2. DEFINITION OF VARIOUS BUTTONS FOUND IN XTIME There are three states of the new buttons: browse, inactive and hover
Insert Add a new item to a selected category
Edit Enter into edit mode to allow you to make changes to a selected entry.
Delete Delete the entry you currently have selected. You will receive a warning
box before the deletion becomes final.
Save Save the information you have entered / edited.
Exit or Cancel Exit without saving changes.
Run or Process Processes selected function e.g. export.
Print Preview Displays on screen a preview of that pages that will be printed.
Print Sends the information to the default printer.
Print to Excel Prints the Report to an Excel Workbook
Save to csv From the print preview the report can be saved as a csv file
Reload Reload tables on controllers
Reset Reset controllers
Copy Copy data
Unlock | Clear Clear a password
Down Arrow Move selected data down
Left Arrow Move selected data left | go back
Right Arrow Move selected data right | go forward
Up Arrow Move selected data up
Mail Mail icon
Refresh data Refreshes data when dates or other parameters are changed
Browse Enables you to search the directories on the computer for a file / picture.

3. LOGGING ON TO XTIME900 FOR THE FIRST TIME WITH A NEW USER Double click on the Xtime900.exe logo which is located on your desktop.
The Xtime900 screen will appear with a User Id and Password field request. Enter your username in the User Id field
and click on Login button:
If this is the first time you are logging in, a pop-up message appears that informs you that you need to change your
password. Click on the Yes button to enter a new password.

A new screen will appear to enter your password and also to confirm your new password.
If the system administrator has set prerequisites on the password lengh, type of characters needed, your password will
have to meet these prerequisites before you can save it. The prerequisites will be shown on the screen by means of a
red dot.
In the example below, the password must consist of 1 number, 1 other character - !@#$%^&*(), and 2 capital letters.
The minimum length of the password must be 5 characters.

As the user types the password, and uses one of the prerequisites, the red dot will turn green to indicate that the
prerequisite has been fulfilled.
The green save button will not become active until all the prerequisites have been met.
Clicking on the save button without retyping the password in the Confirm Password field, or typing in a password
different to the one in the New Password field will result in the following message:

Clear the Confirm Password field if you have already filled it in and retype the password until the screen goes back to
the version history listing. Log out and log in again with your username and password.
Depending on the version running, the landing screen will be the version history, or the splash screen that shows the
company Logo (if one is loaded). The menu will display on the left hand side and will vary from user to user depending
on the rights assigned to you.
4. DEFAULT SELECTIONS XTime900 can generate numerous reports. If all the selection fields are left <unselected>, all the data for the selected
period will be used. If the user has made a selection the data will only display for that selection. The types of selection
criteria are available:

The date selection will produce data including the start and end dates. For the user’s convenience there are buttons to
select data for Today, Yesterday, Last Week, 1st month and End month:
Most reports will have an order and scope selection:
The order will order the data by the selection. I.e. Gang will order the employees alpha-numerically within their Gangs,
and each gang will start on a new page.
The scope will only give data for the selected type of tag holder.
Some reports have additional selections like clockpoints, access groups or zones.
Some reports have a “One Employee” tab where a single employee’s data can be reported on:
Printer selection:
Use the dropdown to select a printer for the report
Report Option buttons:
• The yellow spanner is the layout edit button. This will take the user to a new screen where the report layout can be
edited. This is discussed in the next section.

• The excel button is to print the report directly to excel. Some reports only have an excel button due to the number
of fields on the report that would not fit on a printed sheet.
• The printer button is to print to the printer selected from the printer dropdown.
• The last button is the print preview button that allows the user to preview the data before it is printed.
5. EDITABLE LAYOUTS Clicking on the edit button will open the report layout screen. Here the user can add or remove columns, change the
orientation, select a different font and size and select to print a report footer.
To add or remove a column, click on the blue plus button and a pop-up window will display all the fields for selection on
the report:
Place a tick in the box to the left of the field to include that column in the report. By highlighting a field and then
clicking on the up and down arrows, you can move the highlighted field up and down changing its position from left (up)
to right (down) on the report. Once you have included all the fields required, click on the green save button to save
your selection.
Once back on the layout screen, you can space the columns by clicking on the yellow edit button. Drag the column
header left or right to shorten or lengthen the field. Once the spacing is correct, click on the green save button to save
your layout. Click on the red X to close the layout.
Clicking on the red – button will show the following message:
This means that the custom layout that has been created has been deleted and the system default layout reloaded. This
can be changed again by adding and removing columns as described above.

A new feature introduced in V2.16.01.0 is user editable report layouts. This can be switched on globally under
CONFIGURATION | SYSTEM PARAMETERS | SYSTEM | GENERAL tab:
With this parameter on, a user can select either the system default layout (usually set up by an administrator) or they
can set up their own layout that is different to the system default. When viewing the report layout with this parameter
selected, the editable layout screen will now look like this:
There is now a selection of <Default> and the User currently logged in. When the feature is first turned on, a duplicate
of the system layout is created for each user. This layout can then be edited or used as is. It is also possible to copy
another user’s layout to your own. But remember that you can only have one custom layout, so if you select to copy
another user’s layout, you will overwrite you current user layout.
Select the user layout you want to copy and click on the copy button:

6. COMMON REPORTS � GENERAL REPORTS a) Access Group Access This report will show you all access points given to employees and contractors and if that access was inherited from the
department or given to the employee manually. This report can be generated on Excel only due to the many columns it
may contain.

b) Access Parameters Setup On the Employee | Access | General tab, there are access parameters that can be set per employee. This report details
all the employees that have the selected parameters set. Due to the number of columns (which will not all fit on the
print preview) it is better to view and format this report in excel.

