Title: Creation of Breakdown Maintenance Order

Create Breakdown Maintenance Order:

Objective: Use this process to create a maintenance order, while attending a maintenance work of the breakdown occured in the system.

Transaction code: IW31 : It is a code for creation of order directly.

Process: The maintenance order can be created in two ways-

1. It can be created directly by Transaction Code i.e. IW31 or follow the menu path on the Easy Access Screen.

2. And it can be created with reference to notification also. Creation of the notification can be seen from respective user manual.

Process 1.

Direct creation of the order

PROCEDURE: Step 1 : Start the transaction using the menu path or transaction code.

Click SAP menu tree item

Click Maintenance Processing tree item

7. Click create general tree item

8. AS required complete/ review the following fields:

Order type Order type is selected from the list shown in the system. As DM02 is selected in case of breakdown maintenance order.

R Enter Order type is selected from the list shown in the system, As DM02 is selected in case of breakdown maintenance order.

Functional Location #

Enter the Functional Location from the list.

O Choose from the list of the functional locations from the required plant area.

Equipment # Enter the affected equipment from the list.

O Choose from the list of the required functional location.

Planning Plant

Enter the Planning Plant, which is 1232 as a Naraina S/stn

# Remark : As Functional Location and Equipment are the optional fields here, it is not mandatory field. But if you have filled these fields here , there is no need fill these details next screens. And also you can select anyone of the field out of these two. So Breakdown Order can be created on either functional location or equipments individually.






9. Click button .

10. AS required complete/ review the following fields:

Order Description is the details of the breakdown happened in the system.

11. Click Operations tab control . On the screen shown above.






12. As required, complete/review the following fields:

In case of control key ‘PM03’ is selected in one of the line operation in the operation Tab, then you have to select the ‘external’ button , as shown below, for filling the external service details for the particular operation, for which external service is required.

14. After selecting the ‘External Tab’ , following screen appear on the system, And fields are filled as :


Material Group Required It is the material group, categorizes the various materials or services existing in the system.

Purchasing group Required Purchasing Group is also selected from the list

(Note: On above table, in column “R/O/C”: “R” = Required, “O” = Optional, “C” = Conditional)

You have created Maintenance Order Successfully. Your order will be saved with no given as under, and it is a unique no generated by the system.






Process 2.

Creation of the order with the notification

Step 1: Follow the steps mentioned in the ‘creation of notification user manual’ and open the notification in changed mode by transaction code ( T-Code: iw22 ) or follow the menu path as

under:






Step 2. Double Click to open the notification in the changed mode for creation of order. It will open the screen given as under-

Step 3. For selection of the desired notification from the list, click button to see the list as under-

Now, it can be seen from the above screen , a notification can be selected by above selection criteria as-

Fill any of the field above and select the notification as under-

Step 4elect the particular notification from the list and click button to open the notification.

Step 5. As it can be seen from the notification itself, the functional location details i.e. it automatically taking the information of the location , where the problem has been occurred. And after opening the notification in the changed mode, order can be created directly by

clicking the button .

Create Breakdown Order: Central Header

Step 7. In this screen , it can be seen as most of the information of the notification captured from the notification itself. And HeaderData is filled by system itself, but it can be edited as per requirement.

Step 8. After it all the fields and screen are same and same steps are followed as in the above case ( From page no 7 to 31 ).
