4’ at ACW.

Hint: (Mark the cable in the equipment room with the bay that it is running to)

2. Using the enclosed metal mounting template pictured next, select a mounting

location for your CardMateSE on the coin box. If your CardMate is not equipped

with a barcode scanner and you do not plan on adding barcode scanning

capability you may remove the section of the template illustrated with horizontal

lines.

3. Once the mounting location has been determined, mark the center points of the

two screw holes and the com port hole using the template.

4. Drill or plasma cut the com port hole and debur as necessary using an angle

grinder or a file.

a. 7/8” Minimum Com port hole size, 1 1/2 Maximum Com port hole size.

5. Check the com port hole for accuracy relative to the marks you made for your

screw holes by using the template. If the com port hole has deviated, either

increase the size of the hole or modify the screw hole locations to mach the

7. Mount the CardMateSE card reader to the coin box using the enclosed #6 phillips

head screws.

8. Because there are so many variations of coin boxes this manual will provide only

general guidelines on mounting the CardMateSE controller in the coin box.

a. Controller is designed to be mounted in the coin box of the device it will

control.

b. Controller should never be mounted to the door because every time the

door is opened it will flex every cable going to the controller.

Alternatively, the only cable that will flex is the cable from the card reader

to the controller which is easy to replace.

c. Do not mount the controller with the cable connections pointing any way

other than straight down if installing in a wash bay coin box.

d. Do not leave the controller sitting in the bottom of the coin box if

installing in a wash bay coin box.

e. Mount the controller high enough to view the status LED.

f. 3M 400/170 dual lock (Very fancy Velcro) is an acceptable method of

mounting the controller if enough is used.

CardMateSE/AE Card Reader Wiring

Connect a stranded CAT-5 cable of correct length from the card reader to any BLACK

port on the CardMateSE controller.

SerialMate Wiring (Dixmor)

Mount the SerialMate in the coin box using the included 3M 400/170 dual lock (Very

fancy Velcro).

Connect a stranded CAT-5 (RJ-45 cable) of correct length from the SerialMate’s right

most port to any BLACK port on the CardMateSE controller.

Connect power and communication wires as illustrated above. (Serial is the only wire that

must be connected directly to the timer.

Serial enabled LED-7s use pin 9 for serial communication. If you are unsure whether

your timer is serial enabled or have a timer other than an LED-7, Contact Dixmor for

specific serial communication wiring specifications for your timer model.

Installation of the CardMate ACWM board

The CardMate ACWM board is installed in place of the chips that are socketed into the

ACW controller board as U20 and U2. The ACWM board looks like this:

Turn the power for the auto cashier off.

Remove the access cover from the enclosure on the back of the door. Using a small

screw driver pry the sides out so the locking tabs can be pulled out.

Once the access cover is removed unplug the upper edge card connector. Use a small

screwdriver to pry each end up so the cable slides off the card edge.

Once the edge card connector has been removed pull the cable and connector out from

between the two enclosures. This will allow access to the two retaining screws that hold

the controller enclosure in place.

Once the upper two screws have been removed tilt out the enclosure from the top at the

same time lift up on the enclosure to detach it from the remove it from the door. Once

you have the controller enclosure removed from the door you can unplug the other edge

card connector on the left side and the other white connector if one is present.

You should have no cables attached to the Hamilton controller at this point.

Unplug the ribbon cable by pulling it straight out parallel with the circuit board. You can

now remove the controller board from its enclosure by removing the 4 screws in the

corners of the circuit board.

When the 4 screws have been removed and the ribbon cable is unplugged you can now

lift the circuit board out of the enclosure. There will be some resistance from the edge

card sections of the circuit board as they drag on the sheet metal enclosure.

Once you have the circuit board removed, flip it over and find U2 and U20. You will

remove the two chips that are plugged into these two sockets.

Using a small flat tip screw driver carefully remove the two ICs from the sockets. It is

recommended that you insert the flat tip between the IC and the socket and carefully

rotate the screwdriver to pry the IC out of the socket at one end to start. Then move the

screwdriver to the other end of the IC and do the same. The goal is to remove the IC in a

straight out fashion. The best way to remove the IC straight is to work at both ends a

little bit at a time. This will result in no bent pins when the IC is removed.

accept the ACWM board.

The ACWM board is equipped with extended pin headers.

The large capacitors on the Hamilton controller board will only allow you to plug the

ACWM board in one way. Align the extended pins on the ACWM board with the two

sockets. The pins should line up so that none of the pins hang over the ends of the

sockets.

When you get all of the pins aligned with the sockets press on the ACWM board so that

it inserts straight into the sockets. It will have some initial resistance and then you will

feel it snap into place as the sockets accept the pins. Press on the ACWM board within

the boundaries of the pins on the ACWM board as in the photo below. This will ensure

that you are not prying the board out of the sockets when you press on it, as long as you

press within the area of this photo.