c) Audit The Audit report will generate a printout of changes made to employee records and system configurations for a selected
time period, using a range of parameters to define the scope of the report.
There are a variety of audit reports which may be generated. Some examples are:
• Report on a specific user for changes made to all employees’ records and system configurations.
• Report on a specific user for changes made to records of a specific employee.
• Report on changes made to records of a specific employee by all users.
• Report on changes made by all users and on all employees in a certain audit category such as Leave, Shift Changes
etc.

d) Badges Not Returned This report will generate all employees, contractors or both who have badges depending on the “Service” selected e.g.:
In Service, Discharged or All.

e) Block Certificates This report will show all different Block Certificates that employees have and if they valid or expired. If there are no
block certificates set, the user will be informed when they click on the report menu item:

f) Clock Point Access Clockpoints are given by way of Access groups. The report lists the access to clockpoints within access groups. The user
must select the clockpoints to be reported on by ticking them on the clockpoint tab. The report will show all tagholders
that have access to any of the selected clockpoints:

g) Device Status History The report will display the date, time and the duration when Controllers and Terminals are up and down.
There is no Excel export for this report.

h) Excessive Overtime Report This report will only be available when the fatigue management module is activated on the system. It generates all
records of tagholders that have authorised overtime that exceeds the parameter set on the screen:
There are many parameters in XTime that affect this report. For full details refer to the G4S User Manual – Excessive
Overtime Management document.

i) Expiry Report This will produce a list of all tagholders that have an expiry date set:

j) Fatigue Rest This report is also available when the fatigue management module is activated. It will report on employees that are
possibly going to be fatigue rest candidates within a rolling 24 hour period from the time the report is printed rolling
backwards.
Report Output Fields Explained:
• Roll 24 In –If no “Act IN” clocking is found then the time the report is drawn will be placed into the “Roll 24 In”
column
• Act IN – The actual time that a person clocked in at the fatigue validation clock point is placed in this column at the
time the report is drawn
• Act OUT – The actual time that a person clocked out at the fatigue validation clock point will be placed in this
column when the report is drawn
• Dur – The actual duration spent “ON SITE” by a person calculated using an “Act IN” or a “Rolling 24 In” and an “Act
OUT” or “Exp Out”
• Acc Dur – If there is an “Act IN” an expected duration can be calculated of the actual time spent “ON SITE” from the
time the person actually clocked in at the fatigue validation clock point
o 2 examples below are employees 0106606 and 00118816
• Rest Time – If there is an “Act IN” and an “Act OUT” and a fatigue shift was worked then the forced rest period for
which the person will be blocked will be placed in this column in hours and minutes

k) Finger Report The Finger Report will generate all employees who have or not have finger captured on the system. This will only apply
to sites where finger clocking is used.

l) Gang Interrogation This report will tell you if you have enough staff or short staff per gang. If the summary box is ticked it will show you all
the gang at once. This report works on occupations so in order for accurate information, the occupations must be
captured correctly:

m) Gang Sheet This report will show all members of the Gang and daily attendance 14 days back from the selected date:

n) Hostel Employee List This is a list of all the employees loaded in a hostel:

o) Labour Situation The report will show the current situation according to occupation. This reports needs to have occupations set up to
work correctly. It will show how many of a certain occupation are in the gang or department compared to how many
have clocked in for work and the difference. This report works on the current day.

p) Offenses Report The report generates data on disciplinary actions that are loaded onto the system. The disciplinary actions have to be
setup correctly under codes for the report to work correctly. Note that the offense must be within the selected dates to
appear on the report.

q) Risk Hours The report will generate the amount of hours worked in the different types of zones (SUD) according to the clockpoints
selected. There are 3 excel sheets for this report namely Grand Summary, Details and Summary.

r) Shift for Date Gives details of the shift that employees are scheduled to work for a specified date

s) Terminal Events This will show the selected terminals activity.

t) Time Recording Access This report will show all employees and/or contractors Time Recording clock points also if inherited from the

c) Employer List Generates the details selected of the contractor companies loaded on the system that will expire on or before the date

d) Engagement List The Engagement List report will print out a list of employees who were engaged during the time period selected.

e) Equipment List This will generate the types of equipment, the status and whom the equipment is issued to depending on the scope
selected.

f) Equipment Test History The report will show the length of the tests done on selected Equipment. These are usually the GDI units used on the
mines. Hardware configuration is necessary with reader inputs in order to record the tests

g) Finger List The Finger list Report will generate all employees who have or not have finger captured on the system. This will only
apply to sites where finger clocking is used.

i) Gang List The Gang List report will generate a list of gangs which fall under a selected Department and for a selected Payroll type
if required. The report lists the Gangs in order of their Code and shows the name of the department to which they are
attached, the name of their supervisor, the Cost Code for the Gang, the Shift Cycle they are on, Pay Rule for the Gang
and SUD.

11. EXCEPTION REPORTS There are 3 reports under exceptions. They give details of all the pay transactions that need to be authorised or cleared.
These transactions are dependent on the payrule settings and usually include overtime that needs to be authorised and
short time that needs to be cleared. This report is used when the Exceptions are used by Page view and not User view.
a) Exception Report

This report is usually printed and sent to department or gang leaders to authorise before going back to the payroll office
for capture. There are settings under system parameters that affect how the report is displayed:
Once the exceptions have been printed, they will be removed from the report screen. They will also be moved to the
exception reprint menu.

b) Exception Reprint Once exceptions have been printed (not previewed), they move to the reprint report. This is because they are set per
page, and therefore once printed, they can only be reprinted from a separate menu item.
