Creating a Purchase Order Requisition1) Open Shortcode List, found at https://www.umflint.edu/financialservices
Search the Shortcode List to match Fund, Dept. ID, Class and Program.
2) Click NavBar
3) Click Navigator
4) Click eProcurement
5) Click Requisition
6) Click Requisition Settings
7) *Requester: Enter the requester’s uniqname in all caps. This is the departmental contact.
8) Default Options: Select Override
9) Supplier: Enter the ten-digit supplier number, this will automatically populate supplier location.
10) Click OK
11) Click Special Requests
12) Item Description: Enter the invoice number, and description on invoice. If you have a quote, enter the product description, model and serial numbers, and full details in comments.
13) *Price: Enter the specific unit price
14) *Quantity: Enter the specific quantity
15) *Unit of Measure: Enter the specific unit of measure
*Example: If pricing is $250 quarterly annually, enter as 4 qtr. at $250 for a total of $1000, not as 1 lot at $1000
16) Category: Enter the appropriate 5 sequenced letters. If you do not know the category code, click on the magnifying glass, change the “begins with” constraint in the description row to “contains” and type a one-word description to find the appropriate value.
17) Additional Information: Enter Supplier quote number, Supplier contact name, Supplier phone number, Supplier email address, UM-Flint department contact, UM-Flint contact phone number, UM-Flint equipment department and location (building/room number), and if extension of contract/bid identify 1st or 2nd year extension dates and initial contract dates.
18) Send to Supplier: Click in box
19) Click Add to Cart
Note: Repeat steps 13-20 for additional items.
20) Click Checkout
21) Checkout – Review and Submit page. This page can be used to review the requisition lines. To view this information, you will need to click the gray arrow for Requisition Lines, and the gray arrow for Accounting Lines.
22) Select All / Deselect All: Click in box
23) Click Mass Change
24) Ship to: Enter 1001633
25) Attention: UM-Flint and Department Name
26) Speedchart: Enter the Shortcode
27) Click OK
28) Click Override
29) Dispatch Method: Choose Phone for all purchase orders with invoices, or if you will be calling-in the order. If the requisition doesn’t have an invoice, do not click override instead leave as default. The supplier will receive the order by their most preferred method. To enter an alternate email or fax number for dispatch, select Email - User Entered or Fax - User Entered. If two Suppliers are listed on a line, Phone is the only dispatch method that can be selected.
30) Click “Save & Submit”
31) Confirmation page: Use this page to access the Requisition ID, check the Status of the Requisition and Check Budget.
Notes:Reqs under $10,000 entered with a supplier ID and without a buyer, display an Approved status. Reqs requiring approval display a Pending status.
Budget Status: Valid = budget line exists *The Check Budget button no longer displays.Error = no budget line exists (or other error)