Check to see that the ACWM board is pressed evenly into the sockets on the Hamilton

controller board. The pins should look the same length at both ends of the sockets and

the tips of the pins should look fully pressed into the sockets.

Plug the 65 inch serial cable into the ACWM board.

Route the cable so that it exits out the slot in the top of the Hamilton controller

enclosure.

Double check that all the pins on the ACWM board are properly inserted into the sockets

and replace the circuit board in the controller enclosure. Again the board may scrape on

the side of the enclosure a little bit when placing it.

Fasten the 4 screws and plug the ribbon cable back into the connector on the board. The

ribbon can be tricky to plug into the header. The key is to make sure that darker carbon

fingers on the end of the ribbon are not visible when the ribbon is plugged into the

header.

Plug the edge card connector on the left side of the enclosure onto the circuit board.

Also plug the white connector in if one is present.

Now with the enclosures top tilting towards you place the bottom enclosure flange so that

it will slide behind the flange located in the bottom rear of the main enclosure cabinet.

Pressing the controller enclosure down and forward it will fit into place so that you can

put the fastening nuts back over the two studs at the top of the enclosure. Once you have

put these fasteners back on, route the serial communication cable along the top and down

the left side of the enclosure.

You can now slot the wire for the upper edge card connector along the left side of the

enclosure and plug the connector back onto the top of the board.

Place the access panel back over the main enclosure.

Installation of the CardMate SR Card Reader Display Module

The SR Card Reader Display module will be installed using the existing credit card

reader cutouts in the door of newer Hamilton auto cashiers. The SR Card Reader Display

module will be mounted in place of the keypad on ACW-3 and ACW-4 auto cashiers that

were not equipped with a cutout for a credit card reader.

Cashiers with Keypad Cutout: (Otherwise skip down to “Cashiers with card reader

cutout”)

If the auto cashier has a keypad cutout in the upper left side of the door when looking at

the back of the door you will need to cut open the lower left 6 holes to form one larger

hole. This will allow the cables to pass through the door.

Mount the SR reader module so that the 4 holes around the keypad cutouts line up with

the ROUND cutouts in the back of the SR reader module.

The security plate needs to be lined up so that the two holes with arrows associated with

the ACW-4 WITH KEYPAD CUTOUT text box line up with the upper two holes above

the keypad cutouts.

Place the screws so they pass through the security plate, the front door, and then into the

back of the SR reader modules holes that have a circle cutout around them.

Once all 4 screws are started align the reader module so it sits straight and then tighten

the screws. You can also fasten nuts on the 4 security studs to fasten the security plate to

the door for extra protection. (Nuts not included)

Cashiers with card reader Cutout:

For auto cashiers with a credit card cutout you will need to use the alignment spacer plate

to fill in the large rectangular hole in the door of the auto cashier. Tape can be applied to

the side of the spacer as pictured below to keep it in place during installation. Be careful

not to cover the holes though.

Line up the security plate so that the round contours of both plates are flush with one

another and place the two top mounting screws.

Holding the card reader with your right hand and the screw driver with your left, start the

top two mounting screws into the holes in the card reader that have TRIANGLE shaped

openings in the gasket around them.

Start the other two mounting screws in the same fashion.

After all four mounting screws are started then tighten them.

Connect and route the 35” serial cable as pictured below.

The cable from the SR reader module can join with the cable from the ACWM board so

that both cables are now bundled together. Route both cables together to the SE

controller. Zip-tie the cables to the existing cables for support.

The SE controller can be mounted under the coin hopper.

Plug the 2 serial communication cables into the SE controller.

Route the Cat5 cable for communication between the controller and the switch in the

equipment room. This cable needs to plug into the SILVER port on the controller.

Plug the 24V AC power cube into the upper 120V AC plug in the auto cashier. Plug the

4pin connector into the SE controller. You will see the lights on the ports of the SE

controller light up when the AC power cube is plugged in, even if the auto cashier is

turned off.

You should now have all 4 wires plugged into the back of the controller and their

locations should looks similar the photo below.

Clean up all wiring, clip the ends of all zip-ties, re-install the coin hopper, and inspect the

installation for any possible problems.

Retighten the card reader mounting screws to accommodate for compression of the

gasket on the back of the SR reader module. Otherwise water will enter the card reader.

Turn power to the Hamilton auto cashier back on.

Test all wash functions. You can test that the CardMate system is sensing each wash

selection by pressing a wash selection and then pressing refund. The display on the

system should cycle through PAY BY CARD SAME AS CASH. When you press a wash

selection the display will change too WASH SELECTION DETECTED PLEASE

SWIPE CARD OR DEPOSIT MONEY. If you press refund the display will return to

cycling through PAY BY CARD SAME AS CASH. You can test each wash selection

this way to insure that they are all being detected by the CardMate system. Also check to

see that the Hamilton system is responding to these actions by reading the display on the

auto cashier. You can test that the system is sensing credit cards as well without being

charged by swiping a card and then pressing refund. Swipe a card, the display will say

CARD SWIPE DETECTED PLEASE SELECT WASH. If you hit refund it will end the

transaction upon which your card will not be charged and the display will return to

cycling PAY BY CARD SAME AS CASH.

