Introduction

We are happy to announce that the next major release on the XperiDo for Dynamics 365 product roadmap will now be rebranded as Xpertdoc Smart Flows for Dynamics 365, as part of the recent acquisition of Invenso by Xpertdoc Technologies Inc.

The much-anticipated launch of Xpertdoc Smart Flows for Dynamics 365 (formerly known as XperiDo v4.0) will be the first of several steps to align and integrate the technical product road maps of both Development teams which have collaborated on the latest Dynamics 365 solution.

Xpertdoc Smart Flows for Dynamics 365 will be launched to the global Dynamic Communities and User Groups at the upcoming CRM UG (EMEA) event, held from 24-26 April 2018 in Dublin. This launch also marks the start of an accelerated product development process bringing cutting edge innovations to our partners and clients at a much faster pace.

The unified Xpertdoc product suite will combine the known features and advantages of the XperiDo solution with the advanced document automation expertise of the Xpertdoc Technologies Inc. team, to ultimately achieve one overarching customer benefit – Better Documents. Faster.

The Xpertdoc Smart Flows for Dynamics 365 has been designed with the intent to leverage the unified data model promoted by Microsoft as the future of business applications. The Xpertdoc Smart Flows integration empowers non-technical business process owners to easily construct and manage document generation and output management flows that are key to the processes they own, without any help from the IT department. Our customers have come to expect that we continuously innovate and think outside the box. With Xpertdoc Smart Flows, document design & output processes can be established more efficiently without the need for technical knowledge or coding input.

The Xpertdoc Smart Flows for Dynamics 365 solution is easily scalable, provides unprecedented security and offers high availability and performance with the new Java based engine.

The global Xpertdoc Technologies design and development philosophy is to revolutionize the look, ease of use, seamless Dynamics 365 integration and processing speed to ensure the creation and delivery of better business documents, faster.

Intuitive User Experience The new Smart Flow builder greatly improves the intuitive process design from the initial trigger to the final delivery of the desired business document. This smart flow concept visualizes and simplifies the document generation process for the multiple Dynamics 365 user roles. It completely replaces an often manual and error-prone document creation process and ensures better and faster document output. The new graphical UI is built to provide an answer to the business challenges of tomorrow and will appeal to the unified interface expectation of the Dynamics 365 community.


Enterprise Capabilities At the core of the Microsoft Dynamics 365 business lies its biggest strategic differentiator, which is a common data model powering all business applications for office productivity, bridging the gap between front and back-office data repositories which historically operated in a virtual silo configuration.

With the Xpertdoc Smart Flows for Dynamics 365 release, a refreshed data set builder with a cleaner U.I. and improved navigation experience will empower the document generation user to create various types of data sets, utilizing pseudo relations to combine data sets from multiple sources across the Dynamics 365 suite and beyond.

Xpertdoc Smart Flows for Dynamics 365 also contains an enhanced management console providing an integrated control panel with access to project settings and control over a variety of configurations and settings. A new reporting interface provides detailed insights in both adoption and system health. Usage and volume across the business are visualized in a dashboard style report and possible errors within a flow can be easily pinpointed and resolved.

Competitive Edge Document automation is not a stand-alone process and increasingly it is a business-critical step in the digital transformation or business scaling to leverage Dynamics 365 SaaS applications in an infrastructure deployment of choice.

What’s New for End Users?

Refreshed UI Most notable novelty in Xpertdoc Smart Flows for Dynamics 365 is the refreshed UI, which is more intuitive and significantly faster than its XperiDo predecessors. All end user screens have a responsive design to allow for a great document generation experience on connected mobile devices. The simplified navigation, along with a single window interface, combines optimal white space with intuitive styling to help users identify what steps to take to complete the flow.

