February 2017 WHAT ACUMATICA CUSTOMERS WANT … AND GET OPPENNESS, COLLABORATION, INNOVATION, ACCELERATION Talk to any Acumatica customer and very quickly you hear the word “open.” That’s most often cited as a primary reason the company chose Acumatica’s Enterprise Resource Planning (ERP) over other solutions. Why? Because these customers value fit and functionality and completeness of a solution, but they also need flexibility, and often “best of breed” and/or customized functionality to help them differentiate themselves from their competition. But customizing the solution can’t build barriers to growth and change. And for these small to midsize enterprises (SMEs), a flexible, differentiated solution can’t add unwanted complexity and it can’t break the bank. While many ERP providers today try to be “one stop shops,” the downside of this is added complexity and cost. Acumatica instead chooses to provide an open platform and take a collaborative approach to accelerate innovation, collaborating with customers to plot a product roadmap and with partners to fill gaps and provide specialized functionality. While Acumatica customers don’t necessarily expect ERP to satisfy all their needs, they also don’t want to wind up with a hodge podge of disparate, disconnected solutions. In fact, that is what many are replacing. They turn to Acumatica to facilitate easy integration and connectivity. This “open” approach provides the added benefit of agility. Face it: We live in disruptive times and disruption can have a cascading impact on business application requirements, making the ability to easily innovate, evolve and change equally, if not more important than current functionality. WHY OPEN? A MEANS TO AN END Acumatica’s “openness” can in part be attributed to the fact that it portrays itself as a “technology” company. While other ERP solution providers dedicate a considerable percentage of their operating budgets to sales and marketing, Acumatica relies 100% on its channel for sales and is therefore able to redirect that funding back into the product. The risk in this approach: Technology for technology sake. But Acumatica avoids this trap by having a keen focus on its customers. While it dedicates significant resources to developing its xRP Cloud Platform, Acumatica does this for the express purpose of delivering more functionality and more innovation, faster. AsnotedintheMintJutrasreportonWhatAcumatica6MeanstoDigitalTransformation,Acumaticahasinvestedheavilyincreatingplatformcapabilitiesthatsupportcustomizationwithoutcreatingbarrierstoupgrades.Thisapproachalsoelevatestheimportanceofintegrationcapabilitiesthatencouragecustomerstoextendthesolutionratherthanmakeinvasivechangesinplace.Tothisend,AcumaticahasmadeitslatestreleasesmoreflexiblebysupportingREST(representationalstatetransfer)API(applicationprogramminginterface)withwebservices,makingtheplatformmoreadaptableandcustomizable.“Open”isnotthegoal.Thegoalistoaccelerateinnovationcollaboratively.

Inordertofullyappreciatethesignificanceof,andthepotentialbenefitsderivedfromthisapproach,weneedanewandfreshwayofthinkingaboutERPsolutionsandhowtheyareconstructed.Weneedtorevisittheage-olddebatebetweenanintegratedsuiteand“bestofbreed,”butwithanewtwist.

ERPisattheverycoreofthisdebate,sincebydefinitionitisanintegratedsuite.MintJutrasdefinesERPasanintegratedsuiteofmodulesthatformstheoperationalandtransactionalsystemofrecordofabusiness.Thisisarudimentarydefinition,notonlybecausedifferenttypesofbusinesseshavedifferentrequirements,butalsobecausetodayERPislikelytodomuchmorethanthis.AsthefootprintofERPhasexpandedovertheyears,thependulumhasswunginthisdirection,infavorofcompleteend-to-endsolutions.

Asa“suite”allmodulesofanERPsolutionshareacommondatabase,andallaredevelopedusingthesametoolsandtechnology.Thiseliminatesdataredundancyandanyneedforseparateintegrationefforts.Traditionallytheyallmoveforwardinlockstep.

Acommonplatformfordevelopmentisbeneficialtoboththecustomerandthevendor,andyetthisapproachhasstifledinnovation.WhennewfeaturesandfunctionsareaddedtoERP,thistightintegrationimpliesthatallmodules,allfunctions,andthereforealldepartmentswithinanorganizationmustmoveforwardtogether.Thiscanslowdowntheupgradecycle,butevenmoretroublesome:Ittakesmassiveeffortsofcoordinationforalldepartmentswithinacustomer’sorganizationtotakethosenextstepsalltogether.Andallmightnothavethesamelevelofmotivation.Ifcustomizationsareaddedthroughinvasivecodechanges,thisaddsevenmorebarrierstomovingforward.

AnopenenvironmentcanbeaneffectiveantidotetotakingastepbackwardstowardsindependentpointsolutionsthatneedtobeinterfacedorintegratedbackintoERP.Opennessprovidesanewwayofconstructingacompletesolution,onethatis“component-based”or“service-based.”ThisistheAcumaticaapproach.

TheconceptandtheapproachdiffersfromtraditionalERPwhereallfeaturesareembeddedandallmodulesareverytightlyintegrated.Inanutshell:When

itcomestimetoofferupnewfeaturesandfunctions,insteadofinsertinglinesofcodedirectlyintoERP,youinsteadcalluponastandard“service.”Whenitcomestimetoupgradeoraddnewfunctionality,simplyswapouttheold“service”forthenew.Youmightalsoviewtheseservicesasexternalcomponents,whichcanbeofferedeitherbyAcumaticaorbyoneofitsgrowingcommunityofpartners.Whilethisisanoversimplification,itconceptuallydescribeshowAcumaticacaneffectivelydelivernew,targetedinnovationwithoutforcingalldepartmentsservedbyERPtomarchforwardtogether.

Anopenplatformalsoprovidesavehiclebywhichpartnerscanofferadditionalfunctionalitytargetedtospecificindustriesorevenspecificcustomersinsearchofdifferentiation.Ofcoursetheriskisinthisbecominga“freeforall”wherebyanydeveloperwithsomecodingskillscanthrowsomethingoutthere.ButAcumaticadoesn’tletthathappen.Itisquiterigorousinacceptingandcertifyingpotentialpartners.Thatsaid,over30newvalueaddedreseller(VAR)partnersjoinedin2016foratotalofover250.Inaddition,Acumaticapartnerswithover100independentsoftwarevendors(ISVs)whoprovideverticalsolutionstobetterservicespecificindustrysectorslikemanufacturing,non-profitsorpropertymanagement,tonamejustafew.

CHOOSINGPARTNERSWISELY…ANDSTRATEGICALLYWhileAcumaticadoesn’ttrytobeacustomer’sentireuniverse,itdoeswanttobeatthecenterofthatuniverse.Thereforeitchoosesitspartnerscarefully.Ofcoursesometimestheconverseistrue.SomepartnerschooseAcumatica.Long-timepartnerJAASSystemsextendsAcumatica’ssolutionwithmanufacturingcapabilities.OperatingmuchlikeAcumatica,ittoopartnerswithotherAcumaticaresellerswhowanttosellintomanufacturing.AndFusionSoftwareprovidesretailmanagement,warehousemanagementandpointofsale(POS)extensionsforretailers.AndofcoursetherearemanymorethathavebeenpartoftheAcumaticacommunityforyearsnow.

Morerecentlyannouncedpartnerships(January2017)includethosewithDocusign,MagentoandInfinityHR.Thesethreehaveafewthingsincommon.Firstofalltheyaddressfairlyuniversalneeds.Whatcompanywouldn’tbenefitfromDocusign’selectronicsignaturetechnology?Moreandmorecompaniestoday,eventhosethatoperateexclusivelyinabusiness-to-business(B2B)environment,alsorequireaneCommerceplatform.Magento’sopensourceframeworkmakesitaffordableforeventhesmallestofcompaniesbutthenprovidesroomtogrow.Andofcourse,allbutthetiniestofcompaniesmustmanageemployeebenefits,humanresources(HR)andpayroll.

Inaddition,thesearenotcompaniesthattendtogetlostinacrowdofferingsolutionsinveryfragmentedmarkets.Docusignisaclearmarketleader.Magentoisgaininginpopularityandhastheaddedadvantageofbeingan

attractiveandaffordableplatformforsmalltomidsizebusinesses(SMBs)(Acumatica’sdeclaredtarget).AndwhileautomatedHRmightseemlikealuxurytoasmallcompany,InfinityHRisbasedinthecloudandfullyintegratedtoAcumatica,makingitalsoaffordableandattractivetoSMBs.

Whilethesethreepartnershipsspeakvolumes,therecentlyannouncedintegrationwithSalesforcespeakstheloudestintermsofAcumatica’sopennessanditswillingnesstolistentoitscustomers.Acumaticaalsoprovidescustomerrelationshipmanagement(CRM),soobviouslyitsfirstchoiceistoincludethisoffering.Butinthiscase,integrationtoSalesforceCRMisindirectresponsetocustomerdemand.