Check that the pricing displayed on the CardMate system matches what’s being displayed

on the auto cashier. If they do not match change the wash pricing in the CardWorks

software.

recommended that you insert the flat tip between the IC and the socket and carefully

You will end up with both sockets exposed and empty, ready for the ACWM board to be

mounted in place of the ICs that have been removed.

The ACWM board is equipped with extended pins. There will be a piece of antistatic

foam covering these pins. Remove the foam carefully so the pins are not bent.

The ACWM board needs to be oriented so that the U20 and U2 designators on the

Hamilton controller board are still visible. If you cannot read these two designators you

likely have the ACWM board installed backwards.

Align the pins of the ACWM board with the two sockets so that none of the pins hang

over the ends of the sockets and all the pins match the socket.

When you get all of the pins aligned with the sockets press on the ACWM board so that it

inserts straight into the sockets. It will have some initial resistance and then you will feel

it snap into place as the sockets accept the pins. Press on the ACWM board within the

area in the photo below. This will ensure that you are not prying the board out of the

sockets when you press on it.

Route the communication cable so that it exits out the notch in the upper left corner of

the Hamilton controller enclosure.

Re-install the Hamilton controller enclosure by placing it over the two studs in the

Hamilton cabinet and fastening the two standoff nuts. The serial communication cable

should exit out the upper rear corner of the enclosure.

Installation of the CardMate SR Card Reader Display Module

The SR Card Reader Display module will be installed using the existing credit card

reader cutouts in the door of the Hamilton auto cashier. If a credit card reader is not

currently present in the auto cashier you will need to remove the stainless steel security

plate from the 6 studs on the back side of the door in the upper left corner and cut a hole

in the plastic to allow access through the door.

You will need to cut a hole in the plastic front cover and graphic label. It is possible to

cut a hole smaller than the current hole in the stainless door. A rectangular hole 5/8”

wide by 1-5/8” tall, located against the lower left edge of the hole in the stainless cutout

of the door is all that’s necessary to pass the SR reader cables through the door. Be sure

the plastic front cover does not interfere with the port on the back of the SR reader when

it is mounted. You will also need to remove the front panel mounting screw to the left of

the security plate so the SR reader mounts flat against the front face. It will have a nylon

nut.

Drill out the plastic in the Hamilton face currently covering the 4 card reader mounting

holes.

Pass the wire from the back of the SR reader module through the front of the door and

thread the wire through the WashGear SR Reader security plate on the back side of the

door. You can hang the new security plate on the larger studs on the back of the door to

hold it in place.

Using the 4 holes in the door, mount the reader using the 4 screws provided in the kit.

You will sandwich the door of the auto cashier between the security plate and the SR

reader module.

The security plate should be oriented as the text on the security plate suggests with the

text facing towards you when you place the security plate. Using the two holes that the

arrows point to, in the ACW-4, GOLD, WSII text box, pass the screws through these two

holes, through the holes in the door, and into the holes on the SR reader module that have

a SQUARE shape cutout around them on the back of the SR reader module.

Once the upper two screws are started, but not tightened, start the bottom two screws.

They should line up easily if the top two screws are all ready started. Once all four

screws are started then you can tighten them. You will want to retighten the screws

later to accommodate for compression of the gasket on the back of the SR reader

Now that the SR reader is mounted you can reinstall the original nuts for the security

plate.

Next plug the 70 inch serial cable into the port on the back of the SR reader.

The two cables can now be routed through the Auto cashier cabinet. Carefully remove the

coin hopper as not to damage the harness to the coin hopper. Bundle the two cables

together and route them alongside the other cables that are routed to the door of the auto

cashier for support

You can route the cables behind the existing cables in the upper rear of the cabinet and

through the wire harnessing channel in the upper area of the auto cashier. This will keep

the cables out of the way and tidy. The cables will exit on the left side of the cabinet

where all three cables will then connect to the SE controller.

***The controller can be mounted using existing holes or studs in the auto cashier or it

can be attached to the back wall left of the power switch using high quality Velcro.

Plug the 3 communication cables into the black ports on the controller.

Route the Cat5 cable for communication between the controller and the Ethernet switch

in the equipment room. This cable needs to plug into the SILVER port on the controller.

Plug the 24V AC power cube into the upper 120V AC plug in the auto cashier. Plug the

4pin connector into the SE controller. You will see the lights on the ports of the SE

controller light up when the AC power cube is plugged in, even if the auto cashier is

turned off.

