Finding and managing the right mix of labor for your organization can be challenging. There are financial, legal, compliance and cost considerations that can turn into time consuming and expensive problems, particularly when it comes to employing a flexible workforce. Increased global-ization, a more competitive marketplace and the need to fill specialized roles are just a few reasons that companies increasingly rely on external workers including contractors, temporary workers and service firms managed under State-ments of Work (SOW), to create competitive advantage.

Today organizations leverage Vendor Management System (VMS) technology to help successfully procure and manage this valuable labor. A VMS is an all-inclusive platform that guides users step-by-step through the entire process of procuring external talent and services. From creating a requisition with just two clicks to offboarding a worker, a VMS is the only system that can seamlessly handle each step in the process and integrate with your existing technology, including both an Enterprise Resource Planning (ERP) system and Applicant Tracking System (ATS).

VMS VALUE-ADDED CAPABILITIES FOR THE CONTRACTOR SUPPLY CHAINWhile other solutions might handle the financial or human elements of an organization, a VMS is proven to be the missing link that not only does both, but can add value to your existing applications. For example, an ERP can manage the financial aspects of a transaction, such as budgeting, financial approval workflow, spend tracking and accounting information, but it lacks the ability to do talent requisitioning, sourcing and assignment management for contract labor.

An ATS can handle the human resources aspects of finding and tracking available candidates, but it does not facilitate the ongoing management of flexible workers, such as assignment changes, timesheet and invoicing. In addition, multiple users operating independently and disparate systems can result in monumental errors, misused time and creates a confusing environment for hiring managers. A VMS offers powerful human resources and financial processes functionality in one streamlined system to successfully find and manage your labor. A few examples include:

ONBOARDING AND OFFBOARDINGIt is critical to make sure that each new external worker completes several steps when joining or leaving your organization. While an ATS may be able to manage the internal activities associated with onboarding a new resource, it lacks the ability to assign the tasks to the supplier and cannot provide a workflow for the offboarding process. A VMS tracks and records each onboarding and offboarding task, resulting in improved compliance and better transparency into the company. In addition, a VMS allows you to shift responsibilities to your supplier for relevant on- or offboarding items, including background checks or health and safety training. Bringing the supplier into the workflow helps bridge communication gaps and minimizes potential oversights.

WORK ORDER REVISIONSA VMS offers flexibility throughout the workflow to support the ongoing assignment changes that are common within the external workforce. Whether you choose to keep a worker longer than originally anticipated, decide that someone needs a well-deserved bill rate increase or make other changes, you can be confident that assignment revisions and necessary approvals are handled quickly and easily within the platform.

THIRD PARTY INVOLVEMENTA VMS is designed to support Managed Service Provider (MSP) program administration, giving them the capabilities and tools to efficiently manage your program.

SEAMLESS INTEGRATIONSA best-in-class VMS integrates with your existing systems for increased efficiency. For example, you can automate timesheet processing which eliminates dual entry and ensuring accuracy. Your accounting and human resources department can leverage the same information without manual reconciliation between systems.

EXPERIENCE THE BENEFITS OF A VMSENJOY IMPROVED TRANSPARENCYEver-changing labor makes it seem impossible to manage the many kinds of workers including: independent contractors (ICs), part-time, seasonal employees and even interns. A VMS grants direct access to the entire workforce to track and manage all types of labor, even if they receive payment through a third party.

ENSURE COMPLIANCE, COMPLIANCE AND COMPLIANCEYour organization faces vital compliance issues — internally and externally — every single day. From governmental regulations that vary from country to country to corporate onboarding policies, a VMS is able to help mitigate risk by helping you:

• Maintain all of your information in one system to create endless audit trails• Leverage important reminders, such as VISA expirations, tenure notices or a

licensing course requirement• Create controls around relevant approvals• Access a single entry point for all of your locations and business units to avoid

any inaccurate or disjointed results

DECREASE COSTSLeveraging a VMS helps your business save money in a variety of ways. Better manage your payroll and note discrepancies in overtime or exaggerated rates. Tap into resources already in your system to avoid additional recruiting and training costs. Gain insight into different labor types and their associated rates to make better decisions.
