ThisrolerepresentsauniqueopportunitytolearnaboutgrantmakingandtobuildknowledgeoftheimmigrantrightsandintegrationfieldsintheUnitedStatesandUnitedKingdom.In
additionthecandidateselectedwillgainexposuretostrategicplanningandmonitoringandevaluationofgrants.
Specificareasofresponsibilitiesinclude:
• AdministrationandManagementofExecutiveDirectorPriorities:SupporttheExecutiveDirectorwithmanagingherofficeandherpriorities,including:managinghercalendar,schedulingmeetings,sortingandrespondingtoemailandlettercorrespondences,makingphonecalls,andwritingandreviewingdocumentsforinternalorexternaluse.BecausetheExecutiveDirector’sworktouchesallpartsoftheorganization,thePAAmustmaintainastrongunderstandingofworkflowandprojectsacrosstheorganization,andhavetheabilitytojugglemultiplecalendars.
• SupportinGrantmakingActivities:ProvidesupporttotheExecutiveDirector'sDiscretionaryFundasProgramAssistant,includingduediligence,writinggrantmemos,managinglogisticalandfinancialdetails,andcommunicatingwithgrantees.
• Preparation,Support,andFollow-uptoLeadershipMeetings:ProvidesupportforthepreparationandplanningofallSeniorLeadershipmeetings,Boardmeetingsandsomeaspectsoftheorganization’sannualBoardandStaffRetreat.AttendselectedinternalandexternalmeetingswiththeExecutiveDirector,takedetailedminutesornotes,andhelpexecutefollowupactions.
• SupportinHigh-LevelStrategicConversations:Trackcomplexorlonger-termissues,projects,orconversationsinwhichtheExecutiveDirectorisinvolvedandkeepherappraisedofrequirednextstepsandtheirtiming.SupporttheExecutiveDirectorandcollaboratewiththeCommunicationsOfficerinpreparationfortheExecutiveDirector’sattendanceatconferencesorspeakingengagements.
• Travelmanagement:OrganizetravelfortheExecutiveDirector,andhelpaddressfollowupactionsonherreturn.
• Finance&expenses:TrackandrecordtheExecutiveDirector’sbudgetandexpenses.
Qualifications
• ABachelor’sdegree,aMaster’sdegree,andprofessionalorvolunteerexperienceinthenon-profitsectorarepreferred.
• ProficiencyinMicrosoftsystems(Outlook,Work,Excel,PowerPoint,andAccess)isexpected.
QualitiesTheProgramandAdministrativeAssistantrolerequiresahighlevelofprofessionalism,discretion,andself-initiative.Additionaldesiredqualitiesinclude:
• Excellentwrittenandverbalcommunicationskills;excellentlisteningskillsarealsoamust.
• Verygoodanalyticalandorganizationalskills,andsuperiorattentiontodetail.