Test all wash functions. You can verify the CardMate system is sensing each wash

selection by pressing a wash selection and then pressing refund. The display on the

system should cycle through PAY BY CARD SAME AS CASH when communicating

with CardWorks. When you press a wash selection the display will change too WASH

SELECTION DETECTED PLEASE SWIPE CARD OR DEPOSIT MONEY. If you

press refund the display should return to cycling through PAY BY CARD SAME AS

CASH. You can test each wash selection this way to insure that they are all being

detected by the CardMate system. Also check to see that the Unitec system is responding

to these actions by reading the display on the auto cashier. You can verify the system is

sensing credit cards without being charged by swiping a card and then pressing refund.

After a card swipe the display should say CARD SWIPE DETECTED PLEASE SELECT

WASH. If you press refund before pressing any wash selections it will abandon the

transaction and your card will not be charged. The display should return to cycling PAY

BY CARD SAME AS CASH.

Check that the pricing displayed on the CardMate system matches what’s being

displayed on the auto cashier. If they do not match change the wash pricing in

CardWorks.

Next strip and install an RJ-45 terminal to the end of the 8 conductor wire. This will be

the communication cable between the CardMate SE controller and the Gold Line Cable

Module. The wire needs to be approximately 12 inches

long. Crimp the other housing on after routing the cable

through the auto cashier and the proper length is estimated.

Take note of what colors are on what side of the terminal

when placing it so you can repeat this same connection

orientation when placing the terminal on the other end of

the wire. The connection between both ends needs to be 1

to 1. Example: blue wire on left side at one end and blue

wire on left side of the other end when looking at terminals

in the same orientation. See: RJ-45 Connectors (Page XX)

Plug the 8 conductor communication cable into the jack in

the bottom face of the Gold Line Cable module.

Route the 8 conductor communication cable from the Gold

Line Cable module to the controller.

Installation of the CardMate SR Card Reader Display Module

Please ignore the cable that is hardwired into the SR Card Reader in some of the photos

and any instructions relating to it. It is no longer required as of the publishing date of this

manual.

The SR Card Reader Display module will be installed using the existing credit card

reader cutouts in the door of the Hamilton auto cashier. If a credit card reader is not

currently present in the auto cashier you will need to remove the stainless steel security

plate from the 6 studs on the back side of the door in the upper left corner and cut a hole

in the plastic and graphic label to allow access through the door.

You will need to cut a hole in the plastic front cover and graphic label. It is possible to

cut a hole smaller than the hole in the stainless door. A rectangular hole 5/8” wide by 1-

5/8” tall, located against the lower left edge of the hole in the stainless cutout of the door

is all that’s necessary to pass the SR reader cables through the door. Be sure the plastic

front cover does not interfere with the port on the back of the SR reader when it is

mounted. You will also need to remove the front panel mounting screw to the left of the

security plate so the SR reader mounts flat against the front face. It will have a nylon

nut. (A black background has been placed behind the hole for better visibility in the

photos below).

Pass the wire from the back of the SR reader module through the front of the door and

thread the wire through the WashGear SR Reader security plate on the back side of the

door. You can hang the security plate on the larger studs on the back of the door to hold it

in place.

Using the existing holes in the door, mount the reader using the 4 screws provided. You

will sandwich the door of the auto cashier between the security plate and the SR reader

module.

The security plate should be oriented as the text on the security plate suggests with the

text facing towards you when you place the security plate. Using the two holes that the

arrows point to, in the ACW-4, GOLD, WSII text box, pass the screws through these two

holes, through the holes in the door, and into the holes on the SR reader module that have

a square shape cutout around them on the back of the SR reader module.

Once the upper two screws are started, but not tightened, start the bottom two screws.

They should line up easily if the top two screws are all ready started. Once all four

screws are started then you can tighten them. You will want to retighten the screws

later to accommodate for compression of the gasket on the back of the SR reader

module. Otherwise water will enter the card reader.

Now that the SR reader is mounted you can reinstall the nuts for the security plate.

Next build a second communication cable out of the 8 conductor cable crimping an RJ-45

housing on the end of the cable. Follow the same procedure you used in step 11. Plug

this cable into the port on the back of the SR reader. Leave the cable about 72 inches

long but don’t place an RJ-45 housing on the other end.

The two cables can now be routed through the Auto cashier cabinet. Remove the coin

hopper, careful not to damage the harness to the coin hopper. Bundle the two cables

together and route them alongside the other cables that are routed to the door of the auto

cashier for support

Be sure the housing is viewed in the same orientation when making these connections.

The connection needs to be the same at both ends and it is important to follow the color

code to ensure proper noise cancelation by the twisted pairs within the wire bundle.

Hint: (Mark the cable in the equipment room to identify the bay or machine the cable is

running too for future identification).

