In*compliance*with*the*Utah*State*Open*and*Public*Meetings*Act,*this*is*a*meeting*for*the*Board*of*Trustees*to*
openly*take*action*and*conduct*deliberations*regarding*Providence*Hall*business.**As*a*courtesy,*please*step*
outside*with*noisy*children*or*to*talk*amongst*yourselves*in*order*to*maintain*a*quite*atmosphere*for*the*meeting*
and*the*recording.**The*Board*reserves*the*right*to*take*action*on*any*agenda*item.**The*board*also*reserves*the*

Licoln*trained*Board*on*how*to*organize*the*school*so*decisions*
get*made*in*an*efficient*way*so*that*proper*people*can*be*held*

Advised*Board*to*track*trends*on*monthly*reports.*
Further*Action
Board*Discussion Justin*presented*an*idea*of*a*Director*of*Operations*who*would*
handle*marketing*&*HR*and*be*employed*by*PH.*The*Principals*
have*appointed*Lynne*as*Director*of*Operations*which*is*a*higher*
term*than*a*manager,*her*role*was*misaligned.*The*vision*of*
Director*of*Operations*sits*in*the*office*where*Lynne*is*and*Lynne*
becomes*the*manager*underneath*that*person.*The*role*of*the*
Director*of*Operations*would*be*an*HR*generalist.*Possibly*having*
a*Executive*Director*which*is*equivalent*to*an*superintenden*over*
the*whole*school*and*has*admin*reporting*to*them,*we*have*
shyed*away*from*this*idea*because*of*previous*experience*and*
made*the*3*headed*dragon*run*their*schools,*that*has*worked*for*
the*most*part*except*for*enrollment*and*certain*administration*
acting*autonomously*on*bus*decisions*therefore*an*excutive*
director*became*apparent*with*controls*and*metrics*around*it.*
Jusin*presented*the*equivalent*of*an*excutive*director*job*
description*that*other*schools*have*in*the*area.*Principals*don't*
want*an*excutive*director*they*want*to*keep*running*their*show,*
except*for*one*principal.*Board*had*a*concern*of*evaluations*done*
at*the*campuses*and*enrollment*could*have*been*handled*better.*
Sierra*mentioned*she*was*hesitatant*to*hire*Director*based*on*
previous*exp*and*wants*to*give*Principals*directive*to*come*up*
with*solutions.*Other*option*to*not*having*a*Executive*Director*
would*be*an*Director*of*Operations*with*voting*Ratio*for*
managing*power.*James*mentioned*reaching*out*to*principals*and*
let*them*know*what*is*working*and*what*is*not.*A*performance*
evaluation*was*discussed.*Two*options*were*Executive*Director*or*
Director*of*Operations*which*is*coSequal*with*Principals.

All HS Coaches, SPED, Office and some teachers have been done. There is another session planned soon, More teachers to be done. 2- How many new staff members will need to be CPR and blood born certified? Janitors, kitchen staff… Janitors and Lunch staff will get Blood Bourne pathogen training done online. Principals to follow up on this. 3- Where are the Knox Boxes located in each school? If the JH and HS don’t have them, we will need to work with Unified to get those set up. All schools have them. Melanie will follow up with Officer Larsen to get required list of items needed and completed 4- I would like Nate and Brian to have a teacher or staff member from each of their school on the committee with some knowledge of health and safety issues. Kelly is the rep for the elementary. Principals will ask Edith from HS and Kim from JR HS 5- Where is Kelly with the Emergency Preparedness policy? See below 6- Emergency buckets for the HS? and Thursday from 2:45-5:45. There is no school on the 9th. - Our Acoustic Panel installation was postponed for a week but is scheduled to go in on
the 7th, tomorrow. - We are doing a 7th grade Vision Screening on the 19th of October. - 1st Quarter is over Oct. 22. October 23rd is a teacher workday. - The week of Oct. 26-29 we are turning the school into Providence Hallgwarts. Our
students are decorating the doors the week before but the big transformation, which will take place Oct. 23rd, will be a surprise to the students. All of the faculty are dressing up as characters from the book. We are looking at turning this into a possible community activity.
Anticipated Changes - We had 1 hourly employee/para-educator leave during the last month.
Upcoming Reports
Our Cactus report is due this month, so we have been working on making sure that all our teachers have the correct licenses and endorsements. Attached is the report for the teachers at the JH. As of Oct 1, all but two of our teachers are Highly Qualified. Those two have submitted their paperwork to USOE and are waiting for USOE to finish entering the information. They should be completed by our deadline of Oct. 15. The land trust report is due October 20th. Brian and Beverly and working together on this. Teacher Evaluations - Teacher evaluations began yesterday. Erica and I have divided the faculty in half and we will both complete our half by the end of 2nd semester. Summary of Recent Events - Our Cross Country and volleyball teams have been doing great and basketball has
started open gyms. - The student count state audit was Oct. 1st. It went very well. It took about 5 minutes.

