The ChallengeMarie Björklund is the accounting manager at Dahl and is responsible for the budget process. Here she talks about the challenge of making this process more efficient.

– I started working in the group over 8 years ago and I have had my current position for three years.

Our previous budget process has brought a lot of problems. Therefore, we wanted a new system that will allow us to run it more efficiently. One of

our biggest challenges was that we needed a user-friendly system that would fit everything in the process even those who have limited system experience, computer literacy, and financial education. At the very least, we wanted a simple tool for our approximately 100 sales people and their respective sales managers.

Since we are currently running a project of upgrading our ERP system, our IT department is very busy. To reduce the load on them, we decided that the accounting department would take care of

the IT´s work with the sales budget. It necessarily implies, by extension, that we needed a system that does not require expert help from the IT department. The finance department would be free to operate the system in a simple manner - by looking at the data and monitoring the process in real time.”

The Expectations- “Performance Canvas Planner has absolutely met our expectations. We have had problems during the project, of course, things which we did not anticipate. Our business is very flexible and consequently, we need a system to cope with this and adapt to the changing reality. So far it has worked very well. Our budget process starts in August and extends over several months. The objective is for us to be done with work in the end. This year we did not quite make it but we were very close. However, we have seen a big improvement over the previous years. Performance Canvas Planner has been part of making this possible.

We now own the system in the accounting department and the process is transparent. Thus, I feel confident that the budget for 2015 will be finalized before the end of 2014.”

The Level of Satisfaction– “If I am to rate the product in a scale of 0 to 10 with 10 being the most satisfied, I would say 9. My top three reasons for this are:

- The system met our requirements for ease of use for the sellers – even those who are not accustomed to the IT systems. In addition to time for documentation, it only took 30 minutes of in-house training for the new budget process.

- We really own this system in the accounting department and it creates transparency in the budget process. The system is easy to manage and I can instantly see any flaws with the reports. In addition, I regularly monitor the budget process progresses unlike in our old system where I discover errors only after the reporting period.

- Working with Cadeia has been a good experience. We have received support when we needed it. Cadeia has also been flexible and allowed us to meet our deadlines. It has been appreciated.