Plug the 24V AC power cube into the upper 120V AC plug in the auto cashier. Plug the

4pin connector into the SE controller. You will see the lights on the ports of the SE

controller light up when the AC power cube is plugged in, even if the auto cashier is

turned off.

You should now have all 5 wires plugged into the back of the controller and their

locations should looks similar the photo below. (the flat cables may be Cat-5 or Cat-6

Plug the ACWM board into the sockets from which you just removed the ribbon cables.

Reattach the ribbon cables to the ACWM board and connect the 50” serial cable.

Installation of the CardMate SR Card Reader Display Module

The SR Card Reader Display module will be installed using the existing credit card

reader cutouts in the door of the Unitec WashSelectII. If a credit card reader is not

currently present in the Unitec you will need to remove the rectangular aluminum

security plate from the 4 screws on the back side of the door under the coin acceptor and

cut the front graphic label to allow access through the door. You’ll also need to cut out

the holes for the screws and remove the existing screws from the door.

Hint: (if the screw turns when removing the nuts press on the screw from the front)

Place two #6 5/8” screws through the top two mounting holes in the security plate and

door so that the security plate is hanging on the top two mounting screws as pictured.

Holding the card reader with your right hand and the screw driver with your left, start the

top two mounting screws into the holes in the card reader that have triangle shaped

openings in the gasket around them.

Start the other two mounting screws in the same fashion.

After all four mounting screws are started then tighten them.

Connect and route the 72” serial cable as pictured below.

The CardMate SR Card Reader Display Module is now mounted to the door.

It is recommended that the CardMate controller be mounted using the using double lock

or the #6 studs in the upper left back wall of the auto cashier. Mount the controller closer

to the top of the cabinet so the lights inside the ports and the status LED are easily

visible.

Route the 2 serial cables to the any of the black ports on the bottom of the SE controller.

Route the Cat5 cable for communication between the controller and the switch in the

equipment room. This cable needs to plug into the SILVER port on the SE controller.

Plug in the 24V AC wall cube and route the cable to the controller. Plug this cable into

the black 4 pin connector on the back of the SE controller.

Token you currently accept or the most expensive wash; which ever is less.

Disable upgrades in the Unitec Auto cashier programming.

Logging in

1. You must be logged into CardWorks to access all menu options.

2. Type cardworks in lower case letters in the Password box and click OK.

3. The following window will appear. Click OK

All user names and passwords are case sensitive. User names must be a minimum

of five characters long and passwords must be seven characters long. In addition,

passwords must contain at least one number. These username and password

requirements are mandated by the PCI council.

Adding Users

a. Select Add Users from the Tools menu at the top of the CardWorks

window.

3. Enter user name.

a. The user name will appear in log reports so it should identify the user

clearly.

b. Must be a minimum of 5 characters in length.

c. User name is case sensitive.

4. Select the type of user that the account will belong to.

5. Enter the password twice.

6. Click Add User

7. Click Close

8. This user may now log into CardWorks.

Managing users

Changing passwords

a. Any password may be changed by an administrator including other

administrators.

b. Any administrator or user may change their own password at any time.

c. Click Tools> Manage Users

d. Select the user that requires a new password.

e. Either enter the desired password or have the user that the account will

belong to enter it in both password fields.

i. Have the user test their password. If it fails an administrative user must

modify the user’s password.

Disabling users

1. Any account may only be disabled by an administrator including other

administrators.

2. Administrators may disable their own account.

3. Basic users are prohibited from disabling their own account.

Managing Terminals

Adding Terminals in CardWorks

1. Get the address of the terminal you want to add. This is a combination of 6

numbers or letters (from A to F) and should be stamped on the Serial# tag inside

the CardMate terminal on self-serve terminals on the controller box for ACWs.

2. Login to the program. See: Logging in (Page 119)

3. Click Devices on the main menu.

4. Click on Manage Devices.

5. Click on Add

6. Type the address into the Address box

7. Select the device type from the second box.

8. Enter the Device Number.

9. Click Save

10. Repeat steps 1-8 for all other terminals.

Replacing Terminals in CardWorks

1. This procedure is required any time the controller is changed in a CardMate

terminal.

2. Write down the address of the replacement controller before installing it. This is a

combination of 6 numbers or letters (from A to F) and should be stamped on the

Serial# tag on the controller.

3. Login to the program. See: Logging in (Page 119)

4. Click Devices on the main menu.

6. Select the terminal that is being repaired and Click Modify

7. Click Edit device.

8. Delete the text in the address field.

9. Type the address of the new controller into the Address field.

Deleting a terminal

5. Click the Delete button.

6. The terminal has been removed.

a. Low balance warning point determines when the display on your

5. Select the device type or low balance warning that you would like to edit.

2. Input the Cost per Minute for the device type you are configuring.

3. Input the Minimum amount. The terminal cannot be shut off until this amount is

reached.