MicrosoftisalsoanimportantpartnerresultinginaCRMpluginforOutlook,whichputsabuttonrightinyourMicrosoftOutlooktoolbarthatallowsyoutoeasilyaddanewperson(prospect?)toAcumaticaCRMuponfirstcontact.AndthenthereisintegrationtoMicrosoft’sPowerBIforpowerfulvisualizationanddataanalysis.Insteadofanarm’slengthinterfaceandmultipledownloads,AcumaticaissimplyaddedasadatasourcetoPowerBI.

Andfinally,Acumaticaisworkingwithaselectgroupofpartnerstopushitscustomersalongintermsofdigitaltransformation.MintJutrasapplaudsthisgentlepush.The2016MintJutrasEnterpriseSolutionStudyfound84%ofparticipantsagreethatdigitaltechnologieshavethepotentialoffundamentallychangingthewaywedobusinessand88%agreethatembracingdigitaltechnologiesisnecessaryforsurvival.Yetwealsofoundthat77%to89%stillrelyatleastinpartonspreadsheets,orevenworse,paperandmanualprocesses,toperformbasicactivities(Table1).Sothispushisindeednecessaryinmanyinstances.

Acumaticaislookingtopushtheboundariesonseveralfronts,activelyinvestigatingawiderangeofoptionsincludingBlockchaintechnology,machinelearning,botsandanaturallanguageinterfaceusinganAmazonEchodevice.Thecompanyhasgonesofarastoproduceprototypedemosofeach.ButthepartnershipwithAbbyyCloudisperhapstheoneclosesttofruition.

AbbyyCloudprovidesopticalcharacterrecognition(OCR),documentcaptureandlanguagesoftwareintendedtosimplifyconvertingpaperdocumentstodigitaldata.IfAcumaticacustomersreceivepurchaseordersand/orsupplierinvoicesinpdfformatviaemail,theycanautomatethesubsequentmanualentryintoAcumatica.WiththeembeddedartificialintelligenceandmachinelearningcapabilitiesofAbbyyCloud,thetransformationintodigitaldataisnotonlyautomated,butbecomescleanerandmoreefficientveryquicklyasit“learns.”

COLLABORATINGWITHCUSTOMERSASWELLWhiletheseforaysintodigitaltechnologiesareAcumaticainitiativesthatshouldservetoeducateandinspirecustomers,italsokeepsaseartothegroundintermsoflisteningtowhatcustomerswantandneednow.Andthatrelationshipwiththecustomerisgettingstronger.Whilecustomersoftenusepartnersastheirfirstlineofsupport,Acumaticaalsooffersapremiumsupportpackage,wherebythecustomercangetsupportdirectlyfromAcumatica.AndnowAcumaticaistakingthatonestepfurtherandbundlingdirectsupportintothelicenseorsubscription(Acumaticaoffersmultipledeploymentoptions:on-premise,publicorprivatecloud)forthefirstyearatnoadditionalcharge.

CustomersarealsostronglyencouragedtousetheAcumaticacustomerportaltorequestenhancements.Acumaticausesthissitetogaugeinterest,allowingcustomersto“vote”onrequests.WhenAcumaticamakesachangetothesoftwareasaresult,therequestismarkedas“shipped”andallthosewhovotedontheenhancementgetanemailnotifyingthemofthechange.

ThisishappeningmoreandmorefrequentlythesedayssinceAcumaticaintroduceditsoptional“continuousreleasecycle”featuringbi-weeklyupdates.Ofcoursethisisreallyonlyfeasibleforthoseoperatinginthepubliccloud,whichiswhyitisoptional.Thisisofferedinadditiontothelong-termsupportoptionpreviouslyoffered,givingcustomersachoiceastowhichupgradeprocessbestfitstheirbusinessneeds.Butitalsoprovidesaddedincentivetocustomerstomoveinthisdirection.Thosewhochoosetostayontheoldprogramwillnotbeabletoimmediatelytakeadvantageofthenewfeaturesastheyareintroduced.

CLOUDPLAYSAKEYROLEAcumatica’scontinuousreleasecycleisnottheonlybenefitcustomersrealizebyoperatinginthecloud.MintJutrashasbeentrackingperceptionsand

preferencesfordifferentdeploymentoptionsforyearsnow,alongwiththeanticipatedbenefitsandthoseactuallyrealized.MintJutrashaslongbeenafanofclouddeployment,longbeforecloudandSaaSbecamewellaccepted.WehavewatchedasmoreandmoreofourresearchparticipantsarewillingtoconsiderSaaSandfewerandfeweraredrawntoatraditionallicensedmodel.In2013weobservedalargedropininterestinon-premisesolutions.Beginningin2015,SoftwareasaService(SaaS)hasbeenthedeploymentoptionmostwidelyconsideredfornewpurchases(Figure1)andveryearlyresultsfromour2017studycontinuesthistrendwith67%willingtoconsiderSaaSand51%selectingthisdeploymentoptionastheirfirstchoice(newquestionin2017).

