Documents used in Importing and Exporting
Below are some of the most commonly used documents in International Trade.
An example of all documents is given below this list.
Commercial Invoice:
The invoice between the buyer and the seller. The minimum information required of the
parties is the three “CCC”, a company name, an address linked to a City, and finally a
Country name. For more information on the commercial invoice click here.
Clearing and Forwarding Instruction:
This document is used to give clear instructions to the clearing and forwarding agent.
Carrier’s Receipt or Manifest:
This is a list of all cargo transported by the carrier. This document is given to
customs to be used in customs clearance of goods.
Certificate of Origin (Business type) Chamber of Commerce:
This document is supplied by the exporting country to prove the goods
sufficiently originated from that country. For more on certificates of origin click
here.
Certificate of Analyses:
This document is supplied by the seller to verify that the product is what was
agreed upon. For example, that the chocolate was made with a glass and a
half of milk and not just one glass of milk. If the product is found to be
substandard and differ from the analyses certificate, then the buyer can sue the
seller.
PSI Certificates:
A Pre-Shipment Inspection (PSI) company may be appointed by the buyer to
checks that the consignment meets the specifications agreed. If the
consignment meets specifications a PSI certificate will be issued. More

Packing Note:
This note lists the goods packed in the packaging. The main purpose of this
document is to hide any commercial values from the people that will be
handling the cargo.
Dangerous Goods Declaration:
This document is required when dangerous goods are transported to help all the
parties involved handle the cargo with special care and not endanger life or
property.
Bill of Lading:
The document is given as a receipt for cargo loaded on a carrier vessel for
water carriage.
Airway Bill:
The document is given as a receipt for cargo loaded on a carrier for air
carriage.
Certificates for regulated items:
The following documents may be required for some regulated items for health
reasons:
Fumigation Certificates
Phyosanitary Certificates
Food health Certificates
MSDS, SDS or PSDS:
A material safety data sheet (MSDS), safety data sheet (SDS),or product safety
data sheet (PSDS) is a document outlaying how to take care of a product and
occupational safety and health related information. It is intended to provide
workers and emergency personnel with procedures for handling or working with
a substance in a safe manner, and includes information such as physical data.