4. Input the Maximum amount. This is the amount at which the terminal will stop if

the stop button hasn’t been pressed before then. When you are done, press Save.

ACW Price Configuration

1. Select your type of automatic from the menu at the top.

2. Select a function/Wash to edit.

3. Enter the description with less than 20 characters including only letters, numbers

and spaces.

4. Enter the cost.

a. Don’t enter the $.

b. Do use decimals where appropriate.

5. When you are done with function 1, click Save and select another function to edit.

6. When you are done with all editing, click Close. Changes should take affect

within 2 minutes.

7. If the values being charged are reversed (IE they are charged $5 for the $8 wash

in the below example.) These values can be reversed by pricing all functions in

the opposite order, and reversing the Descriptions as well.

Terminal Display

1. Login to the program. See: Logging in (Page 119)

2. Click Devices on the main menu.

3. Click the Screen Editing button.

4. Select the Display category you want to change. Descriptions of these screens are

listed below.

a. Wait for Green Light: This is displayed on the Hamilton ACW when there

is a wash loaded and a car in the bay. This can be set to any 2 lines with 20

letters.

b. Expired: This is shown when the Gift or Credit Card is expired. 3 lines are

configurable to tell the customer what to do in case their card is expired.

c. Card Type Decline: Shown to the customer if they use a card type (i.e.

American express, Visa, Discover, Fleet or Gift) that is not accepted at

this location. 2 lines are configurable.

d. Charged: Shown when the customer is done a wash in the Wand and

Vacuum, and is shown when the customer is done loading a wash in the

Automatic. The last line is configurable.

e. Account inactive: Shown when a fleet customer’s account is deactivated. 3

lines are configurable.

f. Card inactive: Shown when a fleet customer’s card is deactivated. 3 lines

are configurable.

g. Gift Card Empty: Shown if a customer tries to use a gift card that is

empty. 3 lines configurable.

h. Not In System: Shown if the card cannot be found in the system. 3 lines

are configurable.

i. Out Of Service: Shown when there is an error state in the terminal. 2 lines

are configurable to tell the user whom to contact about it.

j. Time Restriction: Shown if a fleet card is used outside of its restricted

time range. 2 lines configurable.

5. Select display line to edit.

6. Enter up to 20 characters to be displayed.

7. After you change any value, click Save. If you don’t save before selecting another

screen or line, the changes will be lost.

Unless you are having a problem with the system, it is unlikely that the program report

will be of any use. Here’s how to find it in case there is a problem.

1. Click Reports on the main menu.

4. If using Single Day or Range of Dates, select the date range you want the report

for by clicking the From, and To Date buttons.

5. If selecting a date, choose it from the calendar that appears when you click the

drop down arrow.

Usage Reports

Selecting Credit cards, Fleet, Gift or All Cards from the “Usage Reports Section” will

give you a report listing all transactions within the selected date range for the selected

card types.

You can also get an activity report on an individual card by clicking Activity Report in

the “Searchable reports” section and entering the last four digits of the card number.

Credit Card Batches

To view the totals for credit cards by card type, select the date range and select Batches.

The batch values on this report should match with the batch values on the statement from

your bank.

To view the totals for credit card batches by bay type, select the date range and click

Batches by Type. The batch numbers on this report should match up with the batch

numbers on the statement from your bank.

Fleet Cards Reports

Fleet Statements are discussed in Monthly Statements (Page 155)

The Fleet Cards status report gives you a listing of all cards for all fleets, sorted by which

fleet they belong to. They include information such as name, function restriction, and

time restriction.

Gift Cards Reports

These are discussed in Gift Card Status Report (Page 166)

Card Processors

Auto Settle

Settle batch at a specific time: This typically should be enabled. It tells the system

to automatically settle all credit card transactions that have been authorized that

day at the time selected.

3. Change Password: Click the Change Password button to alter your password. It

will bring up another screen where you can set your new password.

a. First, enter the old password here. It is initially “cardworks” without the

quotes.

b. Next, enter the new password twice.

c. Re-enter the new password.

d. Last, click Save.

e. Password has been changed.

Credit Card Settings

1. You will require a merchant account operating on the Vital/Visanet/TSYS

platform to process credit cards. If you have not opened a Vital/VisaNet/TSYS

merchant account for your car wash or have not requested an additional terminal

number from your current VisaNet merchant account provider please visit

http://www.washgear.com/creditcardsetup.cfm for instructions.

3. Click Settings on the main menu.

4. Click on the Credit Card Settings button.

VisaNet Settings

These fields need to be filled in exactly as they appear in your merchant setup sheet. If

they use capitals on the sheet use capitals in this window etc.

Card Type Acceptance

5. Click on the Accepted Cards button.

6. This screen has a list of all supported card types. To disable acceptance of a card

type, remove the check from the box next to its name. To accept a card type,

check the box next to that card type.

