Transferring old account contents in Outlook using .pst files

When you are ready to export your mail from your old account in Outlook - for example an old POP3 account, please carry out the following steps:

Open Outlook, go to File Import and Export

You will be presented with the Import and Export Wizard as shown in the screen below. To export the details of the PST file, select Export to a file, and click next.

On the next screen, select Personal Folder File (.pst) and select next.

The export Personal Folders screen, select the folders which you wish to export. In the example below we are exporting everything which includes calendar entries and contacts to the new PST file. To include all subfolders which may have been created, ensure that “Include Subfolders” box has been ticked as shown.

On the next page, select a location on your computer in which the pst file is to be saved. Name the pst file something which is easy to remember such as oldmailbackup.pst as shown below. Also select “Allow duplicate items to be created”. This allows a duplicate mail or folder to be created under the new pst file. Once the mail has been imported, any duplicates can be deleted as normal.

When you are ready, click finish and the following screen will be displayed:

No changes need to be made to this, click “OK” which will create the PST file in the location which was defined.

To import a PST file in to Outlook:

Once you have followed the procedures to download and configure your StaffMail account in to Outlook, open the StaffMail profile and go to File Import and Export. This time rather than selecting Export to a file, select Import from another program or file as shown.

Select Import a File type to Personal Folder File (.pst) as shown and select Next.

Browse to the location concerned when the PST file was saved and select the file. In the options section, make sure that Allow duplicates to be created is selected. Any duplicate e-mails or folders can be removed afterwards when you are sure all of the e-mail required is in the system.

Select next. The display will show a copy of what has been exported by the pst file and what files/folders will be imported. If you wish to import the mail in to the main inbox/folder structure, and still access the mails via StaffMail, please insure that Mailbox - <YourName> is selected. If you would like the mails as a reference locally (on the individual PC) then select Personal Folders.

When you are ready to import the e-mails, press finish. All e-mails will be imported in to the new profile.