Purchased*and*using*the*Passport*Reading*Journeys*as*curriculum*as*well*as*the*
Aleks*program*for*our*intervention*classes*for*math*and*language*arts.**Once*a*week*
they*will*be*working*on*building*standards*based*skills.**All*advisory*classes*have*
been*redistributed*based*on*Star*testing*and*placement*was*determined*on*their*
proficiency*levels*in*math*and*language*arts.*

Other*advisories*will*be*working*on*developing*the*IB*learner*profiles*once*a*week*
with*a*specific*focus*monthly.**They*will*also*be*working*on*study*skills*and*college*

Our!newest!teachers!are!doing!a!great!job!at!assimilating!into!our!culture!and!
supporting!our!goals.!!Our!coaches!are!doing!an!amazing!job!supporting!these!new!
individuals!in!the!building.!!They!have!met!with!all!of!our!faculty!to!create!goals!for!the!
school!year!and!are!currently!working!with!our!brand!new!teachers!on!classroom!
management!and!programs!we!use!in!the!building.!!Our!coaches!also!are!working!with!
our!new!teachers!from!last!year.!

As!from!our!last!update!we!have!two!newer!teachers!in!the!building!that!we!noticed!
need!support!in!management!and!organization!of!the!classroom.!!We!were!able!to!use!
our!team!leaders!of!the!two!teachers!to!help!support!them!by!covering!the!team!leads!
classes!and!having!that!leader!spend!time!mentoring!and!coaching!with!the!newer!
teacher.!!Kim!and!myself!will!also!be!entering!the!classrooms!on!a!regular!basis!to!
monitor!the!progress!of!these!teachers.!!

We!did!have!2!paras!in!our!SPED!department!that!have!recently!quit!working!with!us!
due!to!their!own!volition.!!!They!have!since!moved!on!to!other!places!of!employment!
and!we!have!hired!others!in!their!stead.!

After!a!few!weeks!implementing!our!new!committees!our!chairs/coHchairs!asked!for!
support.!!We!had!over!12!committees!and!several!of!the!leadership!team!members!
were!chairs!and!coHchairs!of!3+!committees.!!We!recognized!that!our!team!leaders!were!
in!meetings!every!night!and!it!was!detracting!from!other!duties!in!the!building.!!We!have!
since!combined!our!committees!together!into!5!different!committees!and!have!asked!
that!all!of!our!teachers!participate!in!1!of!the!5.!!We!feel!that!this!will!reduce!the!
amount!of!stress!on!our!teachers!and!we!will!be!able!to!have!a!better!product!when!
finished.!

Mandy!attended!several!trainings!last!week!involving!the!Dibels!Next!Assessment.!!She!
is!now!an!official!Dibels!Next!trainer!and!will!be!supporting!our!teachers!by!helping!
them!understand!the!assessment,!its!process!and!integration!in!our!classrooms.!!You!
should!also!have!received!the!Dibels!Next!report!from!your!child’s!teacher.!!It!gives!you!
specific!information!that!your!child!understands!in!reading!comprehension,!fluency!and!
phonics.!!It!should!give!you!ideas!as!well!on!how!to!help!them!improve!and!succeed.!
- The fence teardown/installation has begun. We are very excited about the end result. It will be a 12’ black fence. Curriculum Update We have started our intervention advisory classes. For the first two weeks the teachers worked with the students on organization skills – cleaning out their backpacks, binders, lockers, writing in their planners, how to talk to teachers about missing assignments, etc. Now they have started into specific reading interventions. Last week I attended a Literacy Academy that taught us how to more specifically diagnose reading deficiencies, interventions to provide those students and how to better monitor progress for those and all students. This week we started using that information to work with students to better pinpoint where their gaps are and will be using the data to better inform our instruction in those reading advisories! Our teachers are actively working on their IB unit plans and working on implementing those strategies in classes. We will be reporting IB grades on the student report cards for the first time this term and teachers will be talking to students/parents about their progress not only towards letter grades, but also towards the IB criteria during Parent Teacher Conferences this week.
