In this demo, we will show you through a series of screen shots, just how easy it is to use the WE Bill e-Software program.

To access the demo, simply become a member of the site by clicking the Become a Member button or clicking register:

After you register you will be prompted to check your email in order to verify that you are a real person and so that you can change your

password. Log into the site and click the “WE Bill e-Software” tab found at the top of the page. From there you will see the red WE Bill Demo

button. Click the WE Bill Demo button.

From there you should read the basic instructions and click under the blue WE Bill Demo instructions and then click the red Start the Demo

button:

When you start the demo, the screen will look like the one below. You can either add a new patient or find an existing patient by entering the

first letter of the patient’s last name

After you click the refresh button, you see the following screen. We want to update the patient’s information so we click the “Update Patient”

button:

I want to look at Baum, Sarah, so I click on that patient’s name. Under the patient’s name are the dates of service that the patient was seen. I

can update the patient information, add a visit, or work on an existing visit. If I update the patient, I see:

As you can see in this screen, the error message “Required data not entered”. This is because the banded box of referring MD has not been

entered. You must correct the error message for the changes to take effect. This location is where all error messages occur to prompt you to

make changes before you can move forward to prevent claims being denied.

After you have updated the patient’s information by correcting your mistake and clicking the “Continue” button, you can now add a visit by

clicking on the patient’s name, which takes you to this screen:

By clicking the “Add Visit” button will bring you to the following screen. Click the “Visit” button to add a visit.

When you click the “Visit” button, you will add the date and time the patient was seen, identify the attending physician, add ICD9 & CPT codes,

& add the place of service codes as you can see in the following screen shot:

If you are unsure of the attending physician or primary diagnosis, first click the magnifier glass which brings you to this screen:

Then you can hit the spacebar on your keyboard and then press enter in the “Caregiver Name” box to see a drop down of physicians/codes as

you can see in the following screen shots:

Alternatively if you know the attending physician or code, you can simply enter the first letter or number of the name or code to get the drop

down list to be more focused on the name or code you are looking for. For example, if you knew that the code you were looking for was in the

300 range, you can simply enter 3 and enter and then you could scroll to the exact code as seen in the following screen shot:

After you enter the Place of service code, you can click the OK button which will prompt you to review the data before you continue. This is

purposeful software design so that you make sure you have entered the correct information before you move forward so that you make sure

you are submitting a claim without errors.

After you continue you will be brought back to the “Add Visit” screen, and now you will need to add or update charges.

You will need at least one service code that matches the diagnosis entered in the last set of screens. If you are not sure, you can hit the

magnifier glass under the service code, then hit the spacebar on your keyboard and then press enter for a drop down list of codes:

If you have more than one diagnosis code, check the box under diagnoses to correspond to a second, third, or fourth diagnosis.

Presss the continue button, then make sure you have reviewed your changes and press the continue button again to confirm your changes. This

is a purposeful design element to make sure you are submitting the claim information correctly and avoiding rejected claims.

Next update the insurance information for that patient visit by clicking on the “Insurance” button on the “Add Visit” screen:

If you are not sure about the insurance press the space bar then hit enter. You will see Aetna as a default in this demo database. Click Aetna

and press enter:

If you want to add additional insurances you can add do this by clicking the “Add” button:

The add button will take you to the following screen. Fill in the required data (as indicated by the band boxes – little blue lines to the left of the

boxes).

Enter the bill priority and relationship to the patient:

Click continue after you have completed all the required information. As you can see in the following screen shot, the error message reads

“Required data not entered”. This is because the Sex has not been entered. After you correct that information, click the “Continue” button.

As you can see the update to the secondary insurance is updated on the screen:

At this point you can check the select box to update, deactivate, activate, view buttons to change the insurance. Click the “Continue” button to

complete the required information. When you hit the “Continue” button, you will be brought back to the “Add Visit” screen.

Now you can post payments and adjustments. Click the “Patient Payment” button.

Complete the required information as indicated by the blue band boxes and click the “Continue” button when you are finished.

You will be brought back to the “Add Visit” screen where you will click the “Payment Adjustment” button and then brought to the following

screen:

Click the “Continue” button to complete the payment adjustments.

At this point you can also add notes to keep track of important information in the patient’s record and to better track the claim. Simply click the

“Add Notes” button to add notes into the patient visit.

Click “Save” to update the patient visit.

As you can see the updated patient visit date is shown under the patient’s name on the following screen. The most current patient visit is

displayed on the top of the list of dates of services on record for the patient.

From there you can submit the claim by clicking on the date of service:

Then you click the claim status “FL” for filed or “PE” for pending to the resubmit or submit the claim:

From there you can “View”, “Print”, or “Submit” the claim manually or electronically:

To print the claim, click “View/Print” button. Now you can see an electronic claim form with all of the data that you entered previously:

If you do not print the claim form you can submit the claim electronically. To view the electronic file, click the “View 837” button:

From here you can review all pieces ascribed to the 837 file by clicking on the buttons below. Click the “Continue” button to complete your

review.
