ProgramandAdministrativeAssistanttotheExecutiveDirectorUnboundPhilanthropyPosted:June8,2017Location:NewYorkCityPosition:ProgrammaticandAdministrativeField:Philanthropy,ImmigrationSalary:CommensuratewithexperienceWebsite:http://www.unboundphilanthropy.org/ApplicationDeadline:RollingCategory:Executivesupport,programsupport,officeadministrationEmploymentLevel:Full-timeTheOrganizationUnboundPhilanthropyisaNewYork-basedphilanthropicfoundationthatworksintheUnitedStatesandUnitedKingdomtotransformthehumanrightsofmigrantsandrefugeesandtofostertheirintegrationintohostsocieties.TheFoundationseekstostrengthensocial,civic,andeconomicopportunitiesandrelationshipsofmutualresponsibilityandrespectacrosscommunities.UnboundPhilanthropytakesanintersectionalapproachtoitsgrantmaking;forexample,itseekstosupportworkthatlinksrefugeeandmigrantissueswithissuesofgender,racial,andLGBTQequality.UnboundPhilanthropyisalsoafoundingmemberofthePopCultureCollaborative,anewphilanthropicresourcetoexpandthelandscapeofpopculturenarrativesofpeopleofcolor,immigrantsandrefugees,andMuslims.UnboundPhilanthropycurrentlyemploys14staffmembersandhasanannualbudgetof$14million.TheOpportunityTheProgramandAdministrativeAssistant(PAA)totheExecutiveDirectorprovidescomprehensivesupport—administrativeandprogrammatic—totheExecutiveDirectoratUnboundPhilanthropy.Therolehastwoprincipalelements:thefirstistoworkverycloselywiththeExecutiveDirectoronadministration,inparticulartoanticipateherneeds,helpplanandprioritizeheractivities,managehercalendarandherworkflow,supporthercommunications,andmaintainandstrengthenherrelationshipsinthefield.ThesecondistoworkwiththeExecutiveDirectortosupporthergrantmakingthroughtheExecutiveDirector’sDiscretionaryFund.

ThisrolerepresentsauniqueopportunitytolearnaboutgrantmakingandtobuildknowledgeoftheimmigrantrightsandintegrationfieldsintheUnitedStatesandUnitedKingdom.In

additionthecandidateselectedwillgainexposuretostrategicplanningandmonitoringandevaluationofgrants.

Specificareasofresponsibilitiesinclude:

• AdministrationandManagementofExecutiveDirectorPriorities:SupporttheExecutiveDirectorwithmanagingherofficeandherpriorities,including:managinghercalendar,schedulingmeetings,sortingandrespondingtoemailandlettercorrespondences,makingphonecalls,andwritingandreviewingdocumentsforinternalorexternaluse.BecausetheExecutiveDirector’sworktouchesallpartsoftheorganization,thePAAmustmaintainastrongunderstandingofworkflowandprojectsacrosstheorganization,andhavetheabilitytojugglemultiplecalendars.

• SupportinGrantmakingActivities:ProvidesupporttotheExecutiveDirector'sDiscretionaryFundasProgramAssistant,includingduediligence,writinggrantmemos,managinglogisticalandfinancialdetails,andcommunicatingwithgrantees.

• Preparation,Support,andFollow-uptoLeadershipMeetings:ProvidesupportforthepreparationandplanningofallSeniorLeadershipmeetings,Boardmeetingsandsomeaspectsoftheorganization’sannualBoardandStaffRetreat.AttendselectedinternalandexternalmeetingswiththeExecutiveDirector,takedetailedminutesornotes,andhelpexecutefollowupactions.

• SupportinHigh-LevelStrategicConversations:Trackcomplexorlonger-termissues,projects,orconversationsinwhichtheExecutiveDirectorisinvolvedandkeepherappraisedofrequirednextstepsandtheirtiming.SupporttheExecutiveDirectorandcollaboratewiththeCommunicationsOfficerinpreparationfortheExecutiveDirector’sattendanceatconferencesorspeakingengagements.

• Travelmanagement:OrganizetravelfortheExecutiveDirector,andhelpaddressfollowupactionsonherreturn.

• Finance&expenses:TrackandrecordtheExecutiveDirector’sbudgetandexpenses.

Qualifications

• ABachelor’sdegree,aMaster’sdegree,andprofessionalorvolunteerexperienceinthenon-profitsectorarepreferred.

• ProficiencyinMicrosoftsystems(Outlook,Work,Excel,PowerPoint,andAccess)isexpected.

QualitiesTheProgramandAdministrativeAssistantrolerequiresahighlevelofprofessionalism,discretion,andself-initiative.Additionaldesiredqualitiesinclude:

• Excellentwrittenandverbalcommunicationskills;excellentlisteningskillsarealsoamust.

• Abilitytoeffectivelylead,manage,andprioritizenumerousprojectsconcurrently.

• Pleasantdiplomaticmanneranddispositionwithcolleaguesatalllevels,withthe

externalpartnersofUnboundPhilanthropy,andwiththegeneralpublic.

• Abilitytoworkwellinwhatcanbeafast-paced,high-stressenvironment.

• Willingtotakeresponsibilityformistakes&learnquicklyfromthemastherewillbeasteeplearningcurve.

• AbilitytoanticipatetheneedsandpreferencesoftheExecutiveDirector,andwillingto