Unified Interface Ready, Both on Web and Mobile Xpertdoc Smart Flows for Dynamics 365 is available both in the classic Web UI and the new Unified Interface in Dynamics 365. Integrated in Unified Interface apps, the interactive user experience of Xpertdoc Smart Flows for Dynamics 365 is available both on web and on connected mobile devices.


Combining Security with Ease of Use When making a connection to Xpertdoc Smart Flows for the first time, users can benefit from quick and easy Single Sign On authentication. By utilizing their Dynamics 365 user profile, the need to remember multiple logins has been removed whilst adding a heightened sense of integration between Dynamics 365 and our new Xpertdoc Smart Flows.


What’s New for Template Designers and Admins?

Document Generation Flows New in Xpertdoc Smart Flows for Dynamics 365 is the concept of Document Generation Flows. Flows define the full process from initial trigger to final delivery of one or more documents. As such the flow concept replaces the template default output and delivery settings in earlier version of XperiDo for Microsoft Dynamics. In the Flow Builder, you can build out simple or more complex processes that contain conditional scenarios including one or more templates.

With the introduction of document generation flows, more input, output and delivery steps become available to the user. These include the following:

- Start flow from Dynamics 365, from the Xpertdoc Smart Flows Client or from custom code - Collect data from Dynamics 365 - Collect data from simple user input (Custom Data Set) - Collect data from user input via Xpertdoc Smart Forms - Collect data from a dynamic URL (REST based web service) - Create multiple documents within a single flow - Password protect PDFs - Output format conversion with advanced options

Multiple steps can be uniquely configured, as part of each Smart Flow. The flow can have multiple branches defined by conditions, switches or try/catch controls.

Combination of Multiple Data Sources With Xpertdoc Smart Flows for Dynamics 365 you can combine data sets from multiple sources into one template. This allows you to combine data that resides in your CRM system and data that lives in an ERP, a product lifecycle management system, a CPQ tool, or any other data source. Additionally, data can be captured from user input during the document generation process.

All data sets related to a template show up in the mapping pane of the Xpertdoc Template Builder (formerly XperiDo Template Design Add-in) for Microsoft Word. With the newly introduced concept of pseudo relations, you can link entities from one data set to entities of another to form 1:N or N:1 relations.


New Control Panel We have deprecated the XperiDo Solution Portal. The new administration/configuration experience is an integrated control panel in the management console. It gives access to your project settings, connector configurations, user administration, promotions, language settings, printers and more. The reporting section has been optimized to give you more insights in the adoption and the performance of your document generation system.


Refreshed Data Set Builder and Auto Refreshing Samples The new release has an improved data set builder, with a cleaner UI and a better navigation experience. You can create three types of data sets:

- Standard data sets: a collection of Microsoft Dynamics entities, entity fields and relations. At runtime, the data defined in a standard data set will fetched by an out-of-the-box connector into Dynamics.

- Custom data sets: ask for user input during the document generation process. At runtime, a custom data set will render to a web form. As such, the custom data sets replace the concept of the dynamic fields in earlier versions of XperiDo.

- Schema data sets: upload XML Schema Definition (XSD) files. Retrieve corresponding XML data via a REST service call at runtime.


You can create samples for each type of data set.

- Samples for standard data sets can be created through a simple record lookup. Once connected the sample will auto refresh every time you update the record (so no more refreshing required to update your samples).

- You can also create samples for custom data sets, so you can test different user input scenarios while designing your templates without ever leaving your template building environment in Microsoft Word.

- For schema data sets, you can upload XML files that correspond to the data set’s XSD schema and use those XML files as samples in Word.

The standard data sets support all Dynamics 365 field types, including the recently introduced multiselect option sets. 1:N and N:1 relations are available with no restrictions on depth or degree of relationship between entities. Xpertdoc Smart Flows lets you leverage the standard, custom and virtual entities of your Microsoft Dynamics 365 environment.

