I. Always carry yourID Card/Admit letter (if New Admission) for Registration.
II. Collect your registration material from your Registration Advisor.
III. Refer to Section VIII of timetable - "CERTAIN INSTRUCTIONS REGARDINGREGISTRATION".
IV. COURSE PACKAGE
A. Procedure to make entries on the Registration Card
(a) The prescribed course(s) are printed on your Registration Card and need not
be written again.
(b)Elective(s) Registration (See Section VI of timetable for choosing Electives):

V. COMPUTERISED REGISTRATION (COURSE ALLOTMENT)

in the Registration Card before you quit.o Get the entries of Registered Course(s) countersigned by the Course
allotment in-charge in the computer rooms.
VI. DIFFICULT TIMETABLE
If a clash free timetable is not possible with available courses/sections, then
a. Fill a DTC form that is available with the Room In-charge.b. Make the timetable for the sections already registered, on the backside of
DTC form.c. Get the DTC form signed by the Room In-charge.d. Sign in the Registration Card.e. Submit the following to your REGISTRATION ADVISOR:
(a) Signed DTC form (with timetable overleaf).(b) Registration Card.
f. Collect your settled form & timetable as per schedule announced.
VII. You are Not Registered for the semester if
Your registration is incomplete in any manner.
You have not signed the Registration Card.
Your Registration Advisor has not signed the Registration Card.
Your course/section allotment is not verified on computer by Course Allotment
In-charge.
Course Allotment In-charge has not signed for the allotments in Registration Card.
You fail to return your Registration Card to your Registration Advisor by

VIII. NAME CHECKING FORM
Students admitted in Second Semester 2012-2013 should collect the Performa
containing their certificate name, as it will appear on all documents like Provisional
Certificate, Transcripts, as well as Degree Certificate. You should sign the Performa
and return the Academic File Copy to your Registration Advisor and retain theStudents copy for your records. If your name is not spelt correctly, fill in the
Name Correction form available in ARC Division Office and submit to ARC
Division within 15 days with supporting documents.
IX.ANTI-RAGGING AFFIDAVITS
As per Supreme Court order, it is mandatory for all continuing students and their
Parents/Guardian to sign separate affidavit on a non-judiciary stamp of Rs. 20.00,
duly signed by Oath Commissioner. All the students are advised to submit two anti-
ragging affidavits (one singed by student and another by parent/ guardian) to the
respective registration advisors.
X. Students must submit their completed Registration Card before 4:00 P.M,02/08/2013 to their registration advisor only.
XI. If you are in dues and have brought the demand draft for the full amount,
Submit the demand draft to SWD and collect the Dues Cleared slip.
Report to your Registration Advisor and hand over the Dues Cleared slip andcollect the Registration Material.

GUIDELINES FOR REGISTRATION ADVISORS1. Please be available in your location 15 minutes before the timing announced in Registration
Schedule.
2. Following items are sent to you as registration material:(a) List of the students allotted to you.(b) Registration Card.(c) Eligibility Sheet.(d) Grade Sheet, if withheld because of dues (Not for New Admissions).(e) Certificate Name Form (students admitted in II Semester 2012-2013).(f) ID Card.
Verify the items as per list 2(a).
3. Registration material for some students might have been withheld[it will be marked inList 2(a)] due to administrative reasons like pending I report etc. The registration material forsuch cases may be released to you with supplementary lists.
4. The Registration Material for student(s) who are in dues is also sent to you. Students in duesare indicated on the list of students. Release the registration material of such
students when they produce the DUES CLEARED slip from Dean, SWD. Keep this dues
cleared slip with you. This dues cleared slip should be handed over to ARC D ivision
along with the Registration Cards at the end of registration.
5. Every student must register personally. In-case of doubt, you can ask the student to produce theIdentity Card.
6. Hand over the Registration Material to the student who reports for registration. If the student is indues, act as per item 4.
7. Certificate Name Form: (Not for New Admission Students): Please get the Certificate Name
Form signed from each student and keep the Academic File Copy with you and give theStudents copy to the student. Return all the signed certificate Name Forms to ARCD Office at
the end of the day along with other registration material.
8. Anti-Ragging undertaking form: You are requested to collect twoanti-ragging affidavits (onesigned by student and another by Parents/ guardian) and put a tick mark against the ID.No. of the
students in the List.
9. Advise the student about his course package. Following guideline may be useful: Top left handcorner of the Registration Card gives the STATUS of the student. If the STATUS is:
NORMAL BL/ACB
CAN ALTER the package as per theAcademic Regulations
CANNOT alter the prescribed package. Anyalteration can be done by the Dean ARCD
or by the Chairman ACB, or his nominee.
10.When the student reports to you after completing his registration on computer.
CHECK THE FOLLOWING ENTRIES ON THE REGISTRATION CARD:
Lecture and/or Practical SECTION NUMBER for all courses is legible,
For EL/REPEAT/OVERLOAD courses Computer Code, Course No., Course
Title and category EL are correctly entered.
Number of ELECTIVES registered is within limits.
A course in Eligibility Sheet is NOT taken as EL.