WhileAcumaticahasbeenengineeredinthecloud,thecompanyoffersallofthesedifferentoptions.SaaSisequivalenttoitspubliccloudoption,whileitsprivatecloudoptionisreallyequivalenttoahostedenvironment.ButAcumaticacustomerscanalsolicenseanddeploythesoftwareonpremise.Thosethatchooseon-premisebutextendorsurroundthesolutionwithSaaS-onlysolutionsarerunninghybridenvironments.

InsomewaysAcumaticacustomersfollowthistrend,withfewerandfeweroptingforon-premisedeployments.However,intheAcumaticainstalledbasethereisstillastrongpreferenceforprivateclouds.MintJutraswouldcautionthosethatfeelaprivatecloudismoreflexibleandagiletoconsiderthis:Allofthecustomizationsthatcanbebuiltinaprivatecloud,usingthexRPplatform,canalsobebuiltinAWS,whichiswhereAcumaticadeliversitspubliccloudversion.Andwhichisultimatelymorescalable?Yourowndatacenter,thatofapartner’sorthemassiveresource-richenvironmentofAWS?Wherewillyougetimmediateandautomaticroll-overintheeventofanaturalorman-madedisaster?Andwherewillyouhavetheoptionofacontinuousreleasecycle?

Cloud versus SaaS

Cloudreferstoaccesstocomputing,software,storageofdataoveranetwork(generallytheInternet.)Youmaypurchasealicenseforthesoftwareandinstallitonyourowncomputersorthoseownedandmanagedbyanothercompany,butyouraccessisthroughtheInternetandthereforethroughthe“cloud,”whetherprivateorpublic.

SaaSisexactlywhatisimpliedbywhattheacronymstandsfor:SoftwareasaService.Softwareisdeliveredonlyasaservice.ItisnotdeliveredonaCDorothermediatobeloadedonyourown(oranother’s)computer.ItisaccessedovertheInternetandisgenerallypaidforonasubscriptionbasis.

Usingthesedefinitions,wecanconfidentlysayallSaaSiscloudcomputing,butnotallcloudcomputingisSaaS.

Thesingleexceptionisinanticipatingthereducedcostandeffortofupgrades,butweattributethistoanexceptionallyhighpercentageanticipatingthisasabenefitin2016,muchhigherthaninprioryears.

Table2isactuallyacompilationofanswerstotwodifferent(butverysimilar)questions.ThefirstwasposedtothosenotrunningSaaS(thereforeanticipatingthebenefits)andthesecondtothoserunningSaaS.ThequestionsonITstaffingwereslightlydifferent;hencenocomparisonispresented.

Basedonexperienceandthesesurveyresults,MintJutraswouldsuggestsomeoftheAcumaticacustomersrunninginprivatecloudsmightexperienceevenmorevaluethroughmovingtoapubliccloud.Andwewouldstronglyrecommendanyrunningon-premisetomovetothecloud.

CONCLUSIONANDRECOMMENDATIONSManycompanies,particularlySMBs,strugglewithahodgepodgeofdisparateanddisconnectedsolutions.Theytakevaluabletimeawayfromrunningandgrowingtheirbusinessestodealwiththesesystemsandyetgetlittleinreturn.Inshort,theyneedtoreplacethoseexistingsystemsandmoreandmorecompaniestodayofallsizesseekacomplete,end-to-endsolution.Theyneedagoodfit,alotoffunctionality,andtheabilitytotailorandcustomizetodifferentiatetheirbusinesses.Andiftheygointoanewselectionwiththeir

eyeswideopentheyrealizetherequirementstheyhavetodaywillchangeovertimeastheirbusinessesgrowandevolve.

Ifyoufindyourselfinthisposition,searchingforthatsolutionthatwillgrowandchangewithyou,weofferthefollowingrecommendations:

• Lookforasolutionthatmeetsthelion’sshareofyourfunctionalneedstoday.Fitandfunctionalityandcompletenessofsolutionarestillofprimaryimportance.
