ABOUT THE COURSEThe 2015 PTCOG annual meeting will be held in beautiful downtown San Diego, California. The theme for our 2015 confer-ence will be The Modern Era of Particle Beam Therapy: Widening the Therapeutic Window for Better Patient Outcomes. As in the past, the conference will begin with the Educational Session taking place May 18th–20th and be followed by the Scien-tific Meeting taking place May 21st–23rd. The conference will feature plenary sessions, workshops, poster presentations and an extensive exhibition hall. Participants will also have an opportunity to visit the newly opened Scripps Proton Therapy Center and celebrate “San Diego style” at the Thursday evening Gala.

Blaine Convention Services will provide and assure the distribution of labor to all exhibitors according to need, see that the proper type and limits of insurance are in force and avoid any conflict with facility regulations and requirements. Blaine Convention Services will staff and maintain an on-site service desk before, during and after the exhibition to serve as a focal point for exhibitor needs. Independent Service ContractorsExhibiting companies may opt to use independent service contractors for installation and dismantling. If such contractors are used, the exhibit company must send PTCOG 54/Scripps CME and Blaine Convention Services the name, address and phone number of the independent contractor no later than Tuesday, April 21, 2015. Independent contractors are responsible for noti-fying PTCOG 54/Scripps CME and Blaine Convention Services of the booths they will work in and they must provide proof of insurance with minimum $1,000,000 liability coverage, including property damage, by Tuesday, April 21, 2015. If information is not received by this date the exhibitor must work with Blaine Convention Services.

Booth ConstructionStandard booths are 10 ft. x 10 ft. or multiples thereof and are arranged in a straight line. All standard booths consist of 8 ft. back wall drape and 3 ft. sidewall drape. Exhibit fixtures, components and signs will be permitted to a maximum height of 8 ft. and they may extend only 5 ft. from the back wall. Any fixtures placed within the remaining 5 ft. must not exceed 4 ft. high. Peninsula booths and bridging are not permitted.

Island booths consist of four or more standard booths back to back with aisles on all four sides. Exhibit fixtures, components and banners will be permitted to a maximum height of 16 ft. Sufficient see-through areas must be provided to prevent blocking views of adjacent booths (i.e. 50% of the island must be open display and not completely enclosed). Any plans for multi-level booths must be discussed with Blaine Convention Services. All booths must be carpeted.

RegistrationAll exhibitor personnel must be registered for name badges. Registration cannot occur without full payment of exhibiting fees. Four exhibitor badges are provided at no charge. An exhibitor badge allows admission to the exhibit hall only. Additional exhibitor badges will be available for purchase through Scripps Conference Services & CME, the designated meeting contact for PTCOG 54.

Application ReviewFor an exhibit application to be accepted by PTCOG 54, the products and services must be educational in nature and relate to the educational activity content. PTCOG 54/Scripps CME reserves the right to accept or reject a potential exhibitor based on its assessment of whether the company/organization’s products and/or services are relevant to the conference content. All exhibits will be reviewed by PTCOG 54/Scripps CME.

Exhibitor HousingPlease make your own hotel reservations and request the PTCOG 54 conference reduced rate of only $279 per night. Make your reservations early! A specially priced block of rooms is on hold for our group until Friday, April 24, 2015 or until the room block fills, whichever comes first. The Hyatt reservation link can be found on the PTCOG 54 website under the Conference Location tab.

Meeting Space RequestsExhibiting/Supporting companies that are interested in using meeting space at the Manchester Grand Hyatt must contact the PTCOG 54/Scripps CME Education Program Manager, Carlin Admirand, for approval. Entertainment, meetings, or similar activities will not be permitted in hotel rooms or other private or public facilities during hours that conflict with PTCOG 54 sponsored events.

The use of PDAs, tablets and smart phones is greater than ever requiring attendees to “power up” during the conference. Scripps Proton Therapy Center Tour, Transportation & Reception (Exclusive Sponsorship) SOLD $50,000

All participants are encouraged to tour the newly opened Scripps Proton Therapy Center and stay for an evening reception. Support will also cover transportation to the center from the Hyatt and back.

CME GUIDELINES & PTCOG 54/SCRIPPS CME POLICIES

CME Guidelines Related to Educational Grants, Exhibit Space and Promotional Activities In compliance with the ACCME Standards for Commercial Support, arrangements for commercial exhibits or advertisements cannot influence planning or interfere with the presentation, nor can they be a condition of the provision of commercial support for CME activities. • Exhibit and other promotional fees shall be separate and distinct from educational grants/commercial support. • All exhibitors must be in a room or area separate from the education and the exhibits must not interfere or in any way

compete with the learning experience prior to, during, or immediately after the activity.• Company representatives must refrain from holding any commercial discussions in the educational ballroom. All promo-

tional activities including interviews, demonstrations, and the distribution of literature or samples must be made within the exhibitor’s space. Canvassing or distributing promotional materials outside the exhibitor’s rented exhibit space is not permitted.

• Commercial interest representatives may attend CME activities at the discretion of PTCOG 54/Scripps CME for the direct purpose of the representatives’ own education. However, they may not engage in sales or marketing activities while in the space or place of the educational activity.

Liability• Neither PTCOG 54/Scripps CME, nor the Facility, the employees thereof, nor their representatives, nor any member of

the Conference Committee shall be responsible for any injury, loss, or damage that may occur to the Exhibitor or his property from any cause whatsoever, prior to, during, or subsequent to the period of the Exhibit except for any injury, loss, or damage to the extent arising from the negligence or willful misconduct of PTCOG 54/Scripps CME, the Facility, their employees, their representatives or any member of the Conference Committee. The Exhibitor agrees to indemnify PTCOG 54/Scripps CME, the Facility and their employees, volunteers, and committees from any and all claims for loss, damage, or injury except for any claims for loss, damage or injury to the extent arising from the negligence or willful misconduct of PTCOG 54/Scripps CME, the Facility, their employees, volunteers, and committees. Exhibitors are encouraged to insure themselves against property loss or damage, and against both general and personal liability.

• Exhibitor understands and agrees that, for the safety of conference attendees, Exhibitor shall not perform any procedures on or provide any services to conference attendees that are either invasive or are customarily performed in a practitioner’s office.

GuestsUnder no circumstances may children/spouses/guests of representatives be in the exhibit area or conference areas unless they are registered attendees.

Conference Modification or CancellationPTCOG 54/Scripps CME reserves the right to modify the course’s schedule or program as necessary. PTCOG 54/Scripps CME also reserves the right to cancel this conference, in which case a full refund of the registration/exhibit fees will be provided. We are unable to refund any travel costs (flight, hotel, etc.) in the case of PTCOG 54/Scripps CME cancellation.

Recording and Photography ClausePTCOG 54/Scripps CME reserves exclusive rights to record (audio and video) and/or photograph all conference proceedings for use in marketing materials, presentations and course content sales.
