Keep an active email list or lists of groups (determined by area of interest). Maintain outreach relationships by sending out

reports, invitations to training events, webinars, etc.

Results in additional follow-up with contacts concerning additional information or possibly a request for training or technical assistance.

Offer to partner or assist with a planning committee, workgroup, or task force. You will have the opportunity to work and

interact with potential new contacts while assisting on a worthwhile project such as a conference or a meeting.

Serve as a resource to your customers Inform them regarding new research, important

updates, and other important resources. Direct your contacts to your organization’s

website to promote valuable information and educational materials.

Expand out to develop new relationships through initial contact activities with potential customers. Send a brief letter or email of introduction, drop

off brochures and outreach materials with your business card.

After that initial outreach activity, you have another opportunity to reach out to this contact by providing a follow-up call or email to see how you can be of assistance to them.

Promote your ability to assist them through clear communication regarding your program and purpose. Develop and distribute a fact sheet to define

and describe your outreach program. Utilize a map with contact information

describing the services that you are able to provide.

Provide your customers practical solutions to meet their needs. Each organization is unique with varying

priorities, patient/client populations, and values.

Consider doing an organizational or departmental needs assessment to determine how to focus your training and education to better meet the needs of the organization.

Ask your customers to provide input on a project you are working on. You will receive valuable information from

those working on the front lines. You may also build a reciprocal relationship in

which your customer feels compelled to call on you for information in return.

Make sure you provide your customers something they value. Provide practical solutions to their problems. Show them how treating tobacco dependence

will benefit the organization (i.e. tied to mission, higher patient satisfaction ratings) and let them know that you are committed to help them succeed.

Cultivate new or existing organization champions. You will need someone ‘on the inside’ to carry

your message forward. Promote your champion in

articles/publications/or news briefs. Show them they are a valued and essential

partner working toward shared goals and objectives.

Repeat these tips over and over again. Similar to treating tobacco dependence as a

process, not an event, developing and maintaining relationships needs consistent care and treatment over time.

Repeat exposure to your services and/or resources by sending a report (or other communication) on a regular basis (i.e. monthly).