7. Click the Save button to save the changes made to this screen. Changes should

take affect within 2 minutes.

8. Click Cancel on the Credit card settings screen.

Company Data

1. To set the name and address of your company:

Credit Card Processing

Credit cards are authorized before any service is provided. Batches should be Settled only

once per day however.

Once the cards have been authorized and service has been provided, they will be

available to appear on the Financial Activity reports.

Printing a receipt

Any transaction that has been finalized can be accessed in order to generate a receipt.

1. To generate a receipt; first click Credit Cards on the main menu.

2. Click the Receipts button.

3. Select Finalized on the right side of the window and select the transaction you would

like to process.

4. To generate a receipt click Preview.

Processing a “Keyed-In” Transaction

This function is useful when the operator desires to accept a credit card to sell Pre-Paid

cards, tokens.

To process a keyed-in transaction; first click Credit Cards on the main menu.

2. Select Credit Card, Fleet Card or Gift Card from the drop down menu.

3. Enter the card number, amount of the transaction, card expiration month and year if

credit card, your name (appears in reports) and a description of the transaction. (Oil

change, Tokens, Vac, Gift card, Fleet payment etc.)

3. Click Process Payment.

4. If the transaction is approved, a preview of the receipt will be displayed.

Batch Settlement

Settling a batch is simply confirming the amount of each transaction that’s been

authorized. These amounts will only change if refunds are issued on transactions, which

have not been settled.

1. To Settle a batch, click Credit Cards on the main menu.

2. Click on the Settle Batch button.

3. You don’t normally need to do this manually. By default, the system will settle

batches each day at the time you’ve set for Auto Settle provided the “Settle at

specific time” is enabled in Program Settings. See: Auto Settle (Page 139)

4. The program will tell you if the day end was successful or not.

Bad Cards

To add or remove cards from the Blocked Cards list:

To view a listing of bad cards:

4. The card number, name, Amount of purchase, Process date, Wash date, and the

message the card was declined with will be shown on this screen.

5. To remove a card from this list, click on the card you want to remove and click

the Remove button.

6. There are two ways to add cards to the banned card list.

a. Add a card based on the card number

b. Add a card based on the letters appearing in the name

7. To add cards to this list select Credit Card Number or Text In Name Field.

8. Click the “Add” Button

a. Card Number Block:

i. To perform a card number block, populate no less than the Card

Number field to block a given card. All other fields are optional

but it is recommended that you enter the amount and the Decline

code.

b. Text String Block

This feature is very powerful and should be used cautiously because any

card containing the entered text string will be blocked.

i. To perform a string block, populate ONLY the Name Field with the

text string that you would like to block.

Fleet & Pre-paid (Gift) Cards

CardWorks supports two types of proprietary cards for use in washing: fleet cards, and

prepaid cards. Many fleet cards can be tied to an individual company account. These will

generate a billing statement monthly, and have a shared limit, which you can set, through

the CardWorks interface. Payments can also be recorded in this interface.

Fleet cards can be restricted by time of day, Day of week, and allowed functions. See

Card Usage Restrictions (Page 155) for more details.

Prepaid cards have a defined value, which is depleted as the card is used. You can add

additional card value through the CardWorks interface.

Fleet Cards

Adding New Accounts

5. Enter the information for the account. Most fields are required.

6. Make sure that Account Active is checked.

5. Once you have found the account you wish to edit, click the Edit Account button.

Adding Cards to Fleet Accounts

Fleet account may consist of an unlimited number of Fleet Cards all posting to the

fleet balance, which is compared to the fleet limit to authorize the transaction

when a Fleet card is used.

1. Login to the program. See: Logging in (Page 119)

2. Click Fleet on the main menu.

3. Click the Manage Accounts button.

4. Use the Jump to Account drop down menu to find the proper Fleet account.

5. Once you have found the account, Click the Manage Cards button.

8. Enter the card number. You can enter just the ending digits of the number, leaving

off any 0’s that may be at the front. If you are entering multiple cards, enter the

first card number here.

9. Select what times the cards will be valid.

dropdown box.

12. Click Save when done..

Card Usage Restrictions

You can restrict cards both by Date and Time. You can also specify which machines the

card has access to.

The time restrictions are set by day. A card can either be Invalid for a day, Valid for the

whole day, or restricted to one of two 9-hour shifts. The shifts are 8am-5pm, and 8pm-

5am.

The Function restrictions are by device type. You can allow or disallow Vacuum, Wand,

and Automatic and Super Bay use. To allow them to use these functions, put a checkbox

next to the device type. To disallow their use, remove the check box.

You can also disable a card to turn its use off for all devices. To disable the card, remove

the checkbox next to “Card Active”

Monthly Statements

Customizing monthly statements

1. Log in to the program. See: Logging in (Page 119)

2. Click Fleet on the main menu.

3. Click on the Fleet Statements button.

4. Click on the Statements Messages button

5. Enter the messages you would like to appear on the bottom of the statements.

6. Click on Save and Close.

Issuing monthly statements

5. Select a start and end date for the statement in the Date Ranges section. These

default to the first and last of the previous month.