Checkfor the signature of course allotment in-charge against all the course(s) on the
Registration card (Not for DTC).
ENSURE
Consistency in computer code, course no. and course title for hand written
course(s).
Course(s) not registered are struck offcompletely.
Ask the student to sign the Registration Card.
Sign the Registration Card.
Retain the completed Registration Card.
11.Students with DTC
CHECK that the DTC form is signed by the Room In-charge and Course Allotment
In-charge.
Verify the DTC case and sign the DTC form.
Ask the student to sign the Registration Card.
DO NOT SIGN the Registration Card as Registration Advisor.
Keep the Registration Card & DTC form.
12.You can check the registration of the students by logging into the telnet agni.bits-
pilani.ac.in or telnet 172.24.2.5 log in & password will be provided separately.
13.Segregate the Registration Cards into
a. Registration completed,
b. DTC cases, (DTC form attached to Registration Card),
c. Did not show up for registration.
14.Make appropriate entries in the proforma supplied, [list 2(a)] and return the
following to ARC Division Office after 4:00 PM on 02/08/2013.
a. Proforma with all entries made, list 2(a) and supplementary lists, if any.
b. All Registration Cards segregated as above.
c. Certificate Name Form.
d. Anti-ragging Affidavit
e. Dues cleared slips for students who were in dues and registration cards released by you.

GUIDELINES FOR COURSE ALLOTMENT IN-CHARGES
Timings for Course Allotment In-charges
Session-I : 09:15 AM to 01:00 PMSession-II : 02:15 PM to 04:00 PM
Please report your arrival in each session to the Room In-charge.
In the computerized registration process, your task is to verify the registration done by the
student. For this purpose, the software package will be running on the terminals and you have
to carry out following simple steps.
1. Type the students IDNO. or Record No. at the prompt Enter Students IDNO. orRecord No.
2. Computer will display the students IDNO. & Name and asks forconfirmation.
3. On confirmation, the courses in which the student is registered will be displayed.
4. If the student is a DTC case, go to step 11.
5. Match the display with the students Registration card.
6. Check that computer code and other entries for all hand written courses is legible andcorrect.
7. Any course not registeredis struck-off completely.
8. For an Elective course, please ensure that EL is written in type column of theRegistration card.
9. Sign in the respective columns against each course after verifying the entries.10. After verification and signature return Registration Card to the student and ask him to
go to his Registration Advisor.
11. The computer displays DTC for the student.
12. Get the DTC Form from the student.
13. Verify the display with the entries on the DTC form, for some courses the sectionsmay be blank.
14. After verification, sign the DTC form.
15. Do not sign the Registration Card. Write DTC in top left hand corner of
Registration Card.16. Return the Registration Card and DTC form to the student and ask him to go to his
Registration Advisor.
In case of any doubt ask the student to produce the ID card/Admit letter.
For any clarification, contact the Room In-charge.
Do not leave without consent of Room In-charge
In case you have to register as a higher degree/Ph.D. student, you need not leave
your registration duty. Report at ARC Division at 4:30 PM on 02/08/2013 for your
registration.
DO NOT LEAVE THE ROOM UNTIL THE REGISTRATION IS OVER.

GUIDELINES FOR REGISTRATION GUIDES
Timings for Course/Section Allotment:
Session-I : 09:15 AM to 01:00 PMSession-II : 02:15 PM to 04:00 PM
In the computerized registration process, your role is to ensure the smooth registration. Each
student can do his own registration on any of the terminals in the room. The software package
is interactive and menu driven and normally a student will not face any problem if he goes
systematically. You have to provide guidance to the student, monitor the students registering
on the terminals as well as control the number of students in the room.
Ensure that a student logs in with his own login & password by verifying the
registration card and ID card.
Guide the student to register in all the printed courses in the registration card
completely.
If a student wants to submit DTC (ask for a DTC form), try out various
combinations for Clash F reetimetable before giving the DTC form.
Once a student completes the registration (or is DTC) ask him to log out and proceed
to Course Allotment In-charge.
Ensure that a student does not occupy the terminal for more than 10 minutes. If some
student is taking more time, try to help him/her.
Students should not be allowed to use others login.
In case of any doubt ask the student to produce the ID card /Admit letter.
For any clarification contact the RoomIn-charge.
Do not leave without consent ofRoom In-charge.
In case you have to register as a higher degree/Ph.D. student, you need not leave your
registration duty. Report at ARC Division at 4:30 PM on 02/08/2013 for your
registration.

GUIDELINES FOR BOOTH MANAGEMENT
IN-CHARGES
Report 15 minutes before the announced timings for section/course
allotment.
ENSURE that no student is in the room before the allotment is
started.
Admit the students in the Room in order of priority number,
irrespective of the admission year.
ENTRY shall be controlled in such a way that there is no crowding
inside the room.

Release priority numbers according to the announced schedule
at regular intervals so that entry to each room will have the same
priority number at any particular time.
No student shall be allowed to enter the room with more than one
Registration Card.
No parent shall be allowed to enter the room with his/her ward.
