1 2013 – 2014 Executive Board Application Officer Descriptions and Responsibilities The BuckeyeThon Executive Board is made up of the Leadership Team and the Directors. The Leadership Team consists of the President, Vice President of Membership, Vice President of Operations, Vice President of Outreach, and the Vice President of Programming. The Directors consists of all 12 committee Directors and the Executive Secretary. President The President shall: Serve as the leader and primary contact for the Organization Call and chair all Leadership Team, Executive Board, and General Body Meetings Collaborate with the 4 Vice Presidents and Advisor to create Organizational goals and an execution plan to achieve those goals. Serve in direct report capacities to the following Ohio State University entities: the Vice President for Student Life, Assistant Vice President for Student Life, Associate Director of Student Philanthropy, Ohio Union Administration and Staff, and any other entities that the Associate Director of Student Philanthropy may deem necessary. Serve in direct report capacities to the following Nationwide Children’s Hospital entities: the Chief Executive Officer, President of Nationwide Children’s Hospital Foundation, Vice President of Annual Giving, Director of Annual Giving, Hematology/Oncology Administration and Staff, and any other entities that the Associate Director of Student Philanthropy may deem necessary. Serve in direct report capacities to Children’s Miracle Network Administration and Staff. Attend President’s Training as required by the Student Organization Guidelines Actively advise the Executive Secretary Develop strong working relationships with other Student Organizations. The BuckeyeThon Executive Board is made up of the Leadership Team and the Directors. Vice President of Membership The Vice President of Membership shall:

• Actively advise the Director of Alumni Relations, the Director of Membership Development, and the Director of Membership Selections and Education.

• Hold weekly 1:1 meetings with the Director of Alumni Relations, the Director of Membership Development, and the Director of Membership Selections and Education.

• Oversee the Member Selection and New Member Education programs • Attend weekly Leadership Team Meetings

Vice President of Operations The Vice President of Operations shall:

• Actively advise the Director of Corporate Relations, the Director of Finance, and the Director of Public Relations.

• Oversee all financial operations • Oversee the creation of the annual budget • Hold weekly 1:1 meetings with the Director of Corporate Relations, the Director of Finance,

and the Director of Public Relations. • Attend weekly Leadership Team Meetings

Vice President of Outreach: The Vice President of Outreach shall:

• Actively advise the Director of Family Relations, the Director of Fundraising, and the Co - Directors of Dancer Relations.

• Hold weekly 1:1 meetings with advise the Director of Family Relations, the Director of Fundraising, and the Co - Directors of Dancer Relations

• Attend weekly Leadership Team Meetings Vice President of Programming: The Vice President of Programming shall:

• Actively advise the Director of Dance Marathon, the Director of Events, and the Director of High School Dance Marathons.

• Hold weekly 1:1 meetings with the Director of Dance Marathon, the Director of Events, and the Director of High School Dance Marathons

• Attend weekly Leadership Team Meetings

Executive Secretary The Executive Secretary shall:

• Create the Executive Board Meeting Agenda • Create the General Body Meeting Agenda and Presentation • Take Executive Board and General Body Meeting minutes • Ensure that all meeting minutes are being uploaded to the BuckeyeThon Carmen page • Serve as Parliamentarian and enforce Robert’s Rules of Order • Maintain order in General Body Meetings • Oversee all updates and revisions to the Constitution and By-Laws • Work with the President to plan trip logistics to the annual Dance Marathon Leadership

Conference and other Dance Marathon programs. • Maintain the BuckeyeThon office within the Keith B. Key Center for Student Leadership and

Service. • Be responsible for booking all meeting space for BuckeyeThon meetings • Serve as the primary contact for the Ohio Union Events staff on all BuckeyeThon space

requests and reservations. • Maintain member roster • Work with University Archives to archive BuckeyeThon documents.

Director of Alumni Relations The Director of Alumni Relations shall:

• Lead the Alumni Relations committee • Collaborate with The Ohio State University Alumni Association in creating BuckeyeThon’s

Alumni Society • Actively engage and steward BuckeyeThon Alumni through various publications and events

Director of Membership Development The Director of Membership Development shall:

• Lead the Membership Development Committee • Oversee the development and implementation of all General Body Development programs

including: General Body Retreats, Professional Development programs, and General Body Morale programs.

• Continue the implementation of BuckeyeThon traditions • Coordinate one general body appreciation event per Semester. • Oversee Member Recognition Programs.