6. Click on the Due Date button to set the date that the statements are due to be paid.

7. To view an individual statement, click on the radio button next to “View on

Screen”, and then select a fleet from the dropdown list below this.

8. To print all the statements, Select the radio button next to “Print”, and then select

the statements you want to print from the list on the right. All inactive accounts

and internal accounts (Owner account 2001 and Employee account 2002) are

deselected by default.

9. Click on the View Statements or Print Statements button depending which option

is selected.

Entering Fleet account payments

1. Login to the program. See: Logging in (Page 119)

2. Click Fleet on the main menu.

3. Click on Manage Payments button

4. Click on the Closing date field to enter the last closing date. (last day of previous

billing period). In other words, the last date for which statements have been

mailed.

5. Select the appropriate fleet from the dropdown list.

6. Select the payment type. Typically, you should use Payment Received.

7. Select cash, check or Credit. If check, enter the check number.

8. If the payment was not made today, select the appropriate date for the payment.

9. Enter the amount of the payment

10. Enter a payment description. (May in full) for example.

11. To finish a cash or check payment, Click on Apply Payment.

12. To finish Credit card payment, Click on Enter Credit Card

5. To print the receipt, click the Print button in the top left corner of the receipt

window.

17. Once the receipt preview is closed the fleet account payment screen will be

displayed.

Notice the payment processed confirmation below the check number field.

18. Click on Close, or start a new payment by selecting another Fleet account from

the drop down menu.

18. You can get other reports from this screen, such as a payment report since the

closing date selected and a balance report as of the closing date selected.

Editing Fleet account payments

Any element of a Fleet payment may be edited or deleted in CardWorks unless the

payment was made using a credit card. If you happen to apply a payment to the wrong

account you must delete the payment and apply a new payment to the correct account.

drop down menu at the top of the window.

Pre-paid Cards

Prepaid Gift cards are generally for sale in a machine. They can be charged up with

whatever amount you choose and can also be given out to local business for promotions

or to entice potential Fleet customers.

Adding Prepaid Cards

1. Login to the program. See: Logging in (Page 119)

2. Click Prepaid on the main menu.

3. Click on the Manage Cards button

4. Click on Add Card

5. Enter the card number. You can enter just the ending digits of the number, leaving

off any 0’s that may be at the front. If you are entering multiple cards, enter the

first card number here.

6. Enter a Limit. This should be the value of the card.

7. If you wish for card to expire, set the expiration date now, otherwise check the

never expire box.

8. First and last name are both optional

9. Promotion field is used to track specific cards or groups of cards.

10. Select the number of consecutive cards to add with this information.

11. Click Save.

Manage Expirations

Changing expirations for prepaid cards consists of two activities which are both

accomplished in the Manage Gift Card Expirations window.

1. You must select the card numbers on which you would like to change the

expiration date. This is accomplished by selecting cards with higher or lower than

acertian card number or selecting a block of cards for example 2222 to 5555. This

would select card 2222, 5555 and all cards in between.

2. Now you must set the expiration parameter for the cards that you have selected.

You have the option of setting the expiration of all selected cards to the same date

or setting them to never expire.

3. Once you have selected the cards that you would like to change and selected a

desired expiration parameter, Click apply and the cards you selected will reflect

the change that you have made.

4. The gift cards expire on the last day of the following year by default. This can be

changed when you add the card. When the cards are used, their expiration date is

changed to 6 months after the first use, or the set expiration date, whichever is

sooner.

The expiration date on the cards is shown to the user on the screen each time the card is

used in all machines except Unitecs.

Recharging Pre-paid Gift cards

1. To recharge a Pre-paid Gift Card, select Prepaid cards on the main menu and click

Manage Cards button.

2. Login to the program. See: Logging in (Page 119)

3. Click the Prepaid on the main menu.

4. Click on Manage Payments button

5. Select the appropriate card from the drop down list.

6. If the payment was not made today, select the appropriate date for the payment.

Gift Card Status Report

1. Click Reports on the main menu.

2. Click on Financial Reports.

3. Select Gift Cards under status reports.

4. This report is a listing of all gift cards. It displays the card number, expiration

date, most recent date used, amount purchased, and the value remaining on the

card.

Multiple Bays

Gift cards can only be used in a single bay at the same time. If the customer attempts to

use it in a second bay while the first is still active, it will warn them that the card is

currently in use.

Communication with CardMate terminals

Communication between CardWorks and the CardMate terminal must be established in

order for equipment activation or further troubleshooting to take place.

Below is a diagram of each link in the communication chain between the computer and

any CardMate terminals:
