THANK YOU AND WELCOME BACK!In our last presentation we talked about some of the possible database solutions that we could implement in order to keep track of resources and labour.

We also went over how we could implement a web based system attached to a database so this may be available from anywhere across a plethora of devices.

Doing this would reduce the overall paperwork and work overlap that is slowing down your current system.

The Design Bid Process

• Bid estimate• Create a List of Materials• Labor hours and hourly rate• Final Bid submitted

Moving Bid into Production

• Design Budget• Designers may invest 10% of the bid into the design (this may be divided by 40 to find the maximum

amount of hours)*• Bills client for design time if the project is large or risky; if not factored into markup*• Daily work report is created (# of hours spent on each project)• Daily work report is sent to Connie and the design budget is sent to Cheryl

The Production Process

• Sue creates a production plan using the design bid• Production plan includes schedule of labor, material delivery, and project completion times• Sue submits to Keri for approval if approved Keri will return the plan to Sue• Sue submits plan to Connie

Tracking Project Costs

• The Greenhouse Clerk must indicate costs of all plants, pots, and materials and get approval to remove from inventory*

• All production workers submit a Production Daily Work Report• Materials and labor expended

• All designers submit a Designer Daily Work Report• Hours worked for each project

• Each project will consume between 50% and 70% of total cost*

USER NEEDSMeeting with Sue Kaufman• The ability to tell if employees are performing their jobs efficiently and effectively.

o This will help tell if an employee’s work has to be redone.

• View reports detailing the average hours of work required or expected for a particular size project or task.

• A report listing only the instances where the estimated to actual hours ratio deviated by a certain percentage.

• Easier and less time consuming way to generate the production plan.o Entering the code and quantity and have the system fill in the description, unit cost, and

extended cost.o Anything allowing the reuse of data already existing about the project. Ex. From the design bid.

USER NEEDSMeeting with Connie Nguyen• Using information systems to automate the most time consuming and repetitive part of Connie’s

job. Which is all of the tedious data entry for all of the different reports.

• Distribute this ability to others allowing the designers and production workers to enter data about costs and hours on a data entry screen rather than them filling out paper forms.

• Saving time and error reduction are the two main concerns.

USER NEEDSMeeting with Cheryl, Stan and KeriHow Stan Uses the Project Administration Report:

• With the accuracy of the bid and production estimates being the most important, Stan uses the report to see how accurate the estimates are and how the company is doing overall.

• Stan also wants to make sure that the company is staying within the 50 to 70 percent range for production costs to bid amount.

How Keri Uses the Project Administration Report:

• Views it to see the profitability of the company and how accurate the estimates are.o These can be observed as trends over time.

• The primary concern for Keri is the underestimates of bid amounts by designers because of the profit loss, but if over estimates continue to happen the company would lose business very quickly.

USER NEEDSMeeting with Cheryl, Stan and KeriCheryl’s Needs:

• Requires a way to filter new employees so that she may check their work. A sort by join date or sort by designer function could fix this.

• Cheryl is also looking to eventually use the computers to get a computer aided drafting program. Which could be further upgraded by having a network drive that would store all of the drafts in cloud based storage so that the database could have a directory to reference.

To accomplish this we plan on using computers and databases to store information so that it can be seen and manipulated whenever and wherever as easily as possible.

WHAT WE WANT TO DO FOR YOU!When we implement this system it will integrate database technology into your offices to reduce the redundancy of rewriting the same thing as well as make the process more accurate.

By making this process shorter and easier it will reduce costs not only in paper and space, but also in labour hours by reducing how much time is spent in the office.

WHAT WE WANT TO DO FOR YOU!This new system will hold all of your customers, materials, projects, and even labour hours. With the help of an easy to use website this information can be recalled to audit and review past work.

Having a website platform allows you to create and edit these instances with ease by having premade templates for your staff to enter information that can be saved and continued from the same or even another computer.

This system could implement a web application that would allow users to log in from anywhere even a phone and still have full accessibility to all of the features they would have at their desk by registering the device to that user.

Custom web apps can be built for NBD to do a variety of different things such as create a bid or post changes to a bid and then flag it for approval as well as calculate average cost.

POTENTIALSThis new system could have scripts and applications that automatically check the information being input to it. This could be used to reduce the human error by checking formats, averages, timestamps, and many other hints that the data being entered may not be correct, but of course there will be options to turn this off in case of exceptional circumstances.

POTENTIALSBy using a system that takes full use of todays technology allows you to access this information from anywhere so creating a second branch would be as easy as renting the space.

This database could support a vast amount of users allowing you to grow as much as you want.

CONCLUSIONBy upgrading to a new system which fully makes use of todays technology you are securing the future for your company by making room for expansion and creating a more friendly documentation process that is cheaper in the long run.