Compositions with Conditional Segments Composed templates are simply called compositions in this release. They are collations of content segments, that can be dragged and dropped at design time into a document main body zone, a header zone, a footer zone and an insert zone at the end of the document. In the new version, segment insertion can be conditional. Conditions can leverage CRM data, but also user input.


Engine Under the hood, the XBintegrator engine behind the document generation service has been replaced by a much leaner and more powerful Java engine, resulting in more effective use of resources, faster loading screens and quicker generation of documents.

Worldwide Availability on the Azure Platform Xpertdoc Smart Flows for Dynamics 365 will be available for public and private cloud deployment and deployment on premises. Xpertdoc is committing on making the public cloud service of Smart Flows for Dynamics 365 available on each of the 50 Azure regions around the globe.


What’s New for Developers?

New API The Xpertdoc Smart Flows for Dynamics 365 comes with a brand new REST API, based upon the OpenAPI Specification (OAS). Every function available in the application can be called programmatically from a series of get, post, put and delete functions.

Integration with Other Xpertdoc Portal Features The Xpertdoc Smart Flows for Dynamics 365 will already see integrations with features from the Xpertdoc Portal, notably Smart Forms, Xpertdoc Template Executions, Document Services and Content Manager.

Smart Forms

With Smart Forms you can build great looking forms to collect user input during the document generation process. If you are familiar with the Dynamic Fields in earlier XperiDo versions, Smart Forms will be the more advanced version of that feature. The Smart Forms drag and drop design experience lets you build forms in minutes and has capabilities to show/hide, prepopulate form fields conditionally and store forms in intermediate states.


Smart Forms fields can prepopulate based on data in your Microsoft Dynamics 365 records and/or related data sources.

Xpertdoc Template Executions from within Flows

The native docgen capabilities of Xpertdoc Smart Flows for Dynamics 365 are perfect for on demand and low volume batch generation (dozens, hundreds of documents). If you want to scale up to higher volumes (thousands, millions of documents), you need more power. The Xpertdoc engine can deliver that power. You can start the execution of an Xpertdoc template on the Xpertdoc engine from within a flow defined in Smart Flows for Microsoft Dynamics 365.

Integration of Xpertdoc Document Services

From a flow that lives within Xpertdoc Smart Flows for Dynamics 365, you will be able to deliver a generated document to Xpertdoc Document Services. All existing document output post actions (DOPAs) will be available to postprocess documents generated from a flow in Xpertdoc Smart Flows for Dynamics 365.

Integration of Xpertdoc Content Manager

From a flow, you will have the ability to send any document generated from the flow to Xpertdoc Content Manager and leverage all the metadata, indexing and full-text search capabilities, making any generated document or content fragment easy to find, edit, update and reuse through the Xpertdoc for Office add-in.


Compatibility, Upgrade and Early Access

Version Compatibility Matrix With the release of Xpertdoc Smart Flows for Dynamics 365, support for XperiDo 3.2 for Microsoft Dynamics has been retired. XperiDo 3.3 and 3.4 and Xpertdoc Portal Connector for Microsoft Dynamics CRM remain supported versions.

There will be frictionless upgrade paths to Xpertdoc Smart Flows for Microsoft Dynamics 365 from

• XperiDo 3.4 for Microsoft Dynamics; • XperiDo 3.3 for Microsoft Dynamics; • Xpertdoc Portal Connector for Microsoft Dynamics CRM.

Upgrade, Training and Partner Services The Xpertdoc Professional Services teams on both sides of the Atlantic are available to scope, advise and assist with the upgrade and migration of customized XperiDo and Xpertdoc implementations. The Xpertdoc training team is available to train your template designers and administrators and help you prepare for change management.

As from May 2018, the Partner Services and Commercial Services teams will launch information campaigns for reseller and referral partners on commercial models for the updated product, service and support offerings, partner training services and partner (re)certification programs.


Early Access Program For testing and discovery purposes, Xpertdoc will roll out an early access program starting end of April 2018. Program details will be made available shortly.