Director of Membership Selections and Education The Director of Membership Selections and Education shall:

• Lead the Membership Selections and Education committee • Oversee the implementation of the New Member Application and Selection Process • Oversee BuckeyeThon membership info sessions. • Oversee the implementation of the New Member Education Program

Director of Corporate Relations The Director of Corporate Relations shall:

• Lead the Corporate Relations committee • Develop and steward relationships with corporate partners • Steward relationships with former corporate donors • Secure donations for BuckeyeThon events • Develop and implement campaigns

Director of Finance The Director of Finance shall:

• Lead the finance committee • Manage purchase request for all committees • Collaborate with committee Directors to manage committee budgets • Oversee the counting, organizing, and documenting of all finances that funnel through

BuckeyeThon (Donor Drive, Cash and Check donations, Letter Writing Campaigns, and Canning).

• Collaborate with the Ohio Union Accountant on all accounting needs. • Manage the “Total Calculator” • Oversee all sales functions including, but not limited to: Helmut Mugs, Care/Spirit Packages,

and Apparel. • Attend Treasurers training as required by the Student Organization guidelines

Director of Public Relations The Director of Public Relations shall:

• Lead the Public Relations committee • Oversee the creation of a year long marketing strategy that falls in line with BuckeyeThon,

The Ohio State University, Nationwide Children’s Hospital, and Children’s Miracle Network branding.

• Actively collaborate with the Ohio Union Marketing staff on effective marketing strategies including graphic designs, social media campaigns, and branding awareness.

• Create and distribute press releases for BuckeyeThon events as deemed necessary by the Advisor and President.

• Actively outreach to the University and community publications. • Oversee the following areas: Email communication, Social Media (Facebook, Twitter, and

Blogs), Videos, Graphics, Email communications, and the BuckeyeThon website. • Oversee the marketing of all BuckeyeThon events

Director of Family Relations The Director of Family Relations shall:

• Lead the Family Relations Committee • Cultivate and develop professional relationships with Nationwide Children’s Hospital

patients and families. • Engage new families into the cause and mission of BuckeyeThon • Oversee the continued implementation of the Buckeye Buddies Program • Oversee the planning and implementation of events to engage Miracle Families. • Serve as a contact to the Hematology/Oncology Floor Staff

Director of Fundraising The Director of Fundraising shall:

• Lead the Fundraising Committee • Oversee the development and implementation of effective and innovative fundraising

campaigns to assist dancers and teams in reaching their fundraising goals. • Oversee the development of the following fundraising campaigns: Letter Writing and Email

campaign, Neighborhood and Football canning, and Dine-to-Donates. • Foster relationships with various student organizations to create and organize team

collaborations. Co-Directors of Dancer Relations The Co-Directors of Dancer Relations shall:

• Lead the Dancer Relations committee • Implement initiatives to engage the Ohio State community in BuckeyeThon’s programs and

events • Execute canning and letter writing campaigns • Foster Team Captain relationships • Coordinate Awareness Programs (Blitz Days, Push Week, Halloween Week, Beat Michigan

Week, etc.) Director of Dance Marathon The Director of Dance Marathon shall:

• Lead the Dance Marathon committee • Oversee all aspects of the Dance Marathon including catering, entertainment, layout, morale,

schedule of events, and volunteers. • Represent BuckeyeThon on the Signature Events Collaborative Committee • Actively collaborate with Ohio Union Event staff to plan and coordinate the Dance

Marathon.

Director of Events The Director of Events shall:

• Lead the Events Committee • Oversee the planning and implementation of BuckeyeThon’s “signature events” including the

Miracle Miles 5K, Children’s Charity Gala, BuckeyeThon Fashion Show, and Sport Tournaments.

Director of High School Dance Marathons The Director of High School Dance Marathons shall:

• Lead the High School Dance Marathon committee • Cultivate and develop relationships with Central Ohio Area High Schools • Assist High Schools in the planning of their own Dance Marathons • Lead the leadership development of High School Dance Marathon students • Serve as the primary High School Dance Marathon contact for Nationwide Children’s

Hospital and Children’s Miracle Network Hospitals. All Executive Board members are expected to -

• Hold weekly office hours • Attend weekly Executive Board Meetings • Attend weekly General Body Meetings • Attend the Executive Board retreat from Friday, February 22nd, 2013 – Sunday, February 24th,

2013. • Attend Executive Board Transition meetings • Be available and willing to do whatever is necessary throughout the year. All Executive Board Members serve as a public face of BuckeyeThon, The Ohio State University, Nationwide Children’s Hospital, and Children’s Miracle Network and are expected to positively and professionally represent these entities throughout the University, Columbus Community, and the Dance Marathon community.
