INTRODUCTION TO JBFIX LIMITED

Introduction to JBFiX limited

JBFix Limited are a well-established company that offer independent

support services to property management companies. Formed by Joanne Brunger a retired Police officer who

believes that hard work, high standards and excellent staff form the back bone of any company. Specializing in

commercial services, our main substantial contracts are cleaning services, on blocks of flats and rental

properties but offer exceptional gardening maintenance, waste management, window cleaning and property

maintenance .

Employee’s

All staff work solely for JBFix; they are highly trained and focused on providing a high quality service, all being

clear on our company values and professionalism. JBFix do not sub contract. All staff have been vetted, are highly trained and most importantly reliable and trustworthy. Their work is assessed on a monthly basis. Staff wear smart but practical uniforms have sign written vans and each carry smart phones or tablets, enabling them to be able to contact the office for reporting any problems or issues they find when on site. On all new contracts each cleaner is given a copy of the cleaning specification so that they know all the areas to be cleaned. All staff is given an induction program ensuring staff understand their roles, responsibilities and the organization’s values and goals, showing how these contribute to providing quality service. All of our cleaners and gardeners are experienced with demonstrated skills in cleaning and maintaining property grounds and premises.

Quality Assurance

JBFix Limited provides a professional service which will be defined under the scope of the contract and to meet the performance requirements of the agreement. We take quality control very seriously and our aim is to form lasting business relationships with our clients by providing a consistently flawless service.To this end, you’ll find our staff exemplary and our customer service first-rate. Spot checks are carried out at least once a month on existing sites. On new contracts the site will be visited fortnightly for the first 2 months to ensure that new contracts run smoothly and all expectations are being reached. For quality control purposes pictures of the cleaning visit and surrounding areas are emailed to the office weekly to show the signing sheet, and overall completion, these are held on file; in our experience carrying out this action helps us to assist with any queries, issues or complaints, should they arise. Managers/ Directors will not be bombard with pictures these will only be forwarded if require action or have been requested, then the relevant pictures and information will be sent in a word document, which will include all correspondence, solutions and any actions taken to resolve, unless the matter is urgent, in this instance contacted will be made on the day.

Reporting a complaint

If there is a complaint, the managing director Joanne Brunger, will be the direct point of contact in the first instance to discuss any concerns, this will then become a priority and the site will be visited within 24 hours to

discuss and resolve any issues the client may have. A report is subsequently filed once a satisfactory conclusion is met for all concerned. The team member is then given any retraining necessary in order to assure no reoccurrence.

Attendance

A log in and out sheet would be placed in office area, reception or board in communal area for all staff to log date, arrival and departure times. All staff are instructed to message office first thing every morning, to ensure we have all scheduled work covered.

Cleaning service examples

All carpeted areas to be hovered, all mats removed and cleaned

All hard floor surfaces to be washed and cleaned to high shine finish

All hard surfaces to be washed, dusted and polished to include: Doors, above all door closures, light

fittings and light sensors.

All internal windows to be cleaned where they can be reached including window frames

External surfaces of glass are clear of all spots and marks

Internal surface of glass are clear of all marks such as fingerprints and smudges

All marks on walls to be removed to best of our ability

All areas to be de-cobwebbed fully-inside and out

Clearing of litter

Thorough clean of handrails, skirting and ledges

Communal doors including glass internally and externally cleaned

Disposal of internal bins

Brass or other highly polished surfaces cleaned and polished using

specified products

Testing of the fire alarms and light switches

All light fittings to be removed monthly and cleaned internally.

Cleaning out the bin store on a regular basis and litter picking.

Larger items can be removed by ourselves at an additional cost

JBFix holds a waste carriers license.

Reported as standard from site each visit:

To let boards/for sale signs.

Actions are taken to have these down immediately, a picture emailed to the JBFiX office and our support staff

shall contact the estate agent to request there removal otherwise charges will be invoked

Non domestic waste / dumped items.

A photo is emailed and the property manager informed with a price for removal as we are licenced waste

carriers.

Dumped trolleys

A picture is emailed and support staff contact the supermarket involved and ask them to remove

Items in communal areas/meter cupboards

Managing Agent procedure will be adhered to in all cases but as standard procedure meter cupboards are

checked weekly and any items stored in the cupboard or in communal areas will have a seven day removal

notice placed on the item, the items are photographed through to us who will contact the Property manager. In

most instances we have discussed procedure and if the offending items are still in sight a week later they are

removed and if possible the resident charged for the removal via the service charge. Any valuable items are of

course tagged and stored for 4 weeks.

Landlord meter readings

Are to be taken on the first week of each month and emailed to the property manager

Lightbulbs changes:

When lightbulbs are changed the date, time and location of the bulb are logged in case of query.

Starters are changed as standard if needed.

If the fitting still does not work this information is forwarded to our dedicated maintenance advisor, who will

liaise with the PM and arrange for our qualified electrician to attend.

Rubbish bags-see attached notice

These are a problem on larger sites when residents leave the bags outside their doors, often overnight. This

causes the blocks to become smelly and the carpets are stained by liquids in the rubbish.

A recent initiative is to place a notice on the bag and take a picture. The property manager then writes to the

leaseholder with a warning. If this happens again a £50.00 charge is levied onto the relevant flats service charge.

This has proved to be very effective.

One visit from the A Team this morning and already the garden is looking so much better! 30th October 2015 I have worked with Jo at JBFix for a number of years. We recently retendered and awarded a further cleaning contract to JBFix on a site which consists of 164 apartments. The level of cleanliness has significantly improved and although we have received no comments from residents, no news is always good news! – November 1st 2015 We have a Building Manager on site who works closely with JBFix. The reporting of issues and photographic evidence is useful when dealing with difficult residents & the cleaner & building manager maintain a good working relationship. Hi Joanne, I didn’t even need to say we had changed cleaning companies! The residents have noticed a marked improvement so thank you so much it really is greatly appreciated and noticeable. 1st September 2015
